Reporting To: Head of Category (Indirectly to Trading Managers) Direct Reports: 0 Role Specification Role Purpose: To provide administration & buying support to Trading Manager/s. To ensure the accurate maintenance & input of the product file, promotions & invoicing, and the effective completion of administration work within agreed deadlines. To ensure all retailer queries are answered & solved within the given timeframes. To ensure all other departmental & supplier queries are answered & resolved effectively. Role Scope: Trading Department Area of Responsibility: Promotional Programmes Key Activities Ensure the accurate and timely completion of administration for promotional programs including: collation of promotion forms, including checking costs and bonuses are correct, disputing any discrepancies with suppliers. Accurate input of data onto the promotion spreadsheet, communication of appropriate information to the Supplier. Ensure correct product samples are purchased for promotion photography. Incorrect information may lead to having to reprint leaflets and other costs to the company. Suppliers are informed of promotion details to ensure availability and bonuses are set up to avoid stock issues and price claims. New lines are set up in time if being promoted, to ensure correct stock is ordered in time, and available for retailers to order. Deadlines for promotions are met, and are in line with system deadlines to ensure that other processes are not delayed, i.e. consumer leaflets, stock ordering. Correct samples & images are delivered on time, and expedite with suppliers as required Ad hoc product file checks as required

Area of Responsibility: Product File Key Activities Ensure product file is accurately maintained and up-to-date at all times. Set up new lines, delete old/ discontinued lines according to catalogue deadlines and new product launches Benchmark competitors retails and calculate wholesale pricing, maintaining margins as required. Liaise with merchandising (to up date planograms), depot (to order in new lines) and marketing (create POS and awareness) for launching new lines Any changes are communicated to stores via the necessary channels trading bulletins Measures
