3. Introduction
Overview
This document publishes the changes to OASES made under a formal release (FR). As of January
2015, releases of the OASES system are made available at regular intervals, approximately every 4
months. The installations are applied to customer systems at times agreed between the Customer
and Commsoft.
Normally the Customers Commsoft Account Manager will co-ordinate the installation of the release.
Releases comprise:
Introduction of new functionality to OASES
Improvements to existing OASES functionality and usability
Software bug fixes
Updates to the OASES On-line Help System.
This document identifies any changes being introduced by the release that may have an effect on a
customer's operation of their OASES system. Depending on the modules and options in use in your
OASES system, not all of the changes listed in this document will apply to all users. Certain modules
or functionality described may not be included in a specific customers contracts. For further
information, please review the contractual terms and conditions or contact your OASES Account
Manager. Significant bug fixes will be identified and this will help users recognise where an issue has
been resolved that may have resulted in a workaround process being implemented.
If you have any questions, please contact your Commsoft Account Manager, or the Commsoft
Support Team via the OASES Service Desk http://servicedesk.commsoft.co.uk/

However, in some cases due to the integrated nature of OASES functionality, updates will apply to
more than one Module. In these cases, the update has been categorised under the Module that it
most applies to.
Each update is identified by an OASES reference number, e.g. OASES-123. This reference number can
be used if there are any queries about a particular item.

4. Core Module
Release 5 upgrades the JAVA Runtime Environment (JRE) version used by the client to Java 8. This
means there will a one-time download of the new JRE as well as the new client software when the
Release 5 installer is run. On slower connections this could take several minutes to complete. The
approximate file sizes are as follows:
Java 8 - 160Mb
Supporting Libraries - 110Mb
OASES - 30 Mb
The OASES files are updated on each installation, but the Java and Supporting Libraries only need to
be downloaded once.
As with other fields in OASES it is now possible to use the right click history function in tables. This
allows you to quickly access data such as part numbers that you have entered into OASES previously.

As well as including the customer logo and report title on the first page of reports in OASES it will now
also include the title and a scaled down version of this logo on all subsequent pages.
A change has been made to the table column widths. They are now smarter and take into account the
length of the data contained in the cells and dynamically size the columns based on this data. This
means that fewer wide columns containing mostly white space are displayed.
OASES can now support the following mechanisms to control users passwords:
If the user is forced to change their password, they will now be prompted to do so when logging into
OASES.

In Release 2 the forecast terminate logic in the OASES forecast was modified to calculate the next
stage from the point of termination of the previous stage by pro-rata of the remaining life on the
terminated staging and adding it to the next stage. After that change it was recognised that this may
not be the best calculation in all situations and this has now been replaced with the following formula:
20
Communications Software (Airline Systems) Limited,

Tel. +44 (0) 1621 817425 www.oases.aero 2016
13th October, 2015
If the aircraft had currently flown 48000:00 hours and the task was previously accomplished at
47000:00 hours, then it would look like this diagram:
Example Calculation
If 57000:00 + 5000:00 < 60000:00
Then Next Due is 57000:00 5000:00 [FALSE]
Else
If 57000:00 + 2000:00 < 60000:00
Then Next Due is 60000:00 [TRUE]
Else Next Due is 57000:00 + 2000:00
At 57000:00 Hours another repetition of the 5000 hours interval means it will pass the terminate.,
therefore the first line of the formula is false. 57000:00 + 2000:00 is less that the terminate therefore
this task is next due at the terminate.
All tasks that have a terminating interval should be reviewed after these changes to check they are
forecasting at the correct point.
If you have setup tasks in such a way to workaround the pro-rata logic then this will need to be
updated after this release is installed.

The assemblies setup is now available at both fleet level in WC03 Create/Edit Fleet and aircraft
level in WC05 Create/Edit Aircraft. This allows the definition of the ATA and Life Codes for APU
Hours and Cycles to be defined at Fleet level and then, if required, overridden at Aircraft Level.
When producing the LLP report for an APU in TR42 LLP Status Report it will look up this data and if
producing the report for an APU will display the TSN/CSN values using the Life Codes that represent
APU Hours and Cycles rather than based on the aircraft life.
OASES-3111 TR58 - Task Last Done Next Due Status Overdue Column
The 100% caption has been removed from the Overdue column for all tasks that are forecast based
on the standard maintenance programme. Sample will still be shown if the task is forecast based on
the sample maintenance programme.

