Quirino State University BSIT Online Information System

Project Context:

An information system (IS) is an organized system for the collection, organization,

storage and communication of information. More specifically, it is the study of

complementary networks that people and organizations use to collect, filter, process,

create and distribute data

Online information system is a web-based organized system for the collection,

organization, storage and communication of information. An internet connection is highly

recommended to access the said information system of a certain company/establishment.

Bachelor of Science in Information Technology is a course offered at Quirino State

University. The proposed system wants to create a website or create a link at the present

QSU website to publish different information that is needed to be put online. Through this

site, students can be updated with the organizational structure of the CITCS department,

the present Student Council Officers, Announcements, Upcoming Events and many

more.

One thing that this system wants to do is to create a link wherein the compilation

of BSIT theses are being stored online. BSIT students are required to create a thesis in

order to graduate. Students sometimes struggle thinking and creating their thesis

because some lacks idea and experience in creating research/thesis papers, thus this

title, BSIT Online Information System is being proposed to help students who are

struggling on thinking about their thesis title.

The proposed system wants to focus on the Online Compilation of BSIT Theses.

All the theses that was being done for the previous years starting year 2012 up to date
will be posted on the site. The abstract, description of the study and other necessary

information will be posted. This aims to help students have ideas of what the previous

graduate students had done and for them to come up with a new title.

Brief Description:

The proposed system wants to create a website or link on the present website of

QSU wherein necessary information of the BSIT Department is being published online

like CITCS Organizational Structure, current Student Council Officers, Announcements,

Event Board and Compilation of BSIT Theses.

Purpose of the Proposed System:

The main purpose of the proposed system is to create an Online Information

System for BSIT. This is to help BSIT students be updated with whats happening on their

department, who are the officers, and help students on their thesis. The system also is

being created to promote Bachelor of Science in Information Technology.


Review of Related Literature and Studies

On a study done by Gazo Namoglu (2012), Virtual Student Information

Management System (VSIMS) LLC was established by a group of charter schools and

provide organization in Pennsylvania to develop technology to support its member

schools.

In the study conducted by M.Willson (2011), an information system can be

explained as an assortment of components which are mainly used for collection, the

processing, storing and the dispensing of the information in order to back up the important

processes of decision making and commanding or controlling in any organization. Adding

to these function m, an information system also helps the managers of the business and

others levels of individual in the workforce of an organization to analyze problems,

envision complicated subjects and also help in the development of new ventures and

projects.
There exist various types of information system today like:

1.Transaction Processing system.

2. Management information system

3. Decision support system

4. Expert system.

A management information system is a well devised system of accumulating,

processing, storing and dispersing or distributing the data available in the form information

which is a vital for carrying out the important functions of managing in an organization. It

can also be explained as a document or a well arrange report of all the proceedings and

activities which were devised at some point of time and then carried out. According to

Kotler (2006), management information system comprises of manpower, instrument, and

processes to accumulate, classify, examine, assess, and then dispensed to the decision

makers in an organization can be understood to be a system of human beings that are

dependent on each other. An organization is seen as a forever altering entity.

Organizations today exist in an environment that is not certain and highly unstable. In this

age of globalization, things alter themselves at a very fast pace.

Heather L. Johnson Baseler (2011) on her study, student information System,

commonly referred to as sis, was released initially in 2005 in collaborated effort between

Students Academic Affairs Office (SAAO) and the Office of Educational Technology

(OET). The objective was to take Banner Student information and create a more user-

friendly interface for tracking students information, reporting on the information, and

further assisting with College of Education needs which could not be met by Banner.
In the spring of 2006, created the technical inform action specialist position to

improve response time to SIS developmental needs as well as to assist users and created

new modules and reports. As of May 2007, SIS is being used by the entire SAAO staff,

graduate Department Support Staff, and a group of 18 faculty members.

In response to faculty needs and confidentiality concerns, another version of SIS

was introduced the winter of 2006, referred to as SIS Lite. This version is specifically

design for faculty users. It is trimmed down version of SIS that allows faculty to see only

their advisees data. Though the interface is similar to the full SIS, it is more compact and

offers filters for faculty but has the same reporting ability as the full version of SIS.

