M EMBERSHIP M ANAGEMENT
1. Ref TFS #25200 Warn when next bill date and monthly collection date are out of alignment
If Daily Collections are enabled (Control Panel >> Global Settings >> Additional (2)) Membership Management will warn
the user whenever the monthly collection date does not match the next payment date. This warning will appear after
creating a member through the New Member Wizard, or when making manual changes.

2. Ref TFS #25564 Freeze Cancellation Event notes

When a freeze is cancelled through Membership Management the event created will show the name of the freeze and
the start and end dates for the freeze.

R EPORTS
1. Ref TFS #22082 New Report: Demographic based upgrades
Two new reports, Age Based Agreement Changes and Lapsing Based Agreement Changes have been added to the
Standard >> Memberships >> Automated Agreement Changes folder. Note that a new security token,
RP_CANVIEWAUTOMATEDAGREEMENTFOLDER, has been added to control access to the Automated Agreement Changes
folder. This token will be disabled by default for all users upon release.
The Age Based Agreement Changes report shows all members who will be upgraded by the Agreement Change on Age
Restriction Reached functionality (see Ref TFS #22082 Demographic based upgrades below). The report can be filtered

on current membership type, current price type, new membership type, new price type, whether the initial processing
failed, whether the final processing failed, if any processing failed, the initial processing date, upgrade processing date
and final processing date. The default columns for this report are Club Name, Member Number, First Name, Last Name,
Pre Change Membership Type, Pre Change Membership Price, Post Change Membership Type, Post Change Membership
Price, Current Cycle Fee, New Cycle Fee, Current Billing Method, Current Billing Cycle, New Billing Method, New Billing
Cycle, Home Phone, Mobile Phone, Work Phone, Home Address 1-4, Postcode, Email, Current DOB, DOB On Processing,
Birthday This Year, Age On Processing, Max Agreement Age, Initially Processed Date, Upgrade Active Date, Upgrade To Be
Performed, Finally Processed Date, Initial Processing Failed Reason, Final Processing Failed Reason and Initial Event
Resolved Date.
The Lapsing Based Agreement Changes report shows all members who will be upgraded by the Agreement Change on
Member Lapse functionality (see Ref TFS #22082 Demographic based upgrades below). The report can be filtered on
Current Membership Type, Current Price Type, New Membership Type, New Price Type, Initial Processing Failed, Final
Processing Failed, Any Processing Failed, Initial Processing Date, Upgrade Processing Date and Final Processing Date. The
default columns for this report are Club Name, Member Number, First Name, Last Name, Pre Change Membership Type,
Pre Change Membership Price, Post Change Membership Type, Post Change Membership Price, Current Billing Method,
Current Billing Cycle, New Billing Method, New Billing Cycle, Home Phone, Mobile Phone, Work Phone, Home Address 14, Postcode, Email, DOB, Initially Processed Date, Change Active Date, Change To Be Performed, Finally Processed Date,
Initial Processing Failed Reason, Final Processing Failed Reason and Initial Event Resolved Date.
2. Ref TFS #26002 Transaction Discount Report: Extra filters
The Transaction Discount Report (Standard >> POS Reports >> POS Discounts folder) now has additional filter options for
Main Category and Sub Category in the Range tab, and Member number, Authorised by User and Transaction User in the
Selection tab.
3. Ref TFS #26156 New Reports: User Configurable Fields
The User Custom Fields All Members report has been added to the Standard >> Memberships >> User Custom Fields
folder. This report shows all members regardless of whether they have any UCF data or not. The report can be filtered by
Member Status, Membership Type, Billing Method, Member Start Date, Joined Date, Obligation Date, Renewal Date,
Termination Date and Contracted Agreement. The default columns for this report are Club Name, Member number,
Barcode, Title, First name, Last name, Gender, Membership, Price Type, Membership Status, Joined, Termination Date
and Termination Reason. All UCF fields can be added to the report by clicking Customise Columns and selecting the field
name.
The User Custom Fields Historical Transaction Detail report has been added to the Standard >> POS Reports >> User
Custom Fields folder. Note that a new security token, RP_CANVIEWPOSUCFREPORTSFOLDER, has been added to control
access to the POS reports folder. This token will be disabled by default for all users upon release. The User Custom Fields
Historical Transaction Detail is the same as the Historical Transaction Detail report, with additional available columns for
all UCF fields.

