The organizational structure of Raghavendra Chemicals is shown in the figure.
The present organization structure of the company has proved to be effective in

conducting operations at its optimum level. The staff structure encourages team work and
good internal relationship. Unity of command is maintained throughout the organization.

ADVANTAGES
Each individual in the organization is assigned a role , responsibility and
necessary authority. Each person who is assigned to an activity must know his position,
his role and relationship with others.
The activities of all individuals are coordinated and integrated into a common
pattern in order to achieve the organizational objective. Organization is needed for the
purpose of integration of diverse activities in a cohesive manner.
The optimum use of human skill and efforts is achieved. It helps in smooth
operations and smooth flow, thus avoiding bottlenecks, idle time and idle machine.

HRD / TRAINING DEPARTMENT


Human resources is considered as the most vital asset of an organization.
Raghavendra Chemicals has a well defined employee power which helps the organization
to perform well in the markets. Human resource department is headed by manager

(HRD). He is responsible only for training and development M (HRD) id reporting to


Assistant General Manager (HR).

MAIN FUNCTIONS OF HR / TRAINING DEPARTMENT

b. Arrangement requirement training.
c. Maintaining the training record.

SCOPE
The procedure covers all aspects of training. Arrange suitable training for
employees for updating skills based on the identified training needs.
Training advisory commitment is responsible for suggesting training requirements
of the various department and disciplines.
Formulating training programs on yearly basics.
The committee proposes a training calendar every year
Training needs for the years are identified and recorded by the department of the
head.
The details are handed over to the training department by respective department
head. Training department does compilation of the identified training needs of the
employees. Necessary training programs are arranged by training department to later the
identified training needs of the employees. Training department organize training
programs using internal faculty or engaging faculty from reputed organization. The

training department in consultation with concerned department heads organizes in house


training programs on special requirements.
When employees attend training programs conducted in house. A feedback about
the usefulness of the training is obtained and consolidated. The concerned department had
evaluates the feedback from the participants after a period of 2-3 months to ascertain the
effectiveness of the training program. Employees are also sent for training to other
reputed institutors nominations for sending employees for training in such institutions
outside the company are put up for approval of the appropriate authority as per the
guidelines outside programs submits a feed back on the trainee undergone the training
department. The achievement against annual training calendar is reviewed half yearly by
department helps for the number of programs held, number of employees participated for
each programs the highlights of training effectiveness, feedbacks..etc. The training
department maintains a register on the training program attended by the employees.
Training department maintains the format received from participants after getting it
evaluated by the concern department head regarding the effectiveness of training. The
managerial personnel of the company are imparted training to improve their managerial
capabilities at the HRD center of the company and outside institutes depending upon the
needs identified by the head of the department.

In order to provide this type of training, one has to determine what is the trainees
growth potential up to what level to be done and requires evaluation of his present
performance.

Need based training will be done on the basis of determining the level of

PROMOTION POLICY
It is divided into two parts.
a. Managerial Promotion Policy:

This is on the basis of a stipulated length of service in the immediate lower grade
and it is the main criterion for promotion. Promotion from workers category to officers
grade shall be ordered only with board resolution and with permission of government.
Time bound grade promotions are considered in the case of lowest tow managerial scales
period of 10 years service can be considered for promotion.
b. Non- Managerial Promotion Policy:
Vacancies are to be filled by line recruitment through PSC and will be filled as per
the policy and procedure lay down through the term of settlement.
If a prospective employee has the minimum qualification and stipulated service
then he is considered for promotion. If qualified persons are not available for promotion
in the respective section/ department. It is notified on the company board. Candidate with
the same grade and stipulated length of service considered are not found available after
test, a lower grade person with stipulated service can be given double promotion.

ACTIVITY:
WAGE AND SALARY ADMINISTARATION

Thursday

A sound plan of wage and salary administration seek to establish a fair and
equitable compensation offering similar pay for similar work. Actually the settlement of
wage and salary is done by the accounts department. The trade union management will
decide how much to pay for each employees and workers regarding his performance.

OVERTIME ALLOWANCE
Wage covered under the Factories Act will be given as overtime wages. According
to the provision contained in the Factories Act and the ruler framed thereafter. The
overtime wages for workers will be two times of effective wages.

