Paragraph 1. Artist Selection and initial information
This agreement establishes that the following artist of Gateway Event Painters, LLC,
___________________________will provide images in the size(s) selected, (see addendum for
sizing and cost) on location if at all possible, during the above stated date. The painting(s) will
be of the setting/captured moments, and/or items reflecting the event, and/or image(s) of figures
with sufficient detail to capture the artist impression of the event. This artist was selected based
on samples viewed on the website, accepted and approved of, by the Client_______. It is with
the Clients approval that the artist will take photographs and/or digital images of the event,
participants, venue etc. to facilitate the depiction and finishing of the requested artwork______.
If additional work is required to finish said artwork, the artist will finish the artwork in his/her
studio. Every effort will be made to complete the image during the event but it is understood
that producing a painting live can be interrupted by the interest and/or excitement of guests at
the event, other unplanned interruptions, or by a site set up that is not ideal for viewing and
producing said artwork. If this occurs the artist will arrange with the Client a retrieval date,
time and place.
Note: Gateway Event Painters LLC has standard Liability Insurance covering up to $1 million.
Paragraph 2. Selection of Alternate Artist
In an attempt to prepare for any unforeseen eventualities, Gateway Event Painters, LLC artist
_______________________, will assume the duties and responsibilities of the previous artist
chosen by the Client for this event. The client agrees that this subsequent artists work, has been
viewed on the website and has been chosen and accepted in lieu of the above (see paragraph 1)
artist contracted, should circumstances occur whereby the initial artist would be unable to fulfill
her obligations to the client. Should both artists be unable to fulfill this contract a full refund
will be issued to the Client. If the Client chooses not to select an Alternative Artist and initial
Artist cannot fulfill said contract the retainer will be refunded and the contract becomes null
and void.
Paragraph 3. Set Up and Contacts for the Live Event heretofore known as as the Event
Note that the artist requires a space of approximately 4 x 6, to include access to an outlet for
lighting for working during an Event. This space would provide an area for the artist to set up
and work during the event. It is also necessary to make arrangements for the artist to have
access to the venue a few hours before the event begins, to plan, prepare, and layout any
drawings/washes etc. on the canvas/watercolor paper so that a foundation for the final image(s)
has been applied. It is the Clients responsibility to arrange for the artists early arrival when
working with the venue management or event planner. The Client will provide a contact person
and telephone number for the artist with the venue management or with the event planer, so that
the artist may follow up on these details prior to the event.

Paragraph 4. Additional Event Possibilities: After and Past

If the artwork is an After Event piece, (ex. a honeymoon image from images taken by this
Client or others), or work from the photographers images with the Client and Photographers
permission, or images from a past event, and these images are deemed satisfactory for use by
the artist, this contract will state (pages 4 and 5). After Event, or Past Event, in the Event
heading of the contract. For these After Event or Past Event paintings, we prefer at least 2
photographs or digital images from which to work. The artist will provide the finished piece(s)
no later than 6 weeks upon receipt of photographs or the emailed digital images. This 6 week
period is based on the artists previous commitments, commissions, scheduled commitments for
live events, or other personal demands on the artists schedule. If a timing issue should occur,
an agreed extended completion date will be set that is acceptable to both artist and
Client______. Any After Event or Past Event artwork will be done by the artist chosen and
approved by the Client, painted with the same technique and impressionistic feel as viewed on
the website.
Paragraph 5. Live Event
FortheLiveEvent,a50%nonrefundabledepositisrequiredatthetimeofsigningthecontract
payablebycheckwiththepayeeGatewayEventPainters,LLC.orchargedtoVisa,Master
Card,orAmericanExpress,withthebalancedue2weeksbeforetheLiveEvent.Shouldthe
Client cancel the Event, before the final payment is made, for whatever reason the final
paymentwillbewaived.
Paragraph6.AfterEventorPastEvent
ForanAfterEventorPastEventpainting,a50%nonrefundabledepositisrequiredatthetime
ofsigningthecontractpayablebycheckwiththepayee,GatewayEventPainters,LLC,or
chargedtoaVisa,MasterCard,orAmericanExpress. Thebalanceisdue2weeksbefore
retrievaloftheimage(s)basedonthedate,timeandplaceasdeterminedbytheartistand
Client.
Paragraph7.FramingandMatting
Itisunderstoodthattheframingand/ormattingwillbetheresponsibilityoftheclient.The
finishedartwork(seeaddendumregardingcost,sizingetc.)willbeplacedinclearenvelopes
withtheadditionofabackerboardforwatercolorsandifanacryliconcanvasandcompleted
duringtheeventitwillbegiventotheclientatthattime.IftheClientisnolongerpresentthe
artistwillarrangeretrievalbasedondate,timeandplaceasdeterminedbytheartistandClient.
Paragraph8.OwnershipofArtworkandConcept
Ownership of the artwork produced at the Event or for other Events as stated in Paragraphs 4
and 6, belongs to the Client. The Client may duplicate the artwork at will. It is understood by
the Client that the artist will photograph the event as stated in paragragh 1.The Client grants
permission for Gateway Event Painters LLC and/or the artist to use these event photographs
and images as well as photographs and images of the artwork taken by the artist for either or
both websites or brochures, for promotional purposes only, and agrees these images will not be
sold for profit for any reason.
