Action settings
This feature is used to link slides by using action buttons. Once the action buttons
are inserted, right click on the slide and go to action settings. Select if you want the
slide to be linked to another slide either on click or mouse over the button.

How to insert action button on single slide?


Select the slide you want to place a button on.
On the slide show menu, point to action buttons, and then select the button you
want. For example, home, back, previous, forward or next, beginning, end or return.
Right Click on the slide.
Make sure that “hyperlink to” is selected. Click ok to accept the proposed hyperlink in
the “hyperlink to” list, or click the arrow and select the link you want.

Slide transition
While creating the presentation of your document, make sure that you presentation
creates the desired impact on the audience. For this, choose adequate layout, color,
design template etc. also, effects such as animated slide transitions.

How to add effects to your slide?


• On the slide show menu, click slide transition.

• In the list, click the transition effect you want. Effect should be selected as per
the impact you want to create on the audience.
• If you want all your slides to have the same effect, click apply to all the
slides.the following task pane will appear:

How to animate text of a slide?


• Select the text you want to animate.
• On the format menu, go to font and you can change the color and font size of
the text. Also, you can add effects like shadow and emboss.
• For further animation, go to slide show and then custom animation. A task pane
will appear. Go to add affects and you can add effects on the text. One can add
affects on appearance of a text ie entrance. Or exit of a text. If you want your
audience not to read your slides while you speaking, make your points appear
one by one. Use effects adequately.

Templates
When you create a new presentation, it has a very plain look
However, it is easy to add the base content at this
stage
When you finish adding the content, it is a good idea
to add color, formatting, special effects and so on
In order to make your task of formatting easier,
PowerPoint provides you with pre-made combinations
of formatting, color combinations and fonts. These are
called design templates.

How to apply a design template?


Open your presentation
From Format Menu, choose Slide Design
Now on the right side, the Task Pane will appear.
Various available designs will be shown here.
Scroll and browse through the available design and
select one of these.
Now click on the design to open the menu and choose Apply To All option
Now the Design Template is applied to all slides
If you don’t like the template, simply use Edit Menu - Undo (or press Ctrl-Z)

What to do after applying the template?


The template changes the fonts, colors, layout and appearance of each slide
In some cases, the slide contents may get disturbed by applying the template.
Common problems which could arise are:
• The text of the slide spills over and is partially seen in the slide show
• Images overlap on text
• The formatting and alignment is disturbed
To ensure that you notice all these issues, it is important to view EVERY SLIDE after
you have applied a Design Template.
Use shortcut key F5 for slide show.

Hyperlinks
In Microsoft PowerPoint, a hyperlink is a connection from a slide to another slide, a
Web page, or a file. The hyperlink itself can be text or an object such as a picture,
graph, shape, or WordArt. If the link is to another slide, the destination slide is
displayed in the PowerPoint presentation. If the link is to a Web page, network
location, or different type of file, the destination page or file is displayed in the
appropriate application or in a Web browser.

How to insert hyperlinks?


Select the text or object you want to represent the hyperlink.
Go to Insert menu and click ‘Hyperlink’ (Shortcut key is Ctrl + K)
You will get the following dialog window
• To link to a specific slide in another presentation, under Link To, select
‘Existing File or Web Page’. Locate and select the presentation you want to
link to. Click ‘bookmark’ and then select the title of the slide you want.
To link to a location in the current presentation select ‘Place in This Document’. The
dialog window options change as shown below
In the list, select the slide you want to link to. The preview of the selected slide will
appear in the preview pane.

Similarly you can select ‘Create New Document’ and ‘E-mail Address’ to link to a new
document new document and email address respectively.
‘Show and return’ check box gets enabled only when you click ‘Custom Shows’ and
select a particular Custom Show( A presentation within a presentation where you
group slides in an existing presentation so that you can show that section of the
presentation to a particular audience) .
‘Show and Return’ check box is enabled to return to the slide that contains the
hyperlink after displaying the Custom Show.

What happens when you insert a hyperlink?