Release 2 included a modification so that when accomplishments are processed by the forecast, the
system will recalculate the airframe hours/cycles at accomplishment from the latest flight history
records. This means that if the flight history was adjusted after the accomplishment, the values for
the accomplishment are recalculated dynamically. Following that release an issue was identified that
not all accomplishments were associated with correct flights, therefore this modification was
withdrawn in Release 2.1. Following this in Release 4 the issue was resolved and in Release 5 we
have reintroduced this functionality back into the system. This has also been further enhanced so
that when editing an accomplishment in WC11 Create/Edit Workcard the system warns that an
accomplishment is being edited that is linked to the flight history and requires confirmation to
continue and break this link.

The original intention of the System Monitoring module was to allow the entry of consumption/uplift
measurements such as Oil and Hydraulic Fluid, but also to be able to enter measurements to
represent readings such as temperatures and pressures, and to be able to get alerts if that value ever
exceeds a threshold, either upper or lower.
The second type of measurement (reading) to support Tyre Pressure monitoring, (and it may have
other wider applications for operating temperatures or cabin conditions) has been implemented in
this Release.
A new measurement type has been added to the Measurement Type combo box for readings as well
as changing the Actual type to Consumption/Uplifts

ST36 Create Purchase/Loan/Exchange Order has been updated to improve the procurement
workflow. The new option consolidates the functionality previously found in options ST35 - Create
Take-on Order, IC23 - Non-Stock Takeon Order Create and IC25 - Non-Stock Order Create. This
significantly simplifies the procedure of creating and reviewing stock, non-stock and Take-On orders.
Previously users had to enter the order header information and raise it before adding the order lines
manually. In most cases, this design forced users to work on both ST36 and IR03 simultaneously.
The new ST36 option provides direct access to current short requirements and allows users to import
them straight into order lines. The user will be prompted if they would like to add any additional short
requirements for the same part automatically to the order line. In addition, requirements can also be
added and be allocated manually to each line using the gear-like icon at the start of the row. Also, as
expected, the focus of the new design lies on the order lines themselves and most order information
is requested at a later stage.
Another new feature is the auto-completion functionality that has been introduced into the order lines
table to minimise the manual input required. This has a positive impact on efficiency and reduces the

possibility of errors. The fields supported include the release type, due date and part cost. More
specifically, the part costs are being picked up from the prices defined through the ST01-Create/Edit
Part Base Details option. In cases where multiple prices are specified in ST01 (e.g. for different
suppliers, currencies or conditions), the one matching the order preferences will be applied.
At all steps of the order generation procedure, the user can go back, review and change the details of
the order, without losing any of the provided input. Previously any error during the order generation
process could potentially force the user to start over, costing valuable time is todays fast-paced
world.
The new functionality found in ST36, also allows users to create pre-orders that need to be reviewed
and approved by another member of staff. While generating an order, it is compared against several
limits specified for the operating user (through EA40) and if the request exceeds any of them, a pre-
order (rather than an order) will be raised. These limits are displayed at the bottom of the screen and
can be de-activated for some or all users, simply by leaving the values blank in EA40.

Depending on the EA40 permissions, users may be able to override the limits described above by
marking an order as Priority 1 or 2. The number of overrides available to each user can also be
configured in EA40.
A pre-order will only generate a real order (with P-number) after another member of staff (with
appropriate authorisation and approval limits) reviews it. This functionality can be accessed through
the View Orders for Approval panel.
The whole order approval system is based on the OASES groups. Users are assigned to pre-defined
groups and therefore abide to the group hierarchy specified. For example, a member of the Managers
group can view and approve orders raised by members of the Purchasing Department group located
lower in the hierarchy. The way an organisation is modelled into groups however, is quite flexible and
performed on a per-customer basis.
By default, in the View Orders for Approval panel, users will view the un-approved orders belonging
to their own group or groups directly below it. However, if required, by changing the available filters,
the panel does provide access to already approved pre-orders and pre-orders raised by users further
down the group hierarchy.

