VACANCY ANNOUNCEMENT
INTERIM OFFICE ASSISTANT

SOLIDARITES INTERNATIONAL is a non-profit, non-religious, non-political and non-


governmental humanitarian organisation. The current mission is made up of programmes in
the far south of Bogale /Pyapon Township.

Approximate starting date : As soon as possible

1.- Objective of the interim position:

The purpose of the interim position is to offer to motivated, qualified young applicants the
opportunity to gain experience with a Humanitarian International NGO: learning and
understanding the management system and the objectives of Solidarites International and
providing efficient support to the Admin, Programme and Logistics team in Yangon to
contribute to Solidarites International mission in Myanmar.

2.- Responsibilities

General Office Support:

 Greeting visitors and ensure reception


 Answering Telephone, transferring calls, taking messages and handling referring
general enquiries as appropriated.
 Receiving and logging incoming post and recording outgoing post.
 Maintaining notice board and reception displays
 Making travel bookings for staff, getting information and making arrangements
 Maintaining Office Supply stocks, shopping and placing orders as authorised,
receiving deliveries and stocking resource points.
 Document’s copy typing (MS Word and Excell in Myanmar and English)
 Document’s translation from English to Myanmar and Myanmar to English.
 Photocopying and printing documents.
 Filing documents and maintaining project files according to Solidarités International
standards

Assist Admin and Logistics department:

 Helping prepare financial documentation for Solidarites International accountancy


 Maintaining up to date and organized administrative files & records
 Assisting Administrative Coordinator in elaborating and setting up all necessary
administrative tools and documents.
 Preparing the administrative documents needed by the mission.
 Following up the administrative management of all types of contracts (office, phones,
internet, insurance, etc.).
 Translate calls, documents or direct translation from/to visitors on meetings with
Administrative and Logistics coordinator.
Assist Programme and Country Director:

 Support the program team on documents filing and data entry.


 Record minutes of programme and coordination meetings and issue Meeting minutes
report.
 Assist the Country Director and follow up his/her agenda and meetings.
 Concert appointments or prepare calls for Country Director.
 Direct translation in meetings with programme and/or Country Director.

STAFF TRAINING ORGANISATION

• To collect information about training opportunities for national and expatriates staff
(inside and outside the country) based on the training needs identified by the
Administrative Coordinator
• To participate to the training and meeting organisation (budget drafting, related
administrative issues, transport and accommodation organisation) in collaboration
with the administrative assistant
• To support project officers and managers in organising their training, especially for
support documentation translation
• To provide basic training (Burmese typing, etc)

MISCELLANEOUS

 To provide support to the Administrative Assistant when required (recruitment


procedures, interim cashbox maintenance, financial reports assistance, etc)
 To support logistic department with purchase requested
 Report weekly to the Administrative coordinator and when required for all pending
issues
 Possible field visit to sub-offices and projects outside of Yangon

Requirements
 Humanitarian values and strong motivation to gain experience with International
Humanitarian Organization.
 Last years of University Degree (preferably in International relations, Public relations,
Diplomatic career, Public Administration, Business administration, accountancy or
related area). Or related experience in similar area.
 Fluent spoken and written English and Myanmar
 Good writing and communication skills
 Flexible, reactive, trustful and calm under pressure
 Knowledge of MS office (excel, word, power point)
