INTRODUCTION

From the distant past, almost everything is done manually and

hand-operated. Each activities of man always undergo complicated
process and methodology that needs to be performed with high level
of care. From the beginning up to the end of the process, there should
be no single mistake committed because if this happens the goal of
the method cannot be achieved.
But today, automation is the key to perform easily each mans task.
The complicated process and methodology are turned into a process
that will lead straightforward to ones goal. A single mistake
committed can be easily fixed by correcting a single step in the
process. Because of that each task given to man will be done easily
yet accurately due to simple process requirements.
Since the demand in animal clinics is growing so rapidly in the
Philippine market parallel to rapid increase of people who are overly
attached with their pets, the automation of patient information
management system will serve as a development for a high-customer
satisfaction that will lead to more effective and efficient organization.

The automation of patient information will give the convenience to

both customers and animal clinics. This will serve as an edge to other
animal clinics that record their patient information, monitor their
inventory, and generate their sales report manually because the
current trend in the service sector of the economy is not only the
delivery of customer value

but also the speed of delivery of service. The space will be maximized
while maintaining the accuracy of records due to omission of filing
cabinets and replacing it by a single computer. It also leads to
avoidance of costs like salary expense that will be paid to employees
who will be assigned to check and update inventory and generate
sales report.
The pet that needs immediate attention will be served instantly due
to easy way of finding their records. The inventory will be exactly
reflected to the units in the storage because it is connected to the
quantity and cost of goods sold that will be used in the sales report.
An automated sales report will give an effective and efficient service
to both company and customers. And because of that, the pet owner

will surely be satisfied with the quality service given to him and will
have a loyalty to the organization. Loyal customers will be easily
preserved that will give the animal clinic higher profit while
minimizing the costs.

Company Profile and Its Background

Iris Veterinary Clinic is a well-known animal clinic in Cavite City.
Its objective is to provide quality animal health care through hands-on
treatment. They treat their patients as if it is their own. They provide
the highest standard of veterinary care as possible.

The founder of Iris Veterinary Clinic is Dr. Anna Teresa B.

Baleda, DVM. She is a graduate of Bachelor of Science in Veterinary
Medicine at University of the Philippines, Los Baos. She finished her
studies in the year 1993. She first worked in Univet as an employee
who is in charged in veterinary medicine. She also became a farm
consultant who takes care of the health of different farm animals like
pigs, cows, chickens and horses.
Before Dr. Baleda started her own veterinary clinic, many of her
clients drop by to her house to consult about their pets. Even though
her house is difficult to find, her clients still insist to bring their pets
to Dr. Baleda to have a consultation. Because of her growing
reputation as a veterinarian, she was able to come up with the idea of
the animal clinic.
In 2003, she finally had her own animal clinic. This business
becomes a boom in Cavite City because there are only few animal
clinics in this area, and also because of the media that emphasize pets
such as different breed of dogs, cats and other types of animals.

The secret of Iris Veterinary Clinic to success is by being handson to the job in terms of treating the animals herself and her total love
for animals. Since then, the clinic continues to grow and improve
remarkably.
After years of relentless efforts and passion to her work, Iris
Veterinary Clinic is now an established institution that brings
satisfaction and happiness not only to its valued patients but also to
its owner.

Statement of the problem

This study sought to find answers to the following questions:
1. How the current system can be improved?
2. What will be the benefits of the proposed system to the company
and its management?
3. How much will it affect the firms cost if they automate?

Project Objectives
A. General Objective
This study intends to design and develop an automated pet clinic
information management system which can be utilized by Iris
Veterinary Clinic, Cavite City for their convenience in terms of file
handling or recording, monitoring of inventory and generating sales
report.
B. Specific Objectives
1. To determine the general environment and identify the
procedures that needs improvement in the existing pet clinic
information management system.
2. To design an efficient pet clinic information management
system that is supplemental to the improvement of the
existing system.
3. To provide back-up files to prevent loss of previous records
and support the inventory and sales results.
4. To have an automatic updated information regarding the
level of supplies, if its in critical level or sufficient level to
meet the demands.

5. To cope with the modernization and advancement of

technology in the society.

Scope and Limitations

The patient information system is designed for Iris Veterinary
Clinic in Cavite City. The proposed system provides the need of all
animal clinics that encounter problems using manual system of the
same business line. It is also best used by animal clinics which
monitor their inventory of medical supplies, vaccines, vitamins and
grooming supplies and other pet supplies. The system also records
and compute sold prescribed medicines, professional fees and stores
information about patients past transactions.
The system is limited only at Iris Veterinary Clinic located at P.
Burgos Ave Patola A Cavite City Philippines. The proposed system
covers information management regarding pet and pet owners
information, animal medication and health status and history.

Significance of the Study

The project is significant to the following:

To the Researchers; the project enables the researchers to enhance
their knowledge about the current needs of the pet clinic industry to
adapt in the fast-paced development of technological environment.
Also, it allows the researchers to exercise their skills and academic
intelligence in making the design work.
To the Entity; the system gives the owner more advancement towards
its competitors and make their business above others of the same line.

To the Customers; the system makes the transactions easier which

allows the customer to have a liking to the service provided to them.
