Overview
What changes will be made to the vacation policy (HRMP 244 Paid Vacation)?
The key vacation policy changes include:
Employees will be required to use vacation leave in the calendar year the time was accrued.
Vacation hours earned and unused through July 4, 2014 (legacy hours) and those earned on July 5,
2014 and going forward (new hours) will be tracked and accounted for separately. Vacation time
accrued through July 4, 2014 will not be subject to forfeiture. The combination of legacy and new
hours will count toward the vacation earning ceiling of one times the annual vacation accrual rate.
Employees may carry-over up to the equivalent of one standard workweek of unused, accrued paid
vacation from hours earned from July 5, 2014 forward into the following calendar year. Carried-over
vacation must be used by the end of the fiscal year (April 3, 2015 for the first year of implementation). If
the carry-over vacation is not used, it will be forfeited and is not paid out upon termination.
Vacation hours accrued through July 4, 2014 will be used first from the legacy vacation account. New
vacation hours will be used only when legacy vacation hours have been depleted.
CSC will institute a five-day, company-wide shut down, commencing CY 2014. Employees will be
expected to use vacation time during the company-wide shut down period.
Salaried employees in the U.S. will be able to record vacation or sick time and work time on the same day
starting in August 2014.
When does the new vacation policy go into effect?
The new policy is effective as of July 5, 2014 commensurate with the start of the second quarter of FY15. The
forfeiture aspects of the policy will begin to become effective for payroll calendar year end on January 2, 2015 and
again on April 3, 2015 for carryover vacation from the previous calendar year that has not been used.
Does the new vacation policy apply to all employees?
Yes, this applies to all CSC employees. However, at this time, this policy change excludes employees covered
under a Collective Bargaining Agreement or the Service Contact Act, Eagle Alliance, former Covansys employees
who converted from PTO to CSC standard leave in April 2014, Applications - ITS and KCBPO employees who
converted from PTO to CSC standard leave in December 2013, and L1 Visa employees on split India/U.S. payroll.
Employees should contact their manager with any questions or concerns.
How can I view my current vacation balance?
Your current vacation balance can be viewed by accessing Employee Self Service (ESS) form from the home
page of the Corporate Shared Services (CSS) website (https://servicecenter.csc.com). Youll need your CSC
Shortname and Global Pass password to access the website. Under Self Service, select Enter Self Service then
click on the Employee Self Service Tab My Leave Management. A detailed guide is located on the CSS
website.
Will managers be able to view the vacation balances of direct reports?
Yes, if you are a manager with MSS access, a new report is being created to provide an overview of employees
vacation balances.
Legacy hours and new vacation hours
What does "carryover" mean under the new policy?
There are two different aspects to carryover. Legacy hours are not subject to forfeiture; therefore, in the absence
of employees taking vacation time, those hours will carryover year over year without forfeiture.
Unlike legacy hours, a maximum of one standard workweek of unused, accrued paid vacation earned after July 5,
2014 and accumulated by calendar year-end will be carried into the next calendar year, but only through CSCs
fiscal year-end. Unused vacation time carried over from the previous calendar year through the end of CSCs

fiscal year-end will also be forfeited and not be subject to payment at termination of employment, where allowed
by applicable country law, regulation, labor agreement, or individual employment agreement or contract. For fiscal
year 2015, this date is April 3, 2015*.
Are legacy vacation hours subject to the forfeiture provisions of the new policy?
No, these hours will remain in the legacy vacation leave account until they are used as vacation time but are
counted against the vacation earning ceiling.
Are new vacation hours subject to the forfeiture provisions of the new policy?
Yes, new vacation hours earned July 5, 2014 and afterwards are subject to the following forfeiture requirements
of the new CSC policy:
New vacation hours earned in excess of one standard workweek of unused, accrued paid vacation
leave as of January 2, 2015 will be subject to forfeiture.
One standard workweek of unused accrued new vacation leave may be carried over into the next
calendar year.
These carry-over vacation balances are subject to forfeiture if unused by the end of the fiscal year,
April 3, 2015.
(Note that these dates will change each year because of payroll cycles).
Will the legacy vacation hours be paid upon termination of employment?
Yes, legacy vacation hours will be paid upon termination of employment, in accordance with applicable law,
regulation, labor agreement, or individual employment agreement or contract.
Will unused new carry-over hours be paid upon termination of employment?
No, unused new vacation hours carried over to the new calendar year will not be paid out upon termination of
employment. If you work in one of the following states and end your employment by April 3, 2015, you will be paid
the balance of your vacation leave: California, Montana, Nebraska, North Dakota, Wyoming, Rhode Island,
Massachusetts and Illinois.
Will unused accrued vacation hours be paid at termination?
Yes, vacation earned in the calendar year in which you terminate will be paid upon termination of employment, in
accordance with applicable law, regulation, labor agreement, or individual employment agreement or contract.