In addition to ST36, users are informed by email whenever an order is raised, accepted or rejected, to
the email address configured in EA40.
Users can approve, reject or simply review an order using the Order Approval Changes dialog. Simply
reviewing a pre-order will send it higher up the group hierarchy for approval. Approval will generate
an order, while the rejection will mark the pre-order as rejected. An Approvers Notes section is also
provided to allow exchanging comments on the status of the order. The bottom half of the dialog
contains all approval status changes and accompanying notes. The whole approval history of an
order is also available once it has been finally approved, through option ST32.

A new search facility replaces the old searching in the accounts dropdown. This is available anywhere
the account dropdown is used. It allows the searching on many different attributes of an account and
allows the user to quickly locate the required account. The searching can also be used directly in the
account dropdown by simply typing your search into this field.
Account properties can now be defined against accounts. Initially a number have been created to
allow the user to define what the account is used for e.g. CUSTOMER, MRO PROVIDER. The user can

This adds rectification and requirement location fields to defects and requirements respectively to
work with the existing location on a works order.
The destination for requirements as reported in OASES is now a function of all three locations with
requirement location overriding works order location and defect location overriding requirement
location and works order location.
Defect rectification location can be set in LE33 - Tech Logs or LE41 Tech Log/FBV Display. If there
are any currently assigned requirements to the defect a dialog will pop up asking if you would like to
repack/shortage the requirements based on overridden location. The result of defect location
changes on assigned requirements and their status can be seen in real time in the requirements tab
of LE41.
Requirement location can be set in IR01 Created/Edit Requirement or IR09 Quick Requirement
Create. Editing an existing requirement will automatically repick/shortage based on the requirement
location if the requirement is not already assigned to a defect with a location.
Works Order location can be set in IW03 Create/Edit Works Orders. Editing a works order location
will result in a dialog if there are any requirements raised for the works order asking if you would like
to repack/shortage the requirements based on new location.
The requirement displays such as IR03 Requirements/Shortages Display will show the overriding
location of where the part is required. Then, using the traffic light system and the location status
column (When using transiting) it will show you if the part is available in the location required.

Maintenance Costs
The new Maintenance Costs module has been created to allow operators to budget future
maintenance costs based on expected Aircraft utilisation and forecast maintenance.
The module also allows for reporting on actual costs from accomplished maintenance.
Areas of maintenance covered by both the future budgeting and the historic reporting include:
AMP accomplishments
ADSBs
NRCs
Defects
Materials
3rd Party MRO Works Order Invoices and Quotes
Material Pool Agreements
Other Associated Costs
All costs are collected into Cost Categories. These allow different areas of maintenance to be
reported on, such as Airframe, Components, Engines, Landing Gear, APU. Once the areas are
defined the maintenance tasks are automatically placed into the correct sections but overrides for
tasks can be specified if necessary.

Some operators may contract out maintenance to 3rd parties. When this is the case OASES allows
users to enter any quotes they receive from interested suppliers and indicate the preferred quote.
When the work is invoiced OASES also collects these costs.
The preferred quote is then used as the cost for work on a Works Order when generating a budget.

Material Pool Agreements that cover collections of parts can be entered. When calculating budget
costs, individual parts covered by the agreements are given a zero cost. The cost of the agreement
itself is attributed to the aircraft. These can be useful for capturing costs for Rotable part agreements
or the costs of providing spare wheels and brakes.
The cost of the agreement is calculated based on the period the budget or historic report covers, the
period the agreement covers and the way in which the cost is split between aircraft covered in the
agreement. Splitting of costs between aircraft equally, by flight hours or by flight hour and cycle ratio
is allowed.
Associated costs can be entered for anything that is attributable to the cost of maintenance but is not
covered by OASES. This can include items such as contracts to provide Line Maintenance at
outstations or the costs of running a hanger for example, rental agreements.
These costs are also calculated based on the period the budget or historic report covers, the period
the agreement covers and the way in which the cost is split between aircraft covered in the
agreement. Again, costs can be split between aircraft equally, by flight hours or by flight hour and
cycle ratio.

