BeSharing MVP requirements

Landing page
 Much like what we have already only crisper and slicker including login facility.
 Logging in directs you to the your home page.. whether indiv, charity or org

Home pages

Individuals (including employees of parent orgs)


 Activity blotter/tracker showing open activities and enquiries.
 ‘Totaliser’ showing hours/£/points accrued during a filterable period (ie history
ytd, all, from-to etc)
 Search facility for opportunities (shown on a calendar ideally, filterable for type
of activity, charity etc). Click on opportunity to expand it to show more details
and reveal engagement tabs.
 Engagement tabs in expanded opportunity are:

 Close
o Do Activity sends pre-formatted email to the charity administrator (plus
Besharing and *parent administrators) containing enquirer’s (user’s)
details. The individual user (Besharing and *parent administrators) and
then receives back a confirmation email and the activity goes into the
blotter as OPEN ACTIVITY.
o Find Out More opens preformatted email and invites user to expand on
the ‘Please tell me more about this activity/opportunity’. The enquiry is
sent to the charity and BeSharing administrators. Enquiry logged in the
blotter as an OPEN ENQUIRY.
o Close closes the expanded form of the opportunity (like UNDO)
 Rolling news/opportunity feed showing latest activities (filterable by date,
charity, type of activity)
 Activity input facility for the individual to input their activity
(volunteer/fundraise) like a time sheet to be offered publicly or directed to a
charity or organisation.

Organisations (parent*) Administrator


*Parent – the organisation (Ie Company, University, School)
**Child – an individual attached to an organisation

 Activity blotter/tracker showing open and uncompleted activities.


 ‘Totaliser’ showing hours/£/points accrued during a filterable period (ie history
ytd, all, from-to etc)
 Search and edit facility for opportunities (shown on a calendar ideally, filterable
for type of activity, charity etc)
 Opportunity input facility for the administrator to be able input an opportunity
(volunteer/fundraise) like (or on behalf of) a charity, Opportunities would need
to be linked to a charity or v/o to be confirmed completed.
 News input & edit (delete) facility. Administrator can alert child users of news,
opportunities and achievements either in rolling news/opportunity feed or by
email (individual or group). Administrator can filter the opportunities feed by
charity, type of activity etc as suits the organisation.
 Rolling news/opportunity feed showing latest activities, news, achievements
(filterable by date, charity, type of activity).
 Records and reporting – A searchable/filterable book of record holding all
child** users achievements. Customisable reports/charts generated for parent
user.

Charities (including Voluntary Organisations)


 Activity blotter/tracker showing open and uncompleted activities.
 ‘Totaliser’ showing hours/£/points accrued during a filterable period (ie history
ytd, all, from-to etc)
 Search facility for opportunities (shown on a calendar ideally, filterable for type
of activity, charity etc)
 Opportunity input facility for the charity to be able input an opportunity

 News input facility. News edit facility for own charity. Charities can inform
BeSharing users of news, opportunities and achievements either in rolling
news/opportunity feed or by email (individual or group).

completed activities, open activities and enquiries. Customisable reports/charts
generated for charities.

BeSharing administrators

 Activity blotter/tracker showing all Besharing open and uncompleted activities.


By user, organisation, date etc. View and edit rights
 ‘Totaliser’ showing hours/£/points accrued for user, org etc during a filterable
period (ie history ytd, all, from-to etc). View and edit rights.
 Search facility for opportunities (shown on a calendar ideally, filterable for type
of activity, charity etc). View and edit rights.
 Opportunity input/edit facility for the administrator to be able input, edit or
delete an opportunity (volunteer/fundraise).
 News input/edit facility. BeSharing administrators can inform BeSharing users
(or groups of users) of news, opportunities and achievements either in rolling
news/opportunity feed or by email (individual or group). BeSharing
administrators can delete news items or posts.
 Rolling news/opportunity feed showing all public latest activities, news,
acheivements (filterable by date, charity, type of activity).
 Create reports or charts for organisations.

Activity Blotter
1.Flow of an activity/opportunity for a Charity inputting opportunity
User searches for opportunity.
User clicks on opportunity.
Opportunity expands to show more detail and has three actionable tabs:
 Do activity
 Find out more
 Close

Blotter shows Open Activities, Open Enquiries and Pending Completed


activities. Open Activities and Open Enquiries have two actionable tabs:
Open Activities tabs:
 Completed
 Close

Completed
Pre-formatted email sent to Besharing, *Parent organisation (if
applicable) and Charity .
Status of activity goes from Open to Pending Completed.
Charity administrator confirmation and thank you reply sent to
individual, Besharing and *Parent organisation (if applicable).
Upon receipt of confirmation Besharing administrator marks the activity
as Completed. Activity is moved to a book of record of completed
activities within home page of individual, charity and *parent
organisation where applicable.

Close
Sends preformatted email to Besharing and Charity administrator.
Besharing administrator to record the opening/closing of the
opportunity, details to be stored for potential activity report for charity
and/or organisation.

2. Flow of an activity/opportunity Individual Inputting an Activity


Individual inputs activity (Fields to include Beneficial Charity and Time
Given or Money Raised)
Activity logged in the blotter as Pending Completed
Preformatted email sent to the charity administrator plus Besharing and
*parent administrator (if applicable)
Charity administrator confirmation and thank you reply sent to
individual, Besharing and *Parent organisation (if applicable).
Upon receipt of confirmation Besharing administrator marks the activity
as Completed. Activity is moved to a book of record of completed
activities within the home page of the individual, charity and *parent
organisation where applicable.
