Library Systems Management maintains and updates the Integrated Library System (ILS).
Several centrally based servers support Library Media Services’ circulation, cataloging,
inventory, and PAC functions. Individual Library Media Centers access these servers through the
AACPS wide area network. The card catalog/PAC can also be accessed from home at
https://opac.aacps.org .
The Circulation module keeps track of all materials in the collection. It uses the database
maintained by the Cataloging module, so whenever a record is added or edited in Cataloging, it
is immediately available to the Circulation module. Staff can enter "on-the-fly" item entries
directly through the Circulation module. MARC data records are imported into the database by
our central office staff.
Over 1.6 million items are checked out each year to students and faculty.
The PAC also provides access to a variety of electronic resources such as databases, e-books,
OneDrive/Office 365, etc.

Logging into the Circulation & Research Stations
• The user name at your school is: XXXX-MEDIA. XXXX represents the 3-4 character
abbreviation for your school's name.
• Your school abbreviation is visible when you are already logged into the computer. Look
at the lower right corner of the screen when logged in:
In this case the abbrevation is RIVA, making the sample ID: RIVA-MEDIA
You may also ask your school support tech or Mark Stockett for the school abbreviation.
This circulation ID will also be used as the generic login for the research stations located in
Media Centers.
• You may not post or tape the password, etc. to computer stations.
• Adults, not students, should enter the login information at each station.
Since staff and students will be logged in under this generic ID, be aware that any information
saved on the network drives under the generic ID can be accessed and deleted by students.
• Do not save any sensitive information or documents under the generic ID. Students will
be able to read and delete anything you have saved under the generic ID.
• Save any sensitive information or documents while logged into the network with your
personal ID.
Remember, all PCs in the school have access to the card catalog/OPAC. Users can log in with
the teacher or student personal id.
• STUDENTS: Select Web Resources. For students, the shortcut for your school card
catalog will be available.
• TEACHERS: Select Faculty Applications. Teachers will have access to the shortcut for
the county card catalog.

You should now be in the Check in “mode” for LS2Staff as seen below.

Press the <F11> function key to display the whole LS2Staff screen. Screen resolution should be
a minimum of 1024X768. If required, your support tech. can adjust the screen resolution.
Notice that the Borrower Services “tab” is active. The Staff Services tab is also available.
These tabs contain the functions that you typically use in LS2 Staff.
The search term box can be used to search for a borrower. The Smart Search button located
next to the search box allows you to narrow a search to name, userid, etc. The Search button
starts the query for the specified search.
The Help button is located near the lower right corner of the LS2 Staff screen.

Checking out an Item
Select Search.

The basic information for the patron should now appear. Notice the Home Location Only and All
Locations check boxes. This allows you to narrow or broaden your patron searches.
If this is the correct patron, click on Select Borrower or double click the appropriate patron name.

You are now ready to check out items to the patron.

The item and date due should display.
If you wish to alter the due date, prior to scanning an item use the Change Date button to “force”
a due date other than the calculated due date.
Please note that the override prompt uses the same password is “OK”.

Checking in an item
Notice the In House check box/setting located at the bottom of the screen. Selecting this option
prior to check in indicates the items was used in the Media Center but not checked out.
Notice the Special Status option for Check In. Selecting this option prior to check in indicates
the items was Lost, Claims Returned, Claims Never Checked Out, or Damaged.
Lost - The item will be marked lost and the user has a choice of charging a fine or not to the
patron’s account.
Claims Not Checked out - Use this when the patron says he/she never checked the item out.
Claims Returned - Use this when the patron says he/she already returned the item.
Lost: Staff Action – The item will be marked lost and there will be no charge. Use this after you
have searched the shelves for an item and you cannot find it.

The returned item should appear on the screen.

Clear Check In List removes/clears the list of items that have been checked in from the screen.

How to create a fine/charge on a patron record
You are now viewing the patron record on the Check Out screen.
On the list of item(s) listed on the patron’s record. Check or highlight the item to be marked lost
and charged to the patron.

Select Lost and confirm the fine/charge amount.
Select OK.

Paying a fine/charge
While you are viewing the patron’s account on the screen, select Charges.

