PRISON MANAGEMENT SYSTEM

Synopsis:

PRISON MANAGEMENT SYSTEM is an efficient application for maintaining
Prisoners information. More than a data storage program, it helps o! manage the
prisoners. It offers a "ide #ariet of Reports that gi#e o! e$actl the information o!
need. Add ne" prisoner details and a%o!t ne" cases. It ena%les to trac& e#er prisoner
and their acti#ities. There are three &inds of !sers 'ata administrator, Police officials
and Administrator. Administrator is considered as S!per !ser and he has f!ll access
and rights o#er the sstem than an%od else. Administrator can #ie" the details of
prisoners, cases, release diar, parole register and inter#ie" re(!ests as "ell as in)o!t
register. Ne$t Police officials ha#e rights to #ie" the nominal rolls, case, parole,
inter#ie" re(!ests and his f!nctionalit is to chec& the nominal roll "hich comprises of
"hole details of prisoners and to fi$ date for co!rt hearing as per co!rt*s ad#ice. +inall,
'ata administrator prepares reports and enters data on %ehalf of the administrator "ith
appropriate data. The ha#e pri#ilege to add and !pdate the data as per administrator*s
concern. The inter#ie" re(!ests of relati#es are made thro!gh data admin to
administrator and the stat!s of reports can reflect appropriatel.
Existing system:
The prison sstem !ses the doc!mentation form storage "hich is a single !ser
sstem to find the "anted information.
The important and the most significant dra"%ac& is that the sstem is
man!al. There ma %e errors d!e to carelessness or o#ersight that ma
res!lt in loss to the data and as to the organi,ation. +or an organi,ation,
time is #er important factor.
The prison information is stored in the doc!ment form "hich is li&e a data
sheet. This ma&es it impossi%le to search for information in s!ch a h!ge
n!m%er of doc!ments man!all and to add ne" information if the searched
information is not a#aila%le.
Proposed system:
The proposed sstem is designed to eliminate all the dra"%ac&s of the
e$isting sstem. The sstem is part of a large Application and shall %e responsi%le for

1. Administrators :
Administrator is treated as a s!per !ser in this sstem.
Administrator can maintain different registers s!ch as Nominal Rolls, -ase Register,
A!tomated Release Register, Parole Register, '!t Register and In)O!t Register. Other
tas&s done % the administrator are generation of reports, maintenance of log files,
%ac&!p, and reco#er of data an time. Administrator also manages details of n!m%er of
cells and their !sage. Administrator is also responsi%le for managing finances of prison.
Administrators are gi#en permission to appro#e or decline the inter#ie" re(!ests % the
relati#es and friends of prisoners to meet them and also administrator is gi#en s!perior
po"er to o#erloo& the in and o!t timings in a register "here prisoner is going o!t of
prison for #ario!s reasons s!ch as co!rt hearings, famil f!nction and personal
pro%lems. /e can also loo& o#er and s!per#ise the parole register8 a!tomated release
diar is also managed !nder his g!idance. The d!t register and case register is also
o#er#ie"ed % the administrator. The ne" cases and ne" prisoners are s!per#ised %
the administrator.
2. Police officers:
Police officers can see& information regarding prisoners and
con#icts. The information is !sed to ma&e decisions regarding co!rt hearings,
remands, release dates etc. /e is also gi#en permission to #ie" all the details and
registers s!ch as parole register, case register, inter#ie" register and in o!t register.
/e can add data to in o!t register that means he can fi$ a prisoner to go for co!rt
hearing as he recei#es orders from the co!rt to his ca%inet. /e can also #ie" and
modif the inter#ie" re(!ests if onl there e$ists some critical iss!es or endangers in
fi$ing a prisoner to meet his fello" men. The d!t register is also s!per#ised % the
police officials.

2. Data administrators :
On the %ehalf of administrator data manager prepares all the
registers "ith appropriate data. The can ha#e the pri#ilege to add and !pdate data
in the different registers. 'ata administrator adds the details of a ne" prisoner
details s!ch as name, age, identit mar&s, nationalit etc. /e also registers the
details of ne" case "ith details of case and persons in#ol#ed in that partic!lar case
and date of co!rt hearings. Parole register is also maintained % the data
administrator he trac&s the details and partic!lars of prisoner "ho is paroled and
parole respecti#el. A!tomated release diar is also in control of data administrator
!nder the s!per#ision of administrator, data administrators can %e a%le to add the
details of release dair and date partic!lars. The inter#ie" re(!ests is also made %
data administrators and the re(!est is send to administrator for appro#al and the
stat!s of re(!ests can %e trac&ed % data administrators. In o!t register is entered in
accordance "ith the co!rt hearings and other personal e#ents of partic!lar prisoner.
4. Nominal rolls:
The details of the prisoner and his9her demographic details
sho!ld %e capt!red. A digital photo comprising different #ie"s of the prisoner and the
list of articles s!rrendered % prisoner d!ring nominal roll are to %e recorded. The
partic!lars s!ch as name, age, gender, nationalit details and identit mar&s and
things collected from him d!ring arrest are noted do"n in the nominal roll. This
nominal can %e #ie"ed % administrator, data administrator and police officers, %!t
onl data administrators can modif or delete the partic!lars !nder the s!per#ision of
other t"o officials.
5. Interview requests:
Inter#ie" re(!ests register is to register the details of inter#ie"
re(!ests made % the relations and friends of a prisoner "ho "ishes to meet that
partic!lar prisoner.
In the inter#ie" re(!ests the details of prisoner "ho the "ish to meet and the
details of persons "ho all "ish to meet them are noted do"n "ith timing details. No
more than fi#e mem%ers can meet a prisoner at a time and the sho!ld carr o#er
anthing other than food items. These things are all s!per#ised caref!ll. The
re(!est once made is sent to administrator and the stat!s of that re(!est can %e
#ie"ed thro!gh data administrator.
The reason for the inter#ie" is also mentioned in the re(!est along "ith them other
details for %etter !nderstandings of the need to meet the prisoner.
6. In out registers:
In o!t register is maintained to record the details of prisoners "ho
are all mo#ing in and o!t of prison for #ario!s reasons s!ch as co!rt hearings,
personal pro%lems, health iss!es and famil f!nctions etc. The details of in o!t
register are s!per#ised % the administrator and police officials.
7. Reorts:
The sstem allo"s the generation of #ario!s reports
%ased on different criteria s!ch as prisoner*s details. Ne" case reports and parole
reports are generated to s!%mit to the co!rt officials. The inter#ie" re(!est registers
report and in o!t register report are also maintained for the p!rpose of record
histor.
