Inputs: Document need to act - paperwork and budget Lessons learned from previous projects - give an emphasis on promotion Existing project management standards - based on HEPs standard and guidelines External information - get from ex-officio (JKPS) Resources for project planning and project execution - find AJK, fund from HEP and sponsorship, cooperation with blood bank Process/Mechanism: Project initiation - analyzing the requirement to achieve goal such as get sufficient number of AJK, able to get fund from the AJK first before getting it from HEP. - reviewing the current operations such as take a review on developments of each bureau. - financial analysis of the cost involve through the implementation of the budget. - stakeholder analysis such as the participant, the hospital staff, the HEPs officer, the DPPs Staff, and the AJK - project charter such as costs in each receipt must below RM100, every bureau must have its own task and need to help each other if they had done their part earlier, every members must follow the schedule of works. Project planning 1. Develop Majlis Tertinggi(MT) 2. Obtain project team members (AJK) 3. Define scope statement: o Objectives : To initiates and promote awareness of the importance of being healthy through the process of blood donation o Products : The blood o Goal : to achieve 100++ participants 4. Identify risk o Example: the registered user suddenly did not came on the day of event and at the same time we already deal with the hospital about the number of student 5. Develop risk plan o Example : do a guerilla promotion to gain as much participant as can as a backup 6. Estimate work activity duration o About 2months 7. Establish activity based budget o Each bureau have its own budget such as F&B bureau have a budget of about RM200. 8. Schedule activities o Starting from the planning stage until the day of the event ended. Project execution - The project is execute by coordinating all the AJKs and other resources, as well as integrating and performing all the activies in accordance with the plan. Project Control

The project is monitored and controlled by the MTs. They identified potential problem that might happen such the Hospital staff suddenly have others event on the second day, and take corrective action by calling another hospital to come. Project closeout and evaluation - Postmortem is held to evaluate the performance of each bureau and take note on the point that can be imporved. Outputs: - Project product delivered to the blood bank - Project objectives achieved o The target achieved as we manage to get about 160 participant. - Lesson learned documented o The whole process of the project is documented in a report which is then sent to HEP. If I re-do the project, I will: - Apply for extra fund or collect fund from AJK so that we can do a small jamuan as a sign of appreciation - choose the discipline and those who can give fully commitment - makesure everything goes as what had been planned-no more portpone
