INTRODUCTION
Inventory or stock is the goods and materials that a business holds for the ultimate goal to
have a purpose of resale (repair).
Inventory is the raw materials, work-in-process products and finished goods that are
considered to be the portion of a business's assets that are ready or will be ready for sale.
Inventory represents one of the most important assets of a business because the turnover of
inventory represents one of the primary sources of revenue generation and
subsequent earnings for the company's shareholders.
Inventory and Ordering is a discipline primarily about specifying the shape and placement of
stocked goods. It is required at different locations within a facility or within many locations of a
supply network to precede the regular and planned course of production and stock of materials.
The concept of inventory, stock or work-in-process has been extended from manufacturing
systems to service businesses and projects, by generalizing the definition to be "all work within
the process of production- all work that is or has occurred prior to the completion of production."
In the context of a manufacturing production system, inventory refers to all work that has
occurred - raw materials, partially finished products, finished products prior to sale and departure
from the manufacturing system. In the context of services, inventory refers to all work done prior
to sale, including partially process information. - [INV 2009]
The importance of studying the inventory system is to keep track of the flow of goods.
Inventory systems are designed to tell you where each product will be going, how much is being
sold when you need to order more and which products produce the greatest profit. All business
relies on inventory system which plays a vital role by accounting all goods or products.
They also show where a particular item is in the flow of sales whether it is in the warehouse
or on a store shelf. The main purpose of inventory system is simply to enable a business take the
stocks and appropriately manage their goods and products. This study aims to design and
construct an INVENTORY and ORDERING SYSTEM, to provide an easy access in getting
their orders and verify their bills.
This system greatly lightens the load, as the entire process of taking orders is automated.
Once an order is placed in the webpage, its data will be saved into the systems database and then

retrieved, in pretty much real-time, within this application, all items in the order list are
displayed, along with their corresponding options and delivery details, in a concise and easy to
read manner. This allows employees to quickly go through the orders as they are already placed
and produced the necessary items with minimal delay and confusion.
Kagay-anons loves singing with in their hearts out in music and KTV bars. So it’s easy to
understand that mostly and one of the rising businesses in the city is karaoke bars. LED KTV &
BAR is one of the few popular and unique ones. Located along the busy Corrales Avenue, LED
KTV opened in mid-2013. Its concept (KTV & Bar) and interiors immediately made the place
popular among fun-loving Kagay-anons and guests. Not long after it opened, LED KTV & Bar
became a certified favorite hangout of many.

General Problem
Modernize technology have become part of the life for accessing almost any kind of
information. Life in the 21st century is full of technological advancement and in this
technological age it is very difficult for any organization to survive without utilizing technology,
especially when it comes to ordering and inventory process. As years passed by, this process is
very hassle of the employees and it takes much of time to make data entry concise. This problem
will be setting up more fast and reliable ordering process. The problem is not realizing
efficiencies that would result from better applications of technology in their daily operations.
Every order has a counter where you can place your order and then make the payment. So every
employee for taking the order processing the payment consumes time.

Specific Problem
Long-time consumption.
The experience of customers in ordering process is very unsatisfactory since they need to
wait for a long period of time.
During peak hours, staffs will manually record orders. And customers wait their orders in the
counter. It takes time for the customer to wait until the orders are ready,
This problem will result to supplier on customer. When data and information where the
products are being delivered it must have a concise detail on what he/she orders.
Data are not always reliable as it is written manually and prone to human errors.
Some of the employees easily forget the data of the reservation that has been reserved by the
customer.
Difficulty in searching and retrieving files
It consumes too much time when searching for the data of a customer, and sometimes it might
get misplaced.

General Objectives
The objective of the study is to develop a reliable, convenient and accurate Ordering and
Inventory System that will give consumer the fastest and easiest way of taking orders according
to their choice and a system that will track its supplies.
Specific Objectives
When one customer placed its order, it should be in the in efficient way and compromising.
The satisfaction of every customer is the main purpose of the business. In this module, it will
enable customers to order custom meals without wasting time and effort waiting in line.
In this module, it will ensure correct data process and that customers have a visual
confirmation that their order was placed correctly. The data then be the placed to its database and
customer bill will be ready for all customer concerns.
In this module, the system will monitor all data entry of stocks where entire products inside
storage/stock room are being kept and to track all daily transactions. This module helps locate if
the stocks is being delivered correctly and easy to generate reports.