C ONTROL P ANEL
1. Ref TFS #22082 Demographic based upgrades
A new tab for Demographic Upgrades has been added to Agreement Management >>Agreement >> Pricing tab >> Price,
allowing you to configure agreements to automatically upgrade when the agreement ends or the member reaches a
certain age:

The Age Restrictions are based of those set in Agreement Management >> Agreement >> Restriction rules tab. Once the
member reaches the maximum age configured they will be upgraded by the overnight job.
This functionality is enabled and configured in Control Panel >> Global Settings >> Agreement tab. Here you can set how
far in advance the member is upgraded (for age changes) and how far in advance you would like to raise an event to
notify the member of the change:

Note that on aging you should upgrade the member to a membership which uses the same billing method. On lapsing you
should upgrade the member to a membership with the same billing method, or a free membership.
Also, please note:

Members with linked agreements, or add-ons will not be upgraded by this process. Only stand-alone members
will be upgraded;

Nothing will be billed to the member when the membership is changed, but their cycle fee will be updated
appropriately.

2. Ref TFS #24617 Enhanced Tax: Exempt items from tax based on age of member
When using enhanced tax, you can mark inventory items as Subject to Tax Exemption (Inventory Management >>
Inventory Item >> General tab). If a member purchasing the item is below the Tax Exemption Threshold (set in Global
Settings >> POS tab) the member will not be charged tax for their purchase. Members above the exemption threshold
will still be charged tax as normal. A column for this will also be shown in the Transaction Detail and Historical Transaction
detail report.
3. Ref TFS #26000 Warning when creating a new record in Agreement Access
When creating a new record in Agreement Access (Control Panel >> Data >> Agreement Access) the user will see a
message upon clicking Save, asking if they are sure they want to make the change. Clicking Yes will make the change,
clicking No or Cancel will not save the change.
4. Ref TFS #26505 Prevent Renewal Online available in Agreement Management
A new option for Prevent Renewal Online has been added to the Scope tab in Agreement Management >> Agreement
>> Pricing tab >> Agreement Price. If this option is selected members on this price type will not be shown renewal options
online. This is in addition to the existing functionality to view and charge this value in Price Management.
5. Ref TFS #26729 Remove Leisure Region option from regions that are not of type Region
The Leisure Region option shown in Group Settings >> Group Details has been removed from any region thats Group
Type is not set to Region. This is to prevent incorrect configuration.
6. Ref TFS #26730 Display warning when changing Group Type
If the user attempts to change a regions Group Type (Group Settings >> Group Details tab) they will be warned that this
may adversely affect their configuration when clicking OK or Apply.

F EE C OLLECTION

In Configuration >> Collection Templates, only Locations which use the selected Collection Service will be shown in the
Location dropdown.

P RICE M ANAGEMENT
1. Ref TFS #20878 Fixed Override discount
A new discount option for Fixed Override has been added to the Discount Type dropdown in the Promotions section.
This allows you to set the selected fee to a specific amount, rather than granting a discount.
2. Ref TFS #21004 Limit number of uptakes of a promotion
It is now possible to limit the number of times a promotion can be used by ticking the Limit number of uptakes option,
and setting the maximum number of uptakes when creating a promotion. Note the maximum uptakes is limited to 6
figures.

3. Ref TFS #25935 Extra Months for PIF agreements functionality applies online
The Extra Months functionality from release 1508 now applies online as well as in house.

1. Ref TFS #2528 - Availability Check Improvements
The Availability Check feature now includes an option to filter resources, so you can view individual physical resources
(i.e. Studios/Courts):

If a member joins through the Joining Members service a link to the password reset screen will be included.
2. Ref TFS #24171 Joining Services: Salespeople
A list of Salespeople can now be generated by calling Joining/SalesPersonDetails?locationid={locationid} with a valid
location for clubs, groups or enterprise. This will return list of users who have the Sales_001 security token and have
access to the specified location.
SalespersonID can be added to the member joining call. If no valid ID is provided the salesperson ID will be defaulted to
WEBUSER.
3. Ref TM #184181 // TFS #26052 APIs: Add number of free months to API promotions return value
The API call for promotions will include the number of free months added to a paid in full agreement by a promotion.
