Planning Process Group

Main highlights in planning process group

Scope Management

 First develop scope management plan through Plan Scope management


 Produce Requirement traceability matrix and requirement documentation through
Collect requirement
 Create Scope statement in which you make detailed description of product or project
scope +Deliverable + What to be included or what to be excluded in your project. This
scope statement created in “Define scope” Process.
 Finally in planning phase you create Scope Baseline through “Create WBS” Process and
major tool used here is “Decomposition”.

Schedule Management

 First you develop Schedule management plan through Plan Schedule management
 Create activity list /attributes/milestone list through Define activity process. Here you
apply “decomposition” technique by decomposing work package into activities.
 Identify relationship between activities in Sequence activity process and create
Schedule network diagram. Major tools are Precedence diagramming method,
Dependency determination and lead and lag.
 Estimate Activity duration in estimate activity process by applying analogous,
parametric and three point technique
 Create Project schedule and schedule baseline in Develop Schedule process

Cost

 First develop cost management plan in plan cost management


 Estimate cost in estimate cost process
 Develop cost baseline in Determine budget process

Quality

 In planning, you only need to determine quality requirements and standards in plan
quality management
Resource

 Develop resource management plan in plan resource management


 Determine resource requirements and resource breakdown structure in Estimate
resource process.

Communication

Only develop communication management plan in order to determine information need of


stakeholders

Stakeholder

Develop stakeholder Engagement plan by developing strategies to engage stakeholder


throughout the project

Risk

 First develop Risk management plan in order to determine risk management activities
 Create risk register and risk report in indentify risk (Nominate Risk owner)
 Prioritize individual project risk in perform qualitative risk analysis (confirm risk owner)
 Prioritize individual and overall project risk in perform quantitative risk analysis
 Create risk response plan in plan risk response

Procurement

Develop procurement strategy and procurement documents in order to find potential seller in
plan procurement management.

Integration

After executing process finally develop project management plan in develop project
management plan process.

Now its time for real show i.e. Execution of project so now coming
over important points of execution
Execution
Direct and manage project work

In execution, your project team produces deliverable and work performance data and main
important process here is direct and manage project work AND this deliverable go to Control
quality which is process group of Monitoring and controlling . In control quality you inspect
your deliverable as per your quality standard and quality requirements or quality metrics and if
found no defects then your deliverable is verified deliverable. This verified deliverable goes to
validate scope where you invite customer to get formal approval or acceptance and in this
process your verified deliverable will become Accepted deliverable.

One important point in this process all approve changes from PICC will implement in direct and
manage project work and project team is responsible to implement changes.

Manage Quality

Here your manage your project process quality as per your organization or project quality policy
and you conduct Quality audit here

Acquire resource

For producing deliverable you need to resource (team + Physical) so you acquire these
resources in acquire resource process. If you want to get resources from your organization then
Negotiation help you alot.

Develop team

Here you develop your team and one important tool is TUCK Man (F,S,N,P, A) and team
performance assessment is major output

Manage team

Here you track performance of your team and resolving issues among team members by using
conflict resolution technique.

Conduct procurement

Here you obtain seller response and evaluate those responses and award contract. Advertising
and bidder conference are most important from exam point of view

Manage communication

Here you distribute, collect and retrieve project information to stakeholders. One important
point here you create project information by using work performance report which is output of
Monitor and control project work.

Manage stakeholder engagement

Here you work with stakeholders in order to get support from stakeholders in your project.

Monitoring and controlling process


Now Monitoring and controlling process groups it is tightly linked with execution process

First process here is validate scope


Validate scope

Here you get formalize acceptance from your customer. Accepted deliverable is major output
customer to get acceptance and make your deliverable as accepted deliverable

Control Scope

Managing changes in your project and see your project scope baseline is control throughout
your project.

Control Schedule

Managing changes and monitors your schedule baseline throughout the project

Control Cost

Managing changes and monitors your cost baseline throughout the project.

Control resource

Assign physical resource in your project and release your physical resource whenever they
completed project work

Control Quality

Inspect your deliverable as per quality requirements

Monitor Risk

Monitor your agreed upon response , evaluate current risk, identify new risk

Monitor communication

See your communication need are met as per stakeholder requirements

Monitor stakeholder engagement

See your relationship with your stakeholders

Control procurement

Monitor relationship with sellers and formally close procurement when all project work
completed.

Performa integrated change control

Follow these steps:

 Meet with stakeholders to understand reason / what he need to change.


 Analyze the impact of change with project team on project constraints (Scope, cost,
quality, risk, schedule etc)
 Inform stakeholders about the impact of change.
 Send change request to CCB.
 Send request to sponsors if he is not part of CCB.
 After approval by CCB/Sponsors record change in change log
 Update project management plan/project documents/baselines
 Communicate / inform the key stakeholder.
 Implement the approved change in direct and manage project work
