I. EXECUTIVE SUMMARY
PurpleTravel is one of leading tourism companies at domestic and foreign market,
which was established in 1995. During 20 years, company has gained many achievements
and prestigious awards. PurpleTravel also has been outstanding position, which is
considered as fierce competition in tourism industry as well as a trusted company in
customers’ mind. With 200 employees who are active, professional, and reliable,
PurpleTravel usually bring best quality services to meet the customer’s need from first
stage to last stage during their tour.
However, nowadays there are many new and active tourism companies, which are
threat to company because PurpleTravel brand is recognized as old and less active.
Especially, in internal staff relation, the competitiveness working environment amongst
departments leading to lack of solidarity and corporation. From then, that has affected the
company by customer complaints is increased, slow down the work process and staff
quality is also decreased in the eyes of customers. Even more, on December 2017, Purple
Travel will celebrate its 20th year anniversary to look back what company have done and
evaluate the achievements over years.
Our proposal would be planned within 9 months, starting September 2016 and
implementing on the end of October 2016. Based on 3 objectives to carry out this project:
 Over 70% employees understand more clearly of fair competition between
departments and cooperation in work within 3 months.
 Enhance positive attitude of employees in order to improve working environment
and coordinate closely between departments of organization.
 Minimize unfair competition in working place and increase coordination between
departments through organization’s mission.
With those objectives, our group will develop a strategy and appropriate tactics so
that proposal could be put into practice effectively and efficiently. The core strategy in
proposal is building friendly working environment, healthy competition through following
tactics. Firstly, the workshop would be performed named: "Getting Closer" takes place
within 3 weeks, and every week have different a topic. Secondly, the campaign "Smile,
and “Have a nice day”” will develop a habit of smiling and greeting each employee when
they met every morning. In addition, a viral clip of this campaign will be created and played
on the LCD screen at the lobby. Finally, teambuilding programs could be performed 2
times named "Amazing Race: PurpleTravel Version" on March and May 2017.
After that, proposal also figure out some ways to evaluate the tactics used in the
campaign. Each tactic will have appropriate evaluating way to determine success easily
and effectively.

II. STRATEGIC COMMUNICATION PROBLEM (SWOT)


2.1. Internal
2.1.1. Strength
PurpleTravel is a perennial brand with sustainable development over twenty years.
This shows that the company has extensive experience in managing staff and personnel
arrangements. In addition, staffs will have many experiences in organizing and designing
tour.
Achieved many prestigious awards at domestic and foreign shows that companies
increasingly gain the trust of both customers and experts in tourism field and it is also one
of the leading enterprises. Therefore, PurpleTravel is considered as a relatively good and
stable workplace for staffs.
The company promotes a working environment with self-discipline and
competitiveness that helps boost working spirit and improve the quality of work of staffs.
Besides, PurpleTravel company has built up relationship with the customer and the media.
From then, the staffs are partly helped to complete the tasks easily and efficiently.

2.1.2. Weakness
Over twenty years of establishment and operating in the field of tourism,
PurpleTravel is recognized as a brand which was old and relatively less dynamic than
emerging new travel companies recently. Even in the way of working of the company still
not yet fully catch the trend, so it’s less attractive to young and dynamic human resource.
Although the working environment is competitive, wrong and unfair competition
leading to the loss of solidarity and cooperation between departments that makes the
workflow interrupted and the quality of work decreased day by day.
Outdoor activities that bring solidarity and cooperation to the staff are still limited.
Leading to no interpersonal connections and connections amongst departments to
cooperate better in the jobs. Concurrently, scope of work capacity of the staffs is still
restricted and they only focus on technical skills of departments they work for so that they
cannot fulfill customer requirements quickly and efficiently.

2.2. External
2.2.1. Opportunity
Many new, young and dynamic travel companies have been appearing on the
market, entailing changes and newer trends. This is both a requirement and an opportunity
for PurpleTravel’s staffs to constantly change and improve themselves in order to keep up
the fresh and dynamic trend in today's tourism market. Since then, increasing
competitiveness and the ability to adapt to different circumstances.
Today, the integration amongst countries makes traveling more and more easily. On
the other hand, the living standard of the people is also being enhanced. Therefore, it can
attract more tourists and customers tend to look for reputable companies. PurpleTravel has
the advantage in this respect, may attract more customers, and create more jobs for staffs.

2.2.2. Threat
There are many young and dynamic competitors in the sector, while PurpleTravel
has disadvantage when it is considered as old and less active. If staffs do not update quickly
new ways of working, they will be eliminated to make room for newcomers who are young,
dynamic and have efficient way of working.
The tourism sector in general and the PurpleTravel company in particular will
somewhat be affected because of the natural disasters, terrorism, protests that bring
negative impacts on tourism.

