Project Plan

Human Resource Management System

Wentworth Institute of Technology

1. Purpose

The purpose of the project is to evaluate multiple human resource systems that will
be able to facilitate all necessary functions of the HR department at Wentworth Institute of
Technology. Due to the current lack of an efficient data management system, this evaluation
must thoroughly cover all aspects of the departments needs.

4.1.

Characteristics of the System

4.2.

Store and track all faculty related information

Clearly define faculty management structure
Provide means to communicate to select department members
Simplified user interface
Cloud based system
Must be scalable and secure
Have minimum downtime for system updates
Potential to add integrated payroll function

Pilot definition
Currently, Wentworths HR department utilizes microsoft excel as their means of
tracking and maintaining faculty data. Their current system is highly inefficient,
significantly prone to data loss, and provides minimal operating functions. A new system
is necessary to streamline HR department duties, maintain data security, minimize data
loss, and easily organize faculty data.
The goal of the pilot is to adopt a new system that will be more efficient in storing
and querying data, communicating messages up and down management structure in a
clean user interface. The new system should also minimize difficulties involved with data
transfer and upload to new system by using parallel adoption
A joint team from Workday and from WITs IT department should be established
to ease system implementation. This team should also have an ambassador from WITs

HR department to inform and oversee specific system requirements. This team will ease
communication to ensure smooth application. Risks of implementing the new system
include data loss, process deterioration, data insecurity, neglection of new system use
by HR.
Implementing this new system will have many benefits that include greater task
efficiency, simplified data querying, greater data security, clearly defined management
structure, and simplified communication to all areas of faculty.

4.3.

Context of the system (i.e. readiness to conduct project)

The system can be implemented at any time

Required resources will be provided
WIT HR department will comply
Pilot will be conducted during a low stress period (summer

semester)

5. Plan the Evaluation of the Pilot Project

5.1.

Success criteria
This technology must provide a cheaper alternative in the long-run to the
current system at WIT.
This technology must be able to get implemented in 6 months or less.
50% adoption rate by the time of implementation.

5.2.

Variables to be measured

5.3.

Return on Investment
Estimated effort (staff-hours) saved
Estimated Cost (staff-hours) saved
Issues related to execution
Level of end user satisfaction

Define the mechanism for evaluation of the pilot

IT department will carry out poll of HR dept
Self-review of current system / work hours performed before
system implementation
Self-review performed by HR and IT staff - 6 months post
implementation
Quantitative data will be gathered from embedded analytics in
Workday System

Qualitative data will be gathered from HR faculty by IT department

6. Overview
According to the decision scoring matrix, Workday meets the majority of the
requirements of WITs HR department, and has been shown to be a growing leader in the
HR information system industry.
The growing necessity for an organized information system in WITs HR department
means that this system should be implemented as soon as possible; Effectively reducing
time spent on simple tasks, which in turn saves money, clarifies the current unidentified
management structure and will also ensure data integrity of faculty information. In
conclusion, it is essential that this system must be implemented fairly soon in order to
increase business efficiency of Wentworth's Human Resource Department.
