Abstract
This project is aimed to manage the export activities of the organization,
which exports different kind of goods to their customers across the globe. The
application should provide customers to order for the goods from any part of
the world.
Export management system project is useful for export and import
related companies for efficiently managing different activities which are
involved while exporting goods and receiving orders from customers,
managing customer support and finance.. etc. Using this system customers
can order goods from any part of the world and get customer support for every
delivery. In order to use this application features users need to register with
application and get unique user name and password with different level of
authentication for security purpose. Customers can receive goods in different
ways through air, ship or road type of support is based on customer package
he choose and time of receiving.
Every new customer has to register as a user to the site. The application
should provide the different levels of authentication. The goods can be sent to
the customers by any means e.g. by air, road etc. The Performa Invoice and
Documents Delivery Details should also be maintained by the application.

1. INTRODUCTION

1.1. INTRODUCTION & OBJECTIVES


This project is to manage the export activities of the
organization, which exports different kind of goods to their
customers across the globe. The application should provide
customers to order for the goods from any part of the world.
Customers are registered organizations or firms in their countries.
Every new customer has to register as a user to the site. The
application should provide the different levels of authentication.
The goods can be sent to the customers by any means e.g. by air,
road etc. The Performa Invoice and Documents Delivery Details
should also be maintained by the application. The project has
been planned to be having the view of distributed architecture,
with centralized storage of the database. The application for the
storage of the data has been planned. Using the constructs of MSSQL Server and all the user interfaces has been designed using
the ASP.Net technologies. The database connectivity is planned

using the SQL Connection methodology. The standards of


security and data protective mechanism have been given a big
choice for proper usage. The application takes care of different
modules and their associated reports which are produced as per
the applicable strategies and standards that are put forwarded by
the administrative staff.

1.2. PURPOSE OF THE PROJECT


The proposed application need to be developed to cater services to customer
across the globe with similar quality and timeliness. This application is also
required to show case the range of services which are there with the company to
get the customer attention to maximum extent. Apart from getting business from
customer the application should also keep track of order information, payments
information etc. Most of the mentioned features are there as part of the current
application. Some of the features will be added in the future, and hence they are
referred as future enhancements.

1.3. PROBLEM IN EXISTING SYSTEM


It is limited to a single system.
It is less user-friendly.

It is having lots of manual work (Manual system does not


mean that you are working with pen and paper, it also
include working on spread sheets and other simple
software's).
The present system is very less secure.
It is unable to generate different kinds of report.
It doesnt have the mail and file upload feature.

1.4. SOLUTION OF THESE PROBLEMS

The development of the new system contains the following


activities, which try to automate the entire process keeping in
view of the database integration approach.
User friendliness is provided in the application with
various controls.
The system makes the overall project management much
easier and flexible.
It can be accessed over the Internet.
Various classes have been used to provide file upload and
mail features.

There is no risk of data mismanagement at any level while


the project development is under process.
Report generation feature is provided using Crystal
Reports to generate different kinds of reports like bar
graphs, pie charts and table type charts etc.
It provides high level of security using different protocols like
https etc.

2. SOFTWARE REQUIREMENT SPECIFICATION

2.1.INTRODUCTION
Purpose: The main purpose for preparing this document is to
give a general insight into the analysis and requirements of the
existing system or situation and for determining the operating
characteristics of the system.
Scope: This Document plays a vital role in the development life
cycle (SDLC) and it describes the complete requirement of the

system. It is meant for use by the developers and will be the basic
during testing phase. Any changes made to the requirements in
the future will have to go through formal change approval
process.

DEVELOPERS RESPONSIBILITIES OVERVIEW:


The developer is responsible for:
Developing the system, which meets the SRS and solving all
the requirements of the system?
Demonstrating the system and installing the system at client's
location after the acceptance testing is successful.
Submitting the required user manual describing the system
interfaces to work on it and also the documents of the system.
Conducting any user training that might be needed for using
the system.

2.3.FEASIBILITY STUDY
1. TECHINICAL FEASIBILITY:
Evaluating the technical feasibility is the trickiest part of a feasibility study. This is
because, at this point in time, not too many detailed design of the system, making it
difficult to access issues like performance, costs on (on account of the kind of
technology to be deployed) etc.
A number of issues have to be considered while doing a technical analysis.

i)

Understand the different technologies involved in the proposed system:

Before commencing the project, we have to be very clear about what are the
technologies that are to be required for the development of the new system.
ii)

Find out whether the organization currently possesses the required


technologies:

Is the required technology available with the organization?


