2 PROBLEM STATEMENT Inconvenient Incase where one has lost his/her registration number there is difficulties in a ccessing the files that contain his/her information and that can lead to exhaust ing work in searching for a record. Inefficient The current system is time consuming because the Supervisor has to verify throug h the inspection and observation he/she made on the field before awarding marks to the student. Paper work Mostly there is a lot of documenting work done during registration of student on commencement of internship. In addition, any report concerning the student has to be attained from records documented down in the field by the Supervisor. Filling and storage Due to a lot of students registering for the internship, the records have to be filled and stored in the cabinet which consumes space within the office. Insecure The current system is not secure enough and most of unauthorized personnel can e asily log to the system. 1.3 PROJECTS OBJECTIVES Nairobi University Student Internship Management System is intended to achieve t he following objectives:. The system will be able to deal with the problem of paper work and docum entation where there will be introduction of computer which will capture students detail. Nairobi University Student Internship Management System will create a mo dule that enhances tracking and updating student internship records. It will red uce on the difficulties in accessing the files that contain his/her information and that can lead to exhausting work in searching for a record. The suggested system will allow the Supervisor minimize time wastage dur ing retrieval and hence reducing on alot of paperwork done. The developed system will be able to reduce on time spent by the supervi sor verifying through the inspection and observation he made on the field before awarding marks to the student as the supervisor can do all that online hence ma king the system more efficient and effective. The system will able to offer a high security and enhance data and infor mation security-the intended system shall provide security by use of passwords s o as to allow only authorized persons to access data and sensitive materials

1.4 LITERATURE REVIEW The literature review was based on Ministry of Foreign Affairs Student Managemen t System. It is one of the Institutions that offer Attachment programs for stude nts upon completion of their learning programs. The system is designed using Mic rosoft Access database. The system only caters the organization part of the inte rnship. It has several functionality which includes: It registers a student who is currently on attachment in the premises. Deletion of their records on successful completion. This enhances an up-to-date database. The organization supervisor is able to assign duties to student via the database . Generation of the overall report about the student is facilitated. Disadvantages of this database system are: The previous system could easily lead to misplace of important information of th

e students. The system was not able to offer a high security and anyone could access student information easily without permission and maybe deleting students files. The current system is time consuming because the Supervisor has to verify throug h the inspection and observation he/she made on the field before awarding marks to the student Benefits of this new database system that I have suggested are: The Supervisor is able to close monitor his/her students keenly and in later abl e to award marks to student. Recover information quickly and easily by browsing student records. The System will create a module that will enhance tracking and updating of stude nt internship records. Students are allocated tasks on daily basis i.e. even if the supervisor is absen t he/she records the tasks to be performed on the previous day. The student need s only to log into the system and view the task he/she is allocated and once he/ she complete the task records his/her findings. The second literature review was based on the Methodist internship system.Under the New Undergraduate Experience, the Industrial Attachment program has been re -structured to offer more flexibility to students. Methodist Universitys Attachment and Internship Management System is a platform f or organization co-coordinators to administer and co-ordinate the process of pro viding attachment and internship placements for Methodist University students. T his same platform will also be used by organization supervisors to access inform ation on attachment and to perform the required tasks during the period attachme nt.

For Organization Coordinator: Currently, he/she is able to: Update student information online. Register organization supervisor who want to offer attachment placements to Meth odist University. Forward programs submitted by the supervisors to Methodist University. Access timely information on assigned students and assigned Methodist University staff. Access information on past attachments. In the near future, their aim is to be able to: Administer the selection process (for organizations wanting to select students). Co-ordinate the submission of assessments by supervisors. Receive system generated message to prompt you to complete task. For Organization Supervisors: Currently, they can: Register as an organization supervisor for the respective attachment program. Submit attachment programs to the organization coordinator. Access information of assigned Methodist University students and staff. In the near future, they will be able to: Generate an overall report about the task the student performed and all tasks ta ken from the start and end of attachment. Submit assessment of students, and receive system generate message to prompt you to complete required task.
