QUALITY OBJECTIVES
Training:

Allocate at least 2% of time for Training with respect to each employee, whose
total experience is between 0 and <=2 years.
To allocate at least 1% of time for Training with respect to each employee,
whose total experience is between >2 and <=5 years.
Training Coverage for employees between 0 and <=5 years of total experience
to be >/= 20% every quarter and >/=90% in a Financial year cumulatively.
Note: Employees whose total experience is >5 years would be trained only on
need basis.

Schedule Variance to be within the range of + / - 6.5%


Effort Variance to be within the range of + / - 6.5%.
Defect density (During Development) <= 0.460 i.e. 46 defects for 100 days of
Construction Phase.
Customer Satisfaction Index (CSI) to be >= 3 out of 4, across Practices.

WELCOME TO ITTI!
1. INTRODUCTION
ITTI (www.itti.com) is a System Integrator and Software services company having its Global Delivery
Centers at Bangalore & Mumbai, in India; and, Marketing Offices in Dubai, Singapore, London and the
United States of America (USA).

The objective of this Handbook is to familiarize you with some of the relevant HR, Finance &
Administrative rules and policies of our company. Please read through all the provisions listed herein. If
you have any questions you may address them to the HR Dept.
Please note that the rules and policies of the company undergo frequent changes based on the
feedback we receive from our Associates and from new ideas that are being continuously generated.
That is what makes it so exciting to work for a young company. We therefore look forward to your
contributions. This handbook is not a static document and could change without prior information, since
our rules and policies are open to continuous review and improvement.
The revisions in Policy and procedures, that may occur from time to time, are applicable to all
Associates, regardless of the terms and conditions mentioned in their Offer letters.

2. OFFICE TIMINGS
Regular office timings are from 9:00 AM to 6:00 PM with a lunch break between 1:00 PM to 2:00 PM.
Effective Date: 02nd April, 2012
Flexi Timings:
Associates will be permitted to work on flexi timings, subject to prior intimation to the reporting seniors
as the case may be, on the following basis.

Minimum 8 hours of work, per day, should be ensured by the associate, excluding Lunch or any
other breaks taken in between.

Associates to be given the flexibility to work from 08.30 a.m. for a minimum of 9 hours of time and
subject to a condition that they are available in the office during the Core time, between 10.00
am04.00 pm. Associates are not permitted to report to office before 08.30 am, under the flexi time
for the purpose of recording the presence for that day.

This flexibility will not be extended on the days when meetings (MCM/ MRM/ SEPG/ IQA related/
Customer Meeting / Review meetings/ Trainings/ discussions/project reviews/ Birthday Parties or
any other functions etc.) have been scheduled. On those days, Associates should ensure their
presence for the meeting without citing the above flexibility granted to them.

No grace period, for reporting beyond 10.00 a.m. will be granted. No permission, for reduced work
hours, also will be granted on the days the associate work on flexi timings.

All Customer / Supplier meetings have to be scheduled only during normal working hours, i.e. 09.00
a.m. to 6.00 p.m.

Support departments will continue to work on normal working hours only.

Flexi hours are not applicable for employees working on customer timings.

Flexi timing is an internal benefit given to the employees this cannot be quoted to any customer or
external vendor.

Work from Home:

Associates, working from ITTI offices, are permitted to work from home for a maximum of 2 days in
a month, subject to prior approval from PM/ PH/ HOD/ COO/ CEO, as the case may be. PH has to
make adequate arrangements to provide approval during their absence from duty or while on tour.

Associate should sent the approval mail from the respective PM/ PH/ HODs, without fail one day
before availing the option (to record this in the attendance accordingly). Failure to inform HR will
result in treating this as absence

Work from home should be specifically mentioned in the Time sheet in the narration under the
activity.

There is no carry forward option, for the unutilised days of a month.

Work from home option is not permitted / applicable during the notice period.

