Freshly washed and ironed uniform:

Navy or black pants,
Closed-in non slip shoes
Bare below the elbow

Hair neat and tied back
Shorts and Skirts must be at least knee length

Dress Code Continue


The Flex logo is displayed on all shirts and must be

displayed
T-shirts or short sleeve tops may be worn underneath
shirts in the colder months
Cardigans or jackets can be worn to and from work
but not while working
If for religious reasons a head scarf or covering is
required these must be either Black, White, Navy or
Beige
Hygiene: Please ensure that your uniform is washed
and fresh for each shift. It is vitally important that all
staff are conscientious about their personal hygiene.
You need to remember you are in the company of
others

Competencies and Documentation


Depending on your role, we ask that you complete
some training before you start. We will also ask
you to provide copies of valid documentation. We
will send you reminders when you need to update
them.
It is your responsibility to send us a copy of the
certificates/documents when required so you can
continue working with us
Examples:
Manual Handling, CPR, Medication Competency,
etc.
Documents: Police Clearance, Working with
Children Check, Visa etc

Security
You will get your ID badge displaying the
following information:
Employee Photograph
Designation
Employee Number
Police clearance information

Remember to wear your ID badge at all times while


working. Once you have finished your
employment with us, you must return your ID
badge to the Flex Health Group office

Parking
We will provide you with some parking permits to
use specially in hospitals with designated areas
for agency staff. These areas are not always
available
Please note our parking permits dont exempt you
from having to pay the parking tickets when
required

Timesheets and Wages


Wages are paid fortnightly into your bank

account according to the hours worked reflected


in your time-sheets
Any changes in the original schedule must be
notified to Flex Health Group and noted on the
timesheet
Payroll enquiries are to be directed to Accounts
during office hours 8:30am 4:30pm Monday
Friday on (08)9427 7505 or emailed to
accounts@flexhealth.com.au

Timesheets
Flex Health Services sign in sheets are located in

the Agency file at each facility. This is normally at


reception
You are required to sign in at the
commencement of your shift. The total hours
refer to the actual hours worked.
Meal breaks are not included in the total hours,
some facilities do have mandatory breaks - coffee
and tea breaks are not to be entered as they are
paid breaks
It is up to the individual to ensure that
designated breaks are taken

Rosters and availabilities


All staff are requested to inform Flex Health Services of their

availability and non-availability for the week ahead


Please update it online or ring the Flex team during office hours
9am to 5pm. This enables us to confirm pre- booked shifts
We strongly recommend you to update your availabilities online
with the login details that you can find in your offer letter. You can
also update them over the phone to 9427 7551 or by email to
avails@flexhealth.com.au if you wish
It is your responsibility to provide us with the necessary
information needed to enable you to work, failure to do so will
mean that you will not be called for work or we may make you
inactive
Remember, you are the driving factor behind your workload,
therefore it is expected that when you give your availability you
are ready to work the nominated shifts. If your availability
changes you must let us know as soon as possible as bookings
from facilities are taken according to staff availability

Communication
Your must remain in communication by phone, home or mobile

number that you have supplied to us. You must also be ready to
work at short notice as some of the bookings we receive are last
minute

If you are unable to attend to work, you must call us asap. We are
available from 5AM until 12AM, Monday to Sunday and Public
Holidays

You should never contact the facilities directly


Cancellations do happen on occasion. However, if your shift is

cancelled prior to you leaving home we will endeavour to place


you in another facility. If upon arriving at the facility you discover
your shift has been cancelled you will be paid two hours at the AM
rate

Communication
If you are going to cancel a booked shift we

need as much notice as possible. When you


accept a booking at a facility you have an
obligation to attend. This is an understanding
entered into when doing agency work

We recommend you to write down the name of

the person in the office to whom you speak when


we talk about a shift.

Punctuality
Lateness will not be tolerated for all allocated shifts
Please ensure that you allow yourself enough time to park,

read the fire and emergency procedure at each facility, look


for the reference person and be ready to start work by the
requested start time
For example; if you are booked for a 7AM start then you
should be on the correct ward and ready to start at 7AM.
It is not acceptable to turn up late for shifts

If due to unforeseen circumstances you are unavoidably

running late it is imperative that you call the agency and let
them know, we will then inform the facility

Flex Training
Flex Training Services is a private Registered Training Organisation

(RTO). We pride ourselves in delivering, quality, up to date and fun


training to Flex staff, the public and other organisations

We train a wide variety of courses to provide the skills and knowledge


to people who are about to embark on a career in the Aged Care
Industry and to people who wish to refresh the knowledge and skills
they already have, or up skill

All our trainers are professional and qualified and have years of
experience in the health industry

Flex Health provides free training in many courses (subject to terms


and conditions)

Feedback
We will discuss with you any feedback that we

receive from our clients in relation to your work


directly with you
Every month the company selects an employee of
the month based on positive feedback received
The reward is a $50 Myer card
Any negative feedback will be discussed with you
so you can improve your performance. If your
performance doesnt improve, your employment
may be negatively affected

Gross Misconduct
If there are major issues with your performance
or behaviour, your employment may end
immediately. Some examples would be:

Breach of duty
Breach in confidentiality
Theft
Under influence of drugs and alcohol
Using physical force or being aggressive

Drugs and Alcohol Policy


In conjunction with the current Occupational

Health and Safety guidelines, no alcohol or illicit


drugs are to be consumed whilst on duty or on
the premises
Any staff member consuming alcohol or illicit
drugs whilst on duty will be subject to disciplinary
procedures
If you are taking any medication that may affect
your ability to work or your performance while
working, you must inform the company
immediately

Bullying
Any repetitive behaviour that undermines the
persons dignity to work and involves misuse of
power.
Examples:
Repetitive insults or comments about physical
appearance
Restraining someone to sit to have lunch with
the rest of the people
The Flex Health Group is committed to provide you
with a safe environment. If you think you are being
a victim of bullying contact the HR department for
a confidential discussion and advice

How to deal with it:
1 Informally: addressing it with the perpetrator
giving examples of the instances in the past
2 Formally: talk to your roster coordinator/
Home Care team leader/ manager or the HR
department. They will advise you on how to deal
with this issue confidentiality and in a fair
manner
3 Warnings will be given to perpetrators to stop
their inappropriate behaviour

Anti-Discrimination
Harassment is based on the grounds of

discrimination covered by law to include;


Age, race, religious, sex, impairment, sexual
orientation, marital status, parental status,
carer status, physical features, pregnancy,
political beliefs, religious, HIV/Hepatitis, other
legally protected characteristics.
It can be direct or indirect

Discrimination or Harassment
How to deal with it?

Formally: talk to your roster coordinator/ Home

Care team leader/ manager or the HR


department. They will advise you on how to deal
with this issue in confidentiality and in a fair
manner

FAQ-Wrapping up
Why I am not getting enough shifts?
Probably because you are not updating your availabilities frequently.
What can I do to get more shifts?
Do an excellent job when we send you to work and the clients will continue
asking for you. You can call the office if you are available without any shift
for the day.
How do I get paid?
Directly into your bank account
When do I get paid?
Every fortnight, pay day is Friday
My friend is looking for a job. Can he/she work with Flex?
