WehavespokenwiththeHendersonsandtheyhavegivenuspermissiontoutilizethe property.WeareworkingtoformalizethisagreementandBrotherSkipHendersonwill checkwiththelocalPSB.Firesareallowed.WewilltrytovisitthepropertywithBrother HendersonatthebeginningofFebruaryandwillgetthegeocoordinatesanddirections. Wereceivedthefollowingdescriptionoftheproperty: Currentlythepropertyisprimitivewithnorestroomfacilities,nowater,andnoshelter. Therearegrovesoftreesscatteredthroughoutthegrasslands.Theareahassome roadsthataredirtorgravelbutbasicallyyoucandriveanywhereoffroadyouwant. Latrineswillneedtobemadefortheovernightarea.Wenormallydigtrenchesanduse tarpsforprivacywhenwecamplikethis.There'seasily5milesormoreofpotential hikingroutesthatmaybesuitablefordayhikes.Thisareabordersalargereservoirand isnestledinavalleyjustnorthofBadaling. 4. GovernmentApproval TypicallythechurchinChinanotifiestheappropriategovernmentleadersfora gatheringofYouthConference.GiventhatthiseventalsoincludesapotentialTrek dimension,itwillbeimportanttoworkwithElderTorontotounderstandwhatisrequired bywayofgovernmentpermission.AtthispointtheYouthConferencecommitteeis proposingafullTrekexperienceincludinghandcarts,pioneerclothing,andsacrament onsiteifpossible.Ifnotpossibleweproposekeepingthepioneerthemeandcamping ataminimum. 6. WewillutilizethesamepolicyaspreviousyearsandthatisusedforEFYthatisifa youthturns14beforeSeptember30,2014theyareabletoattend. 7. Committee TheYouthConferenceCommitteewillbeledbytheSteeringCommittee,which consistsof1DistrictCounselorfromeachDistrictPresidencyandprovidesguidanceto theWorkingCommitteeandhelpstoapprovekeydecisions.TheWorkingCommittee ismadeupofDistrictYCCoordinators,DistrictYM/YWPresidentsandassigned subcommitteemembers.Theywillhelpimplementthedesignandplanfromtheyouth andmanageallofthelogistical/operationalaspectsoftheconference.TheYouth ConferenceCoordinatorsfromBeijingwillbetheChairsoftheWorkingCommittee. ThesubcommitteesandMa/ParesponsibilitiesarepartoftheWorkingCommittee andthesewillbeassignments,notcallings.Assignmentswillbeproposedbythe WorkingCommitteeandapprovedbytheSteeringCommittee.TheYouthCommitteeis madeupof2youthfromeachdistrictandtheyareinvolvedinthegeneraldesignand planningoftheconferenceandhelpmakedecisionsthatimpactalloftheyouth.

ActivitiesSubCommittee:GingerHabel ActivitiesProposalDraft11/19/2014 Sinceweonlyhave2.5daysforanentireweeklongtrektohappen,andalsosincewe areinvolvingyouthandadultleadersfromacrossChina,I'dliketohavetheMa'sand Pa'sandgroupmemberschosenandinteractingapproximately34weeksbeforethe event.Theinteractionswouldmostlybethroughweekly emailsfromtheMa'sandPa's.Enoughinteractionneedstohappensothatwhenthe groupsfinallymeetonFridaynightitcanbeaneventofhuggingbecausetheyfeelthey knoweachotheralreadyinsteadofaweirdstandaroundmoment. Thatbeingsaid,wewouldoffersuggestionsofpossiblecommunicationsandatimeline ofhowoftencontactshouldbemade,howeveritisuptotheMaandPatodesignthis partoftheprocess.

Ma'sandPa'sgreettheirchildren. Hand out necklaces/cords for beads during the event and Bandanas that are representative for each family (one color per family). These should be worn at all times. Each family should come up with their own family Creed (I think Ma's and Pa's make this ahead of time or with input from their shared e-mails) and handshake/high five that represents their group. Beads are used during the trek to represent accomplishment of certain events. Some of these are planned by the Ma's and Pa's and some are already organized--like the scripture study bead, campfire bead, etc.

The Equipment and Transportation Subcommittee (ETS) will need 3-4 total individuals to assist in locating, procuring, and transporting equipment to the campsite. The current subcommittee chairman, Bro. Benjiman Bohman, will be out of the country during the Trek. He will need to work closely with a co-chair that will know whats going on during the Trek. A majority of the equipment will need to be transported and unloaded at the campsite during daylight hours on Friday and returned during business hours on Monday. Most of thecommon facilites (latrines, cooking, water) should be set up before the youth arrive Saturday morning.