Work from home could be availed only on full day basis

A minimum balance of 2 days leave is mandatory to avail work from home option

Work from Home option will not be extended on the days on which organisational meetings such as
MCM/ MRM/ SEPG/ IQA/ Review meetings/ Trainings/ discussions/ project reviews/ Birthday
Parties or any other functions etc. have been scheduled.

This option is extended only to those who use laptops or who have the infrastructure (for those who
have not been provided a laptop/connectivity by the company) at residence to connect to the client/
ITTI servers. ITTI reserves the full right on providing laptop/ connectivity to the concerned person,
not by choice or comparison.

No claims will be entertained for infrastructure or otherwise towards work from home.

The above policies are not applicable to associates, who are deputed on projects at customer site,
where the services are to be performed during the specific timings agreed with the customer.
The company would like you to report for work at least a few minutes before the starting time so that
you have time to settle down before starting work. You are expected to put in a minimum of 8 hours of
work a day.
While the official timings of the company are as mentioned above, Associates should keep in mind that
ITTI is primarily in the business of providing services. Hence, providing timely services and on time
delivery to our Customers and meeting service levels are critical to the success of the company. This
will therefore require you to keep a flexible attitude when it comes to work hours. At times, you may be
required to work more than the required number of hours and also adjust your work hours to the
specific requirements of the work to which you are assigned.

3. DRESS CODE

Male Associates are expected to dress in trousers and shirts with leather shoes. Lady Associates are
expected to avoid informal clothes. If you have a scheduled appointment with a Customer, please
ensure that you are smartly dressed in formal attire.
Casual dressing is permitted on all Fridays, provided you do not have any Customer appointments.
However, please refrain from wearing shorts and footwear such as sandals and slippers.
Please also ensure that your personal appearance is presentable and projects a good corporate image
of the Company.

1. MEDICAL CHECKUP
On joining ITTI, the HR Dept. will arrange a medical check-up.
Note: In case if the associate found unfit during the medical Check-up for performing his duties then

ITTI is having all the rights to terminate his appointment. If required ITTI may go for a 2 opinion before
taking such decision.

2. JOINING PROCESS
At the time of joining, the Associate will need to fill in/submit the documents as per the Preliminary
offer and joining checklist.

Terms and Conditions of Employment as required under offer letter (Annexure 2)


1. Leave: Your leave entitlements will be as per the Companys Leave Policy as notified from time
to time.
2. Provident Fund: You will participate in the Company's Provident Fund scheme, as per
applicable laws for the time being in force.

3. Leave Travel Allowance: You will be paid a leave travel allowance, annually, as per the
Companys Leave Travel Allowance Policy.
4. Salary Review: Your salary will be reviewed, periodically, as per the policy of the Company, and
as may be notified, from time to time. Your Salary revisions and promotions are discretionary
and will be based solely on your performance.
5. HR related matters: The Company expects every employee to hold a valid passport. In the
event you do not have a passport, please contact our HR department, for assistance in obtaining
the same. Please hand over to the HR department copies of your Passport, Degree certificates
and Experience certificates, if any. The joining formalities and documents to be submitted are
detailed in Annexure 2.
Please read the copy of the Associate Handbook, containing the Rules, Policies and
Procedures of the Company (the Handbook), the soft copy of which is available on our
Intranet. You agree that employment with the Company will also be governed by the terms of
the Associate Handbook, and, the Policies and procedures, that are applicable and that may be
notified from time to time.
6. Other work: Your position is of whole time employment with the Company and you shall devote
yourself and the entirety of your business time exclusively to the business of the Company. You
will not take up any other work for remuneration (part-time or otherwise) or work in an advisory
capacity, or be interested directly or indirectly (except as shareholder or debenture holder) in any
other trade or business during your employment with the Company without the written
permission of the Company.
Further, during the term of your employment with the Company and for a period of at least two
(2) years after the term of your employment with the Company you shall not solicit, endeavour
to solicit, influence or attempt to influence any client, customer or other person directly or
indirectly to direct her/his or its purchase of the Companys products and/or services to yourself
or any person, firm, corporation, institution or other entity in competition with the business of the
Company.
Further, during the term of your employment with the Company and for a period of at least two
(2) years after the term of your employment with the Company you shall not solicit or attempt to
influence any person employed or engaged by the Company (whether as an employee,
consultant, advisor or in any other manner) to terminate or otherwise cease such employment
or engagement with the Company or become the employee of or directly or indirectly offer
services in any form or manner to yourself or any person or entity which is a competitor of the
Company.
7. Transfer: You will be liable to be transferred to any other department or establishment or branch
of the Company. In such cases, you will be governed by the terms and conditions of service
applicable to such new placement / transfer.
8. Responsibilities: In view of your office, you must effectively perform to ensure results and you
might be required to work extra hours to achieve your targets and objectives, whenever the job
so requires.
9. Travel: You will be required to undertake travel on Company work and the Companys Travel
Policy will govern your travel entitlements.
10. Overseas Postings: Depending on the job requirement, you may be posted overseas to work
with our associate companies and/or client companies. The duration of such postings will
depend on the nature of the assignment. While you are overseas, you will be paid a salary / per
diem allowance as per the Companys policies.
11. Confidential information: You will not at any time, disclose, divulge or make public, except on
legal obligations, any information relating to Customer associated with the company, any