Current State of Technology
Apparently, the business establishment is currently using the traditional manual system of
sales service processing. That of which includes an everyday set of recording and as an old
practice it is unreliable because if someone forgets to write orders/sold products it can affect the
outcome of the records. Considering that it is a small line of business, technically speaking there
is a less need of those requirements. The problem arises when recently; one of the staff of the
station misplaced the records of the sales. Over time, they notice that the current manual system
they’re using is not that reliable. In order to help the establishment to have a reliable and hassle
free way of recording the sales, all the transactions are done manually by using papers, pens and
calculators.
So far our proposal is the Ordering and Inventory System that is being worked on the
computer. This system will stand as replacement of the old technology that the LED KTV &
Bar been using up to this present. Since the old system was inefficient and it causes many
uncertainties in terms of security and data accounts, the results of this new system will help solve
these problems.

Maintain a Customer Invoice Record
• This records all the amounts to be collected from customers. One record for
each customer invoice.
• Provide the capability to create reports where user defines data fields to be
selected, sorted and printed.
• Allows the updating of multiple customer invoices at one time from a single
customer payment.
Limitations:
There’s no feature to automatically prohibiting the customer if it’s not in legal age yet.
No reservation features.

REVIEW OF RELATED LITERATURE
This study seeks to provide interpretation on related problems of Led KTV and Bar. In
order to undertake this situation, the company had decided to take a crucial action regarding with
doing a system in order to make their work less hassle and more efficient. The study includes
local and foreign study, and different references that are relevant to the studies and the researcher
also cited a number of the related literature made by different researchers. This literature will
help the researchers in analyzing and finding the issues that this present study may encounter in
the future .The proposed system aims to developed desktop application for facilitating
ordering and inventory process at the establishment.

food offerings in the local scene together with favorite drinks and you are set for a night you will
surely remember. The proponents of their system also contains made within the system,

proposed system will enable the administrator to generate reports.

In this phase, the researchers have gathered all essential information about the company
conducted a study and made an analysis. The researchers decide if the project should go ahead
with the resources' availability and considers the feasibility of the project and how this project
improves their business. The researchers also review all the possible course of actions that might
help solving the said problems, made a test and aims to answer all probable questions that may
ask.

MAINTENANCE
When the system is already implemented, it needs to be maintained and there will be some
changes to take place. It could happen when there some unexpected errors occurred especially
during the initial implementation and should be edited to correct the problems.

The proposal system will be utilized by LED KTV/Bar for them to have a systematic way for
reserving the rooms. At this point, the system is made and tested all its functions to have its
correct output. This system gives easy accessed on the web and reserved a rooms at easy way.

FINDINGS
LED KTV/Bar’s Ordering and Inventory System is designed to reserve rooms and efficient way
of doing business. The problems will eliminate through the use of the system. This system will
give significant change to the company on the way of having transaction to their customers. The
technological advancement of the company will help to reduce problems pertaining to the
operations and the development of this system will also help the company to grow and to
improve their business operations.

CONCLUSION
The researchers develop a system and gather idea on how to give this system the capability to
enhance business transaction by providing the customers the ease. The researchers assure that
this system will generate all the information needed by all the customers to give them the
convenience on how to reserve a room online. The researchers will give the business a
competitive advantage through the use of the system which will give effective an efficient way
of doing business.

RECOMMENDATION
The researchers recommend LED KTV/Bar to use this system to improve the
effectiveness and efficiency of their business transactions while lowering the operational costs.
This system can also give LED KTV/Bar more customers since the accessibility of their reserved
rooms are very satisfaction towards to the customer. The researchers also recommend the
company to have a fast internet and a personal computer for a purpose of accommodating the
walk-in customers or the customers who wants to avail.