2.3. Problem:
According to SWOT analysis we have above, the company has been operating for
20 years but they still need to constantly change as the market requirements. On the other
hand, especially in the weakness, indicating problems with internal staff that is due to the
tourism market requires changes; resulting competitive environment in work is
increasingly fierce. This makes staffs have no solidarity and cooperation. Since then,
leading to consequences affecting the company, customer complaints increase more and
more, slow down the work process and staff quality is also decreased in the eyes of
customers.

2.4. Recommendations:
From the above problem, we offer some recommendations. Firstly, the company
should create a friendly working environment for staffs; help them not to feel pressure
when doing the job. Secondly, organizing outdoor activities is very necessary to connect
them and create the solidarity and cooperation between departments. Finally, managers
should always encourage and timely support to staffs when they encounter difficulties. In
addition, building an internal social network for staff to settle in time when having
problems at work.

III. POSITIONING STORY


PurpleTravel was founded in 1995. Until now, company has always been a leader
in the era of domestic and foreign tourism, thanks to the dedication and profession in
organizing and providing tourism services. PurpleTravel always set strict standards for
customer services, pay attention to the development of value-added, bring customers core
values and practical benefits. Not only domestic tours are refreshed constantly,
PurpleTravel also improves services, diversifies prices to customers for easier selection.
For foreign tours, PurpleTravel always introduce new and interesting travel places with the
most scientific arrangement. Since then, it awakes customer endless passion of travelling
and experiencing new cultures.
Annually, PurpleTravel serves over 2 million customers with 3 billion USD revenue
and contribute to the development of the country's tourism and other economic sectors.
Moreover, Purple Travel was honored to become a business which gain international
awards such as: “The best Outbound of the Year”, “Outstanding Tour Operator
2011”, "Asia’s Leading Travel Agency", etc. During 20 years sustainable development,
PurpleTravel is reaching top 10 of leading travel companies in the Asian region in 2020
with the target of achieving 100 million customers, and building tourism office networks
in core markets around the world such as: USA, France, Hong Kong, Malaysia, Thailand,
Singapore, etc.

IV. STAKEHOLDER ANALYSIS


With a PurpleTravel’s proposal for internal staff, there are three specific
stakeholders includes director of departments, team leaders and employees. These
stakeholders would be analyzed by position and role in decision process to any situation of
company. Also, stakeholder would be analyzed in order to determine the stakeholders’
level of influence on their business and in this project. Significantly, internal staffs are
identifying as the stakeholders that are being at level to keep satisfied because the level of
general public interest for internal staff is low while their power is high. They directly
affect the operation of the company as well as the impact on sales, results and
achievements, brought reputation to PurpleTravel. Therefore, these stakeholders should be
more concerned; creating an environment and good working conditions for them,
motivating them to work more and more efficiently, which helps company to improve
products, service quality and even reputation.

4.1. DIRECTORS OF DEPARTMENTS:


4.1.1. Definition
The director refer who has control over the conduct, direction, supervision or
management the activities of corporation. Each department within corporation as
Administration, Finance and Accounting, HR, Sale and Marketing, PR, and so on would
be overseen by each specific director. In addition, directors who always report directly to
vice president or CEO to let them know progress of organization.

4.1.2. The role of directors of departments


Generally, directors of departments would ensure the company’s stability by
generally directing the business process, dealing with challenges and issues relating to
corporate governance, corporate social responsibility and ethical issues in business. In
addition, sometimes directors are also responsible for meeting of appropriate interests of
its stakeholders and shareholders.

4.1.3. The importance of directors of departments in this project


For this project, directors of departments play an important role and affect the changing of
working environment and contribute to proper orientation about the competitive nature of
the employee's job. Moreover, they are also influence on awareness of internal staffs or
employees among departments.

4.2. TEAM LEADERS:


4.2.1. Definition
Team leader who has abilities to inspire confidence and support member in their
group. A person who ensures the team to complete their tasks effectively and efficiently,
maintain working relationships, and linking our team with manager, directors or others on
goals, objectives and achievements.

4.2.2. The roles of team leaders


For company, team leaders are representative voice for linking team members and
as a bridge between the team and the directors of the departments. They also develop and
executive strategy according to the vision of the company to their team. Team leader should
have strong communication to manage group conflict, solve the problems, inspire and
severe members in their group in order to complete tasks on time.

4.2.3. The importance of team leaders in this project


For the project, they bring an important role and influence in changing the awareness
of employees about healthy competition among team members and among groups of its
department.

4.3. EMPLOYEES:
4.3.1. Definition:
An employee is people who are hired for a specific job and who works in the service
of someone else or performs services for an organization if the organization can control.
Worker is classified as an employee as follows:
 A specific wage or salary
 An implied or written contract, and
 Control of the person's work by the employer

4.3.2. The role of employees:


Employees are the powerful partner and friend in the job so building good
relationships with subordinates is a priority factor to become successful leaders. They are
people who directly involved in performing the assigned tasks and are also an important
factor in deciding whether the job is successful or not, whether the goal has been met or

not. For the business, subordinates should be concerned more by the leadership; and
learned experience and professional skills to improve the quality of work.

