Philanthropy Coordinator

Canadian Womens Foundation is Canadas national public foundation for Canadian women and girls.
The Foundation invests in the strength of women and the dreams of girls. Its goal is to empower women
and girls in Canada to move out of violence, out of poverty, and into confidence and leadership. Since
1991, it has engaged with individuals, corporations and foundations across Canada to raise funds and
invest in over 1,400 community programs, and partnered with multiple stakeholders across Canada to

Position Summary

Canadian Womens Foundation seeks an experienced, energetic and results-oriented fundraising


professional for the role of Philanthropy Coordinator, with a focus on administrative and event support.

Reporting to Vice President, Philanthropy, the Philanthropy Coordinator is responsible for processing
gifts, supporting the fundraising process by maintaining an accurate and current donor database as well
as other administrative duties as required to support the Philanthropy team.

This is a full-time permanent position.

Key Responsibilities

Donor Engagement/Stewardship Support 20%


Process gifts over $1,000, including recording, issuance of receipt and distribution of thank you
letter and receipt
Act as back up to Raisers Edge Administrator in processing monthly donations and gifts under
$1,000 in her absence
Handle online and mail-in tribute card requests; run online tribute card report weekly
Set up, prepare and distribute correspondence as requested by Philanthropy team
Respond to general fundraising-related enquiries either directly or by forwarding them to
appropriate Philanthropy team member
Reissue tax receipts from returned mails or per donors requests

Donor Database Support 20%


Input, update and maintain donors information in Raisers Edge database to ensure the data is
current; includes online research if necessary
- Update credit card information as request
- Upload new/updated credit card information forms
- Upload reports/contracts/packages/emails per requests
- Maintain email addresses for all e-newsletter subscribers and provide monthly lists to
Marketing and Communications for distribution
- Maintain all the committee lists for the organization
- Contact donors to obtain most recent contact information for returned mail/tax receipts
and update the information in Raisers Edge
- Create actions to record interactions with donors
Assist Manager, Data Operations and Systems with creating process documents as needed

Administrative Support 25%


Manage calendar, schedule and coordinate meetings, conferences, appointments and travel
arrangements for the Vice President of Philanthropy; coordinate travel arrangements for other
Philanthropy team members as needed
Coordinate and support fundraising meetings and events (Toronto) including production and
distribution of meeting materials, phone calls and/or e-mails to committee members to confirm
meeting times and attendance, booking venues, ordering food, taking and distributing minutes
Organize, maintain and update hard copy and electronic filing systems for major individual
donors in alignment with departmental data management protocols
Set up, prepare and coordinate mailings and courier/shipments for Philanthropy team as needed

Event Support 35%


Work with the Manager of Special Events and Manager of Community Events to oversee the
preparation, coordination and distribution of event related materials and supplies.
Coordinate event, meeting and conference logistics including but not limited to booking venues,
audio visual, food & beverage, obtaining licenses & insurance, travel & accommodation,
interpretation, registration, speaker logistics, and onsite event support.
Prepare materials and supplies required on event day including but not limited to nametags,
speaker gifts, registration & guests lists, etc.
Prepare and send thank you letters and receipts for ticket purchases and registrations and event
sponsorships.
Manage all Raisers Edge event files, records, distribution lists and other event data as
necessary.
Pull event invitation/distribution lists, create event records, track event participants &
registrations for events.
Work with the Raisers Edge Database Administrator to ensure financial and registration
information is tracked accurately.
Assist in the recruitment and coordination of event volunteers as required.
Support the Manager of Special Events with oversight of event committees as required including
meeting planning and notification, preparing meeting materials and minutes.

Qualifications and Experience:

Post-secondary degree, diploma, certificate or equivalent related work experience required.


3+ years experience in an administrative and/or event related role serving internal and
external constituents.
Skills and Abilities:

A passion to work in a fast-paced, fully integrated fundraising environment helping women


and girls in Canada, and have an understanding of the womens non-profit sector.
Advanced proficiency in Microsoft Office and Raisers Edge database management
High degree of accuracy and excellent attention to detail
Ability to prioritize work and to perform multiple tasks simultaneously while adhering to
deadlines
Strong sense of urgency and work well under pressure
Ability to take initiative and ownership of assigned projects and proven ability to carry
projects to completion with minimum supervision.
Excellent communication (oral and written) and customer relations skills
Strong interpersonal skills
Ability to understand and follow directions and complex protocols
Ability to work under pressure and demonstrated project coordination skills, with ability to
manage multiple projects and deadlines.
Demonstrate professionalism, judgment and discretion in dealing with constituents and with
confidential or sensitive matters.
Strive for continuous improvement and solicit feedback to improve service
Ability to work evenings and weekends when needed for events