When you point to a hyperlink, the pointer becomes a ‘hand’ indicating that
there is something to click. Text that represents a hyperlink is displayed underlined
and with a different color.
For pictures, shapes and other object hyperlinks, no additional formatting is
displayed.
When you click on the hyperlink control goes to the slide/file/web page associated
with the hyperlink.

Note: - In PowerPoint, hyperlinks become active when you run your presentation and
not when you are creating it.

Drawing Diagrams
Sometimes in you presentations you need to show some diagrams like class
diagrams, process diagrams, flowcharts etc. PowerPoint provides you with some easy
to use tools that you can use for such purposes. Drawing Toolbar

• To insert an AutoShape, choose the AutoShape you want and click on it.
• To insert multiple shapes of the same type, double click on the AutoShape icon,
insert as many shapes you want and deselect the AutoShape.
• To modify a particular shape, double click on the auto shape, you get the
following dialog box,
• You can change the format of the AutoShape using this dialog box
• You can change the fill color, borders, alignment, and position etc. with the use
of this dialog box.

• To set the AutoShape you have modified to be the default AutoShape, right click
on the AutoShape and choose “Set AutoShape Defaults” option. So, next time
you insert an AutoShape it will have the same formatting as the last one.

Connectors
Connector is also a type of an AutoShape. When you are drawing flowcharts or any
diagrams, you would like that the arrows that connect the shapes also move along
with the shapes. This facility is provided by connectors. Once you use a connector to
connect two shapes the connector automatically adjusts its position as you move the
shapes.
To insert a connector click on AutoShapes > Connectors. The various types of
connectors available are:

To animate a connector you can use the same method as used for animating objects.

Sometimes when you move a shape the connector comes in front of it.

At such times you can simply right click on the


connector and choose the option “Reroute
Connectors”

Meeting Minder
Normally when you are taking a meeting you write down the minutes of meeting but,
by the time you send these minutes to all the people concerned, lots of time is lost.
Also During any presentation, some actionable items are initiated and assigned to
specific participants. These tasks also have a deadline. Generally these tasks are
included in the minutes of meeting notes. Would it not be nice if you could assign
tasks to participants using deadlines right within your presentation?
there might be a need to assign a particular task to a particular person. All such
facilities are provided by PowerPoint in a facility called meeting minder.

Using Meeting Minder


Start the slide show (Shortcut key F5)
Right click on the slide, choose meeting minder option.
The following dialog box appears.
You can record the minutes of the meetings in the above dialog box. When you click
on export tab, the minutes are transferred into a word document along with various
details.

There is also another option in meeting minder called action items.


Action items provide you with a way to assign tasks to individuals.
When you click on the action item tabs the following dialog box appears;
You can specify a description of the task, to which person it is assigned and other
such details.
When you assign a task to someone, a default slide about the action items appears at
the end of the slideshow.
When you say export, the action items along with the minutes of the meeting are
transferred into a new word document.
Different Types of Cursors

The mouse cursor that you see on the screen takes up various shapes. Each of these
shapes has a different meaning.

Cursor
Normal Select Allows you to select line, paragraphs, shapes ,menus etc.

Help Select Allows you to see help on a particular topic. Shortcut key
“Shift + F1”
Working in Appears when some processing is going on in the
background background and not in the active window.
l Busy Appears when the active application is doing some task. For
e.g. when you are saving a long document.

Precision Select Appears when you start drawing any shape from the
drawing toolbar
Text select This cursor is associated with the mouse position in your
document. Helps you to
set the cursor at a particular place, in editing mode.
Unavailable Appears when a particular feature is unavailable in the
current application.
Vertical resize Allows you to resize the height of any object, like, textbox,
window, picture etc.
Horizontal resize Allows you to resize the width of any object, like, textbox,
window, picture etc
Diagonal Resize Allows you to resize the height as well as width of any
object, like, textbox, window, picture etc.
Move Allows you move an object like, textbox, autoshape, window
etc.
Link Select Appears when you point to a hyperlink
