create a payroll and log-in/log out system, because of them we learn how to create a

system. And to be honest it is not too easy to create a system. We also like to

acknowledge for those people who help us in creating a system because some of visual

basic is not capable in windows 8 to 10 so to creating a system we use Visual Basic 2010

which is the language is C#. Actually, in our group we dont know how to work by the

help of C# language because some of our professors teach us only html,css and javascript

so it is too hard to create a system by the use of Visual Basic 2010. And also we would

like to acknowledge Mr. Joel Cacho for teaching us about a system and he give us right to

create a system for those companies who has a problem and by creating a system he

would like us to help those companies to improve for their old system that they used.

CHAPTER 1

INTRODUCTION

Background of the Study

This study aims to develop a reliable and manageable payroll system and time

in/out for Casa Oliva Spa and Residence for a better manageable of a business. The

Proposed Payroll System will give a big relief on the employee and employers as well.

Without this system the establishment would have difficulty in accounting for payments

for services or work performed by employees. One benefit of a payroll system is in the

tracking of employee productivity in the work environment. The program also allows the

monthly payroll schedule to be calculated accurately. Just by having all employees

information like name, working hours, wages etc. to enter in the database. Therefore,

payroll can be done with the guide of the program. The process of their manual system

to organize records for their employees of each department for their payroll system. Our

motivation on their existing system is to improve it, secured the backup files

and records. Because, this factors will lead to faster, shorter and lessen of processes and

organized of important data. Our focus is to become user-friendly, effectiveness,

simplicity, accuracy and attractiveness.

Company Background

Casa Oliva Spa Residences is conveniently located in the popular Guiguinto area

(Casa is a house while Oliva is a symbol of peace) Casa Oliva is offering a variety of

facilities and services, the hotel provides all you need for a good nights sleep. To be

found at the hotel are free Wi-Fi in all rooms, casino, 24-hour front desk, 24-hour room

service, express check-in/check-out. Guestrooms are fitted with all the amenities you

need for a good nights sleep. In some of the rooms, guests can find internet access-

wireless (complimentary), non-smoking rooms, air conditioning, desk, mini bar. The

hotel offers various recreational opportunities. Convenience and comfort makes Casa

Oliva Spa Residences the perfect choice for your stay in Guiguinto. Casa Oliva is a

superb, 1 bedroom villa apartment in Orba, offering high quality and spacious

accommodation. The apartment is in a separate wing of the owners substantial individual

villa and the property is surrounded by quarter acre walled gardens with 11 olive trees.

The property is not overlooked by neighboring properties in its private corner plot

position. The apartments separate entrance opens into the very spacious kitchen, lounge,

dining area with door through from the lounge to the bedroom with unsuited shower

room. The apartments lounge overlooks the swimming pool with views beyond over

citrus groves to the mountains. Casa Olivas guests have exclusive use of the propertys

swimming pool and there are many outside areas to sit and relax. Casa Olivas guests have

their own private sun terrace at the front of the property, their own private garden terrace

under the olives outside the apartment entrance at the side of the property together with

exclusive use of the swimming pool and the pool terraces.

Statement of the Problem

Nowadays all establishment are becoming modernized, Casa Oliva Spa and

Residence still using the manual method of payroll process. In this method, it will need

more time and manpower to complete the payroll of each employee. Manual system

consumes a lot of time than usual, due to modernization today, effectiveness of a system

is also measured by its time and effectiveness while producing a report, the manual

system they are using makes it hard like errors in computation of payroll are most likely

to happen, since the payroll officer that is assigned is prone to make some mistakes in

computation because of the computation system being manual. Nobody could admit the

inescapable fact that what makes the manual system procedure take a long time to finish

the task is due to the many steps and processes to undergo.

Objectives of the Study

To develop a payroll and time in/out system for that is user friendly,

more accurate, more efficient, and can easily produce reports of the transactions faster,

minimize the manual checking of employees, monitor the status of employees charges

and to develop a system that will improve the Casa Oliva Spa and Residences process in

the Payroll and Time In/Out.

Significance of the Study

The Casa will benefit from this system, this will help them to have better service,

to update their record easily and this can also keep track of the performance of their

employee. They will find it easier to transact about their records since searching in the

system is faster than tracking in the record book or log book. The manager will benefit

from this system because of this will make checking of employees, their payroll, and

even attend to their needs in case of problems. By using the Time In/Out and Payroll

System, actual balances, and flexible labor distribution for projects and work orders can

be maintained.

To Proponents

This study will help the proponents to develop a greater system and at the same

time to enhance the ability on how to create an understandable system in an easy way.

This will serve to the proponents as a challenge to do a better system.

Scope and Limitations

The study focuses in processing of payroll system of the employees. Its concern

is the computation of employees salary and produce report needed by the accountant

especially on each employees payroll. It secured also with log-in and log-out from our

proposed system and which can be access only authorized person.

Methodology

The process of this documentation is to address the above issues, Casa Oliva Spa

Residences conducted a detailed evaluation of the identified residence during the day

week of June 19, 2016. During this evaluation, Casa Oliva Spa Residences visited and

evaluated most of the existing residence. The area was visited during the daytime as well

as the evening in order to gain a qualitative understanding of the traffic and retail

gravitational patterns throughout the study area.

Review of Related Literature

Related Literature

Local Literature

According to the book of Trias (2010) entitled What is a Payroll

System?, emphasized the importance of accurate calculations in a successful

payroll system. It is that a payroll system is defined as a system programmed to

calculate taxes and deductions, which can also be internet-based or offsite.

