Tool description and how to access
The eBOM, or Electronic Bill of Material, is a module and a tool inside of the MEDS Platform, that
allows users to generate different bills of material inside the browser, and giving them the option
to export them to an Excel document after making a release.

To be able to enter the BOM module, it will be necessary to enter the MEDS platform and provide
the correspondent credentials in order to have access.

After doing this, the user will be shown a start screen in which they can choose the option of the
BOM module in the lower left corner.

Before trying to use the BOM Module, the user will have to select the Program, Product and
Phase that he is going to select in the categorioes of the top right corner.

Step-by-step Guide
BOM Selection and Main Screen

After entering the MEDS platform and selecting the BOM module, the data of the BOM will be
shown, in case this has already been generated beforehand.
If the product that was selected doesn´t contain information, the user will have the option of
creating a new BOM, or importing a BOM to be able to load the information of it.

To access to this option, the user will have to select the “Start” button, this button will display a
new window with three options to select

Here is a little description about the three options:
 Start New BOM: This option will generate a new BOM inside the selected product, this
BOM won´t feature revisions nor levels, and its components will be in blank.

 Get from old version MEDS: This option will extract the revisions, levels and components
from the same product that existed in the old version of the BOM Module, allowing the
user to have the same information automatically.

 Get from previous phase: This option will use the previous BOM from the same phase of
the selected product, but only if another BOM exists inside the same phase.

After selecting one of these options, different sections will be shown with the data of the BOM
that will be modified.

The first section, called BOM, will show all of the data of the current proyect, with its level,
revision, customer and Metalsa´s Auth Change, the densities of the material, and the units of
weight, Nominal Gage, Weld Length, etc.

To edit the information about the BOM, the user can click the “Edit Props” button, which will
allow them to modify any part of the info, after that, the user will have to confirm the changes.

The second section, Tracking, will show the status of the current EWO, besides the level and
revision in which it is.

It will also allow the user to view the Products and Components information on an online grid,
and download the data in an individual excel file for its modification and visualization.

The last section, called BOM Log, will show the changes that the BOM has received, with their
description, the user that made the change, and the date of said change, for the users to revise.

Products Tab

To view or modify the content of the BOM products, it will be necessary to enter the
PRODUCTS tab, in it we will see a grid with different columns, each corresponding to an
important element of the product.

To start entering information into the grid, we must double click on a cell and then write the
content that we want to enter in it.

We will perform this process for the other columns until we can fill in the data we want.

In order to generate a Metalsa Part Number, it will be necessary to position ourselves in the cell
or cells of its column, select them and click on the box that will appear above, where the user
can specify the type of number to create, in addition to the amount of it.

After doing this, the grid will automatically generate a Metalsa Part Number, in addition to a
Model and DWG revision.
The result after finishing with the data entry will be something like this:

Before selecting another tab or module, the user has to save the changes so the data that they
have entered could be saved on the grid.

Components Tab

After generating products in the previous tab, the user can go to the components tab, which will
be empty as long as we have not selected a category.

In order to select a category, the user can choose between the different options from the drop
down list.

It is important to consider that each component option has a specification for its Item No., so it
will not be possible to create a number that is outside the following ranges:

Purcharsed / Consigned Subassy 1-99


Sidemembers 100-199
Crossmembers 200-299
Brackets 300-499
Reinforcements 500-699
Fasteners 700-799
Miscellaneous 800-899
Pillars (BIW) 900-999
Panels (BIW) 1000-1099

After selecting an option, a grid with different columns will be generated automatically, similar to
the one found in the products tab.
Here, the user can add content to the cells in a similar way to the already known method, and
they can also generate a Metalsa Part No.

Some of the columns have the option to display Drop Down Lists when selecting one of their
cells, allowing the user to select one of their options.

Because we have products within our BOM, it will be necessary to enter a Usage number for
each of these in our components, it will be important that each of the Usages has at least one
cell with data, otherwise it can´t generate a release of the BOM.

Another important thing when generating new components is to establish the Supplier.
It must have the name "Metalsa", added to the name of the plant where it is located, as in the
following example:

The result of the component after filling in the necessary and corresponding columns will be the
following:

Subassys Done Tab

After generating the components in the previous tab, the user can select the Subbassys Done
tab to enter the correspondent subassys that exist inside of the project.

