Job Description/Profile
Background of Position

Manager Pharmacy Operations is the position responsible for the administration, planning,
controlling and business development as well as quality services set up of the Pharmacy. The
expansion in the scope of services of the pharmacy such as becoming more patient care
oriented as well as progressive business approaches leads to the generation of more focused
positions in the pharmacy HR model instead of limiting position to supervisor or manager
pharmacy.

Therefore, for a smooth and foresighted running of a set up there must come a one focused
position who is responsible for the overall operations to make it ascertain to timely encounter
the flaws that may cause any issue in operations

Qualification & Skills

Basic Pharmacy degree (graduate) with preference of post graduate management


courses or qualification

Minimum 2-3 years experience in a supervisory role being responsible of much of


the similar task and targets as this position describes.

Registration with the pharmacy council.

Good in Microsoft office and Presentations.

Strong Leadership and problem solving approach.

Ready to meet the challenges.

Major Job Responsibilities

1. Team Building & Leadership

The position core responsibility is to possess a good leader for building a team within the
working vicinity so that a long term dedicated personnel may benefit the company

2. Planning & Development

1. To set up pharmacy short and long term goals to achieve the targets set by the
senior management.

2. To establish pharmacy routine (day to day) schedule of work that will help in
smooth working of the services as well as help in team building by guiding the
staff how to work.
3. To prepare current and future business targets that must be discussed with
senior management as well to keep them a loop.

4. To design pharmacy basic operational policies such as opening hours,


emergencies hours, staff procurement ratios, staff placement , wedges,
procurement of inventory (along with the supply chain officer), business terms
and conditions, inventory procurement and handling, and pharmacy internal
and external audit plans.

5. The position needs to participate in management meeting and is responsible to


present and to get endorsed all its proposal.

3. Administration & HR

a. Manager operations is responsible to make sure that pharmacy opening


hours are to be followed as per the set terms and conditions.

b. To design the Standard Operation Procedures so that an environment of


quality of work could be inculcate, may also be the part of the job.

c. The position is responsible to prepare job and job description when required.

d. This is also responsible for the planning training and special skills required
to be learnt by the staff for a better and progressive work environment.

e. She/he has to coordinate with general HR department for performance


appraisals and staff training.

f. Manager operations is also responsible for the discipline and code of


conduct that must not be breached by the staff.

4. Business and Procurement

1. The position is also responsible to continuously look after the figures to


prevent any loss to the pharmacy. This is the most integral part of the job.

2. She/he needs to maintain a direct liaison with the supply chain or


procurement department to get best available options of trade to secure
benefits.

3. She/he needs to design a best complaint formulary which satisfies the whole
team including management, physicians and patients.

4. Preparing short and long business projects and becoming a part of


marketing plan is also the requirement of the job

5. Clinical and Patient Care

1. Manager pharmacy operations is directly responsible for making sure that


the patients must be treated well by setting up a complain box system so
that can obtain a more uninterrupted picture of the services provided by the
staff themselves.

2. Planning of clinical and quality care procedure will help in rendering the
services

3. She/he must review the protocols and prescriptions along with the clinical
pharmacist so that any unfavorable outcome would be notified in time.

6. Reporting/Accountability

1. The position is responsible for submitting monthly progress report to the higher
ups

2. She/he must have weekly/monthly meetings with the subordinates and with
the reporting authorities

3. Responsible for submitting monthly inventory closing/audit report specifying


the discrepancies

4. Annual staff appraisal reports must be forwarded to the HR with


recommendations.

5. She/he also responsible for submitting monthly business & clinical evaluation
report as well.

6. The position also requires to adapt timely responsibilities and presenting


reports as required by the management.

7. Assigned Authorities

1. The position is authorized to hire and fire up to the staff pharmacist whereas
senior pharmacists and supervisors appointment and termination needs to
have an approval from the higher management.

2. The position reserves the authority to suspend any of its subordinate who is
over lapping the rules and regulations for maximum one month of time.

3. She/he has the authority to the waiver of late arrival of the staff.

4. The Manager operations reserves the rights to hold on any drug procurement
if not satisfying with the standards.

5. The Manager reserves the rights to forward the recommendations in


pharmacy therapeutic committee.

6. She/he may bears any timely authority assigned by the management coming
forward.
