ELECTRONIC AND RELATED EQUIPMENT SECURITY
Dear Colleagues,

This is a reminder of a communication that was sent out in April 2015.

NOTE:

Non compliance to this memo in event of stolen equipment shall result in formal
disciplinary proceedings in terms of the PFMA Act.
It is the responsible of all department heads and section heads to ensure that this is
formally communicated with all their employees including new employees when they start.
Ignorance of this memo will not be accepted as an excuse for non compliance.

It is unfortunate that we have experienced criminal incidents over the last couple of months where a
number of laptops have been stolen from the Engineering Department and data have been lost. This is
unacceptable and cannot be tolerated.

To ensure that we do not experience any such incidents, you are required to ensure that this
communication is extended to all employees and colleagues within the Engineering Department, including
when new employees join the department. In addition, this communication must also be added as a
standing agenda point to all Departmental Forum meetings and all Toolbox Talk Meetings. This
communication applies to any electronic equipment, for example but not limited to laptops/tablets,
desktops, printers, hard drives, computer screens, portable projectors, data acquisition units, etc.

The following examples given below are not exhaustive and each individual is responsible to take
measures to ensure the safekeeping of electronic equipment depending on the specific circumstances:

In the office or site environment while in use locked with cable and combination lock
Not in use at the office or site locked in a safe or steel cabinet, or kept on person
At home locked in a safe
Traveling laptop concealed out of sight. When locking the vehicle, feel that the ALL the doors and
boot is locked, or kept on person.
All environments kept on person in backpack, shoulder bag, etc.
Any means to ensure safekeeping.