Expanding the "Subassys Done" option will display a grid where the user can enter part
numbers, description, status, etc. of the Subassys.

Inside of this grid, the user will see that many of the columns have the same name as the ones
he has been working with, like Metalsa Part No., Status or Description.

Like in the previous examples, filling these sections will be important to have a complete
representation of the data for the Bill Of Material.

After entering the information, the user will have a result similar to the other tabs, including the
Usage column that has to be filled with at least cell with data.

To save this information, the user will have to click on the Save button at the bottom of the
screen.

Subassembly Tab

Before opening the Subassembly tab, first the user will need to have components and/or
subassys inside of the current BOM.

After doing that, the screen will display two grid columns, one for the Subassys and the other for
the Components, and another bigger grid with a folder named “SUBASSEMBLY”.

To start building a Subassembly, the user will need to drag and drop the contents of the
components or subassys grids inside of the subassembly folder, like in the image below.

After making this process, the subassembly folder will start to be filled with the components and
subassys that the user will move to it.

It is important to notice that there are several features and restrictions for the use of this section,
like the following:

 The level and letter of the component or subassy will be represented on the left section
of the part.

 It is possible to enter a component inside of a subassy, making it a folder and leveling up


the level of all the items that are inside of it.

 It is NOT possible to enter a component inside of another component, enter a subassy
inside of a component, or enter another item when its count has reached 0.

 The user may increment the Usage of an item or an assembly entering said item inside
of its correspondent folder, but only if the count of the item has not reached 0 yet inside
of its column.

Release Process

After completing the grid in each of the components that we want, we must save the changes
and go to the main tab to make the release of the BOM, pressing the “Release” button that is in
the bottom of it.

A small window will be displayed, in which the user can confirm if he wants to carry out the
release process, which they will have to confirm.

After finishing the process, a notification will be shown to let us know that the data has been
updated successfully.

After this process, the user will see the main tab again, where three new buttons will appear for
later processes.

In the Tracking section, we can see the complete content of the BOM by clicking on the eye
icon that appears on the right.

This option will display a grid with all the information of the Product Tab and the Customers Tab,
but without the possibility of modifying any of its data, only for viewing.

The option on the right will allow the user to download an Excel version of the content of the grid
that he has been generating, allowing both its visualization and its modification should this be
necessary.

It´s important to notice than before downloading the Excel document, the file must have a cover
image for the first tab.

If after trying to download the file it is not shown, you must enter the category "Project" in the
"Catalogs" section, identify the project, and select the first icon to add the cover image.

After pressing the button, a window will be displayed that will give us the option of looking for
the image and uploading it, by clicking on the "Save" button when we have entered the file's
address.

The BOM Log section also had changes, showing the status of the BOM, the user who made
the release, and the date on which this change was made.

Level Up Process

If the user decides to click on the "Level Up" button, some changes will be displayed within the
main tab, another BOM Draft will be generated within the Tracking section, in addition to
informing us of the level change in the BOM Log.

After performing this action, the user can make changes within the Product Tab or the Customer
Tab in the usual way, add new Items or modify the existing ones, but not before leveling up the
Model Revision or the DWF Revision.
To carry out this process, it will be necessary to select the row that we want to modify after
making said modification, right clicking it, and selecting the Change Smart Number Level option.
This will show a window where the user can choose if he wants to level up the level of the
model or drawing.

If the Level Up process is done correctly, the user will be able to see the model change or
revision within the grid.

This process can also be done within the Components Tab in the same way, as long as there
are changes that have been made to an item, however, the user can only do one level up per
release of BOM, and it is only possible that this is from Model or Drawing, it is not possible to
make two at the same time.

Before making a release, the user will have to go to the Revision Worksheet tab, where he can
see the changes he made to the products or components.

To give permission to this change, it will be necessary to fill in one of the cells in the Change
Req. By section, which will change color to show the change.

After performing this, the user can re-perform the release process, and generate a revision or a
level up as necessary to continue the process.
