Hospital are the essential part of our lives, providing best medical facilities to people suffering from
various ailments, which may be due to change in climatic conditions, increased work-load, emotional
trauma stress etc. It is necessary for the hospitals to keep track of its day-to-day activities & records of
its patients, doctors, nurses, ward boys and other staff personals that keep the hospital running
smoothly & successfully. But keeping track of all the activities and their records on paper is very
cumbersome and error prone. It also is very inefficient and a time-consuming process Observing the
continuous increase in population and number of people visiting the hospital. Recording and
maintaining all these records is highly unreliable, inefficient and error-prone. It is also not economically
& technically feasible to maintain these records on paper.

Hospitals deal with the life and health of their patients. Good medical care relies on well-
trained doctors and nurses and on high quality facilities and equipment. Good medical care also
relies on good record keeping. Without accurate, comprehensive and up to date and accessible
patient notes, medical personnel may not offer the best treatment or may in fact misdiagnose
the condition, which can have serious consequences. Associated records, such as x-rays,
specimens, drug records and patient registers, must also be well cared for if the patient is to be
protected. Good records care also ensures the hospitals administration runs smoothly;
unneeded records are transferred or destroyed regularly, keeping storage areas clear and
accessible; and key records can be found quickly, saving time and resources. Records also
provide evidence of the hospital’s accountability for its actions and they form a key source of
data for medical research, statistical reports and health information systems.

“Hospital Management System” is developed to computerize the following functions that are
performed by the system:

1. Using this hospital management system user can take online Appointments
with the doctors.
2. Admin can register new patient through this system.
3. Admin can also check Discharge Detail of a patient form discharge report
generated by the system.
4. Discharge of Patient – admin can discharge patient through the system and
this information will display to other users like receptionist and accountant.
5. This system is also keep records of Patient’s Disease.
6. Admin can also check the report of admitted patient or admitted patient any
time. Like total number of admitted patient in the given time in the hospital.
7. Admin can also check the availability of the doctors in the hospital.
8. Administrator can add new doctors in the system and can also check all the
doctors list of the hospital.

administration & control, superior patient care, strict cost control and improved profitability.

Hospital management system is a computerized system designed and programmed to deal with
day to day operations taking place. The program can look after inpatients, outpatients, records,
database treatments, status illness, billings in the pharmacy and labs. It also maintains hospital
information such as ward id, doctors in charge and department administering. The purpose of
the project is to computerize the Front Office Management of Hospital to develop software
which is user friendly, simple, fast, and cost – effective. It deals with the collection of patient’s
information, diagnosis details, etc. Traditionally, it was done manually. The project outlines all
the process followed to come up with the software that is from analysis to testing the system.

The Hospital Management System (HMS) is designed for Any Hospital to replace their existing
manual, paper based system. The new system is to control the following information; patient
information, room availability, staff and operating system schedules, and patient invoices.
These services are to be provided in an efficient, cost effective manner, with the goal of
reducing the time and resources currently required for such tasks.

A significant part of the operation of any hospital involves the acquisition, management and
timely retrieval of great volumes of information. This information typically involves; patient
personal information and medical history, staff information, room and ward scheduling, staff
scheduling, operating theater scheduling and various facilities waiting lists. All of this
information must be managed in an efficient and cost wise fashion so that an institution’s
resources may be effectively utilized HMS will automate the management of the hospital
making it more efficient and error free. It aims at standardizing data, consolidating data
ensuring data integrity and reducing inconsistencies.

PROFILE OF ANY HOSPITAL:

Hospitals currently use a manual system for the management and maintenance of critical
information. The information is very difficult to retrieve and to find particular information like-
E.g. - To find out about the patient’s history, the user has to go through various registers. This
results in inconvenience and wastage of time. The current system requires numerous paper
forms, with data stores spread throughout the hospital management infrastructure. The
information generated by various transactions takes time and efforts to be stored at right place.
Often information is incomplete or does not follow management standards. Forms are often
lost in transit between departments requiring a comprehensive auditing process to ensure that
no vital information is lost. Various changes to information like patient details or immunization
details of child are difficult to make as paper work is involved. Manual calculations are error
prone and take a lot of time this may result in incorrect information. For example, calculating
patient’s bill for various treatments. Multiple copies of the same information exist in the
hospital and may lead to inconsistencies in data in various data stores

The project Hospital Management system includes registration of patients, storing their disease details into the
system. It will also contain doctor's information and will digitalize the whole billing system. This software has
the facility to give a unique id for every patient and stores the details of every patient and staff automatically. It
includes a search facility to know the current status of each room. User can search availability of a doctor and
the details of a patient using the id.
The Hospital Management System can be used by entering respective username and password. It is accessible
either by an administrator or receptionist. Only the respective person can add data in the database. The data
can be retrieved easily. The interface is very user-friendly. The data are well protected and data processing is

Scope
The proposed software product is the Hospital Management System (HMS). The system will be used in
any Hospital, Clinic, Dispensary or Pathology labs in any Hospital, Clinic, Dispensary or Pathology labs
to get the information from the patients and then storing that data for future usage The current
system in use is a paper-based system. It is too slow and cannot provide updated lists of patients
within a reasonable timeframe. The intentions of the system are to reduce over-time pay and increase
the number of patients that can be treated accurately. Requirements statements in this document are
both functional and non-functional.