information regarding the Company's affairs, or administration or research carried out by you
arising out of or in connection with your employment with the Company or due to association
with any of the Customer, whether the same may be confined to you or become known to you, in
the course of your employment with the Company or otherwise.
12. Protection of interest: If you conceive any new advanced methods of improving processes /
formulae / systems in relation to the operations of the Company, such developments will be
deemed to be works made for hire, will be fully communicated to the Company and will be and
remain the sole rights / property of the Company. You will execute any and all documentation
required to perfect the Companys title to such developments.
13. Past record: You have represented that you have no commitments to former employers or other
entities which would restrict you from joining the Company. You have further represented that
you have not taken or otherwise misappropriated and do not have in your possession or control
any confidential and proprietary information belonging to any of your prior employers or
connected with or derived from his services to prior employers and that you have returned to all
prior employers any and all such confidential and proprietary information and shall not to use or
cause the use of such confidential or proprietary information in any manner whatsoever in
connection with his employment by the Company. You shall be liable to indemnify and hold the
Company harmless from and against all claims arising from breach of the aforesaid
representations and warranties. You have/ will also furnished the Company certain documents
including documents of qualification and have made various other representations based on
which the Company has agreed to appoint you. You have further represented that all documents
furnished to the Company and all facts disclosed are true and accurate. You have further
represented that you have disclosed all material and relevant information which may either affect
your employment with the Company currently or in the future or may be in conflict with the terms
of your employment with the Company, either directly or indirectly.
If any declaration given or information furnished by you to the Company proves to be false or if
you are found to have wilfully suppressed any material information, you will be liable to be
terminated from service, without any notice.
14. Code of Conduct: If at any time, in the Companys sole opinion, which shall be final in this
regard, you are found guilty of dishonesty, disobedience, disorderly behaviour, negligence,
indiscipline, absence from duty without permission, involved in any activities resulting in Human
rights violation or any other personal or Professional misconduct, which shall include criminal
proceedings being instituted against you, and considered by the Company to be detrimental to
the interests of the Company or to the interests of the general Public, your employment may be
terminated without notice and you will not be eligible for any notice pay in such event.
15. Handover of Company property: Prior to your being relieved from service, whether you or the
Company was the party terminating your employment, and regardless of whether the Company
has waived notice of termination, you will surrender to the Company all correspondence,
specifications, formulae, books, documents, market data, cost data, literature, drawings, effects
or records, backup copies of programs source/object and data etc. belonging to the Company or
relating to its business and shall not make or retain any copies of these items.
Further, prior to being relieved from service, you will surrender, wherever applicable, the Laptop
and accessories or other company assets, if any, in your possession in good condition to the
Infrastructure team (IMS team), or, the HR department, at the locations concerned, and obtain
a sign-off about the complete hand over.
16. Medical Check-up: You are required to undergo a complete Medical check-up, prior to joining
the services of the Company. This will be arranged by the Company and our HR dept. will
coordinate this matter with you.
17. Insurance:
a. Accidental Insurance Cover: You will be provided Personal Accident Insurance cover,
towards the risk of accidental death, as per the Companys Policy.

b. Corporate Mediclaim Insurance: You will be provided with Mediclaim Hospitalization


coverage, as per the Companys Policy.

