instruments will be free from defects in material or workmanship for a period of one year from
date of invoice.
SPECTRO SCIENTIFIC'S SOLE OBLIGATION AND YOUR EXCLUSIVE REMEDY under
this Limited Warranty and, to the extent permitted by law, any warranty or condition implied by

law, shall be the repair or replacement of parts, without charge, that are defective in material or
workmanship and that have not been misused, carelessly handled, abnormal conditions or
operation, accidents or acts of God, or mis-repaired by persons other than Spectro Scientific or
Authorized Service Provider.
To make a claim under this Limited Warranty, you must return the complete portable instrument,
transportation prepaid, to Spectro Scientific Factory Service Center or Authorized Service
Location.
The determination of whether any product has been subject to misuse or abuse will be made
solely by Spectro Scientific. If a hardware defect arises and a valid claim is received within the
limited warranty period, at its option and to the extent permitted by law, Spectro Scientific will
either
(1) repair the hardware defect at no charge, using new parts or refurbished parts that are
equivalent to new in performance and reliability,
(2) exchange the product with a product that is new or refurbished that is equivalent to new in
performance and reliability and is at least functionally equivalent to the original product, or
(3) refund the purchase price of the product.
Spectro Scientific may request that you replace defective parts with user-installable new or
refurbished parts that Spectro Scientific provides in fulfillment of its warranty obligation. A
replacement product or part, including a user-installable part that has been installed in
accordance with instructions provided by Spectro Scientific, assumes the remaining warranty of
the original product.
After an issue with the unit has been verified, the offending module where the issue originates
should be returned to the factory for repair by authorized Spectro personnel.

BN Analysis Quick Start Guide
This guide is only if you test piston underside (used) oil for
engines of 1 - 8 cylinders. Refer to the appropriate section(s)
in this guide if you have more cylinders or multiple engines or
want to test clean (inlet) oil.
1. Press the power button on top of the FluidScan to boot the
device to the BN Menu. BN Test is selected by default.
2. Press the Select button to open the Select Label screen:
3. Scroll to highlight a cylinder from 1 - 8 and press Next.

4. You may be prompted to run a new Background check or to clean the test cell. As soon as
you see the Cell is Clean message, you can begin measuring samples. Press OK.
STOP: Do not press OK again until AFTER you have placed the fluid in the test cell AND
returned the cell to the test position. Otherwise the test will start before the sample is ready.
5. Open the test cell and add 2 drops of oil to the glass:
6. Flip the top half of the cell over and let the magnets close
and seal the cell properly. Do not lift the bottom half to meet
the top half, otherwise the fluid could run off the glass.
7. Return the cell to the housing before you press OK.
Otherwise, you will see the Cell is Out message and you will
have to cancel the test and start over again.

8. Press OK. Results will appear similar to this example.


Results in green are in the Safe operating area (BN >25
mgKOH/g).
Results in yellow are in the Alert operating area between
~10 mgKOH/g and ~25 mgKOH/g.

Results in red are in the Danger area (<10 mgKOH/g). You


must not operate in this area. There may also be more alarm
information presented such as the presence of excessive
soot in the sample that would adversely affect test results:

Press Delete or Save as necessary.

Q1200-Series FluidScan Overview


The Q1200-Series Lubricant Condition Monitor is a family of FluidScans which, as a minimum,
measure the BN of piston underside (PUS) drain oil without the need for new oil references.
Developed in close cooperation with Winterthur Gas & Diesel (WinGD) and Wärtsilä Services, it
provides ship engineers and marine engine builders with an almost instantaneous, highly
accurate way to optimize marine 2-stroke cylinder lubrication: a hand-held infrared analyzer that
measures BN levels based on a sample size of only 2-3 drops of oil.

The Q1200-Series FluidScan represents a dramatic improvement over current testing methods
where oil is typically measured off-site at oil analysis labs or aboard ship using a shaker test kit.
FluidScan eliminates the need for a specialized environment for handling hazardous chemicals
like perchloric acid. It also eliminates the need for a specialist's interpretation of the results,
further reducing the cost and time involved in accurate BN analysis.

FluidScan delivers instant fluid condition assessment based on ASTM D7889.


BN (Cylinder Lube Oil) is correlated to ASTM D2896.
TBN (system and Engine oil) is correlated to ASTM D4739.

A FluidScan can be connected to a computer and managed using a free application called Fluid
Manager. Fluid Manager software and documentation is included with the FluidScan.
It can be used as a stand-alone device or used in tandem with other Spectro Scientific devices.

How it Works
FluidScan measures the oil absorbence spectrum in the mid infrared range of 2.5 –12 μm.
Instead of using FTIR technology, which is more widely used in oil analysis laboratories, a
diffraction grating based optics with detector arrangement is used for better portability and
durability.

A small sample of 2 - 3 drops is placed in a glass test cell.
Infrared light is beamed at the fluid sample and any light passing through the glass goes into a
waveguide, which totally encloses the infrared beam thereby minimizing interference while
maximizing efficiency.
The waveguide then carries the light to and from a prism-like diffraction grating and finally passes
into an array detector which collects the infrared spectrum of the fluid sample.

Key infrared signatures of fluid condition, established by the Joint Oil Analysis Program Technical
Support Center (JOAP-TSC) and established norms for predictive maintenance and fluid quality
control are used to obtain fluid status in real time (ref: www.ASTM.org). Status and supporting
fluid condition parameters are determined and displayed and the information can be stored
locally or exported.
FluidScan has algorithms for many of the world’s most common lubricant types stored in
memory. These algorithms provide a calibration for most lubricant types so it is not necessary to
physically measure a sample of untainted fluid to provide a baseline for comparative analysis.

Marine Engine Cylinder Oil BN Management
Please note: some of the information provided in this section has been taken from the Wärtsilä
Technical Bulletin RT-161 Issue 2, September 2015, to which you should also refer. This
document is not intended to replace documentation provided by your engine or vessel builder.

Cylinder lubrication in a 2-stroke marine engine has three basic functions:


• Build an optimal oil film between the cylinder liner and the piston rings.
• Keep the piston, piston rings and cylinder liner free of deposits and damage caused by
cold corrosion with the detergent and dispersant properties of the cylinder lubricating oil.
• Neutralize the sulfuric acid formed during combustion.
This user guide supports operators who need to optimize LOFR (lube oil feed rates) to:
• Ensure the optimal and fit-for-purpose supply of lubricant to the piston ring – cylinder liner
system to lubricate and protect components from corrosion.
• Ensure the achievement and/or the extension of the time between engine overhauls.
• Ensure the reliable operation of piston running components while minimizing expense:
using the least amount of cylinder oil with the lowest BN while maintaining an appropriate
level of protection to the cylinder parts.
PUS BN is an ideal metric for feed rate control but previously it has not been used because of the
difficulty in obtaining a BN result that was both fast and reliable enough. With the recent
developments in shipping like slow steaming and reliance on dual fuel handling as a result of the
expansion of low Sulfur Emission Control Areas, Wärtsilä Services and Winterthur Gas & Diesel,
as well as MAN Turbo and major lubricant suppliers are now stressing the need for more
frequent PUS oil analysis on their 2-stroke engines to counter damaging side-effects like cold
corrosion. So serious are they about this, Wärtsilä is now offering an online calculator called the
Piston Underside Drain Analysis Tool for cylinder lubrication oils with BN ≥ 40 into which you
can plug measurements like PUS and output recommendations for LOFR changes.
Typically, LOFR is based on:
• Engine load
• The current feed rate in g/kWh
• The piston underside drain oil residual BN and iron content
• The HFO sulphur content, i.e. the sulfur content in % by mass of the fuel oil in use
• The BN of the cylinder lubricating oil in use in mg KOH/g
With access to PUS data in real time, LOFR (lube oil feed rate) settings can be precisely adjusted
on an hourly basis rather than daily - or even longer - as is traditionally the case.