Foratrekactivitytobesuccessful,leadersmustbewelltrainedandprepared.Where possible,atrainingtrekforleadersisrecommended.Leadersshouldensurethat parentsareinformedabouttrekactivities. AsanalternativetoholdinghandcarttreksatMormonTrailsites,leadersare encouragedtoconsiderconvenientsitesonpublicorprivateland.Whensuchsitesare used,leadersshouldobtainthenecessaryapprovalsandensurethattherightsand propertyofothersarerespected. Inaddition,leadersshouldgivecarefulattentiontothefollowing: 1. Spiritualdevelopment.Churchactivitiesshouldstrengthentestimoniesandfoster personalgrowth.Leadersshouldensurethatthetrekprovidesparticipantswith opportunitiestoapplygospelprinciplesandfeelsupportinlivingthem.

Physicalpreparation.Handcarttreksrequirephysicalstaminathus,each participantshouldbeencouragedtoeathealthyfood,exerciseregularly,andget sufficientrestbeforethetrek.Doingthesethingswillenhancetheexperiencefor eachparticipant. 3. Physicalandmentalchallenges.Someadultsandyouthwhoparticipateinthe trekmayhavephysicalormentalchallengessuchasdiabetes,blindness, advancedpregnancy,Downsyndrome,obesity,ordepression.Leadersshould makepreparationstoaccommodateanyspecialneedsforfood,medication, equipment,supervision,orsafetyfortheseindividuals. 4. Agerecommendations.Youthunderage14usuallydonotparticipateintrek activities(seetheguidelinesforyouthconferencesinHandbook2: AdministeringtheChurch,13.6.14). 5. Adultleadership.Forstrenuousyouthactivities,thereshouldusuallybeatleast oneadultforeverytenyouth. 6. Adequatefoodandwater.Dehydrationcanleadtoheatexhaustion,heatstroke, anddeath.Eachhandcartshouldcarryadequatewaterfortheparticipants. Leadersshouldmakesurethatyouthtakefrequentbreakstodrinkwaterand thatnutritiousfoodisprovidedthroughoutthetrek.Foodshouldbestored, prepared,andservedsafelytopreventfoodborneillness.Chickens,turkeys,or otherliveanimalsshouldnotbekilledduringtreks. 7. Adequateclothingandshelter.Participantsshouldavoidwearingwetclothing, whichcancausebodytemperaturetodroprapidlyandcanresultinhypothermia. Topreventsunburn,participantsshouldwearsunscreen,longsleeves, widebrimmedhatsorbonnets,andsunglasses.Topreventblisters,participants shouldwearappropriateshoesthatfitandarebrokenin,andsocksthatdonot absorbmoisture.Theyshouldbringextraclothingandcampinggearthatare appropriateforcoldnights,wind,andrain. 8. Appropriatesanitaryfacilities.Forgroupslargerthan15people,trailermounted portabletoiletsshouldbeprovidedandmaintainedinasanitarycondition.For smallgroups,humanwastemaybeburiedinbiodegradablecontainers.Camps shouldbesetupatleast100feetfromanystreamoropenwater.Wastewater shouldbedisposedofatleast200feetfromwatersources.Trekgroupsshould carryoutalltrashandrefuseandleavecampingareascleanerthantheyfound them. 9. Localcampingandfireregulations.Leadersshouldknowinadvanceanylocal campingandfireregulationsfortheareaswheretheywillstay.Theyshouldalso knowhowtocontactlawenforcementandemergencyservices. 10. Travelcostsanddistance.Leadersshouldfollowtheguidelinesforactivitiesand travelasoutlinedinHandbook2:AdministeringtheChurch,13.2.8and 13.6.24. Safety Leadersshouldtakeallnecessaryprecautionstoensurethatparticipantsaresafe throughoutthetrekactivity.Leadersshouldfocusonpreventingillnessorinjuryandon beingpreparedtoprovidetreatmentifnecessary.Safetyprecautionsshouldincludethe following:

1. AllyouthparticipatinginthetrekactivityshouldcompleteaParentalorGuardian PermissionandMedicalReleaseform(33810).Allparticipatingadultsshould providenecessaryinformationaboutmedicalconditions.Leadersshouldbe awareofanyparticipantswhohavespecialneeds. 2. Licensedhealthcareprofessionalsshouldbepresentandavailablefortheentire trek.Atleastonephysicianorotherskilledhealthcareprofessionalshould participateineachtrekactivity.Inaddition,onenurseoremergencymedical technician(EMT)isrecommendedforevery50to100participants. 3. Sufficientfirstaidsuppliesshouldbeavailabletotreatdehydration,heatstroke, sunburn,blisters,exhaustion,insectorsnakebites,andsevereallergies. Suppliesforintravenousrehydrationshouldalsobeavailable.Alladultleaders shouldbetrainedtomonitorthehydrationandgeneralwellbeingofparticipants. 4. Leadersshouldprepareawrittenemergencyactionplanincaseofsevere weather,lostyouth,accidents,orotherthreats. 5. Leadersshouldhaveareliableandtestedemergencycommunicationsystem, suchasatwowayradioandcellularphone. 6. Participantsshouldhavecontinualaccesstoemergencyvehicles,suchassport utilityvehicleswithfourwheeldriveandairconditioning. 7. Leadersshouldbeawareofthehazardsassociatedwithhandcartsandensure thattheyarewellconstructedandabletosafelycarrytreksupplies.
