Minutes of the meeting

Hall Managers Duties :


1. Hall Managers should maintain details of students such as a) entry of students
details, b) any modification in student's status. c) Archival
2. While preparing the final bill of the students, Hall Manager should add no. Of
present days, rebate days, extra and amenities such as fines, overhead charges,
guest charges etc.
3. Valfi Charge extra at the time of organised,
4. Refunds, collecting of dues relating to the monthly bills of students must be
accomplished within that particular semister only.
5. Honororium should be given to the Hall Managers who are having authorised
occupancy of Hostel room and is caught by Hall Manager.
6. Before vacating the room by students, room boys should check whether the
room is in proper condition as it was given before or not. If any damage is
caused to the room by the student, proper amount must be charged and
collected from students. Cupboard latches, locks, internert wire facility, fans,
tubelights, bed etc. Must be checked thoroughly.
7. Hall Manager and office boys are not responsible for any valuables of students.
8. Room Inventory register must be maintained so that a track record can be
maintained who are staying in the particular room.
9. If any student does not pay the balance amount of room rent and mess bill and
vacated any intimation, such amount will be distributed among all students
and added their bills.
10.Auditing of books of accounts
11. Backside gates of Hostel 15 and 16 must be closed so that unauthorised
persons can't be entered at night.
12.Hostel 15 (c) Lady's wing gates must be secured.
13. Inventory :: Annual Inventory Register must be maintained by Hall Managers .
Opening stock, purchases, details of annually used stock, closing must be
specified.
14.Rest room keys must be security.
Honororium of Hall Managers :
1. Project staff should not be shown as Guest . Till now. ( Hall managers are
getting honororium on that, No honororium will be given.)
2. Hall Managers can claim Honororium only on the income of Admission. Other
earnings are not included.
3. No Honororium or OT is given at the time of joing of students.
Annual Maintenance of Mess Equipments :
1. Annual Maintenance of kitchen equipments must be done and free
services which can be provided under the Annual Maintenance must be

used time to time.


2. Annual Maintenance must be made for TV/Cooler/Washing Machine
etc. In every hostel.
Students Council :
1.By 31st March, students must clear their dues . If students does not clear their
dues, with prior intimation their semister admission will be cancelled by academic
office.
2. Mess contractor should provide Jain Food or Boiled Food to those students,
who request for it.
3. Rebate of mess in some hostels is 15 days and in some hostels 20 days. It
should be made even. Extra rebate days will be given on medical ground.
4. In Emergency medical cases, Medical officers will sign on documents instead
of Hall Managers.
5. Ph. D Defence Students should submit their room retention for a maximum
period of two months according to the list submitted by the Academic Office.
6. Cameras should be inserted at common places of Hostels.
7. Students will not directly report to Computer Centre regarding internet failures.
All complaints will be rotate through Hall Manager, ( Including all other
service related complaints).
8. If any student does not pay the balance amount of room rent and mess bill,
such amount will be distributed among all students and added their bills.
9. At the time of vacation, cupboards, internet facility etc. Can be used by the
summer internship students.
10. Store rooms must be opened and closed in a particular time. Students who
have kept should keep his/her clothes, beddings etc. In store room can check
his/her luggage before the office boy.