The item(s) and amount owed should be displayed on your screen.

To pay the entire amount, leave the payment type as Cash and enter the full amount in the
Payment Amount box.
Select Pay.

You may print a receipt by selecting the Print “button.”

Notice the Payment History button that when selected will allow you to toggle between the
current charges and the patron’s payment history.

How to delete an item in LS2 Staff
Select the Staff Services tab located at the top of your screen.

The simplest method is to type or scan the item barcode. ISBN searches are also very accurate.
If searching by title, be extremely careful to select the correct record.

Creating an On-The–Fly (OFT) Record
Be sure that you have searched for the item in the Holdings Editor or LS2Staff first. Only create an OTF
record if you could not locate an exact, matching record in the Holdings Editor or LS2Staff.
1. After logging into circulation with your “advanced” id, select the Staff Services tab.

Students, Teachers, and Responsible Parties
Technology extracts the teacher and student information from Chancery/SMS and gives it to us
as a text file that we import each night into the library system.
Some data problems might prevent teacher information from being exported. Since Media has
no access to the Chancery/SMS system to view the actual data, we usually have to rely on what
the library media specialist or school secretary tells us about the teacher’s record. When a
situation is not resolved, we contact the Help Desk to help determine what is actually the
problem is the SMS records.
Any changes might take a couple of days to reach the library database. This includes changes to
last names.
If a group of students do not have a responsible party, it is very likely that the teacher that
should be assigned to these students is not being exported to the library system for the above
mentioned reasons.

LS2 Reports / Cognos Reports
If you are using Internet Explorer, please enable the Compatibility View setting.
Log on with your provided User ID and Password. The User ID is your school’s four digit
number and the password is the zip code.
The Public Folder contains all of the standard reports supplied by TLC. My Folders can contain
“shortcuts” to your frequently used reports.
The folder names indicate the general type of reports that are contained in the folder.

Selecting Schools and then Notices will display the reports available in this folder. Notice the “trail” or
path of folders is displayed. You may select any of these folders to return to those areas (Schools or the
Public folder).
Each report name is an active link that will initiate the report.

You must complete each required response/box in order to select the FINISH button.
In this case a list of all items for Annapolis E will be generated that includes the price but not the
borrower ID numbers.

Reports typically produce a PDF, printable report. The report can be printed or even
downloaded.
The report can also be changed to other formats. The report must be a PDF for any barcode
reports to print properly.

Basic Printing of Reports
In Chrome:
If you still get a blank page as the printed result, uncheck and recheck Fit to page for
Chrome. This forces a rest of the choice and the results should now print.

When unsure of how to locate a report, use the keyword search. This will search the report
titles and descriptions.
Creating a “shortcut” or report view to a frequently used report can save time. After running a
report you can use the Add this Report option listed on the right hand side of the toolbar.
A shortcut wizard window will appear. It will atomically use My Folders as the location for the
shortcut. Simply select FINISH.

Overdue Items and Items Out
Overdues and Claims Returned Notice (located in the Custom folder). It will list overdues and
any claims returned items now have that status indicated.
Borrowers and Items Checked Out, Lost, and Fines by Responsible Parties Popular for some
secondary schools as an Excel file.
Borrowers and Scannable Barcodes by Responsible Parties. A report used to print class lists
with student barcodes. Be sure the report is displaying as a PDF for barcodes.
Shelf Lists
Items in a Holdings Code. This reports lists the call number, author, title, copyright, barcode,
status, and checkouts for items in a given holdings code.
Keyword Searching
Although the path to locate each report is given. Please use the keyword search box to locate
these and additional reports as needed.

Accessing the Online Catalog and Databases
You may log into the PC using the xxxx-media “generic” account or personal id.
All PCs in the school have access to the card catalog/OPAC. Log in with the teacher or student personal id.
STUDENTS: Select Web Resources. For students, the shortcut for your school card catalog will be
available.
TEACHERS: Select Faculty Applications. Teachers will have access to the shortcut for the county card
catalog.