You will be provided with Mediclaim Hospitalization coverage up to Rs. 2 Lakh, of which employer
contribution will be Rs. 1 Lakh and employee contribution will be 1 Lakh. The premium for Rs.1 Lakh
coverage will be recovered from the employee from monthly salary.

18. All the terms and conditions of your employment are governed by your Offer letter and our HR
Policies, which may be amended and notified, to you, from time to time.

3. ATTENDANCE REGISTER

All Associates are expected mandatorily to punch in their Log-in and Log-out timings only,
using ITTI Biometric System on daily basis (finger prints). And also the Access control and
Biometric systems would be directly linked to the Payroll system. The report generated based
on these details will form the basis for calculating the salary for a month.

If an Associate fails to punch in the Biometric system or does not use the access card for entry
and exit, then it could result into Leave / LOP, as the case may be, in the report.

Strictly Tail Gating should be avoided in any case and if an Associate found doing it would be
viewed seriously.

4. STAFF MOVEMENT REGISTER


The staff movement register will be available at the security / reception. If at any time during regular
office hours you leave the premises for official or personal work, please enter the time of leaving and
returning and reason for leaving. Before you leave, get the permission of your reporting senior.

5. IDENTIFICATION CARD
The ITTI Identification card is to be worn at all times, when you are in the office premises and when on
Customer visits.

6. TRAINING & CERTIFICATION POLICY


On joining the Company, Associates are required to attend an Induction Program, which shall be
notified by the HR Dept.
All Associates are eligible for work related training. Training on Technical / soft skills will be imparted to
Associates, based on the recommendations of the Project Managers / Practice Heads / Reporting
seniors.
Our Company places great importance on Training / Certification programs and urges Associates to
utilize this opportunity to further their career prospects and growth within the Organization. The
objective of this Policy is to define the guidelines for eligibility for corporate sponsorship for Training &
Certification programs.

7. TIMESHEET
All Associates of ITTI India are required to fill in their Timesheet to account for their daily activity.
Timesheet login is done through the intranet, using your associate ID. This activity is to be done on a
daily basis.
The Timesheet is the repository for Data collection within the Organization and the data therein, is a

direct input for our Project Metrics. As such, the importance of filling up the Timesheets accurately,
using the correct Activity codes, is the individual responsibility; and, overall responsibility for Timesheet
review and data integrity is the responsibility of the Practice Heads / Project Managers. All the training
activities have to be captured under the training category only.

8. E-MAIL
Each Associate is allotted an e-mail ID, on joining the Company. Sending personal emails from the ITTI
account should be restricted and to be used only for official transactions with their Official signatures
as per our standards.
The Internet Usage Policy, hosted on the Intranet http://inside.itti.com/, will govern and regulate
Internet usage within the Company.

9. SALARY ACCOUNT
At the time of joining, the company will advice the Associates to open a Salary Account with the Bank,
with which the corporate salary account of all the Associates is being operated. The salary will be
credited to this account only.
To facilitate the opening of salary account, Associates are expected to submit the following (HR will

10. PAY DAYS


Salary will be credited to the Salary account of the Associate, on the last day of the month. If the last
day is a holiday, payment is effected on the next working day.

11. PASSPORT
Every Associate should hold a passport with minimum 6 months validity and ECNR duly stamped.
Please hand over to the HR Dept. copies of your passport, any expenses incurred towards Passport
renewal, ECNR stamping etc. are to be borne by the concerned Associate.

