How to download VposLite

1. Click on the link in the email (http://www.vosem.co.za/download/VPosLiteSetup.exe) and save the file to
C:Installs\Vpos.
2. Click on the Update link in the email (http://www.vosem.co.za/download/VPosLiteUpdateSetup.exe) and save the
file to C:Installs\Vpos.
3. Save this file to C:Installs\Vpos if not already saved here.

How to install VposLite


1. Extract the VPosLite.zip file to C:\Installs\VPosLite by double clicking the file.
2. Install VPos Lite (Suggested directory C:\VPosLite\) by double clicking VPosLiteSetup.exe from the
Installs\VposLite folder.

3. Click Next. Fig-1

4. Tick the appropriate box to accept the agreement. Click next to continue.
5. Browse for or type in the path into which you wish to install VPosLite. We recommend C:\VposLite. Press Next to
continue.

6. Press Next to continue.


7. Tick next to Create a desktop icon. Press Next to continue.

8. Click Install. The above screen will appear briefly during installation. Do not click Cancel unless you wish to
abort the installation.
9. Click Finish.
10. Congratulations, you have successfully installed VPosLite on your System.
Registering and running VPosLite for the first time

11. Double click on the VPosLite Icon on the desktop.

12. Click OK after accepting the company registration information.

13. Type in your company details as you would like them to appear on your invoices and receipts.
14. Click on Register first workstation

15. Click OK.

16. Click OK. Click Continue.


17. Read the Limitation of Liability Clause and Click Accept if you do.

18. Click OK. Click OK again

19. Enter 1 and press OK


20. Click on Backoffice

21. Click on Setup and File Maintenance.


22. Click on Staff Setup.

23. Click on 1 Supervisor and click on change.


24. Tick all the unfilled check boxes as in the picture above. Click OK.
25. Once you have set up this and or a few other Staff, exit the Waitron/Clerk Maintenance screen by clicking OK

26. On the Setup and File Maintenance Tab in the Backoffice click on System Information.
27. Enter all appropriate information as you would require it.
a. Vat: Input VAT rate in percent of selling price
b. Gross Profit calculated using last or average cost.
c. Rounding to 5c, 10c,50c etc.
d. Name the four price levels if you like.
e. Touchscreen time-out (time of inactivity before the screen reverts back to the default screen).
f. Select popup to input requested information as indicated.
g. Charge for Credit Card processing
h. Categorise payout types by names input here.
i. Change or leave discount description
j. Select printer for each function using the button. Test once selected. This should print to the selected
printer. If not you have a printer configuration error. See How to install a Windows Printer.
k. Once done click OK to save and return to the Setup and File Maintenance Tab in the Backoffice.
28. Click on Workstation Setup
29. Click Update this Till. Do not click on any of the other buttons here unless instructed to do so by a VPos
consultant..

30. Enter all appropriate information as you would require it.


a. System Type: At which interface you wish the system to default its login
b. Cash up waiters separately or cash up per terminal.
c. Accept which type of tender type.
d. Terminal float amount setting and authorisation to change this in cash-up.
e. Warning pops up for cash in till exceeding this set amount.
f. Activates button to close sale without printing.
g. Select the printer for each function using the button. Set the number of lines to feed after the last line
of print before the printer cuts off the paper or stops scrolling the paper for tear off. Do not select
Network Printer unless you are sure that it is a network printer. Test once the correct printer has been
selected. This should print to the selected printer. If not you have a printer configuration error. See How
to install a Windows Printer.
h. Select the port type for the currently installed cash drawer and input the appropriate kick character (try 0
or 1 for most cash drawers). Test should open the drawer if setup correctly.
i. Select the port type for the currently installed Pole Display. Select none if none installed.
j. Override Supervisor Password: Select the options here that you wish for all operators to have access to,
not just the supervisor.
k. Once done click OK to save and return to the Workstation Setup Screen.
l. Once done click Close to return to the Setup and File Maintenance Tab in the Backoffice.
31. If you are not using tables as used in a restaurant or coffee shop environment Skip to 33. If you are, Click Table
Setup to access the Table Maintenance screen. Click Insert to add a table to your usable table list.
32. Enter the table number and the area or location of the table or any other permanent name of your choice. Click
OK to save. Click Change to modify table names and numbers. Click Delete to delete selected table (in blue).
Once done click Close to return to the Setup and File Maintenance Tab in the Backoffice.
33. Click Exit to return to the default Login screen.