WELFARE PROGRAMMES
Labour welfare measures in India can be classified as statutory and non-statutory.
Statutory welfare comprises those provisions which are binding on employer by law. This
relate to certain essential working conditions and standards of health statutory welfare
measures provided are accident benefit, annual bonus, drinking water , lunch rooms,
sitting facilities, storing and drying facilities ,health facilities and educational allowance.
The non-statutory welfare programs provided voluntarily by employer and housing
facilities, medical attendance schemes, group accident policy, production bonus,

GRIEVANCE REDRESSAL
Grievance Redressal committee is statutory. It is to be legally maintained. Trade
unions are satisfied with the present condition. Hence in Raghavendra Chemicals
Grievance Redressal Committee is not there,as here exist a good employee-employer

relationship. Grievance Redressal committee consists of an experienced and efficient


team of personnel department. And also the moral level of employee is very good.

The part of an organization that manages its money. The business functions of a
finance department typically include Planning, organizing, Auditing, accounting for and
controlling its companys finances. The finance department also usually produces the
companys financial statements.

ROLES AND RESPONSIBILITIES OF FINANCE DEPARTMENT:


The activities expected from a finance department cover a wide range from basic
bookkeeping to providing information to assisting managers in making strategic
decisions
At the base level, finance department will be responsible for all the day to day
transactional accounting for the business. This will include the tracking of all
transactions and the management of any government reporting.
The finance department is also responsible for management of the organizations
cashflow and ensuring there are enough funds available to meet the day to day payments.
This area also encompasses the credit and collections policies for the companys
customers, to ensure the organization is paid on time, and that there is a payment policy
for the companys suppliers. There is some form of forecast prepared on a regular basis
to systematically calculate the ongoing cash needs.

PURCHASE DEPARTMENT
FUNCTIONS OF PURCHASE DEPARTMENT:
RECEIVING INDENTS

The first and foremost function of purchasing is receiving demand/requisition of


material from different departments
.ASSESSMENT OF DEMAND OR DESCRIPTION OF NEED

After recognising the need with appropriate description, i.e., qualitative as well as
quantitative, is necessary for the sound and successful purchasing. An improperly
described demand can cost heavily money-wise as well as time-wise.
The real problem arises when the order is placed for want of preciseness in the
description of goods needed, the items are received and these are not acceptable to the
user department and it also becomes difficult to convince the suppliers to return the goods
in case of faulty supplies. Therefore, purchasing department must have adequate
knowledge of items being purchased to be able to secure full description.
The purchasing department should not have such alternative purchases of
commodities, which are not available easily, on their own responsibility or at a lower cost
unless and until it gets the consent from the user department.

SELECTION OF SOURCES OF SUPPLY

Most important function of a purchasing department or officer is the selection of


the sources for the requisitioned items of stores. There are different sources of supply
which have no similarity between them.
For majority of items, selection of one of the vendors should be made. While
selecting the item, the purchase officer has to see whether the item to be purchased is on a
regular basis i.e., it is being purchased time and again or it is a seldom purchase on nonrecurring basis.
Whenever the items are to be bought from single manufacturer, such as branded or
patented item, there is no difficulty in the selection of the sources of supply; the order can
be placed with the party according to terms and conditions of their sale.
Selection of source of supply requires the services of shrewd purchasing officer
who can keep pace with policies of the organisation and market from where the materials
have to be purchased.

RECEIVING OF QUOTATION

As soon as the purchase requisition is received in the purchase division, sources of


supply will be located; a decision is then taken in respect of the method of
tendering/limitation of quotations from prospective suppliers.
Prices are also ascertained by preparing a comparative statement with the help of either of
the following documents supplied either by the supplier or taken from the previous
records of advertisements, like:
(a) Catalogues, price lists etc.

(b) Telephonic quotations.


(c) Previous purchase records.
(d) Quotation letter or tender i.e., letter of inquiry.
(e) Sample and related price cards.
(f) Negotiation between suppliers and the purchase department like catalogue, price lists
etc.
It is in the interest of purchasing department to keep this information up to date.
Even for the items which are being purchased on a regular basis, the purchasing section
should invite tenders and know full well the market price. It will ensure that prices being
paid to the existing vendor are competitive.

