Dear [Students formal name]

First/Senior Tutor Warning Letter
I regularly monitor the progress of students in the School so that I can identify any
problems/difficulties students may be experiencing and to help ensure that you gain the most from
your studies. It has been brought to my attention that since the beginning of this academic year
PRIVATE & CONFIDENTIAL

you have [been absent from seminars/compulsory classes / not submitted coursework] on a
number of occasions. [In addition, you have failed to attend a meeting arranged to discuss your
performance.]
If you have been unwell, or there is other reasonable cause for [missing classes / not
submitting work] you should let me know about this without delay.
The purpose of this letter is to give you a warning that you have not reached a satisfactory
standard with regard to [attendance and/or the submission of coursework] since the
beginning of the academic year. [Either: This is because you have failed to attend seminars
on . and/or failed to submit the following coursework . by the deadline / Or: Please
see the attached sheet which provides details of the issues which have given rise to this
warning.] As such you are in danger of being considered a student who persistently fails to
perform satisfactorily the work prescribed.

If your performance does not improve you are in danger of being required to withdraw from
the University prior to the examinations (section 7.2 of the Regulations for Taught
Programmes of Study).
Your attendance at timetabled classes and submission of coursework will be monitored
closely over the coming weeks and will be reviewed again on [insert date or week number]
and will continue to be monitored. You are expected to attend all classes and submit all
written work.
[Add as appropriate, in the case of attendance issues:] In order to demonstrate compliance
with this warning, you are required to submit all coursework and obtain the signatures of
your lecturers and seminar leaders at each timetabled class over the period [insert date and
week number] to [insert date and week number]. You should obtain these signatures on a
hard copy of your timetable, obtainable from the Student Data System and submit it at the
end of the period to [add name here] in your School. [Schools may choose alternative
requirements provided that they are clearly outlined to the student. The requirement to
obtain signatures on a copy of the timetable is used as an example.]
If you fail to meet these obligations by the review date above, you will receive a formal
warning from the Sub-Dean of the Faculty. If you do not heed the formal warning you are in
danger of the consequence mentioned above.
If you are an international student on a Tier 4 visa, it is a requirement of UK Visas and
Immigration regulations for your attendance to be monitored. Any breach of UKVI
regulations may result in sponsorship of your Tier 4 visa being withdrawn and you may have
to leave the UK unless you have any other immigration status that allows you to stay in the
UK.
Whilst this is a serious issue, you are being given the opportunity to improve your
performance in order that these serious steps might not be necessary. I strongly urge you to
take this warning seriously and take all necessary steps to avoid the above steps being
taken by the University. However, if you have already withdrawn from the University but
have not yet notified us now is your chance to do so, in order to avoid incurring the cost of
further fees.

I would like to emphasise that if there are any medical or other factors which are preventing
you from fulfilling your academic obligations you should arrange an appointment to see [me/
your tutor/ student support officer] by telephone on 01227 [add number here] or e-mail [add
email address], as soon as possible.
Yours sincerely
