Follett Directions: To take inventory of your collection WCPS Notes

Your goal is to enter the barcode number of each unaccounted-for copy in


your collection. The following list gives an overview of the general procedure
for Inventory:
1. Set up a schedule before you start. This will help you keep track of Go to Reports > Library Reports > Statistics > Collection Statistics
what you have done and what areas you still need to inventory. Summary. Use this report to identify and fix any nonstandard prefixes you
might have in your collection.

Fix the nonstandard call numbers before inventory so you dont get error
messages during inventory. Click the hyperlinked number in the last column
to find the item that needs its call number fixed and edit the call number.

After all are fixed, print this report and use it as your checklist for completing
inventory.
2. Make sure you have selected your preferred shelf-checking options. No need to select anything! You should not use self-checking so go to step 3.
3. You can have multiple inventories open at one time and switch
between them. Start New:

Either select an existing inventory to work on from the Inventory list,


or click Start New to begin a new one.

On the Start Inventory page that appears, you can specify the copies On the Start Inventory page, give your inventory a name like Nonfiction 000-
to include: 099, Reference or Story Collection and fill in the call number range
accordingly.
o You can limit it to copies in a particular call number range. Inventory your collection in sections by call number range. Use the ranges
listed in the Collection Statistics Summary report. For example, if you are
working in the 200s, enter Call Numbers from 200 to 299. Why work in
sections? If you scan a misshelved book from the 400s, Destiny will alert you
with a warning sound and message. Just reshelve the book correctly.
Follett wont let you break down any prefix ranges. You have to
inventory the entire group with that prefix. For example, if you enter
FIC AAA to FIC AZZ for the range, Follett ignores anything after the
space. So it thinks you are inventorying the entire fiction section.

You can break down the dewey call numbers 000 099, 100-199,
etc. or even 700-749 and 750-799, but you cant break down anything
with a prefix. Using a range of REF 000 REF 399 will set you up to
inventory the entire reference section as if you had entered REF - REF.
Using a range of FIC AAA FIC AZZ will set you up to inventory the
entire Fiction section as if you had entered FIC FIC.
o You can limit it to copies with specific Circulation Types. Accept default. No need to update.
o You can exclude any copies that have been seen recently. Set date to the day you begin this new section of your inventory.
4. Scan, enter, or upload the barcode numbers to account for your Scan barcode numbers. Do not upload a list of numbers.

scan an item outside the range or have some other problem. There will be a
warning message on the screen.
5. Once you are sure you have entered the barcode numbers for all the
copies, review the list of unaccounted-for copies by clicking %
Complete beneath Inventory on the Inventory page, and then See
Details next to Unaccounted for:
o If you can locate any of the copies on the list, click Found to
account for them.
o If you cannot locate a copy, click Mark "Lost" to account for it You can also wait to mark items Lost during step 7 when you Finalize.
and change its copy status to Lost.
6. Review the Lost Copies list.
To open the list, click % Complete beneath Inventory, and then click
See Details next to Accounted for.
o If you can locate any of the copies that had been Lost, either
click Found on the Lost Copies list or enter the barcode directly
on the Inventory page to make it Accounted-for and change its
copy status to Available.
o To delete a lost copy from the collection permanently, click During this step, only delete if you know for sure the item is gone and there is
Delete on the list. no student responsible who has to pay for it.
Remember that deleting a copy deletes all information about
it, including its circulation statistics.
7. Once the Unaccounted-for total on the Progress Details page is 0
(zero), your inventory is complete. Your inventory of that portion of your collection is complete.
Yes, mark the copies Lost. If you find them later as you continue your
Click Finalize and then Yes on the confirmation message. If you still inventory just scan them during inventory or check them in to return them to
have any unaccounted-for copies, a message appears, asking whether available status.
Inventory should mark them Lost.
Repeat these steps for the other sections of your collection.
To see a list of lost books, go to Reports > Library Reports > Catalog Titles & Copies > Library Title & Copy List. Show titles With lost copies and output as
Microsoft Excel.

This report shows the date an item was marked Lost. If an item stays Lost for 3 inventory years it should be deleted. There are always exceptions, so you can
delete sooner or later as appropriate. There is a way to batch delete these items using the info in this report so you dont have to manually delete titles one at a
time.