Managing your cylinder oil BN with a FluidScan in no way implies that you can abandon regular
physical inspections of the piston parts or forget about iron monitoring - but managing your
BN effectively first is a big step in managing your iron issues.

Note: FluidScan measures and reports the following physical units only. Refer to documentation
from the engine or shipbuilder for their instructions to detect and report anything not in the
following list:

Analytical results are given in physical units as follows:
• TAN (mgKOH/g)
• TBN (mgKOH/g)
• Water (parts per million)
• Glycol (percent by weight)
• Soot (percent by weight)
• Unknown Fluid (percent by weight)
• Antioxidant Depletion (percent remaining)
• Anti-wear Depletion (percent remaining)

Cylinder Oil BN and Fuel Sulfur Content


One of the key metrics is matching the sulfur content of the fuel with the correct BN value of the
cylinder oil. You also need to be aware of the amount and type of cylinder oil already in tanks and
pipes. Note: see Wärtsilä Technical Bulletin RT-161 Issue 2, September 2015 for the equations
to calculate these volumes.

The Bunker Delivery Note (BDN) and bunker analysis can show inaccuracy in
measuring the sulfur content and possibly different HFO composition.
The sulfur content used to set the correct feed rate must be whichever is the
higher value: the BDN or the bunker analysis.
Wärtsilä also recommends you start switching over from low BN to high BN cylinder oil already
inside the ECA zone to avoid operation of high sulfur fuel with low BN oil.
Consequences of a mismatch between fuel sulfur content and cylinder lubricant BN are:
• Low BN used with high sulfur fuel: Corrosion of piston rings and liners
• High BN used with low sulfur fuel: Liner polishing caused by deposits on piston crowns
and high wear on piston rings and liners caused by deposits in the ring grooves
Wärtsilä recommends bunkering the highest possible BN cylinder oil for the fuel sulfur content
according to Figure 2 (below). 
For example, if a vessel bunkers fuel oil generally between 1.5% ≤ Sulfur ≤ 3.5%, a BN 100 cyl-
inder oil is indicated.

1. 0.1% < Sulfur < 0.5% m/m.


2. 0.1% ≤ Sulfur < 0.5%.
3. 0.5% ≤ Sulfur < 1.0% m/m.
4. 1.5% ≤ Sulfur < 2.0% m/m).
5. 2.5% < Sulfur ≤ 3.5% m/m.
However, loading up with an oil with a BN higher than you need or using more than you need is
expensive and wasteful. Note: LOFR can be increased when running in new pistons/liners for
Wärtsilä engines as described in the Wärtsilä Technical Bulletin RT-161.
Figure 3 shows how BN measurements fit into four operational areas:

Danger Area: 0 - <10 BN. Damage to pistons and/or liners will occur. Do not operate in this
area.
Alert Area: ~10.0 BN - ~25 BN. Operation in this area is possible with a hightened awareness of
all metrics like iron content and increased physical inspection of piston parts. Damage to pistons
and liners is still possible.
Note: According to Wärtsilä, if the engine is using a fuel with sulfur content < 0.1 % while the cyl-
inder lubricating oil has BN in range 15 to 25, then a residual BN of the PUS drain oil sample
measured at a value above 10 is considered safe.
Safe Area: ~25 BN - ~50 BN. No damage will occur to any piston parts, but operators might
want to consider adjustments to bring the BN closer to the boundary with the Alert Area.
Trouble Area: >~50.0 BN. No damage will occur, but operation in this zone is uneconomical.
Recommendation is to reduce BN (if you are blending on board - see below) or cut the feed rate.
Note: The diamonds in Figure 3 indicate the PUS drain oil sample results used to complete the
Wärtsilä PUS Analysis Tool for LOFR recommendations.

Blending on Board (BoB)

Users can blend different oils to produce a tailored cylinder lubricant. The key interest is that
there will not be a need to adjust the feed rate to various operation conditions. Instead the BN
value of the cylinder oil will be adjusted to keep the feed rate constant.
The residual BN value from the FluidScan will give a clear indication whether the BN of the lub-
rication oil is sufficient. Adjusting the BN value of the lubrication oil by means of the blender to fit
to the residual BN-value will improve the corrosion protection as well as the detergency.

PUS Drain Oil Sampling
Note: Wärtsilä recommends oil sampling for external testing should only be done when the
engine has been in a stable operating condition on a known fuel with the same oil feed rate,
engine load and other variables for at least 12 hours.
With FluidScan, BN testing can be taken during transient engine conditions, especially for
cutovers from low BN and high BN oils. Routine samples should be taken under similar con-
ditions.

Flushing
Flush the system to prevent non-representative drain oil from entering the sample bottle. Flu-
idScan requires a sample of only 2 drops.
1. Close the oil drain valve to allow oil to accumulate for less than 5 minutes, depending on
engine load, feed rate etc.
2. After enough oil has accumulated, open the sampling drain cock slowly, then carefully
blow any old oil into a bucket. When the valve and pipe are thoroughly flushed, close the
sample cock.
3. Open the drain valve to allow the remaining oil to be blown down the drain pipe. This will
only take a few seconds.
4. Close the valve.
Sampling
You need to complete this procedure for every cylinder:
1. Wait for 5 minutes to accumulate enough oil to fill the sample bottles. These are usually
100 ml bottles, but can vary. FluidScan requires only 2 drops per sample. Use the
disposable pipette (part number PV-1012) to transfer the sample from the bottle to a
FluidScan.
2. Open the sample cock slowly, and put just enough oil in the sample bottle for a FluidScan
sample (about 5 ml). It is not necessary to fill the bottle for a FluidScan analysis. If you are
sending the sample out for further analysis, continue to fill to top. Do take note of the
cylinder number for input into the FluidScan device.

3. Close the sample cock.
4. Open the oil drain valve to the normal position so the surplus oil can drain away.
5. Perform the same procedure on each cylinder.
It is good practice to also submit a sample of fresh cylinder oil taken at the engine inlet pipe after
the filter for analysis. There are sometimes contaminants, because wrong oil may have been
delivered or placed in the wrong tank. This ensures that cylinder oil changeover has been
correctly performed and the appropriate oil is in the system.
These samples can now be tested with the FluidScan.

FluidScan Application Libraries


The FluidScan oils and lubricants database is organized into functional categories like high-
pressure gear oil, engine oil, and transmission fluid. Then these categories are grouped into one
or more libraries and licensed to customers based on their testing requirements.
While some marine engineers only want quick access to BN test results, some also want access
to more FluidScan test and display options for other marine lubrication tasks, such as gear boxes,
compressors, hydraulic systems, turbines and transmissions.

The Engine Library was created specifically for Marine engineers interested only in oils from the
following categories:

Due to the large number of lubricant types and individual lubricants throughout the world, the
device allows the end user to create a custom User fluid. Customers using a fluid that does not

already have an algorithm stored in memory are invited to contact Spectro Scientific about the
process of creating an additional algorithm.

Software Licenses
The Q1200-Series FluidScan has three software licenses available with or without libraries
depending on the customer’s application.
• Q1210 - Basic application. A universal calibration to test for Base Number (BN) in marine
cylinder lubricants, but no libraries. Suitable for 2 stroke engine BN monitoring only.
• Q1220 - includes a complete engine library for trend monitoring of 2 stroke and 4 stroke
engines, fueled by HFO, diesel, gasoline, and natural gas. Ideal for marine applications
where both main engine and ship service diesel generators need to be monitored.
• Q1230 - All of the above plus fluid libraries covering hydraulics, gearboxes, gas turbines,
steam turbines, thrusters, compressors and other ship equipment.

FluidScan Controls and Connectors


The following illustrations and descriptions will help you familiarize yourself with the FluidScan:

• Shock Absorber - Minimizes cell slap when cell is opened.


• Magnets - hold lower half of the sample cell open.
• Sample Cell - A patented sampling cell into which a fluid sample is placed for analysis.
• User Interface - Transflective color screen.
• Function Buttons - Used to select instructions displayed in corresponding boxes on the
bottom of the color display.
• Directional Pad - Up, Down; Left, Right and Select.
• Power Button and LED - On/Off. LED is green when on.

