STRUCTURE OF AN APPLICATION
LETTER
• The address of the writer
• The date of writing the application
• The name and address of the employer
• The salutation
• The opening paragraph
• The body of the application
• The concluding paragraph
• The signature
1. The Address of the writer
• An application begins with the address of the writer and by far
this is the most important part as the reply would be received
only if address is correct. It is, therefore, necessary for the
writer to place his address in a conspicuous position so that
the reader may be able to see it easily. The usual form of
writing the address is – top right – hand corner.
2. The date of writing the
application
• It is always desirable to put correct date on the application.
The date should normally written below the address on the
top – right hand corner.

3. The Name and Address of the
Employer
• The name and address of the employer is equally
important. This should generally be written above the
salutation.

4. The Salutation

• Proper selection of the salutation is necessary.


Distinction must be made between “Sir” and
“Dear Sir”. “Sir” is more formal than “Dear Sir”.
5. The introductory or Opening
Paragraph
• Much depends on your opening sentence. Your first
sentence expresses your sense of writing application and
your general intelligence. In general, the opening
paragraph is meant to contain a statement of the
applicant’s desire to be considered for the post, and it
can be expressed simply and directly, such as:
a) In response to your advertisement in this morning’s
“The Tribune”, I submit my application for the above –
mentioned post (E.g : Post of administration assistant)
in the light of my qualifications and experience given
below.

b) In reply to your advertisement in today’s the Job.street, I
request to be considered for the post of a ‘Senior Clerk’ in
your firm and as desired by you I give below a short
description of my qualifications, age, experience, etc.
c) Having heard from one of my friends in your service that
you need an Account Clerk in your office, I offer my services
for the post and hope that you will give me an opportunity o
proving my worth in due course.
d) With reference to your advertisement in Kompas.com dated
10th November 2018, for the post of Consultant IT, I have an
honour to offer myself as a candidate for the same and
submit the following for your kind consideration:

e) Having seen your advertisement for an accountant in
today’s “Detik.com”, I offer my services for the vacancy.
I give below particulars regarding my qualifications,
experience, etc., and hope that you will give me an
appointment at a time most convenient to you when I
may call at your office for an interview.
f) Two years’ experience as a Software Engineer in the
personnel department of a large company qualifies me,
I believe, for a similar position with your firm
6. The Body of the Application

• Here a brief account of age, qualifications, education,


experience, etc is to be given. The applicant should try to
convince the employer about his suitability for the post.
Mention may also be made reference whom the employer, if
he so desires, may contact to find out about the conduct and
suitability of the candidate for the post.
• While writing this part of the application, the applicant should
realize that his fitness or otherwise for the job would depend
upon his age, qualifications and experience and as such these
particulars must be carefully drafted and then written – read
and re – read to avoid mistakes of any kind.
6. The Body of the Application

• A mention may also be made about the


following facts, where necessary:
a) Interest in going on tour
b) Willingness for serving anywhere in the
country
c) Knowledge of foreign languages
d) Owning and driving a car, motorcycle, or
bicycle, etc.
7. The Concluding Paragraph
• The concluding paragraph of the application is as important as
the opening or the introductory paragraph. Here, an
assurance is generally given by the applicant that he would do
his best to give entire satisfaction to the employer in case he
is selected for the job. A request for an interview is also made
in this paragraph. A few examples of closing paragraphs are
given below:
a) I beg you to assure you that I shall do my utmost to please
you with my hard and honest work.
b) I trust you will grant me the favour of an interview
c) I shall be glad to be favored with an interview
d) Should you please call me for an interview, I shall be glad to
give you any further information you may require
7. The Concluding
Paragraph
e) I shall look forward eagerly to hearing from you
f) I hope you will not disappoint me and give me a chance to
fulfill the ambition of my life.
g) I hope my application will receive your favorable
consideration and that you will select me for an interview
h) Although I am almost fresh graduate from junior college, I
am anxious to do my best in any kind of work that may be
entrusted to me
i) I sincerely hope that you will let me have a reply at an early
date so that I may call at your office for an interview
8. The Signature
• In case of a typewritten application, the handwriting of the
applicant will be judge from his / her signature only and as
such special care must be taken in writing it as legibly as
possible.
• In case of a female, the applicant should clearly state by
writing the word Miss or Mrs in brackets before her signature,
e.g (Miss) Victoria Beckam, (Mrs) Gal Gadot