34. Enter 1 and press OK


35. Press Exit System

36. Click on Point of Sale. Click on Backup Manager.


37. Select settings as above. Make sure Use automatic Backup is ticked. Click on Automatic Backup setup

38. Select settings as above. Click Save and Exit.

39. Click on the X on top right of the screen to exit VPosLite.


40. Congratulations, you have successfully activated and set up the primary user of VPosLite. Do not delete this user
from the system until you have successfully created and tested all access granted to new users.
41. You now have 30 days to use the system with all its features available. If you would like to continue using the

system after this period, you will need to follow the steps from How to Register your copy of
VPosLite below. (73)

How to setup and configure VPosLite for your store


42. Firstly, decide if you want to use one of our provided typical store databases to help you setup VPosLite. If not go
to 43. below. If you do, follow the steps below.
a. Download the database files of your choice from www.smscape.co.za/VPos/databases...........
b. Extract the contents of the zip file to the directory in which you installed VPosLite using Winzip. If you do
not have Winzip installed on your computer you can download it from www.winzip.com
c. Close all unnecessary programs and minimise all others off your desktop.
43. If you have chosen to use your own data from a spreadsheet please follow steps 44 through 51 and then click on
Export to Excel under the Department and the Sub-Department list. This will create a dept.csv and
subdept.csv file located in the VPos root (C:\VposLite). These two files can be used as templates for information
you wish to import into VPosLite. Once you have completed inputting your data into these template files continue
with step 52.

44. Double Click VPosLite on your Desktop or Click it once from the Quick Launch Bar.

45. Click on About.


46. Click on about to see what version is installed on your computer. If you have and installation before Version 2.00

Build 126, you can upgrade your version by going to How to Upgrade VPosLite below.
47. Click on Accept.

48. Enter 1 or your own programmed PIN code and click OK.
49. Click on Backoffice.

Department maintenance
50. Click on Setup and File Maintenance.

51. Click on Departments.


52. To import your selected data, click Import from Excel under the departments on the left. To insert a department
click Insert. To modify a department, scroll to the department of your choice or click on it and then click
Change. To delete a selected department, scroll to the department of your choice or click on it and then click
Delete.
53. To import your selected sub-departments click on import from Excel under the sub-department section on the
right. To insert a sub-department click Insert. To modify a sub-department, scroll to the department of your
choice or click on it and then click Change. To delete a selected sub-department, scroll to the department of
your choice or click on it and then click Delete.
54. There can only be a maximum of 30 active departments on the TouchScreen. If you create more than 30 active
departments, only the first 30 will be displayed.
55. If you click on either Change or Insert under the department list on the left side of the screen you will get the
following screen.

56. Select the appropriate tick box if you wish to have the department appear as a button on the Touch Screen.
57. The sequence number is the order from top left to bottom right in which the departments will appear on the Touch
Screen.
58. You can select a button image or colour from the button if required. Go to 59. to see the results of this .
59. The selected image can be stretched, centred or tiled depending on your selection. The button font can be either
black or silver.
60. Scroll up or down to select the image or button colour of your choice. Press Select to confirm selection.
61. Press OK to return to the main Department Maintenance screen.
62. Press Show Department Structure to get an overview of the departments (TouchScreen first screen) and sub-
departments (TouchScreen second level screen).
63. By clicking on the + sign next to the department, the department expands the sub-departments and their codes;
and the products in the departments and their codes.
64. The items preceded with the dot are the sub departments (in red) and those preceded with the are the stock
items (in black). If the department is populated with sub-departments and stock items, the stock items will not
appear on the Touch Screen with these sub-departments.
65. Click OK or Cancel to exit this screen and return to the main Department Maintenance screen.
66. Press Close to exit the main Department Maintenance screen.

67. If you encounter an error message screen as above, accept (press OK) and or rectify the problem as indicated
within by repeating from 51.
Item Maintenance
68. Click on Item Maintenance.

How to Register your copy of VPosLite


73. Start VPosLite from your desktop or quick launce icon.
74. Proceed to the Login Screen. Enter your code and press Exit System
75. Click on Security > My Registration.

76. Phone 084 554 2220 or log on to www(still to come) to get your registration code and enter it into
the Activation Code field.
77. Make sure that all other fields are filled identically to your registration code email or as instructed by the VPos
representative.
78. Click on Register to complete your registration. You may now use VPos in accordance to your purchase or
rental agreement..

80. Click Accept.

81. Enter 1 and press OK


82. Click on Backoffice

83. Click on Setup and File Maintenance.


84. Click on Staff Setup.

How to install a Windows Printer


85. Go to Control Panel > Printers and Faxes. Install a generic/text only printer driver and make it the
default printer. Follow the sequence below.
86. Select the corresponding port to which the printer in connected at the rear of the PC.
87. Select the Generic Text Printer driver. If you are installing a printer that came with drivers or wish to
installs drivers that you know that are suitable for the printer you are installing, you can click on Have
Disc and install these drivers now. To obtain drivers for any printers supplied by Stock Management
Solutions Cape, please call 084 554 2220 or email mike@smscape.co.za
88. Name the printer either Receipt, Kitchen or Bar depending on its desired function or location.

89. Do not share this printer.


90. Once you have completed this, select to print a test page unless the printer you are configuring is set up
to run a board rate higher than 9600bps.
91. Click Finish.
92. Even if the printer does not print a test page, say YES to the result of the test page query.
93. If you are unable to resolve any installation problems up to this stage, It is advised that you get a support
technician to do the installation for you. You can call 084 554 220 to book the services of such a
technician or consult any Microsoft Certified Technician for assistance.
94. You can now repeat the previous printer installation steps to install all additional printers required
95. Select the appropriate port for each printer during installation as shown below.
96. If you are installing the same driver for each, you will be asked if you wish to retain the original driver.
97. Keep the existing driver if the previous test page printed correctly and click Next.