Bottom Connector Panel

• USB Client and Host Connectors - Used to connect the FluidScan to a PC for
synchronizing with Fluid Manager, a data stick, a printer; or an optional USB keyboard or
mouse (not supplied).
• Battery Charger Connector and LED - Connects the FluidScan to an AC power adapter
to recharge the battery. A two-color LED shows green when charged.

Device Underside
• Serial Number Label - Contains permanent identification information for the specific
FluidScan. This is required when upgrading software license keys for libraries.
The serial number is also linked to the Certificate of Conformance.
• Battery Compartment - Holds the rechargeable Li-Ion battery.

Power-Up and Proper Power Down Procedures

Use the power supply/battery charger that came with the FluidScan. If you
do not, you risk blowing the internal fuse.

1. Plug the power supply/charger into the FluidScan charger connector.


2. Plug the charger into a wall socket and turn on the power.
3. Press the Power button on top of the FluidScan:

4. The device will boot to the Main Menu:

A 3-segment battery condition meter in the upper right corner will display three green bars when
charged. The lightning bolt icon indicates the device is still charging. A full charge lasts for 6-8
hours of testing time.

Power-Down Procedure
Do not simply power down a FluidScan with the power button. Follow these steps instead:
1. If the device is not already at the Main Menu, press the Main Menu button at the bottom of
any screen.
2. Scroll to Extended FluidScan Functions and press Select.
3. Scroll down to Utilities and press Select.
4. Scroll down to Shut Down Device and press Select.
5. Highlight Shut Down and press Select.

Navigating the User Interface


The FluidScan is totally self-contained, and all commands and other options can be accessed by
using the directional pad to scroll up and down the menu options and one or more of the four
command buttons to control functions like Select, Save, Next, Edit, or Back.
Some screens need alphanumeric input - creating user names or sample labels, for example.
Any time you see an Edit option, press the Edit button to open a software keyboard.

You can also connect a USB keyboard (not supplied) to the USB port.

Scroll around the keyboard using the directional pad and press Select to enter a character. When
you are finished, press Done to continue to the next screen.
Some screens have multiple fields in which you can enter new or edit existing text or numbers, as
in this example of two Wave Number (WN) fields:

In this case, you would press the Tab button to jump between the WN From and WN To fields.

To change characters in a field, use Left and Right on the directional pad to highlight the
character, then use Up and Down to change it.

Selecting the Interface Language


Follow these steps to change the language from the default (English):
1. If the device is not at the Main Menu, press the Main Menu button from any screen.

2. Scroll to Extended FluidScan Functions and press Select.


3. Scroll down to Utilities and press Select.
4. From the Utilities Menu, select User Settings and press OK.
5. From the User Settings Menu, select Set Language.
6. From the Set Language Menu, scroll down to the correct language and press Select.
7. The device will automatically reboot and display in the selected language.

Entering a New License Key


A license key is generated with the appropriate libraries and other options selected. Each time
you update the FluidScan software, the device will assume that you are using the same licensed
options.
Some licenses are defaults only; if you have a license that allows changes, you need to contact
Spectro Scientific to generate a new license key.
Follow these steps to enter the license key:
1. If the device is not at the Main Menu, press the Main Menu button from any screen.

2. Scroll to Extended FluidScan Functions and press Select


3. Scroll down to Utilities and press Select.
4. From the Utilities Menu, scroll down to License Key and press Select.
5. Press Edit to open a software keyboard and enter the license key. Then press OK.

Setting the Date and Time


1. If the device is not at the Main Menu, press the Main Menu button from any screen.

2. Scroll to Extended FluidScan Functions and press Select
3. Scroll down to Utilities and press Select.
4. From the Utilities Menu, scroll down to User Settings and press OK.
5. Select Set Date/Time and press OK.
6. Select the correct Time Zone and press Date/Time.
7. Use the up or down directional pad to set the date.
8. Move the cursor to the right with the directional pad to select the month.
9. Use the directional pad to select the date.
10. Repeat this process for the year and the time, then press OK.

Manual Entry of Viscosity and/or Fuel Dilution Test Results


Users may have other Spectro devices such as SpectroVisc Q3000-Series Viscometer or
Spectro Q6000-Series Fuel Dilution Meter and want to display and/or save this data in the same
screen alongside the FluidScan data.
This data may be synced to Fluid Manager and trended by asset.

Fuel Dilution will only be available if you are testing oils found in the Engine, Engine
- Heavy Duty, Engine - HFO, and Engine - Natural Gas categories.

Follow these steps to include these measurements:


1. If the device is not at the Main Menu, press the Main Menu button from any screen.

2. Scroll to Extended FluidScan Functions and press Select.


3. Scroll down to Utilities and press Select.
4. Scroll down to User Settings, and press OK.

5. Scroll to Allow Manual Data Entry and press OK to display the following screen:

The Allow Viscosity Entry field will be selected by default.


6. Use the Toggle button to check the check-box so you will be prompted later to enter the
viscosity test results.
7. Press the Tab button to select the Allow Dilution Entry field.
8. Use the Toggle button to check the check-box to be prompted to enter the fuel dilution
test results.
9. Press the Update button to return to the User Settings menu.
If you elect to enable this feature, after you have measured a sample, but before the res-
ults are displayed, you will be able to enter the 40C viscosity test result and/or the fuel dilu-
tion result.
The Fuel Dilution and Viscosity results are then displayed along with the fluid chemistry
results similar to this example:

Hiding Unused Fluid Categories


Note: this is for 1220/1230 users only.
The Edit Category Display Filter option provides a means to hide all the fluid categories that you
do not use. For example, if you are only interested in testing engine oils, there is no need for you
to see any other categories.
The unwanted categories will be hidden from view, but they will not deleted from the database.
You can select Show All to restore them.
Follow these steps to hide unused fluid categories:
1. If the device is not at the Main Menu, press the Main Menu button from any screen.

2. Scroll to Extended FluidScan Functions and press Select.
3. Scroll down to Utilities and press Select.
4. Scroll down to Manage Fluids, and press Select to open the Manage Fluids Menu.
5. Scroll down to Edit Category Display Filter and press Select.
6. Press the Uncheck All button.
7. Use the directional pad and the Check button to select only categories that you will use.
For example, you might select only the engine oil categories, then press OK.

Hiding Unused Fluids


Note: this is for 1220/1230 users only.
Just as there are fluid categories that you will not use, the Edit Fluid Display filter provides a
means to hide all the oils that you do not use.
For example, you might only ever use Castrol Cyltech 100, so you can hide every other oil type.
Follow these steps to filter unused oils:
1. If the device is not at the Main Menu, press the Main Menu button from any screen.

2. Scroll to Extended FluidScan Functions and press Select


3. Scroll down to Utilities and press Select.
4. From the Utilities Menu, scroll down to Manage Fluids, and press Select.
5. Scroll down to Edit Fluid Filter Display and press Select to display the fluid categories.
6. Select the category that has the fluids you want to filter out. For this example, scroll down
to Engine and press Next.
This will display all the oils in the Engine category, like this:

7. Press the Uncheck All button to clear the check-boxes.
8. Use the directional pad and the Check button to scroll up and down to select only the oil
(s) you use.
9. Repeat the process for each of the Engine categories, then press OK.

Printing Data Directly From a FluidScan


Follow these steps to enable printing:

You can only print to a special printer available from Spectro Scientific.

1. Connect a USB printer directly to the USB connector on the bottom of the FluidScan with
a USB-A to USB-A cable (not supplied).

2. Scroll to Extended FluidScan Functions and press Select.
3. Scroll down to Utilities and press Select.

8. Whenever test results display, press the << button to begin printing.

Creating Passwords
You can enable a password for the following features:
• Slope adjustment
• Fluid management

The default password is spectroinc1.

