How to use this workbook

This workbook contains several examples of PivotTable reports, including the source data from which the reports were made. You can follow the steps in the article 25 Easy PivotTable Reports to create these reports, and try out the commands on the PivotTable toolbar and menu to learn about the ways you can customize a PivotTable report.

This workbook is set to print on most printers. Click Print on the File menu, click Entire Workbook under Print what, and then click OK. Because the Source Data list is fairly long, a print area was set to print out only the first three pages. If you want to print out all 37 pages of the source data, click the Source Data worksheet, point to Print Area on the File menu, and then click Clear Print Area.
Example reports in this workbook

The PivotTable reports in this workbook were all based on the first report, Orders!PivotTable9. When you create several reports from the same source data in the same workbook, basing them all on one report minimizes the size of the workbook and the amount of memory used when you open it. The reports all behave independently, however: you can refresh, format, and change the layout of each report separately. The example reports in this workbook are formatted using the Report 5 format. Use the Format Report command on the PivotTable toolbar to apply this format to your own reports.
When you click a report in this workbook, the PivotTable toolbar and the PivotTable Field List window should appear. If not, right-click any toolbar and then click PivotTable to display the toolbar, and then click the Show Field List button at the right end of the toolbar to display the field list.

Source Data contains the original source records that provide the data values for the reports.
Orders lets you view the contents of each order by selecting the order number. Quantity summarizes how much of each product was ordered. Average provides the average unit price for each product across all the orders. Top 10 lists the ten most expansive products.

Chart contains a PivotChart report of the top five selling products. The instructions for creating it are provided on a separate worksheet, the Chart Instructions sheet.

Source data for PivotTable reports The data to the left was used to create the reports in this workbook. If you scan through this source data, you'll notice that it's difficult to see the trends and results, even if you sort or filter the data. There are just too many records to analyze at a glance.

Compared with the large databases your company may have available, or you may have found on the Internet, this 2156-row list is fairly short and simple. Excel can retrieve much larger amounts of data than this, and PivotTable reports are one of the best Excel tools for extracting the significance from a large, detailed data set. The data is organized in list format, similar to how a query returns database records: each column contains similar data, the columns have headings in the first row, and the list isn't interrupted by any blank rows or columns (although blank cells within the data are OK). To see how PivotTable reports can summarize this data in a flash, view the sheets in this workbook in sequence from left to right.

This report uses the Order ID field as a page field. The rest of the fields supply all of the details from each order. To look up the details for a specific order, all you have to do is change the page.

Try clicking the arrow in cell B1, which displays the currently selected item or page. Select a different order ID, and then click OK. If your order database easily provides information like the source data for this report, but doesn't make it easy for you to look at individual orders, a report like this can give you easy access to that information.

Listing the units ordered for each product This simple report uses Product as a row field and Quantity as a data field to calculate how many units of each product were ordered. From this report, you can easily rank the products from most frequently to least frequently ordered, or find the most ordered products. Click the Product field, and then click Sort and Top 10 on the PivotTable menu. To rank the products, click Descending under AutoSort options, and in the Using field list, click Sum of Quantity. Or to find the most popular products, click On under Top 10 AutoShow, click Top in the Show list, click how many products you want to find, and in the Using field list, click Sum of Quantity.

Calculating the average unit price This report uses Product as a row field and Unit Price as a data field. To calculate the average unit price for each product, double-click the Unit Price field and click Average under Summarize by. To change the name of the field to Average Unit Price, click cell B1 and type the new name. You can then use the Sort and Top 10 command on the PivotTable menu to rank the average prices or find the highest or lowest ones.

Finding the most expensive products This report identifies the ten highest-priced sales. First, double-click the Unit Price data field and change the summary function to Max, so that the report lists the highest price paid for each product. Then use the Sort and Top 10 command on the PivotTable menu to find the ten highest priced products.

Chart Instructions

PivotChart Report on the Chart Sheet

The chart on the Chart sheet is a PivotChart report that provides a graphical representation of the summarized data used in the PivotTable reports in this workbook. A PivotChart report has many features similar to a PivotTable report: you can change the layout, sort, filter, and group the data. To create a PivotChart report, run the PivotTable and PivotChart Report wizard, in step 1 select PivotChart (with PivotTable), and then complete the steps of the wizard as you would for a PivotTable report. Or, if you already have a PivotTable report that you want to chart, click the report and then click the Chart Wizard button on the PivotTable toolbar.
A PivotChart report always has a dependency on a PivotTable report that provides the data to be charted, called the associated PivotTable report. When you make changes to a PivotChart report, its associated PivotTable report reflects the changes. To allow you to make changes to the example PivotChart report without affecting any of the example PivotTable reports, the PivotChart report was created independently from the source data. The associated PivotTable report for the example is hidden. If you want to see it, point to Sheet on the Format menu, click Unhide, and then click Data for Chart. A new PivotChart report always appears on a separate chart sheet, because PivotChart reports tend to include lots of data and therefore usually need plenty of space. You can easily move a PivotChart report onto a worksheet, for example to put it on the same worksheet as its associated PivotTable report. Just click the chart and click Location on the Chart menu.

You can use most of the chart type, formatting, and options available for regular charts to customize a PivotChart report. For more information, ask the Excel Answer Wizard about PivotChart reports.