98. Type in the appropriate name and select No for the default printer. Press Next.
99. Follow the steps as from 86 above until you have successfully installed all required printers.
100. You should end up with a list of all installed printers like the figure below.
How to Configure Printer Port Settings
101. First check the printer default settings. For most receipt and kitchen printers, hold down the
Feed button on the printer and then switch the printer ON. Release the button once the printing starts
(1-5seconds). The printer should print a slip indicating the Baud Rate in bps (usually 9600bps), the data
bits, the stop bit and the flow control. Use these settings to set up your ports setting in windows as
follows.
102. Right-click the icon for the desired printer, and choose Properties from the drop down menu
103. Click the Ports tab to modify or check port settings

104. Select the appropriate printer that you wish to configure and select Configure Port. If this printer is
not associated with the correct port, then select the port you wish to use for this printer by inputting a
tick in the adjacent tick box and selecting Apply and repeat this step again from the beginning.
105. Adjust the setting on this screen to correspond to the setting from the test printout of your printer.
106. Ensure that the flow control setting is set for Hardware if you are using Epson Dot Matrix Printers
(DTR/DSR) and Xon/Xoff only if the flow control of the test print shows it so.

107. Once all settings are selected, click Apply and OK. Close all windows related to the printer setup.
108. Your printer should now print correctly and print the entire length of the receipt.

Auto Cut and Open Drawer Settings in Windows


109. When using the driver that is designed for the printer you have installed, it is not necessary to set the
following settings to achieve cut-off and drawer kick. In most cases these settings will not be available
when the original driver is installed. When a Generic Text Driver is used then it is necessary to set
these settings for some POS programs to be able to cut and kick a drawer. VPos will kick the drawer
using the Generic Text Driver without setting the following settings.
110. To set these string settings, go to Printers and Faxes on your Control Panel and select the printer
you wish to change by right clicking on it and selecting Properties. Click on the Printer Commands
tab.

112. To get an auto-cut printer to cut using a Generic Text Driver, enter the following in the End Print Job
text box <0d><0a><1d><56><01> [note that those are zeroes, not the letter o] and click Apply (the codes
that you typed in will change). This applies to Win2000 and XP/Win2003. For windows 98 settings
contact the printer supplier.
113. To get a receipt printer to open a cash drawer using a Generic Text Driver, enter the following in the
Begin Print Job text box 27,112,0,127,127 or <ESC>ALT+105 [note that those are zeroes, not the letter o]
and click Apply (the codes that you typed in will change). This applies to Win2000 and XP/Win2003. For
windows 98 settings contact the printer supplier.
114. Click OK.
115. If you are encountering other short print and overlapping errors, you can click on the Advanced tab
and ensure that the printer is always available (ticked), can change to Print directly to the printer or
Print spooled documents first.
116. Click Apply and OK when done.

How to create a new printer paper size (form) in Windows


117. In the Printers and Faxes folder (Choose Start button > Settings > . or Control Panel > Printers or
Printers and Faxes). Open the File menu and choose Server Properties (if this option is not
available, close the menu and make sure that no printer is selected by clicking on a blank area of the
folder window and go back to Server Properties again).
118. Click the check box next to Create a new form.
119. In the Form name: text box, enter a name, such as Receipt.
120. Set the width to 3.00in (10cm) and the height to 2.0in (5cm) and click OK.
121. Right-click the icon for Generic / Text Only printer, and choose Properties from the short-cut menu.
122. Click the Device Settings tab.
123. Set both Cut Sheet and Cont. Feed-With Break options to Not Available.
124. Set the Cont. Feed-No Break option to Receipt (or whatever you named your new form)
125. Select Printing Defaults from the Advanced Tab and set the paper size to the form name you
created.
126. Click Apply and OK. Youre done!

How to Upgrade VPosLite


127. Make sure that VPosLite is not running by closing all open windows and checking that no other
program is active in the Windows Task Bar.
128. Double Click VPosLiteUpdateSetup.exe from the Install directory e.g. C:\Installs\Vpos or wherever
you have saved a copy of this file on your hard drive.

129. Follow the onscreen instructions.

130. Install VposLite to the same folder that currently contains the program executables, normally
C:\Program Files\VPosLite. Click Next at all following screens.
131. Click install to complete installation.

132. Click Finish to run VPosLite update on your database.


133. Open the BackOffice and go to item maintenance before logging on to the Touch Screen or Sales
Module.

How to Network VposLite

134. On the server machine install VposLiteas described in How to install VposLite above
135. Ensure that the network is working, screened network cables are used and a stable connection is maintained.
136. Create a mapped network drive to the VposLite directory on the slave machine.
137. On each of the remote machines create a shortcut on the desktop to VposLite.exe on the server machine using
this mapped network drive.
138. Create a directory on each slave in the same tree as on the server. Copy the image files from the server to
each of the slaves in the same tree structure (dub directories).