1. If the device is not at the Main Menu, press the Main Menu button from any screen.

2. Scroll to Extended FluidScan Functions and press Select.


3. Scroll down to Utilities and press Select.
4. From the Utilities Menu scroll down to User Settings.
5. From the User Settings Menu, scroll down to Set Password and press OK.
6. Press the Edit button to open a keyboard and enter the password, confirm, and press
OK.

3 BN Testing for Marine Applications
This section describes how marine engine builders and other marine operators can analyze used
oil samples for Base Number (BN) value only.
A used oil sample is taken as it exits the cylinder and then analyzed. The test result is measured
against the alarm values, and results are displayed as follows:
• >25 mgKOH/g - Green - Safe area. Corrected piston underside residual BN to avoid
piston ring and liner corrosion.
• ~10 - 25 mgKOH/g - Yellow - Alert area. Corrected limit for piston underside residual BN
to avoid excessive corrosion.
• <10 mgKOH/g - Red - Danger area. Corrected limit for piston underside residual BN and
is likely to lead to excessive corrosion and rapid piston ring and liner wear if not corrected.
Results can be graphed to show the infrared absorbence spectrum; they can be saved and
recalled later, and they can be exported to Fluid Manager for further analysis.

Selecting a Sample Label


1. Press the power button on top of the FluidScan to boot the device to the BN Menu:

2. BN Test is selected by default. Press the Select button to open the Select Label screen:

The sections below explain how you can use the default arrangement of 8 cylinder-labels plus the
Inlet label, or how you can add/delete cylinders or how to create your own labels.

Inlet Label

The Inlet label is used to measure the BN of a sample of fresh oil


before it enters the cylinder. This is optional, but recommended by
some builders - especially when oils are being blended on board.
To do this, measure the Inlet label the same as any of the other labels
described below, but use clean oil instead of used oil. The result will be
displayed on a white background beneath a cylinder BN result similar
to this example:

Using a Default Label for up to 8 Cylinders


The Select Label screen has default labels for the Inlet, plus 8 cylinders. If you have up to 8
cylinders, you can use these defaults with no changes.

More/Fewer Than 8 Cylinders


You can automatically create a label for the number of cylinders from 1 up to a maximum of 16 as
follows:
1. From the BN Menu, scroll to Extended FluidScan Functions and press Select.
2. From the Main Menu, scroll to Utilities and press Select.
3. From the Utilities Menu scroll to User Settings and press Select.
4. From the User Settings Menu, scroll to Set Number of Cylinders and press Select:

5. Use Up and Down on the directional pad to set the correct number from 1 to 16 and press
Select.
For this example, change to 12 cylinders and press Select.
6. Press the Main Menu button to return to the Main Menu.
7. Press the BN Menu button to exit to the BN Menu.
8. Highlight BN Test and press Select, then scroll down and see the new labels you created
for Cylinder 9 through 12:

Creating a Custom Label


Suppose you have two 8-cylinder engines, one Port-side, one Starboard. You can use the
Sample Label function at the bottom of the Select Label screen to create a custom label for each
cylinder in each engine:

1. Press Tab to move the cursor to the Sample Label box.


2. Press Edit to open the keyboard. Hover over each letter and press the Select button until
you have created a custom label. For this example, create the label Port Eng Cyl 1.
3. Press Done to add the label:

In a real situation, you would continue creating labels for each cylinder in the Port-side engine,
then create another 8 for the Starboard-side engine.

Taking the Background Measurement
The Background measurement is an analysis performed when the test cell is empty.
After a fluid sample is analyzed, the Background measurement results are subtracted from the
sample test results; this results in improved accuracy.
If you are in a laboratory setting and you can take sample measurements approximately every 15
- 25 minutes, the initial Background measurement in the morning will apply all day.
However, this example assumes that the Background has timed out and a new one is needed.
1. Scroll down to highlight the label for whichever cylinder you want to test and press Next.
The following message will appear:

2. Press OK to start an automatic cell cleanliness test.

Make sure the test cell is back in the slot inside the FluidScan head before you
continue with either a Background measurement, a cleanliness test, or with a
sample measurement. Otherwise you will see a Cell is Out warning:

If you see this warning, you must press Cancel, return the test cell to the
measurement slot, and restart your test from the beginning.

If the cell is already clean enough for a sample test, you will see this message:

In this case, you can skip down to Testing a Fluid Sample on page 27.

Otherwise, the cell is still dirty from a previous test and you will see this message:

Cleaning the Test Cell


Follow these steps to clean the test cell:
1. Pull the test cell straight up from its measuring position inside the housing:

2. Lay the cell down flat so it is held by the magnets.


3. Open the cell by lifting the top half away from the bottom half. The bottom half will be held
by the magnets:

4. Clean the cell with a non-abrasive lint-free pad (supplied).

Only in cases of very severe contamination should you use a solvent like IPA.
Leave the cell open for 2-3 minutes after using a solvent otherwise the vapors
will contaminate the sample.

5. Close the cell, lift it vertically and lower it back into the housing:

6. You should see the "Cell is Clean" message; if you still see a "Cell is Still Dirty" message,
repeat the cleaning until it is clean enough to continue:

Make sure you lower the test cell back inside the FluidScan head
before you continue with either a Background or a sample
measurement, otherwise you will see the Cell is Out warning.
If you see this warning, press Cancel, return the test cell to the slot,
and restart your test from the beginning.

7. Press OK. The Background measurement starts.


8. When the Background measurement is done, press OK again to confirm you want to use
this measurement.

DO NOT press OK again until AFTER you have loaded a sample into
the test cell as described in the next section.

Testing a Fluid Sample
1. Raise the cell and open it by flipping the top half away from the bottom half so the bottom
half is held by the magnets.
2. Using the disposable 60 µl pipette (supplied), place 2-3 drops of oil on the bottom half of
the cell - just enough to only cover the glass window:

3. Do not raise the bottom half to meet the top half to avoid the possibility of the oil running
off the glass. Instead, close the cell by slowly lowering the top half until it rests on the
shock absorber. Allow 2-3 seconds for the magnets to form a tight seal.
4. Lower the cell back into the slot and press OK.
5. The test results are displayed similar to these examples:
Safe Area Example >25 mgKOH/g with Inlet BN:

Danger Area Example <10 mgKOH/g:


For samples in the Danger area, there may be other notifications present. For example, a
warning similar to this could indicate there is too much soot in the sample for a reliable analysis:

Optional - Press Save to store them for future review and/or graphing.

Viewing Results as an IR Spectrum Graph


From the bottom of any results output screen - whether "live" immediately after obtaining a test
result, or from a saved result that you have reopened - press >> to view a graph of the infrared
spectrum in Absorbence vs Wavenumbers (WN) similar to the example below:

Spectra displays are primarily used by expert users to "eyeball" different fluid
signatures and confirm fluid identities look similar or not.
FluidScan spectrum plots are low resolution and therefore not intended for
further analysis.

Optional - The default spread is approximately 750 - 4000 cm-1, but you can zoom in on any WN
range you choose. The regions with peaks of interest are 950 - 1840 cm-1 and 2590 - 3810 cm-1.
1. Press Tab to enter the WN From field. Use the directional pad to select the digits. For this
example, adjust it to be 950.
2. Press Tab to enter the WN To field. Use the directional pad to select the digits. For this
example, adjust it to be 1700.
3. Press Refresh. This will open a new graph scaled to the adjusted WN settings similar to
this example. (note - this example is not derived from the graph shown above):

4 Managing an Asset Structure

Overview: Descriptor Levels, Asset Descriptors, and Assets


"Measure Asset" in the Main Menu does not literally mean “measure an asset.” It means to
measure a lubricant or other fluid taken from a physical asset - an engine for example. In
particular, you are looking to the fluid chemistry for clues to the operating condition of the asset
from which the fluid was taken.

If you want to measure a fluid sample as a snap-shot of the fluid condition, but
you are not necessarily interested in the actual operating condition of the
machinery from which it came, see BN Analysis Quick Start Guide on page 1.