SIS continued to develop through the 2008-2009 year. Fall 2010, functionality

began to move away from SIS Graduate Application processing and review moved to

grad Apps, a tool develop by ECE in engineering, with support from units and college

administration. Spring 2011, the application to the UG major moved from a paper process

a tracked in SIS to a web application tracked and reviewed via a web tool. This was also

with support of the units, reviewcommittees, and administration. The Award committees

for the 2011-2012 award years also used web tool to review application and make

decision.

The decision to move away from SIS is due largely with performance and reliability.

Access, the tool SIS is based on, has become unreliable and to costly (in development

time) to maintain and develop. Other tools are now available that provides similar

functionality with more reliability and less cost to the college, these new tools also provide

business functionality that SIS currently does not provide such as committee reviewing.
The college has decide to move away from SIS or many of the administrative operations.

Currently the Grad Application and UG ICT/ Transfer application have moved to web tools

for submission and committee review. The goal is that one day, student records and

other functions provided by SIS will moved to web tools as well. This move will allow users

to access information from any computer platform and any location with a Bluestem or

Active Directory authentication. This move also provides improved performance for users.

The Chief Information Officers IT group is taking the lead on this moved with

support the Education Administration, including Student Academic Affairs. SIS request,

recommendation, problems, or other assistance is best directed to

edsissupport@ad,uiuc.edu. This Email address is monitored by the Heather Johnson

Baseler and Kathy Stalter, both of whom are responsible for various aspects of SIS and

SIS Lite.

Based on the study made by Minston (2009) designed for use by district. Schools

Regional Information Centers (RICs) big 5 City Scholl District centers, and other

individuals interested in understanding how the accountability system used by New York

State fulfill No Child Left Behind (NCLB) requirements works who is responsible for

submitting data to the New York State Education Department (NYSED) ; and what, when,

and how data must be submitted to NYSED to enable New York State to fulfill federal and

state accountability requirements, schools and district must report certain data to the New

York State Education Department. All Scholl administrators must understand the

requirements of New York States accountability system so that they can use these

reported data to improved student achievements continually, and to meet the

accountability standards.
AISIS Online (2006) posted a precise definition of Ateneo Integrated Student

Information System (AISIS) serves as the portal for Ateneo students, faculty and staff.

Through the AISIS Online officially enrolled Ateneo students may view pertinent school

information including their Individual Program of Study (IPS), grades, class schedules and

the like. Students may also eventually enlist using AISIS Online. Ateneo faculty and staff

with access to AISIS, on the other hand, may submit grades and access their class

schedules from outside the campus.

Villafania (2007) reported that in the Philippines, the Commission on Higher

Education (CHED) has initiated programs to secure academic records. CHED and the

National Printing Office (NPO) have signed a memorandum of agreement (MOA) on the

Securitization of Academic Records for college and university graduates beginning school

year 2007. The move is part of CHEDs drive to stop the use of fake diplomas and school

records. CHED former chairman Carlito Puno said the MOA aims to secure authenticity

of academic records such as diplomas, transcript of records and special orders from all

colleges and universities in the Philippines. Thus, protect the image and integrity of

Filipino College students to potential employers both locally and internationally. Puno

emphasized further that the MOA would boost the competitive edge of the graduates in

the labor market for it will ensure the integrity of credentials of the graduates while

protecting the reputation of higher institutions of learning.

According to the Republic Act No. 10175 known as the Cybercrime Law (2012);

The State recognizes the importance of providing an environment conducive to the

development, acceleration, and rational application and exploitation of information and

communications technology (ICT) to attain free, easy, and intelligible access to exchange
and/or delivery of information; and the need to protect and safeguard the integrity of

computer, computer and communications systems, networks, and databases, and the

confidentiality, integrity, and availability of information and data stored therein, from all

forms of misuse, abuse, and illegal access by making punishable under the law such

conduct or conducts.

In relation to this, the input, alteration, or deletion of any computer data without

right resulting in inauthentic data with the intent that it be considered or acted upon for

legal purposes as if it were authentic, regardless whether or not the data is directly

readable and intelligible.
