1. Introduction
This guideline will assist the holders of petroleum titles in the Northern Territory prepare
geoscientific reports and data under the following legislation.
Where legislation is unclear or outdated the guidelines have been adapted from the following
sources:
National Offshore and Petroleum Titles Administrator (NOPTA) Guidelines for reporting and submission of offshore petroleum data.
Australian Requirements for Submission of Digital Exploration Data.
The purpose of this document is to assist with statutory obligations that petroleum exploration
permit holders need to observe when preparing geoscientific reports for exploration permits
(EP), retention licences (RL) and coastal exploration permits (NT/CP). Each report must
comply with the schedule and guideline, and shall contain all diagrams, plans, and data
necessary to satisfactorily interpret and evaluate the report.
Field development plans, well operations plans, notices of geophysical or geological surveys,
production reports, rehabilitation or restoration reports, pipeline reports and notices of
discovery are outside of the scope of these guidelines.
These guidelines may be updated from time to time, and it is the responsibility of the
titleholder to ensure they use the latest version when submitting reports or data.
In all cases legislation prevails.

All media must be individually labelled with the company name; title number(s), report type
and date, and disc or drive number, for example 1/5 on both the disk/tape/CD as well as the
cover. A list of all files must be included with the report submission (e.g. Appendix 6).
The media used must be appropriate to the volume of the data being submitted. Companies
must use their discretion as to minimise the number of items submitted and demands on
storage requirements. The titleholder or operator should keep a digital back-up copy of the
report and data submitted to the Department for at least a year to cover the possibility of
physical damage, data loss or corruption.
2.2 Metadata
It is strongly recommended that metadata (data about data) be included in the header of the
data file. Metadata are to be presented in a file header at the top of the file of related tabular
data (preferred), or as a separate file (e.g. Appendix 1, 5, 7, 9, 10 & 11).
2.5 Security
All submitted digital files (e.g. MS Excel, Word, PDFs, data, etc.) must not be password
protected.

2.8 Resubmissions
If data are resubmitted, the submissions must be accompanied by a summary of how the new
data differs from the previous submission.
3. Format Specifications
All reports and data should be submitted in digital format.
3.1 Reports
Reports must be provided as Portable Document Format (PDF) documents. This includes the
title page, summary, list of contents, references, and any figures and tables that are
interleaved with the text, appendices and plans. The entire report can be submitted as a single
PDF file, if file size <100Mb and data types permit.

3.3 Tables
All tables must be included in the relevant report in PDF format, as well as provided as
Microsoft Excel files in the XLS or XLSX format. XLS format files must be submitted as an
attachment to the report.

6. Report Contents
In submitting reports required under the Petroleum Act, the author acknowledges that the
Department may provide electronic copies through the department website or other media.
Reports must not include any material that is protected by copyright or prohibited from release
by other laws (e.g. some aerial photos some satellite imagery, data from technology
embargoed by US International Traffic in Arms Regulations).
Reports must not include any information, language, names or images that may be culturally
sensitive, offensive or in confidence to traditional owners (e.g. AAPA reports, locations or
images of sacred sites).

Whilst these guidelines have been provided to assist applicants in their compliance with the
Petroleum Act and Petroleum (Submerged Lands) Act, it is incumbent on the applicant to
acquaint themselves with the provisions of the Petroleum Act, Petroleum (Submerged Lands)
Act, and all other laws of the Northern Territory as are applicable.
These guidelines are here to assist title holders; however the legislation prevails in all cases.
