Project Planning Suggestions Putting together a team $ost teams probably start %ith a fe% students that share friendship or a common interest in participating. The advice given by &athleen $elymuka, %riting in Computer 'orld, %ill probably help you put together a team. Set clear ground rules at the very start. Set clear achievable, unambiguous and mutually attainable team and individual goals. /old individuals accountable to team and committed to project. Selecting a goal Starting %ith a clear objective %ill be key, your team may select a challenge based on affinity, or kno%ledge in an area that can be used on '- CA0- Solar+s system1 regardless of the reason, it is of first importance to get team to commit to a problem to solve before planning can really start. Selecting a development process 2ne of the initial meetings the team should have is a planning meeting to help all team members become familiar %ith /3C4s Student /umanitarian 5esign competition( objectives, re6uirements, timeline, deliverables and evaluation criteria. The purpose of this meeting is to agree on a formal or informal development process that %ill be follo%ed throughout the solution development1 this process should clearly define, for e.ample( %ho %ill keep the project documents up-to-date, ho% often updates shall be reported back to the team, %hat means %ill be used to communicate )7oogle docs, email, etc,. *rainstorming Another key initial meeting is a brainstorming session1 it may be combined %ith the planning meeting. 3ts purpose is to generation as many ideas as possible, the creation of a reservoir of ideas to dra% from as the projects forms. There are four basic rules in brainstorming( focus on generating the most numbers of ideas1 %ithhold criticism until a later +criti6ue stage+1 %elcome unusual ideas1 combine and improve ideas. A brainstorming session could be structured as follo%s( 8. Provide conte.t information to participants. 9. The facilitator may use lead 6uestions to stimulate creativity . The facilitator ensures that ground rules are follo%ed( a, $ay run a %arm-up session, for novice participants. b, Presents the problem and gives a further e.planation if needed. c, Asks the brainstorming group for ideas. d, 3f no ideas are forthcoming, uses a lead 6uestion to encourage creativity. e, All participants present their ideas, and the idea collector records them. f, To ensure clarity, participants may elaborate on their ideas. g, 'hen time is up, organi:es the ideas and encourages discussion. h, 3deas are categori:ed. i, The %hole list is revie%ed;criti6ued to ensure understanding by all. j, 5uplicate ideas and obviously infeasible solutions are removed. <. Task definition, scheduling and %ork distribution =inally, once an idea is selected, it is key to identify the steps )tasks, needed to accomplish it1 these must then be assigned to team members %ithin the frame%ork of a schedule. 'e %ill describe the 7antt chart techni6ue to manage a project( the techni6ue used is not important, but adopting a proven project management techni6ue %ill significantly increase the chances of success. Tasks are significant activities the group %ill need to perform to accomplish its goals. They are given( a name;description an estimate of the amount of calendar time re6uired a list of other tasks )if any, that must be completed before this task can begin 3n a 7antt chart, the hori:ontal a.is is )linear, time1 each task is given its o%n hori:ontal band %here the calendar duration of the task is indicated by a bo., line, or other object %ith a variable hori:ontal dimension. Tasks are often grouped into categories, and each category can be treated as a summary task %hose duration spans all the tasks %ithin that category. Tasks are generally listed from top to bottom in the order they %ill occur1 if there are groups of tasks, the tasks are chronological )by starting date, %ithin a group, and the groups ordered by starting date. A vertical line is usually placed on the chart to sho% the current date. 2ther important milestones can be noted )and labeled, %ith dotted vertical lines at the appropriate dates.