If so is the capacity sufficient?
For instance
Will the current printer be able to handle the new reports and forms required for
the new system?
2. OPERATIONAL FEASIBILITY:
Proposed projects are beneficial only if they can be turned into information
systems that will meet the organizations operating requirements. Simply stated, this
test of feasibility asks if the system will work when it is developed and installed.
Are there major barriers to Implementation? Here are questions that will help test
the operational feasibility of a project:
Is there sufficient support for the project from management from users? If the
current system is well liked and used to the extent that persons will not be able
to see reasons for change, there may be resistance.
Are the current business methods acceptable to the user? If they are not, Users
may welcome a change that will bring about a more operational and useful
systems.
Have the user been involved in the planning and development of the project?
Early involvement reduces the chances of resistance to the system and in General
and increases the likelihood of successful project.
Since the proposed system was to help reduce the hardships encountered

In the existing manual system, the new system was considered to be operational
feasible.
3.ECONOMIC FEASIBILITY:
Economic feasibility attempts 2 weigh the costs of developing and implementing a
new system, against the benefits that would accrue from having the new system in
place. This feasibility study gives the top management the economic justification
for the new system.
A simple economic analysis which gives the actual comparison of costs and
benefits are much more meaningful in this case. In addition, this proves to be a
useful point of reference to compare actual costs as the project progresses. There
could be various types of intangible benefits on account of automation. These
could include increased customer satisfaction, improvement in product quality
better decision making timeliness of information, expediting activities, improved
accuracy of operations, better documentation and record keeping, faster retrieval of
information, better employee morale.

3.ER DIAGRAM
E-R Model has some means of describing the physical database
model, it is basically useful in the design & communication of the
logical database model. In this model, objects of similar structure
are collected into an entity set. The relationship between entity
sets is requested by a named E-R relationship. The database
structure employing the E-R model is usually shown pictorially
using entity relationship (E-R) diagrams.

4.Data Flow Diagram

The Data Flow Diagram is a graphical representation which


depicts the information regarding the flow of control and the
transformation of the data from the input to the output. The DFD

may be used to represent the system or software at any level of


abstraction. In fact DFDs may be partitioned into levels. A Level 0
DFD, also called a context model, represents the entire software
element as a single bubble with input and output arrows. DFD is a
graphical tool used for requirement analysis. DFD depicts
information flow without explicit representation procedural logic.
DFD also depicts real time systems with the help of some
extended notation.

5.CONCLUSION
It has been a great pleasure for me to work on this exciting and challenging project.
This project proved good for me as it provided practical knowledge of not only

programming in HTML and CSS web based application and no some extent
Windows Application and MY-SQL. It also provides knowledge about the latest
technology used in developing web enabled application and client server
technology that will be great demand in future. This will provide better
opportunities and guidance in future in developing projects independently.
BENEFITS:
The project is identified by the merits of the system offered to the user. The merits
of this project are as follows: Its a web-enabled project.
This project offers user to enter the data through simple and interactive forms.
This is very helpful for the client to enter the desired information through so
much simplicity.
The user is mainly more concerned about the validity of the data, whatever he is
entering. There are checks on every stages of any new creation, data entry or
updation so that the user cannot enter the invalid data, which can create
problems at later date.
Sometimes the user finds in the later stages of using project that he needs to
update some of the information that he entered earlier. There are options for him
by which he can update the records. Moreover there is restriction for his that he
cannot change the primary data field. This keeps the validity of the data to
longer extent.
User is provided the option of monitoring the records he entered earlier. He can
see the desired records with the variety of options provided by him.
From every part of the project the user is provided with the links through
framing so that he can go from one option of the project to other as per the

requirement. This is bound to be simple and very friendly as per the user is
concerned. That is, we can sat that the project is user friendly which is one of
the primary concerns of any good project.
Data storage and retrieval will become faster and easier to maintain because
data is stored in a systematic manner and in a single database.
Decision making process would be greatly enhanced because of faster
processing of information since data collection from information available on
computer takes much less time then manual system.
Allocating of sample results becomes much faster because at a time the user can
see the records of last years.
Easier and faster data transfer through latest technology associated with the
computer and communication.
Through these features it will increase the efficiency, accuracy and
transparency,

LIMITATIONS:
The size of the database increases day-by-day, increasing the load on the
database back up and data maintenance activity.
Training for simple computer operations is necessary for the users working on
the system.

6.FUTURE IMPROVEMENT
Different online payments facilities will be provided via
different payment gateways.

Extending customer base by offering different deals/offers to


them in future
Expanding locations/ countries to cover for better services.
Introduction of pick at home features in future.