School based access typically not require an ID and password to access a database.
Home/remote access will require the use to authenticate using an ID & password for each database.
If accessing e-resources from home, considering using the MackinVIA prompt located on the PAC me nu
to simplify access to online databases and e-books.
Select the MackinVIA menu prompt located on the top menu bar and choose your school from the pull
down menu. Enter your ID number from the school library circulation for the User ID. The Password is
the last four digits of this number. You will should now be authenticated for all databases and e-books
at this point.

Searching the PAC by Lexile Level
You can choose to search a single number or a range. When you type in a Lexile measure, a range is
automatically populated on the right, from -100/+50 based on that number, but that range can be
overwritten. Select the bullet for whether you want to search the single Lexile measure or the range.

Real Time Inventory
“Shelf Order for Holdings Code” report should be run before beginning inventory
It is very important to run this report before any items are scanned. In Reports Manager, the report can
be found in Public Folders >Serials and other modules> Inventory folder. This report will look odd to
you at first as it gives you each unique call number and the call number Type. If any call number errors
are seen, (odd or incorrect numbers out of order on the list) follow your library or school’s procedures
for having these corrected before beginning inventory for the collection. This report should be used to
track where you have to stop or start as you scan a collection.
Please note that you may substitute the report Items in a Holdings Code. It provides the same
information and many users are already familiar with it. Consider running Items in a Holdings Code for
the big book collection. Many items default to the big book holdings code when an error in entry is
made.
Be sure to make note of the date that you started inventory for this collection. You will need this
information when you run the Identify Missing Items process.

Accessing Real Time Inventory
To access Real Time Inventory, use this URL https://opac.aacps.org/rti You will be presented with the
following login screen:
Log into the system using a valid circ user/password. This is your school number and zipcode. Choose
Scan Items if you would like to start or continue the inventory process or ‘Identify Missing Items’ if you
would like to identify your missing after you have completed your inventory process. Note: A ten (10)
minute period of inactivity any time after logging in will result in an automatic log-out of the program,
requiring you to log in again. No data will be lost, but your data may not be viewable on the screen.

Choosing the branch and collection
If you chose Scan Items when logging in, the Library.Solution Inventory Processing; Setup screen will
display. If you chose Identify Missing Items, proceed to page 6. From here verify that your location is
listed at the top of the screen and choose the collection you wish to start the inventory process for.
Typically, you will choose one collection at a time to scan. After choosing the collection, click the double
right arrow button or double-click your mouse to move that collection to the ‘Collections to Scan’
column. If your wish to check the shelf order or ignore overdue fines, check the appropriate option.
Once you have made your selections, click OK. It is advisable to maintain a log of your inventory process
so you can track your progress. Note: If you are using the Metrologic Bluetooth scanner, do not scan
“Enable Inventory Mode”, as per the inventory Mode Quick Reference sheets. Normal circulation
settings for the scanner are all that is required for Real Time Inventory.

Verifying your items
While you are scanning items, be sure to verify what you are scanning is correct. (Bear in mind, if your
session times out, this data may not be viewable). If the item is correctly on the shelf, the program
records the current data as the inventoried date in that item’s record. If the item has a status other
than on the shelf, the program will verify that the item can be safely checked in immediately. If the only
special action required to be taken is to charge or waive an overdue fine, the item will be checked in and
the inventoried date set as the current date. Items that produce an error message will be highlighted in
the list, along with a pop-up windows containing the error message.

Error Messages
If checking in the item will result in the need for operator action such as the item filling a hold, item was
previously marked as lost with outstanding charges or paid fees to be handled, the item must be
transferred to another location, or the item is not listed in the database, the operator will be required to
take the item to the circulation desk, and the circulation system will prompt you on what action needs
to be taken next. If you have access to circulation on the computer you are using for RTI, you may wish
to have that program open in a different tab in your internet browser in order to deal with these
situations as they arise. If you believe any message is in error, double-check the barcode and/or rescan
the item.

To identify missing items, login using a valid circulation user/password and choose Identify Missing
Items.

To see what items were marked missing, you may now open L.S Reports Manager and run the Missing
Items in a Holdingscode report. In Reports Manager, the report can be found in Public Folders >Serials
and other modules> Inventory folder.