12. PERSONAL CALLS / FAX MESSAGES / COURIER / VISITORS


Cost of Personal calls (STD / ISD) / Fax messages / Courier charges from Office facilities will be
recovered from the concerned Associate, by charging to your Personal account and recovery from
salary.
Associates are requested to discourage personal visitors during office hours since it disturbs your office
routine.

13. PERSONAL DATA CHANGES


It is the responsibility of each Associate to promptly notify the HR Dept. of any changes in personal
data. Changes in personal mailing address, telephone numbers, individuals to be contacted in the event
of any emergency, educational accomplishments and other such information should be notified
immediately to the HR Dept.

14. LEAVE POLICY


Leave is provided to our Associates to have a balanced work-life and is intended to enable people to
manage their personal and social commitments and also for rest and rejuvenation. This Policy defines

the guidelines for Leave entitlements, availing of Leave, etc. for Associates attached to ITTI India.

15. PAID HOLIDAYS


The company observes 10-12 public holidays a year. The list is published in our Intranet
http://inside.itti.com/ at all times.

16. PROVIDENT FUND


The PF Nomination form may be collected from the HR Dept. at the time of joining the company. The
completed form may be handed over to the HR Dept. In accordance with the Provident Fund Act salary
will be deducted and credited to PF account. The company will contribute their share as per the act.

17. LEAVE TRAVEL ALLOWANCE (LTA)


As a part of the Compensation package, CTC includes a Leave Travel Allowance. Associates are
entitled to Leave Travel Allowance provided there is adequate Leave balance and he / she has
completed one-year service with the Company.
In order to avail this facility, Associates have to take a minimum of 5 consecutive working days Leave
within a calendar year (Jan to Dec). Income tax exemption can be availed by producing the
authenticated documents / bills in support of your travel. The LTA Claim form duly filled (soft copy)
should be sent through E-mail to the HR Department and a copy to payroll@itti.com .
LTA form should be named as LTA Claim_<Associates Name>_<current Month & Year> for
example: LTA Claim_XXXXX_May 2015

18. LOCAL CONVEYANCE


You are entitled to reimbursement of local conveyance when you travel on official work, from your
designated place of work to the Customer location.
The Local Conveyance Policy is hosted on the Intranet http://inside.itti.com/ and is liable to undergo
revisions, as and when a need arises. Revisions in the reimbursement Claim rates are communicated
to all Associates.
The applicable rates for Conveyance reimbursement are Rs. 7.00 per km for 4 wheelers and Rs.3.25
per km for 2 wheelers based on the eligibility. These rates are applicable only for short visits to
customer locations. For Conveyance reimbursement outside city limits and for deputation at customer
locations on long term duration, then Bus pass will be provided or an equivalent amount will be
reimbursed.
It is also likely that the Local Conveyance Policy could vary between locations, depending upon the
mode of transport and facilities available at each location.
Local Conveyance Claims are submitted through CMS (online) on a fortnightly basis to the Accounts
Department. The Conveyance Claim form should be authorised by the Practice Head / Project Manager
/ Reporting senior.

19. TRAVEL POLICY


Associates are advised to refer to the Travel Policy available with the HR /Finance Dept and acquire a
proper understanding of the Travel Rules, Per Diem entitlements etc., before embarking on any travel,
outside your designated place of work.

20. OVERSEAS TRAVEL


Before embarking on Overseas Travel, Associates are advised to refer to the Travel Policy available
with the HR /Finance Dept for information on Travel Rules, Accommodation, Per Diem entitlements etc.
The foreign travel policy (under HR Policies) is hosted on the Intranet http://inside.itti.com/
Please ensure that foreign exchange requirements are intimated to the HR Dept. / Finance Dept. at
least 48 hours prior to your departure. After completing the travel any unused forex obtained as travel
advance should be surrendered to Finance Department within 48 Hrs after resume to office.
It is also mandatory to have Overseas Medical Insurance coverage before going abroad. Please ensure
to collect the Overseas Insurance coverage, from the HR Dept., prior to your departure.
It is also recommended that photocopies of your Passport, Visa (If this is a separate document),
Insurance Policy and Credit card are available with you, while travelling abroad.
Before you travel, make sure that your passport:
Is valid
Has been stamped with Emigration check not required (ECNR)
Has a valid visa

21. REWARDS & RECOGNITION POLICY


This policy places great importance in motivating the Associates to perform better and excel in their
defined area of work and beyond. The objective of this policy defines the different rewards and
guidelines for eligibility, nomination & selection in recognition of outstanding performances across the
organization.