If you want to measure assets and set up an asset database, it is critically


important that you plan your structure carefully and you define the structure on
a clean database.
Once the structure is defined, you may not delete or add fields once data is
present.
This is a layered structure with Level 1 at the top and up to nine more levels for a total of 10.
Three or four is usual for most users.

Other than Level 1 - a monolithic company - each asset descriptor can support many entries. For
example, there could be more than one location at Level 2, and there are many different
equipment types at Level 3: bulldozers, cranes, trucks, excavators, pumps, centrifuges etc.
Level 4 is where you identify excavator model, bulldozer model, etc. You need to come up with an
identifier for each piece of equipment you have in each model. For example, an identifier for a
vehicle could be a VIN number.
Level 5 is where bulldozers and excavators break down into smaller sub-assemblies: engines,
gearboxes, transfer cases etc, These are the all-important hard assets from where the used fluid
samples are taken. For this example, the identifier for an engine will be a serial number.
Level 6 is a sample port; a drain plug, for example.

Creating Descriptor Levels


1. If the device is not already at the Main Menu, press the Main Menu button from any
screen.
2. Scroll down to Utilities and press Select to open the Utilities Menu.
3. Scroll down to User Settings and press Select.

4. Scroll down to Edit Descriptor Levels and press Select to open the Edit Descriptor Levels
screen:

Descriptor Levels 1 - 10 are created by default, but they have values of <Not Used> so you need
to re-name them to match those in the example table:

5. Level 1 is highlighted by default. Click Edit to open the keyboard and enter Company.

7. Press Save. After a few seconds, you will go back to the User Settings Menu.
Now that the Descriptor Levels have been created, you can add Asset Descriptors.

Adding Asset Descriptors to Descriptor Levels


Now that the Descriptor Levels have been created, you can add Asset Descriptors using the
information from the table for each level:

Do not try to delete or overwrite the <N/A> entry - it is a valid search option.

6. Press Done to return to the Descriptor Levels Menu. Scroll down to Location and press
Select. Press Edit to open the software keyboard and enter the location - Wellington
Mine and press Save. Then press Done to return to the Descriptor Levels Menu.
7. Scroll down to Equipment and press Select. Press Edit to open the software keyboard
and enter the Equipment - Excavators - and press Save. Then press Done to return to
the Descriptor Levels Menu.
8. Scroll down to Model and press Select. Press Edit to open the software keyboard and
enter the Model- Daihatsu K-8 VIN 123A12345 - and press Save. Then press Done to
return to the Descriptor Levels Menu.
9. Scroll down to Sub-Assemblies and press Select. Press Edit to open the software
keyboard and enter the Sub Assembly - Engine- and press Save. Then press Done to
return to the Descriptor Levels Menu.
10. Scroll down to Sample Port and press Select. Press Edit to open the software keyboard
and enter the Sample Port - Drain - and press Save. Then press Done to return to the
Descriptor Levels Menu.
11. Press Done again to return to the Manage Assets Menu.
12. Press Main Menu so you can begin adding assets.

Deleting Asset Descriptors


Delete descriptors by selecting the name in the Existing Values column and press Delete
Selected Descriptor.

You cannot delete a descriptor if it is associated with a physical asset - you


have to delete the asset first.
Deleted descriptors are removed. However, they will still be tied to the data for
any test results that were made with that descriptor.

Adding Assets
Now you have descriptor levels and asset descriptors, you can start adding assets.

For this example, the asset is a Cummins BR-18 diesel engine, Serial # 098765A currently
running Shell Alexia heavy-duty engine oil.
Follow these steps to add the asset:
1. If the device is not already at the Main Menu, press the Main Menu button from any
screen.
2. Scroll down to Utilities and press Select. In the Utilities Menu, the default is Manage
Asset.
3. Press Select to open the Manage Assets Menu:

4. From the Manage Assets Menu, the default is Add Asset. Press Select to open the Add
Asset screen.
5. Press Edit to open the keyboard and enter Cummins BR-18 s/n 09876A in the Asset
Name/Serial No field and press Next.
6. Scroll down to Copco Mining and press Select.
7. Scroll down to Wellington Mine and press Select.
8. Scroll down to Excavator and press Select.
9. Scroll down to Daihatsu K-8 VIN 123A12345 and press Select.
10. Scroll down to Engine and press Select.
11. Scroll down to Drain and press Select.
For this example, use Shell Alexia 50 from the Engine - Heavy Duty category:

Analyzing a Fluid Sample from a Physical Asset


Before you can run a successful analysis, you need to clean the test cell thoroughly.

Cleaning the Test Cell


Part of the analysis includes a background measurement: an infrared scan of an empty cell. If the
cell is not thoroughly clean, you will receive an error message telling you to clean the cell again
before the background measurement can begin.
Follow these steps to clean the test cell:
1. Grasp the test cell with two fingers and pull straight up from its measuring position inside
the housing.

2. Lay the cell down until it is held by the magnets:

3. Open the cell by flipping the top half away from the bottom half. The bottom half will be
locked in the loading position by the magnets:

4. Use a clean non-abrasive pad to thoroughly clean the test cell. Only in cases of the most
severe contamination use a solvent like IPA or Heptane to clean the cell. Leave the cell
open for 30 minutes after using a solvent otherwise vapors might contaminate the
sample.
5. Close the cell, lift it vertically and lower it back into the housing.

Measuring the Sample


1. From the Main Menu, select Measure Asset.
2. A cleanliness test starts. The cell should be clean and the Cell is Clean dialog box should
display; otherwise, clean the cell repeatedly until you see the Cell is Clean message.
3. Click OK to run a background measurement.
4. Run a Background Measurement, and the Select Asset screen will open:

Optional: Press Tab to place your cursor in the Search field and spell out the asset; you will be
taken directly to the Asset List. It might also be found in the Recent field in which case you can tab
to the asset and press Select.

For this example, assume you need to access the asset through the Select Company option:

half until it rests on the shock absorber. Allow ~3 seconds for the magnets to properly
close the cell and form a seal.
4. Lift the cell vertically and lower it into the housing.

When the measurement is complete, the FluidScan starts to analyze the results.

5 Validating Fluids
For this example, a user has a quantity of what he believes to be Mobil 5W-40 engine oil, but has
no way to know for sure. The validate fluid feature allows users to test a fluid to establish a match
score:
• 7.0 -10.0 means the fluid is highly likely to be what it is believed to be.
• 5.0 - 6.9 means the fluid is likely to be what it is believed to be.
• 4.9 and below means the fluid is not what it is believed to be
FluidScan forms matches based on chemistry and class of product (engine or gear oil for
example) and cannot differentiate brand from brand, but the information gleaned from the
sample test can help the user decide how to proceed.

Validating a Fluid
1. Refer to the Fluid Database on page 78 and scroll down to the entry for Mobil 5W-40. The
database confirms that this fluid belongs in the Engine category.

You must always check the database because there are fluids that are
marketed with “engine oil” on the container when the actual chemical properties
identify it as a light gear oil or some other fluid type.

2. From the Main Menu, scroll down to Identify Fluid and press Select:
For the purposes of this example, assume you need to do a Background Measurement
and test a fluid sample as described in the BN Analysis Quick Start Guide on page 1.
3. When the sample measurement is complete, the Select Fluid to Validate screen will
display:

5. Scroll down to Mobil Super 2000 5W-40 and press Next.
6. The software now determines the fluid match and presents the result in the Validate Fluid

The match is based on a “score” but it is not necessary to get a “perfect 10” to be a strong match.
A different sample from the same tank might come up with a different score, or it might match
5W-40 oils from Shell and Texaco with a higher score than Mobil. Oil formulations change
regularly, even though it is marketed as the same brand. The match may differ due to formulation
change, or if the new oil is adulterated or mixed with another fluid, or contaminated in some other
way.