4.3.3. The importance of employee in this project:


For the project, the employees are acting as direct objects with the largest number,
at the same time, difficult to access quickly, but they are essential to reach. As analyzed
above, they are people who directly execute work, so if they understand fair competition
and to cooperate with each other, work flow will be smoother and better.

After stakeholder analysis, specific and effective strategies will be set to match the
three target groups, from which to change working environment, and departments can
cooperate better, improve working quality more and more.

VI. THE CAMPAIGN


With the strategy is building a friendly working environment, healthy competition, project
would promote 3 tactics for PurpleTravel such as the workshop chain, the actual campaign,
and teambuilding program within 9 months from October 2016 to June 2017.
6.1. TACTIC 1: WORKSHOP CHAIN: “GETTING CLOSER”
In order to change the awareness of employees in present working place and change
the negative preconception in competition of employees, workshop chain will be
performed which called “Getting closer”.
Three workshops will be hold with 3 different topics but the same purpose – making
employees from different departments become friends and creating friendly working
environment.

6.1.1. Objective:
Over 70% employees understand more clearly of fair competition between
departments and cooperation in work within 3 months.

 Workshop 1: October 8th, 2016 and October 15th, 2016
 Workshop 2: February 20th, 2017 and February 17th, 2017

Employees can open relationships and remove the distance with their colleague as well as

6.2. TACTIC 2: CAMPAIGN: SMILE, AND "HAVE A NICE DAY”


Developing a habit of smiling and greeting of each internal staff when they met
every morning.
Creating a viral clip of this campaign and it will be played on the LCD screen at the
lobby.

6.2.1. Objective:
Enhance positive attitude of employees in order to improve working environment
and coordinate closely between departments of organization.

6.2.2. Time:
After the first workshop until January 09, 2017

6.2.3. Key Message:


This campaign is being implemented aims to reduce competitive pressures in the
working environment at PurpleTravel company, as well as to create a peaceful and friendly
atmosphere. Thus, the company can connect human relationships between their staffs at
workplace; also promote the operating process more efficient and uniform.

6.2.4. Execution Plan:


The campaign will be carried out in every morning when staffs entered the building,
they will smile and say: "Have a nice day" with any others that they meet from the lobby
to the office. Also, the elevator in the main lobby will have an LCD screen running a viral
clip with the connecting people message.

6.3. TACTIC 3: TEAM BUILDING: "AMAZING RACE: PURPLETRAVEL


VERSION”
Perform 2 times in year entitled: "Amazing Race: PurpleTravel Version."
6.3.1. Objective:
Minimize unfair competition in working place and increase coordination between
departments through organization’s missions.

6.3.2. Time:
Teambuilding are organized into two times. The first time was held on March 2017
and the second time would be held on May 2017 (Each time consists of 50 people).

6.3.3. Key Message:


Teambuilding was organized to ease the pressure after stressful working days. In
addition, it can also be seen as a reward to boost morale of the employees. Besides, this
activity also contributes to increased solidarity, teamwork, and helps employees from
different departments have the opportunity to interact with each other more, and understand
each other. From the result, we can reduce the pressure of competition at work, as well as
creating a friendly, environment, and more efficient to provide a healthier atmosphere for
employees.

6.3.4. Execution Plan:


The program will be held on two days and one night in Dalat city. Consisting of 10
teams participating, each team has 5 members and a representative color. All teams will
start at once, then go to designated places available for the task and find a “secret letter”
for the next challenges. We have five blocks, two team finished last in each block will be
disqualified. After five blocks in the match, the last remaining team will be the winner. The
winning team will receive a trophy designed by the company, and 5 travel vouchers to
EUROPE worth $ 10,000.

VII. EVALUATION
7.1. TACTIC 1: WORKSHOP CHAIN: “GETTING CLOSER”
Rate of participate in project: The number of participants in planned activities, their
active participations, their contributions will help company evaluate their understanding of
the topics and change their thought of competition little by little.

Rate of activities’ effective: In the end of each workshop, we will do the survey of
participants’ satisfaction of the topic and activities.

Working diary: Employees will weekly evaluate their satisfaction of work and
working place, their productivity and their feeling of the changes in the company. After
that, employees should freely write the working diary and send to manager every week.

7.2. TACTIC 2: CAMPAIGN: SMILE, AND "HAVE A NICE DAY”


Participation in project “Smile, and “Have a nice day””: Observing and evaluating
the rate of participation in the project of “Smile, and “Have a nice day””. If the participation
were high rate, it shows that the employees would be excited with the project; and accepted
these changes in working place.

Number of complaints: Computing and comparing the number of complaints from


customers before and after the project. It will be success if the number of complaints
decreased.

Observation: Managers will observe and evaluate the change in each department
and the communication between departments.

Customer satisfaction: Do the survey of the satisfaction of customers to the

coordination between departments monthly. Measuring the productivity and effective of
each department.
