A. Introduction
The purpose of this document is to detail the list of activities involved in setting up the mails from SAP.
The steps are common across SAP R/3, ECC, CRM, PLM and BIW.
This document shows how to configure mail in the Quality Assurance Server.
Please Note that the Mailing Configuration is client dependent.
B. Steps to configure Mail ( TCodes :- SCOT,SOST,So01,SBWP)

In order to configure email perform the following steps


Make the changes in the Instance Parameter File.
Execute the transaction sicf and activate the SAP connect.
Execute the transaction scot to configure the mailing
Schedule the Background job
Verification of messages.
Instance Parameter Changes
Perform the following steps in order to enter parameters in the instance profile.
01. Login in client 000 as user XXX in the XXX server.
02. Execute the transaction RZ10.
03. Select the Instance profile from the drop down menu.
04. Click on Extended Maintenance and Click Change to make change to the profile.
05. The following parameters need to be added in our profile for Mail configuration
06. Check that the following parameters exist in the instance profile

07. If the above parameters do not exists in the instance profile add the parameters.
08. To add the parameters one by one click on the Parameter button (F5).
09. After these changes It will ask to restart the application server for the parameter changes to take
effect.

10. Stop the application server using stopsap and start the application server startsap
11. Make sure that all the parameters defined are reflected in the Instance profile
Activation of SAP Connect
Login in client 000 as user XXXX in XXXX server Execute the T-Code SICF

Click on Yes to confirm the activation.

Go Back to the main Menu.

Configure the MAIL
01. To configure the email system, execute the transaction SCOT.
02. The following screen will be displayed

Double Click on SMTP and enter the following parameters

Click on Set of Internet Supported Address types to set the address (or part of the address) that is used
for a routing decision.

In the address area enter asterisk (*) and click on Continue to accept the values.

03. Enter the default domain using the following navigation path

05. Enter default domain as XXXXX and click on

to confirm it.

Note : Default Domain


1. The SMTP plug-in logs on to the mail server using the domain as ID.

The message ID of the outbound e-mails is assembled with this domain.


If an SAP user who does not have an Internet mail address sends an e-mail, a sender address
consisting of the SAP user name and this domain is generated.

06. Configure the return receipt settings using the following navigation path
07. Settings -> Confirmation of Receipts

08. Select SAP connect does not except receipt confirm for Internet email

to accept the values.

Schedule the Background Job


E-mails sent from an SAP application are first stored in a queue. A periodical background process, the
SAPconnect send job, gets the e-mails from this queue and sends them over the Internet. To schedule this
job in SAPconnect: Administration, proceed as follows:
a. Choose View Jobs.
b. If no other job has been scheduled, choose Job Create.
c. Enter a job name and confirm it.
d. Select the variant SAP&CONNECTALL by positioning the cursor on it.
e. Choose Schedule Job.
f. Choose Schedule periodically.
g. Select the interval you require, such as 10 minutes.
h. Choose Create.

Mail setup verification


01. To check the mail setup, which we have done above, try to send a short message from SAP to any
internet mail address. To send email through SAP , go to System -- > Short Message.
02. Enter the Title , Document contents (if any). In the recipient enter the recipient email address as
shown below and click on Send button to send the message.
03. To immediately send the message click on

Start Send process as shown below.

04. Click on Start button to start the send process and send the waiting messages

to send the list of waiting messages

06. Refresh the screen to check that the messages are transmitted successfully. In the Completed column
the number of messages send are displayed. If some error is there in the mailing configuration then
number of messages will be displayed in the Error column. If the Start Send process is not started
then the messages will be in the waiting column.