Highly Probable Match


A score of 7 or higher is considered a “highly probable” chemical match with the fluid you thought
it to be - in this case Mobil 5W-40. For quality control purposes, if you consider a 9.0 score
acceptable, you have validated the fluid and you need do no more.

Probable Match
A score between 5.0 and 6.9 is considered a “probable” match, and it is up to the user to decide if
a result within this band is suitable.

You could also opt to use the Subtraction Method for results in this range - see
Measuring a Fluid with the Subtraction Method on page 61

For results in this band, the user needs to consider these two options:
1. Will the FluidScan find a match with another fluid in the database. The database
is being updated all the time, but not all fluids are in there yet. If there is no match for any
other fluid based on chemistry, there is the option to add it as a custom User Fluid (see
Customizing User Fluids on page 48).

Users may find it preferable to create a new User Fluid because it allows them to
customize some parameters and alarms. They are also encouraged to send
clean samples to us for a full laboratory analysis as a User Fluid.
A customized User fluid would be expected to return consistently high match
scores.

2. Can you use the match as the base chemistry for a new User Fluid. This depends
on the test parameters for the matched fluid.
3. For example, suppose there is a match in the database, but it is not in the Engine
category - it is in the Engine - Heavy Duty category. In this case, the match is acceptable
because all engine oils include the TBN parameter regardless of category. If you are
measuring for TAN, then you can’t use any category of engine oil, because none of them
have the TAN parameter.

Refer to Fluid Categories, Tests, and Libraries on page 123 if you need to know
which tests are appropriate in each fluid category.

No Match
A score of 4.9 and below is not considered a match at all. In this case, you have the option to see
if the FluidScan database has any kind of match based on chemistry.
1. Press the Match button in the Validate Fluid screen. FluidScan will search the database
for the closest match to any other fluid.
Note: this might take a while to complete.
2. In this example, FluidScan comes up with a match for the test fluid, but it finds the sample
is not engine oil - the chemistry places it in the Gear - Splash category:

3. Press OK to view details of the highest scoring fluid(s):

You have been able to establish that what you thought was Mobil engine oil turns out to be a gear
oil with a chemistry that closely matches product from several companies. If this is all you wanted
to know for a quality control test, press Cancel to return to the Main Menu.
Otherwise, you may want to know if you can use this fluid as the basic chemistry for a customized
User Fluid.

Overview
A "User fluid" is one where a user can take a fluid in the FluidScan database and tweak the
default alarms and properties and/or apply calibration offsets so the fluid becomes a more
accurate fit for the user's particular application.
For example, the default water alarm limit for Synlube WS 460 gear oil might be fine when used
in a locomotive, but you might want to raise the water alarm limit for use in a marine environment
where you might reasonably expect a higher level of water contamination before protection
breaks down.
The FluidScan fluid database is divided into categories. The device has the ability to match your
lubricant sample with the chemistry of fluids in the database and identify it by category.
For example, there are fluids in the database that clearly market themselves as "engine oil" when
proper chemical analysis clearly shows they are formulated as light gear oils with parameters
unsuited to the user's projected application for an engine oil - although it might work perfectly well
as an "engine oil" in a different application: a 3-hp trolling motor, for example.

Users are also encouraged to send us a clean sample of any lubricant they are contemplating
using and we will analyze it in our laboratory and apply any calibration and offset parameters.

Creating a Customized User Fluid


For this example, create a User fluid based on a heavy duty engine oil.
1. From the Main Menu, scroll down to Utilities and press Select.
2. From the Utilities Menu, scroll down to Manage Fluids and press Select.
3. Scroll down to New User Fluid and press Select.
4. Scroll down to the correct category. For this example, use Engine - Heavy Duty and
press Select to start the background measurement.
5. Place a sample in the test cell and press OK to start the measurement.
6. After the measurement, FluidScan tries to find a match:

A check of the Fluid Database on page 78 confirms that this is a heavy duty engine oil, so it will be
OK to use this as the basic formula for the User fluid.

The FluidScan matches on chemistry only, so you should always select the fluid
that has the best score as long as it has the appropriate parameters. If there are
multiple top scores with the same properties, you can pick any of them, because
the brand makes no difference.
You also need to be aware of the application. An oil in the Engine - Natural Gas
category has the TBN parameter, but it would not be formulated for protection
against soot buildup.
This would make it unsuitable as the User fluid base chemistry for an engine oil
used in a heavy diesel engine running 24/7
7. Press Terpel Marino to highlight it and press Select to open the Matching Substance
screen.
8. Press Select to open the Specify New Fluid Name screen:

Substance ID field: This is generated automatically. If you need this Substance ID later - to
search for a fluid in the table Fluid Database Sorted by Substance ID on page 100 you can
retrieve it as part of Editing the User Fluid Name on page 52.
9. Press the Edit button to open the software keyboard and create a fluid name. For this
example, call the fluid Copco Mining #1.
10. Press Next to open the Select Properties screen:

We recommend you leave all properties in this screen checked as you may not
want to edit them now, but you might well want to later.

This shows the default alarm settings for all properties similar to this screen. For this
example, edit the TBN property, as follows:

It is strongly recommended you have a certificate of analysis for the new oil in
question with the test value in question and consistent with the ASTM test
method used by Spectro to develop the FluidScan algorithm. Call your tech-
nical sales representative with any questions.
Do not rely entirely on oil supplier product data sheets as official references
for modifying this value. These are usually nominal specfications. For this
example, use 9.2 mg KOH/g.
4. Select TBN and press Next to open the Edit Property screen.
5. Press Tab to the FluidScan Measurement Value field and use the directional pad to
change the value to 9.2, like this:

7. The Spectra Match screen opens with the new fluid spectrum in red. The graph shows
the infrared spectrum in units of abs/0.1 mm vs wavenumber (cm^-1).

The new red line has slightly lower intensity than the black line of the reference fluid so it will have
the offset adjusted automatically.
Optional: You can zoom into specific regions of interest by using the Tab button and the up and
down buttons on the directional pad to change the Wavenumber scale and zoom in.

6. If you want to just edit the fluid name, click Edit to open the keyboard and make the
change.

directional pad Left and Right to select the necessary digit, and use Up and Down to
change the values to 1200.
12. Press Done to return to the Edit Properties screen and confirm the new value is in effect.

Slope and Offset Settings


Slope and offset settings are available for advanced users to fine tune the User Fluid spectrum.
Access can be restricted by password; see Creating Passwords on page 20.
Spectro Scientific calibrates properties with our in-house methods. However, results do vary
from laboratory to laboratory and sometimes customers choose to reference a different analysis
method entirely. For this reason, it may be necessary for customers to further post-process their
results for better correlation to reference data.

In the following example, a slope and offset is applied to the FluidScan TBN results to correlate
better to an independent laboratory's titration values.
For this example, use the Copco Wellington #1 User Fluid from the Engine - Heavy Duty
category.
You also need a comparative sample of the deteriorating fluid over time measured by both the
FluidScan and lab titration. A minimum of five samples is required.
For this example, use the comparative test results from this table:

1. Titrate a new, unused sample in the laboratory to determine the TBN. For this example,
make this value 7.6 as indicated by the table.
2. Run a sample of the same fluid through a FluidScan and make this value 7.7.
3. From the Main Menu, scroll down to Utilities and press Select.
4. From the Utilities Menu, scroll down to Manage Fluids and press Select.
5. From the Manage Fluids Menu, scroll down to Edit User Fluid and press Select.
6. Scroll down to Engine- Heavy Duty and press Select.
7. Scroll down to Copco Wellington #1 and press Next to open the Edit Fluid Name screen.
8. Press Next to open the Select Properties screen.
9. Press Next to open the Alarm Limits > Specify screen.

Follow these steps to export a User Fluid to a data stick:
1. Insert a data stick into the FluidScan USB port.
2. From the Main Menu, scroll down to Utilities and press Select.
3. From the Utilities Menu, scroll down to Manage Fluids and press Select.
4. Scroll down to Export User Fluid and press Select.
5. Use the Check button to select/de-select the fluids to export and press Export.

