XXX FACILITIES AND MAINTENANCE SUPERVISOR MAIN PURPOSE AND SCOPE OF THE JOB To provide a professional facilities and

maintenance service within the office premises ensuring that satisfactory standards are maintained and Health and Safety considerations are observed at all times. POSITION IN ORGANISATION Reports To: Responsible For: Facilities Coordinator Cleaners

DUTIES AND KEY RESPONSIBILITIES A B C To maintain the security of the office premises and its contents in accordance with agreed procedures. To be responsible for opening and locking up the office premises in accordance with procedure. To report any unusual occurrences or incidents in accordance with procedure. To respond to alarm faults and report these to the alarm company and ensure that repairs are carried out satisfactorily. To conduct regular fire alarm testing as agreed and maintain records as required. To be responsible for ensuring that the internal and external office premises are maintained to a satisfactory standard. To be responsible for the day to day monitoring of the condition of office premises, internally and externally, and use the appropriate systems for reporting faults, defects and repairs. To act as first point of contact for contractors in relation to building items and service, and to ensure that any works carried out are according to contract and conform with Health and Safety regulations. To oversee the day to day usage of the office lighting, heating and ventilation systems, ensuring that these systems are maintained as required. To carry out minor maintenance and repairs as required. To ensure that office and communal areas are maintained to a clean and hygienic standard and comply with Health & Safety regulations. To be responsible for ensuring that all areas of the internal and external office premises are cleaned according to the cleaning schedule and to agreed

standards. To be responsible for the provision of an efficient waste management service for all areas of the office premises. To be responsible for the management and supervision of office cleaning staff. To ensure the adequate supply of cleaning materials and beverage stock to ensure that standards of service are maintained. To be responsible for the stock control and ordering of office cleaning and beverage supplies to ensure that standards of service are maintained. To manage relevant budgets ensuring that spending remains within agreed limits. To ensure the provision of an efficient meeting/conference venue service within the office premises. To liaise with meeting/conference room users to ensure the provision of services to meet the requirements of their event. To prepare meeting rooms and equipment as appropriate returning rooms to optimum layout when not in use.

GENERAL RESPONSIBILITIES Contribute to team meetings and organisational priorities. Be flexible within the broad remit of the post. Take direction on projects and priorities from your line manager, which may vary from time to time. Be self-servicing. Be proactive in keeping up to date with developments affecting your work. Abide by organisational policies, code of conduct and practices.

Experience of working in a maintenance, caretaker or building services role including: Building security or key holding Ordering supplies following procedure Budget management Monitoring the work of others

SKILLS AND ABILITIES

Communicate effectively using appropriate methods of language, including IT, with a range of audiences. Basic word-processing, spreadsheet and email skills Time management and prioritising skills Maintenance skills in painting, minor electrical and plumbing e.g. changing light bulbs, fuses, tap washers etc. Demonstrate anti-discriminatory practice in all areas of work.