Labour minutes are taken from the SFDC booking system in OASES. These booked minutes are then
used to calculate the labour cost by referring to the hourly rates defined for the trade code.
Materials are linked to accomplishments by looking at requirements. If a requirement was raised that
contains an NRC or Workcard then those materials will be collected against those accomplishments.
Those that do not have an NRC or Workcard are linked to the aircraft by the Works Order in use.

Using this option, the user can get an estimated budget cost for the maintenance of aircraft for a
future time duration.
Calculations are based on defined hourly rates which can be as basic as a flat/average hourly rate or
model different shift patterns. Different hourly rates can be assigned to different Trade codes if
desired.
For items that are not included in the Forecast such as defects and material prices a sampling period
is used which is defined in months. In the case of defects, labour is weighted by utilisation during the
sampling period vs the expected utilisation in the budget period.
Material prices are collected from one of 3 sources, Acquisition Cost, Overhaul Cost and Repair Cost.

AMP preload. Users can then specify which source reflects how they will be satisfying that material
and the system will use that cost accordingly.
1. Workcards items. A table shows details of the workcards for the forecast that do not
belong to any package or visit. Double clicking on any workcard row shows a popup which
allows users to edit the cost details of that maintenance item, this includes the labour
hours and cost, any materials preloaded and their costs, the addition of new materials and
supplementary costs not covered by maintenance directly in OASES. The Cost Category can
also be changed if this item should belong in another Cost Category.
Example Workcard
Materials that are identified from the preload will have the cost source selected as
specified when producing the quote. That cost will be displayed if the system can
determine one for that source. In the example above the consumables have had the
Acquisition Cost source selected as they will be used up. The Rotable part is going to be
overhauled so the Overhaul cost source has been selected and the system has found the
average overhaul price for that part in the sampling period. One of the materials is covered

4. CFDS: This table includes the defects from the forecast. The table allows editing of the
labour hours and total labour costs.
5. Material Pool Agreements: This table displays the Material Pool Agreement costs for the
budget duration.
6. Associated Costs: This table displays the Associated Costs details for the budget duration.
7. Budget Defect Costs: This panel displays the cost for estimated defects in the budget
duration. This is calculated based on the defect for the aircraft during the sampling period
which is then weighted by the utilisation in the sampling period vs the budget period. The
labour rate is the default Line Maintenance trade code rate, set in the default time category.
The total cost is the product of the rate and the labour hours. The user can change the
labour hours and the total labour costs manually if desired.

supplementary, material pool, associated costs and the overall total.

A new Task Status filter has been added to the Task cards filters in SF15 Maintenance Workbench,
this allows the selection of more than one Task Statue. For example, it is now possible to filter on
Open and WIP progress tasks (depending on what Task Statuses have been defined in OASES)
When using SF15 Maintenance Workbench to enter defects, previously the user was required to
enter the Task Status and also set if the task was deferred or rectified. The task status already
defines if the task is deferred or rectified therefore the drop down to set if it was rectified has been

Its now possible to use the Technical Records integration parts of SF15 Maintenance Workbench
without using the Electronic sign off. This allows OASES users to benefit from the advantages of NRC
raised and progressed in SF15 Maintenance Workbench updating the defects in LE33 Tech logs
when closing the Works Order without a fully electronic process.
When using Technical Records integration, the rectified dropdown has been removed and the status
of the defect is now entirely driven by the NRC Status field.

A new table has been added to LE41- Tech Log/FBV Display that lists the NRC used to rectify the
defect. Drilling down on these shows the NRC in SF15 Maintenance Workbench.
Defect Progress
The SFDC options including SF15 Maintenance Workbench will now allow editing and booking off
tasks where the end date of the works order has passed. This allows any corrections to be made after
the Works Order has been completed. When the works order has been closed off in WC34 Close
Works Order and Update Technical Records or WC35 Close Workschedule, bookings can no longer
be made and tasks will be locked down to read only.
