Job Title: NATIONAL WAREHOUSE & DISTRIBUTION MANAGER

Location: Maputo Mozambique


Purpose of the job:
This position is a key role for effective management & control of different site logistic and
Warehouse Operationsat Maputo and Beira and being the first operational interface with the Sales
Operation function.
Work objectives:
Implement new logistics structure within Africom depot & Warehouse network.

Review depots /warehousing current operational performance and procedures anddevelop


improvement plans.

Conduct a study for current fleet utilization and implement agreed improvement actions
with help of Sales function.

Further enhance the performance of primary distribution function and optimize its cost.

Develop job / skill matrix for logistics team and conduct gap analysis exercise with help of
HR function.

Review current information management tools and develop reporting tools with help of IT
function.

Set daily/weekly workload planning, volume forecasting and ensureAccomplishment.

Manage all administrative activities related to site logistics operations.

Functional Responsibilities:
Establish best logistics practice and methods across all operational depots.
Ensure effective logistics operation controls and performance monitors.
Deliver continuous service, operational and cost improvements.
Prepare annual budgets and capital needs.
Develop warehousing strategy & capacity master planning.

Design and implement the distribution/warehouses network relevant to AFRICOMS


current and future requirement.
Manage the delivery and installation of fleet optimization.
Ensure a cost effective logistics and distribution operation.
Continuously research and optimize the logistics and distribution operation to match
international standards.

WAREHOUSE OPERATIONS

Strategy Execution

Work closely with the transport management team to ensure the delivery of an integrated
supply chain benefit and strategic target achievement.

Drive the implementation of improvements in warehouse operation

Continuously identify and correct bottlenecks that hinder the efficient movement of goods.

Ensure appropriate space utilization and manpower efficiency targets are identified,
installed and met.

Plan to achieve significant gains in efficiency.

Ensure the implementation of warehouse operations and maintenance policies and


procedures throughout the hub.

Manage the system for keeping stock control systems up to date and plan future capacity
requirements based on forward planning.

Operations Management :

Control and monitor inventory levels and replenishment processes.

Maintain the physical condition of the warehouse(s) by planning and implementing new
design layouts in conjunction with the Day Manager; inspecting facilities and equipment;
issuing work orders for repair and requisitions for replacement.

Manage warehouse operational requirements by deploying warehouse operational


employees and following up on work results.

Continuously consider cost reducing strategies over all activities of the warehouse.

Manage the housekeeping of the warehouse(s).

Manage the system of picking, checking and loading to ensure productivity and
compliance targets are met.

Ensures that all tasks, activities and operations that are carried out on the night shift are
coordinated with day duties and activities.

Ensure customer orders are filled and placed on trucks in the proper order as described in
the loading procedures.

Ensure that all orders leaving the warehouse are correctly packed and damage free.

Manage the execution of the transport plan.

Perform regular system health checks regarding replenishments, transfers, returns not
completed

Warehouse Maintenance Management.

Oversee the planned and unplanned maintenance of warehouse equipment.


Inventory Management

Ensure the accurate receipt, storage, retrieval and timely dispatch of goods.
Plan the efficient storage of goods within the warehouse to ensure the optimum use of
space and throughput capacity.

Organize any special storage and handling requirements.

Ensure optimum levels of stock availability by operating efficient stock location, stock
counting and stock control regimes.

Install procedures to minimize stock loss and stock damage throughout the system.

Risk Management

Ensure compliance throughout the warehouse(s), including health and safety and food
safety.

Conduct daily health inspections and risk compliance inspections incorporating: forklift
inspections, lighting inspections, reach truck inspections, facility inspections, and
damaged stock.

Ensure warehouse compliance with all national and provincial legislation and regulations,
international standards and with company policy.

Ensure the safeguarding of warehouse operations and contents by establishing and


monitoring security procedures and protocols.

Information Management

Ensure the availability, integrity and usability of accurate information about warehouse
inventory, performance and costs.
Leverage information technology and use decision support systems for business
efficiencies

Interact with the internal customers i.e. Merchandising function, Operations function,
Buying and IT to create synergy

Maintain and develop computerized administration systems and the automation of


processes for picking, packing and distribution activity.

Cost Management

Forecast, budget and control all operational costs.


Continuously monitor the costs and work towards optimizing the same.

Take appropriate corrective action to ensure that financial targets are met

Property Management

Take responsibility for the security of the premises ensuring the correct systems and
processes are in place to prevent theft from and damage to the warehouse premises.
Identify, install and monitor targets for stock-loss and damage.

Be responsible for setting

Team Management

Monitor team performance and provide regular performance feedback.

Coach and support the team where necessary to achieve objectives.

Lead the team towards meeting the strategy and targets through regular communication
and utilization of the full organizational talent management tool set.

Address poor performance in individuals and teams in accordance with company policy
and the relevant legislation.

Conduct regular meetings and ensure that records are kept and shared across the team
and that action plans agreed to within team meetings are delivered upon.