Importing User Fluids from a Data Stick


You can use this feature if you want to import User Fluids that were created on another
FluidScan.

We recommend you use Fluid Manager to manage your User Fluids.

Follow these steps to import a User Fluid from a data stick:


1. Insert a data stick into the FluidScan USB port.
2. From the Main Menu, scroll down to Utilities and press Select.
3. From the Utilities Menu, scroll down to Manage Fluids and press Select.
4. Scroll down to Import User Fluid and press Select.
Use the Check button to select/de-select the fluids to import and press Import.

7 Testing with the Subtraction Method

Overview
Oil condition analysis by IR spectroscopy has two methods for trending, both of which are
supported by Spectro.
The first is direct trend analysis, where values are recorded directly from absorption spectra and
reported in units of absorbence per 0.1 mm pathlength - the default method for FluidScan and the
most widely used by JOAP, Caterpillar and oil analysis laboratories worldwide.
The second is differential trend analysis, or the subtraction method. In this approach, values are
recorded from the differential spectra (i.e. the spectrum obtained by subtraction of the absorption
spectrum of the reference oil from that of the in-service oil) and reported in units of 100*-
absorbance per 0.1 mm pathlength (or the equivalent absorbence units per centimeter). This
approach is sometime used by oil companies who have access to new oil references.
The spectrum from a clean, uncontaminated sample of the in-service fluid is then subtracted from
that of the used fluid and the resulting graph shows the difference(s) between the two spectra.

Updating a Fluid Spectrum


FluidScan is delivered with a library(ies) of fluid spectra; however, you have the option to update
them with the results of your own tests on a clean sample of whatever is the in-service fluid. For
example, you might want to do this if you know your supplier consistently delivers a product that is
different from the "normal" chemistry - one containing severe weather additives, for instance.

There is no guarantee that the clean sample used to derive the new spectrum is
not contaminated. For example, if the "clean" fluid contains 300 ppm of water,
then the zero point for water for all subsequent tests will be 300 ppm - not zero.

Follow these steps to update the spectrum for an existing fluid; for example, Mobil 1:
1. From the Main Menu, scroll down to Utilities and press Select.
1. From the Utilities Menu, select Manage Fluids, and then press Select.
2. From the Manage Fluids Menu, select Update Fluid Spectra and press Select.
3. The cell cleanliness test initiates and if it does not report a “Clean” result, you must clean
the cell repeatedly until you get a "Cell is Clean" message. Then press OK.
4. The background measurement begins and an elapsed time indicator displays.
5. Press OK when the background measurement is done.

6. Scroll down to the appropriate fluid category. For this example, scroll to Engine and press
Select.
7. Scroll down to the fluid you want to update. For this example, scroll to Mobil 1 and press
Select.
8. Load your sample into the test cell.
9. Press OK to start the analysis. A progress bar shows the measurement status.
After the measurement, the new spectrum will display as in this example:

Measuring a Fluid with the Subtraction Method


1. From the Main Menu, scroll down to Measure Fluid and press Select.
2. If a new background measurement is indicated, see Perform a Background
Measurement on page 1.
3. Select a category from the Category List - for this example choose Engine.
4. Press Next.
5. Select a fluid from the Select Fluid list. For this example, select Pennzoil 10W-30.
Optional: Press Tab to place the cursor in the Sample ID field and use the directional pad to
create a Sample ID. As this is a one-time measurement, this is not really necessary unless you
think you might want to save the result for further analysis.
Optional: Press Tab to place the cursor in the Sample Date field and use the directional pad to
change the entry.
6. Press Tab to activate the Calculate Using the Subtraction Method field
7. Press Check to place a check in the Calculate Using the Subtraction Method box.
8. Press Next.
9. Place a sample in the cell and press OK.

8 Comprehensive Water Solution

The lubrication systems in industrial machinery typically run above the saturation point of water,
meaning free water can accumulate in the oil reservoir. This licensed option extends the range of
measuring water contamination beyond the traditional dissolved water measurement for
industrial machinery lubricants. It provides a quantitative measurement of free water present in
key classes of lubricants, including turbine, gearbox, pump, hydraulic and compressor oils.

The standard FluidScan range provides a dissolved water measurement from 50 - 100 ppm up to
the point of saturation.
The extended range takes the dissolved measurement and adds a free water measurement from
1,000 ppm to 65,000 ppm (equal to >0.1% - 6.5% of the sample volume).

This is an improvement over the regular test results for FluidScan because without the extended
option, the device just reports the dissolved water peak.
For example, with some very hydrophobic fluids, the dissolved water might be zero ppm, but
there could be significant amounts of free water in the reservoir. This might indicate a problem
liked a cracked head gasket exists.

Method
Follow these steps to prepare a homogenized sample.

Spectro Scientific has a range of suitable portable and tabletop homogenizers
that are supplied with the appropriate licenseSpecifications on page 128 These
approved homogenizers mix the sample far more effectively than shaking
alone, although the samples outwardly look the same.
Please refer to the homogenizer user manual for general operating instructions
and safety information.
Through the testing process, we found that 5 oil samples can be homogenized at a time and then
analyzed consecutively with a FluidScan.
1. Collect an oil sample. If a standard 100 ml (4 fl oz) sample bottle is used, it should be filled
a little over half way. A smaller 20 ml (0.67 fl oz) bottle can be used to minimize sample
volume. Any bottle size is acceptable with the following guidelines:
• Maximum volume = 100 ml (4 fl oz).
• Minimum volume = enough to cover the homogenizer tip but ideally the probe
should be immersed to a depth of 1/3 to 1/2 the fluid height for best results.
2. Insert the generator probe into the homogenizer motor and remove the safety cap.
3. Insert the tip of the probe into the sample solution to a depth of 1/3 to 1/2 of the liquid
height.
4. Homogenize the sample on high power for ~60 seconds. After proper homogenization,
the sample should look cloudy similar to this example:

5. Turn the homogenizer off, remove the tip, and blot it dry with a lint-free pad (supplied).

If you are testing samples of a similar oil type, wiping the tip and blotting it
dry with a lint-free pad is sufficient cleaning.
If you are testing different oil types, or if you are storing the homogenizer
(even if only overnight) rinse the tip with alcohol before blotting it dry.
6. Let the sample sit for ~1 minute before analysis. (See BN Analysis Quick Start Guide on
page 1 or Analyzing a Fluid Sample from a Physical Asset on page 36 for the analysis
method.)

Do not let homogenized samples sit for more than 30 minutes before
analysis or you will need to homogenize them again.

1. From the Main Menu select Utilities.

Verifying the Device Using IR Check Fluid


If you get results that appear to be abnormally high or low, there are two tests you can run at any
time to confirm that the device is working within the factory calibration and returning reliable
results: the IR Check Fluid test, and the Calibration test.
Important: it is possible to pass one test and fail the other.

IR Check Fluid Test

You should also plan on performing a regular IR Check Fluid test based on how
heavily you use the device, but at least monthly is highly recommended.

A 5 ml vial of IR Check Fluid (part number FL 310) is included with your FluidScan. It gives you a
fluid with known parameters that you can analyze to confirm that the device is measuring fluids
correctly. It is a "coarse" hardware check that reports a result for Area I and Area II. If there is a
source or detector problem, or pathlength drift, or some other optics misalignment you may
notice a drift or significant change of these values.
If this test passes, then any used fluid sample results that at first glance seem exceptionally
abnormal are most likely correct - although you can still run a calibration check for further
verification. See Calibration Check on page 71 on page 1.
1. From the Main Menu select Measure Fluid. If the previous Background measurement has
expired, you will be prompted to run a new one. Otherwise, the software will begin the cell
cleanliness check.
2. If you see the Cell is Clean message, press OK. Otherwise you need to continue cleaning
the test cell until you see confirmation that the cell is clean enough to carry out tests.