In the book of Musa (2009), entitled Philippine Based-Payroll System,

emphasized the major elements or variables that a Computerized Payroll System consists.

The author indicated the specific items the database of a Philippine-Based Computerized

Payroll System must have.

According to the book of Lamberte, entitled Philippine Payment System, stated

that basic and essential parts of any payment related system, the flow of information

providing payment instructions and the flow of funds. He also emphasized that this flows

requires an instrument to convey the information about the transactions, this is where a

computerized payment system (in this case a Payroll System) comes in.

Foreign Literature

According to the book "System Documentation" (2010), states that a

computerized payroll system must have the ability to update and maintain employee

information and to generate required outputs including paychecks, reports to management

and to the government.

According to a blogged article in blastasia.com (2007), says that a computerized

payroll system is designed to help human resource professional as well as finance and

accounting personnel to manage employee compensation, deductions, allowances, and

benefits in an organization.

According to the definition of Enterprise Resource planning on Wikipedia.com,

stated that "organizations perceive ERP as a vital tool for organizational competition, as

it integrates dispersed organizational systems and enables flawless transactions and

productions". This statement serves as basis of this proposed systems capability and

flexibility to integrate to other subsystems within the airline system.

Related Studies

Local Studies

Based on the research study entitled computerized payroll system of

Department of Health (DOH) (2007) explains that a computerized payroll system

is a window based program which is specially designed to facilitate and simplify

the monthly preparation of general payroll and related reports. Also that is must

be flexible to provide option which allows the user to hold additional fields for

other compensations and deduction which was unique to an office the company.

Based on the undergraduate study made on Cagayan De Oro City Hall entitled

"Cagayan De Oro City Hall Computerized Payroll System" stated that is

important that the system must be easily accessible, fast-tracked and secure.

Foreign Studies

Based on the research study entitled "PAYROLL ERP SYSTEM" of Advantos

Systems (2013), explains that it is vital that a payroll system must allow the user to set up

an employee paycheck record. It also emphasized the use of separate salary record for

each employee and the proper maintenance of data on tax rates and exemptions.

Based on the system study entitled "INFONETICS PAYROLL SYSTEM"(2012),

emphasizes that a payroll system must be user-interactive in all its processes (including

maintenance of payroll records ad payroll reports and checks printing). It also explains

that the system must be capable of maintaining accuracy of tax tables and deductions

using a concrete formula.

In this chapter we use this as reference, to know more about Payroll System. We

differentiate system here in the Philippines and outside to get broad meaning. How

Payroll System works, What does it consists, How do users use it and the different

advantages and disadvantages of Payroll System. And we use this references as a

guideline for making our system and before we create a system we studied what is the

advantage and disadvantage of a payroll system.

Explanation:

In this data flow diagram the main diagram is the payroll system which the

employee can only view the system. The employees part is to give their personal

information to the accountant. The accountant will store the employees information to

the payroll system. He has the access and has the right to edit the payroll system and he

will be the one who will compute the hours of work, taxes, deductions, etc.

CHAPTER 4

PROPOSED OVERVIEW

System Overview

The proposed of pay roll system is to allow business to follow a set series of

processes in order to make timely, correct payments in compliance with government

regulations. The payroll systems typically includes calculating employees pay, recording

payroll transaction and determining and paying the taxes and beneficiary. And also the

payroll system enables the employer to process its payroll through a computerized system

and it makes computation of the employees salary faster and efficient. While the propose

of a log-in/log out system is capable of computing and monitoring daily attendance of

personnel who everyday entering the company. This system will help the employee to

log-in/log out faster and easier with the use of the said system, this system check the time

and date that allows them to have a report for a certain employee that entering the

company, you can also see the details of the employee (e.g. ID, Name, Age, Shifting

Time, Positon)

Cost Analysis

For our groups estimated cost for implementing our system to Casa Oliva Spa

and Residences. It may cost Php 150,000.00 the amount rendered will be distributed in

different cause such as the new set of computer that will be used by the admin or the

secretary and the paymaster, the allotted amount will also provide printer and other

printing equipments that will need in printing pay slip requested by the employees.

SUMMARY AND RECOMMENDATION

SUMMARY

Casa Oliva Spa and Residences is a small enterprise located in Guiguinto,

Bulacan. They are using a Old/Manual process in Payroll and Log in/Log out system

thats why they cannot monitor their employee. As a solution we choose to make a

system which is Log-in/Log out and Payroll System we choose to create this system to

develop a payroll and time in/out system for that is user-friendly, more accurate,

more efficient, and can easily produce reports of the transactions faster, minimize the

manual checking of employees, monitor the status of employees charges and to develop

a system that will improve the Casa Oliva Spa and Residences process in the Payroll and

Time In/Out. The Log in/ Log out system is to monitor the employees attendance, in

what time they check-in in the company. The Payroll System is for the employee which

can help to compute the salary of one employee by the help of what time they check-in

and how many days did they get absent.

RECOMMENDATION

To be honest, this research is very faulty because as a student we dont have

enough knowledge to create a system that is suitable for a company. Therefore, we would

like to recommend for future researchers in this area. But before that, we would like to

point out some limitations of this research:

We are lacking knowledge to compile a list of what needs to be done in

the works.

The conclusion of this documentation is the companies that using manual system must

include changing their privacy preference into a more protected one.