I have a very high vacation balance. Can I donate part of that balance to others who may be at zero?
No. Vacation is earned as an individual benefit and is not transferable.
Company-wide Shutdown Period & Vacation Advance

When is the company-wide shutdown period?


CSC will close its offices for a period of one week (i.e. 5 days) to generally align with the last week of December.
We will join an increasingly growing number of large companies and customers who observe similar closures
during this time of year. All employees will be required to use vacation leave.
This year, CSC will close all offices on December 26 and December 29 through December 31.
To make up for the fifth day of closure, in the United States, CSC offices will be closed on August
29th (business day prior to Labor Day holiday weekend).
Critical staff and employees directly billed to a contract will receive instruction from their
supervisor whether to report to work during the shutdown.
Is the annual company-wide shut down in December only for 2014?
The shutdown will be an annual event.
Does the company-wide shutdown apply to all CSC employees?

to report during the company-wide shut down. More details will be provided as the shutdown periods approach.
I was recently hired; do I need to comply with this company-wide shut down?
The company-wide shutdown applies to all employees. If you do not have sufficient vacation leave, you should
request a vacation advance. You will need to complete a Vacation Advance request form (available on the
Corporate Shared Services website under Forms > Request for Leave), have it approved by two levels of
management, and submitted, prior to the shutdown.
I've already taken a lot of leave. Does the company-wide shutdown apply to me?
Yes. All employees are required to take at least five (5) days of vacation leave during the company-wide shut
down. Your manager will inform you if you are to work during the shutdown. More details will be provided as the
shutdown periods approach.
I do not have enough accrued vacation. Do I still need to take the time off during the company-wide shut
down?
Yes. All employees are required to take five days of vacation leave during the company-wide shutdown period.
You will have the option to request a vacation advance, if you do not have sufficient vacation for the shutdown
period. You will need to complete a Vacation Advance request form (available on the Corporate Shared Services
website under Forms > Request for Leave), have it approved by two levels of management, and submitted, prior
to the shutdown.
I have a vacation scheduled for the first quarter of the fiscal year; does the company-wide shutdown still
apply to me?
Yes. Employees are expected to plan for the shutdown. If you have a vacation planned for Q1, you may use your
legacy vacation leave in addition to your carry-over days. You can also request a vacation advance, if you do not
have sufficient vacation leave for a planned vacation. You will need to complete a Vacation Advance request form
(available on the Corporate Shared Services website under Forms > Request for Leave), have it approved by two
levels of management, and submitted, prior to your vacation.
Can I use my accrued sick leave instead of using my vacation days for the company-wide shut down?
No. Sick leave may not be used in lieu of vacation time.
I am a billable employee; does the company-wide shutdown apply to me?

I am not billable, but I am working on critical project work. Does the shutdown apply to me?
This shutdown period may not apply to you if you are required to support for business customer critical support
reasons. Essential staff and employees will receive instructions from their managers in advance as to whether to
report during the company-wide shut down. More details will be provided as the shutdown periods approach.
What if I am working on a proposal that is ongoing during the shutdown period?
Essential staff and employees working on a particular contract proposal will receive instruction from their
managers whether to report during the company-wide shut down. More details will be provided as the shutdown
periods approach.
How many hours am I allowed to request for advanced vacation?
Employees can request no more than their standard work week hours.
What happens if I leave CSC and have not paid back the advanced vacation?
The Vacation Advance request form will contain an authorization for CSC to deduct from your last pay any
outstanding vacation advance. Should your employment terminate with an outstanding vacation advance, CSC
will deduct from the outstanding vacation balance from your last pay.
Where can I find the Vacation Advance form?
The Vacation Advance Request for is available on the Corporate Shared Services website
(https://servicecenter.csc.com) under Forms > Request for Leave.
When do I need to submit my approved Vacation Advance form to Corporate Shared Services?
Employees should send the completed and approved Vacation Advance request form to Corporate Shared
Services at least two weeks prior to the start of their vacation.

Vacation Encashment
What is Vacation Encashment?
CSC will offer a voluntary program as another avenue to help you manage your vacation balances to avoid
forfeiture of vacation at calendar year end. Details about this program will be forthcoming, including when and
how this program will be offered.
Can I cash in my sick or other leave?
No, Vacation Encashment is a separate program and does not apply or impact your sick/other leave balances.
What is the time period that I can participate in Vacation Encashment?
Further announcements will be made concerning the timing of Vacation Encashment.

Partial Day Recording


When will we be able to enter in partial day increments for leave time?
August 10, 2014
Why is partial day recording not effective on the same day as the vacation policy?
It will take a few weeks to get our systems in sync with our new policy.
When will we hear more information?
Communications will be sent at the end of July with instructions on how to record your time.