3. Press OKto open a list of fluid categories. Scroll down to highlight Check:

4. Press Next to open the Select Fluid screen. Check Fluid is the only option; press Next.
5. Optional: Press Edit to display the keyboard and create a Sample ID. The Date defaults
to today, but you can use the directional pad to change the date.
6. Using a pipette, add a few drops of IR Check Fluid to just cover the test cell window and
return the test cell to the measuring position in the FluidScan housing.
7. Press OK. An elapsed time indicator shows the measurement progress.
8. Press Next. If it passes the test, the result is displayed in 2 green bars:

9. If the test fails, run the test again. If it still fails, refer to Backing up the FluidScan
Database on page 73 and contact Technical Support for assistance.

Calibration Check
A 5 ml vial of IR Check Fluid (part number FL 310) is included with your FluidScan. You can run
this verification check any time you believe that your used fluid test results are inaccurate. It can
also be run in conjunction with the IR Check Fluid Test (see above).
Important: it is possible to pass one test and fail the other.
The calibration check provides a QC check in real measurable parameters: Oxidation and Water.
1. From the Main Menu select Measure Fluid. If the Background measurement has expired,
you will be prompted to run a new one. Otherwise, the cleanliness check starts.
2. If you see the Cell is Clean message, press OK. Otherwise you need to continue cleaning
the test cell until you see confirmation that the cell is clean enough to carry out tests.
3. Press OK. This opens a list of fluid categories. Scroll down to Calibration:

4. Press Next. Partistan will be the only fluid listed and highlighted by default; press Next.
5. Optional: Press Edit to create a Sample ID. The Date field defaults to today, or you can
use the pad to change digits to create a new date.
6. Using a pipette, add 2-3 drops of IR Check Fluid to cover the test cell window and return
the test cell to the measuring position in the FluidScan housing.
7. Press OK. An elapsed time indicator shows the measurement progress.
8. Press Next. Press Next. If it passes the test, the result is displayed in 2 green bars similar
to this example:

If the test fails, run the test again. If it still fails, refer to Backing up the FluidScan Database on
page 73 and contact Technical Support for assistance.

Adjusting BN Test Calibration to a Reference Sample (BN Offset)


This procedure is used when you run a test on on a sample of Used Oil Base Number Check
Fluid (supplied; part number 600-00109) and get an unexpected result. For this example,
suppose the correct BN value should be 27.9 mgKOH/g.
Important: before you begin testing, you must make sure the BN Obtained value and the
BN Expected value are both at the factory setting of 0 (zero) by following these steps:
1. From the BN Menu, click Extended FluidScan Functions.
2. Click Utilities.
3. Scroll down to BN Offset and press Select. The BN Offset screen should look like this:

4. Click the Main Menu button.


5. Test a sample of Used Oil Base Number Check Fluid. For this example, assume that the
result is 17.4 mgKOH/g:

6. Open up the BN Offset menu again and insert the Obtained Value (17.4) and the
Expected Value (27.9):

7. Click the Update button.


8. Measure the same sample again. Because of the offset, the FluidScan is now re-
calibrated so the measurement should be much closer to the 27.9 expected target:

Backing up the FluidScan Database


You should periodically back up the FluidScan database.
We strongly recommend that you use Fluid Manager to do this. Fluid Manager is provided at no
charge on the documentation CD. Refer to the "Fluid Manager User's Guide" for information
about synchronizing and backing up the database.
You can also back up the database to a USB memory stick, as follows:
1. Plug a USB memory stick into the USB connector on the bottom of the FluidScan.
2. From the Main Menu, scroll down to Utilities and press Select:
3. From the Utilities Menu, scroll down to Device Maintenance and press Select.
4. Scroll down to Export Database and press Select.
5. Confirm that you want to overwrite any database that might already be on the memory
stick and wait for the device to finish processing. Note that there is no message
confirming the database has been overwritten.

Compacting the FluidScan Database


You should compact the FluidScan database periodically to prevent it getting too large.
1. From the Main menu, select Utilities.
2. From the Utilities menu, select Device Maintenanance and press the Select button.

3. Select Compact Database and press the Select button. This might take a few minutes
depending on the database size. The process is complete when the hourglass symbol
disappears; there is no other confirmation message.

Exporting and Importing Databases

Exporting a Database
Follow these steps to export the database:
1. Plug a data stick into an available USB port.
1. If the device is not already at the Main Menu, press the Main Menu button from any
screen.
2. From the Main Menu, scroll down to Utilities and press Select to open the Utilities Menu.
3. From the Utilities Menu, scroll down to Device Maintenance and press Select.
4. From the Device Maintenance Menu, Export Database is the default - press Select. An
hour glass icon will display while the database is being exported - which may take a while.
5. When the process is complete, the device will reset to the Main Menu - there is no other
confirmation.

Importing a Database
Follow these steps to import a database:
1. Plug the data stick with the database into an available USB port.
1. If the device is not already at the Main Menu, press the Main Menu button from any
screen.
2. From the Main Menu, scroll down to Utilities and press Select to open the Utilities Menu.
3. From the Utilities Menu, scroll down to Device Maintenance and press Select.
4. From the Device Maintenance Menu, scroll to Import Database. Press Select.
An hour glass icon will display while the database is being imported.
5. When the process is complete, the device will reset to the Main Menu - there is no other
confirmation.

Updating the FluidScan Software


The only supported method to update the FluidScan software is with the Fluid Manager utility.
Fluid Manager is provided at no charge on the documentation CD. Refer to the "Fluid Manager
User's Guide" for information about updating software on a FluidScan.

The "About FluidScan" Screen


If you need to call Technical Support, they may ask for some monitoring information from this
screen.
1. From the Main Menu, scroll down to Utilities and press Select.

Battery Appears Defective


If the battery fails to charge, fails to hold a charge, or fails in any other way it will need to be
replaced. Contact Spectro Scientific to obtain a replacement.
Follow these steps to replace the battery:
1. Flip the device over; take care that the test cell stays in the housing.
2. Remove the three screws securing the battery compartment cover.
3. Lift the cover to expose the battery.
4. Lift the battery out of the compartment and pull the plug straight up to disconnect it.
5. Replacement is the reverse of removal.

FluidScan will not Power Up


1. Make sure the battery charger is plugged into an outlet that is "live" and turned on.
2. Push the FluidScan power plug firmly into the battery charger:

3. If the charger appears to be working, and there is no reason to suspect that the battery is
defective, you need to check the on-board fuse and replace it if necessary.

Testing and/or Replacing the Internal Fuse

Use a grounding strap when working inside the plastic case to prevent static
electricity damage.
The fuse is an SMD 1.5A 125V Fast-Blow. The Spectro Scientific replacement
part number is P-10739.
Follow these steps to test/replace the fuse:
1. Remove the strap handles.
2. Make sure the sample cell is securely supported or temporarily taped in place.
3. Remove the five screws around the bottom of the case.
4. Separate the front assembly from the body starting at the head (the test cell end). Once
separated, slide the top half away from you to ensure the power and USB connections on
the bottom edge of the device will clear the bottom casing.
There are five connectors on the board (circled in red). One of them is empty by design;
take care that the connectors or the wiring for the other four do not get disconnected:

5. Test the fuse with a continuity tester. If it fails, install a replacement fuse.
6. Re-assemble the device in reverse order and power it back on.

library.
If you look up your oil in the Fluid Database on page 78, you can find the Category for any
product, then look here for the tests and libraries for that category of fluid.

not tested, as the TAN is more

Acidity are closely monitored in these
products.

Turbine-CCGT This category focuses on oils used in Water (ppm) Industrial


high temperature, geared turbine Oxidation (Abs/mm2) Marine
applications. These are typically TAN (mgKOH/g)
composed of Group 11 and Group 111
with an antioxidant. These turbines
often have additive packages for Water,
TAN and oxidation.

Turbine-Aero These synthetic fluids (polyol esters, Water (ppm) Aviation


disaster blends) have exceptionally TAN (mgKOH/g) Industrial