PLACING ORDER

Placing a purchase order is the next function of purchasing officer. Since purchase
order is a legal binding between the two parties, it should always be accurate, clear and
acceptable to both. The purchase order should contain the following particulars:
(a) Description and specifications of the material.
(b) Quantity order.
(c) Transport and packing charges and shipping instructions.
(d) Name and address of the supplier.
(e) Date, time and place of delivery.

(f) Price, discount and terms of payment.


(g) Signature of the purchase manager.
(h) The name and address of the buyer.

MAKING DELIVERY AT THE PROPER TIME BY FOLLOWING UP


THE ORDERS
Since one of the objectives of successful purchasing is delivery of goods at right
time so as to ensure delivery when and where needed? In normal practice, the
responsibility of the purchasing department is upto the time the material is received in the
stores and is approved by the inspection department.
It has the responsibility for follow-up of the orders it places on different suppliers.
All items do not require extensive follow-up. For some less important and low value
items follow-up would be costly and wastage of money and time only.

VERIFICATION OF INVOICES

In normal course, it is also the responsibility of purchase department to check the


invoices and accordingly advise the accounts department for clearing the payment to the
parties concerned. Contradictory statements have been given as to who should be
assigned this function.
Some are of the view that invoices should be checked by the purchase department
placed by it whereas other suggests that it should go to the accounting department. In
support of this, the experts add that it is part of the responsibility of purchase department

that orders are accurately executed and properly filled as per terms and conditions of the
contract.
If there is any error in the bills, the purchase department can get the correction
done or adjustment effected. If the invoices are checked by the stores or accounts
departments, there may be some delay in attending to the errors.

INSPECTION OF INCOMING MATERIALS

The purchasing department should have a close contact with inspection


department. On receipt of the materials from different suppliers, they are to be inspected
as per specifications indicated in the purchase order to verify their quality and quantity.
Uninspected materials are a burden on the economy of the organisation. If
inspection is delayed, the payments of the suppliers also are likely to be delayed, resulting
in bad relations between suppliers and purchasers.

MEETING TRANSPORT REQUIREMENTS OF INCOMING AND


OUTGOING MATERIALS

The purchasing officer must make goods/materials available at the right time they
are required, at the place they are needed, and at the lowest possible cost. It is a big
responsibility, and even a slight error amounts to delay in consignment required at a
particular time.

In this regard, the purchase department should have a thorough knowledge of the
means of transportation. It should make a correct choice of carriers or routes because
otherwise it may entail delay and additional transportation costs.

MAINTAINING PURCHASING RECORDS AND FILES

Purchasing involves a lot of paper work. Daily a number of letters, bills,


quotations, notes, challans, railway receipts, parcel, way bills, bills of ladings, goods
received notes, lorry receipt, goods receipt (transport delivery notes), inspection notes
have to be dealt with. It involves a lot of clerical work.
This department has to refer to previous correspondence on purchase orders,
notes, catalogues, blue prints, price lists etc. very frequently which makes it imperative to
maintain records in appropriate manner.

quantity can be given within a period as specified by the customer company etc. These
terms are well explained in the technical bid

PRICE BID

This is a part of the tender document which specifies the basic prices of the
company products. The document rate is given for bulk purchaser, payment terms are also
experienced. Along with the tender to the customer company, an attractive Earnest Money
Deposit (EMD) is also offered. This deposit is for the purpose of assuring the customer
company that if they accept Raghavendra Chemicalss offer, certainly the product will be
supplies to the customer.

- Receiving MPR.
- Evaluation of the MPR.
- Inviting tender from various organization.
- Evaluation of the tenders and prepare a comparative statement.

Inventory control is an essential function of stores department. It helps to reduce
cost and increase profit of the organization. Codification of material is done by manager
inventory control. For controlling the inventory, certain levels of inventory such as
maximum, minimum and re-order level is prepared. When the stock reaches the re-order
level, purchase request is made.

INVENTORY CONTROL
The purpose of inventory control is to avoid surplus and security of materials. The
inventories items are classified based on value contributed by each items depending on
the cost of and turnover of materials.

Security department functions under the personnel manager with a chief security
officer and around 15 staffs. The main functions of the department are to protect the
company from external threats as a part of security, pass and badges are provided to each
worker. The issue of pass is given by the P.M, and the duty pass is signed by him.

2. Up gradation, maintenance and changes are done by manager system.