22. OVERSEAS DEPUTATION POICY


The objective of this Policy is to provide a set of guidelines, pertaining to policies and procedures,
applicable to Associates deputed for overseas assignments / projects. These guidelines are intended to
give clarity on the Transfer process, Policies that may be applicable at the project location and
entitlements for Allowances / reimbursements.

23. CELL PHONE POLICY


The objective of this Policy is to define the eligibility, or reimbursement criteria, for Associates, having
corporate connections, or reimbursement of official calls, for calls made from personal cell phone
connections/ or any public telephone connection.

24. PERFORMANCE MANAGEMENT SYSTEM


The Company has instituted a Performance Management System for performance appraisals and
reviews. Key Result Areas (KRAs) and targets (where applicable) are fixed and Appraisals are,

25. SALARY REVISIONS


Salary revisions are effected once a year, normally, on April 01 of each year. For those Associates who
have joined service during the course of the year, Appraisals will be conducted at 6-monthly intervals
and Salary revision, if any, will be effected on the anniversary of your joining the Company. Thereafter,
subsequent Salary revisions will be pro-rated and effected on April 01.
For those Associates who have joined after January 01 of the year, the Salary revision will be pro-rated
and given effect from April 01 onwards.

26. EMPLOYMENT SEPARATION


The Employment Separation Policy defines the process for relieving of Associates exiting the
Company. Mode of submission and acceptance of resignation; Notice period; Relieving of Associates,
are some of the key points covered under this Policy.

As part of our HR recruitment policies, we have introduced an Associate Referral Program w.e.f April
01, 2004.

28. INTRANET
ITTI Inside as the name goes, is the ITTI Intranet, which is a one-stop shop for all ITTI
communication, irrespective of the location. We encourage each associate to send in snippets, articles,
jokes, real life incidence, first unforgettable experience, customer appreciation etc.
We request all Associates to keep the ITTI Inside Intranet alive with their contributions and
suggestions. The access path is http://inside.itti.com/. Please use your associate ID as the login.

29. PERSONAL ACCIDENT INSURANCE


All Associates of ITTI India are provided Personal Accident Insurance cover towards the risk of
accidental death, as per the Company Policy. The monetary limits for grade wise Insurance coverage
are available with the Finance/ HR department and this amount will be released only to the designated
nominee.

30. MEDICLAIM INSURANCE


All Associates of ITTI India are provided with Mediclaim hospitalisation coverage as per the
Company Policy.
You will be provided with Medical Hospitalization coverage up to Rs. 2 Lakh, of which employer
contribution will be Rs. 1 Lakh and employee contribution will be 1 Lakh. The premium for Rs.1 Lakh
coverage will be recovered from the employee from monthly salary.

The Quality Management System (QMS) is the cornerstone of our Delivery platform and business
practices. The QMS holistically addresses the Quality as the triad of People Process Tools. This is

32. INCOME TAX DECLARATION (IT Declaration)


This needs to be done as per the IT Declaration Form (Refer HumanITTI -> HRMS e-Payroll), for
every financial year during the month of April.

33. IT PROOF SUBMISSION / REIMBURSEMENT CLAIMS


a. Medical Expenses reimbursement. The Medical Claim form is hosted on the Intranet
http://inside.itti.com / HumanITTI The Medical reimbursement claims to be filled / updated the
required informations and take the report, attach along with all the valid bills, should be handed
over to the Payroll Department.
b. Income tax deduction/exemption: This can be availed by producing the required
documentation / bills in support of your claim, whenever mail request is received from Payroll
Department. The delay/non submission of IT proofs and documentation will leads to nonconsideration of declaration.
