Conference Information & Security Rules


ALCOHOL

The delegates/participants are strictly prohibited from consuming and/or possessing


alcohol under any circumstances during the AIMUN conference. Delegates/participants
found in possession of, consuming, or under the influence of drugs or alcohol at any time
during the AIMUN conference will be immediately expelled from the conference and
also from Amity University Hostel.

CONTROLLED SUBSTANCES

Controlled substances are likewise illegal and intolerable. That if any


Delegates/participants found to unlawfully possess or use, or to have unlawfully
possessed or used any controlled substance will be immediately expelled from the
conference and hostel; criminal complaints may be pursued against the participant in
question.

SMOKING

Smoking or use of tobacco products is strictly prohibited during the AIMUN conference.

COURTESY

That the delegates/participant shall restrict themselves to the area earmarked by the
AIMUN for the purpose of AIMUN conference.

That the delegates/participant are expected to behave positively in good manner and if
any participant is found to be involved in any kind of vandalism, rowdiness in the
hallway/corridor, making excessive noise, roughhousing, throwing objects and/or other
unruly behavior will not be tolerated. The AIMUN core committee and hostel authorities
reserve the right to take appropriate action against the concerned participant/ delegates
which may include immediate expulsion from the AIMUN or fine.

AUDITORIUM COURTESY

Delegates/participants are not allowed to take flash pictures at any time during the
AIMUN conference events. No radios or recording equipment, including video cassettes,
with or without headsets, are permitted in the audience. Delegates/participants will not
enter or exit the auditorium during AIMUN conference events. Delegates/participants are
expected to behave in a proper and acceptable manner. Inappropriate auditorium etiquette
includes feet on the seats, disruptive behavior, improper language, or discourtesy to other
delegates, performers etc. That all the Delegates/participants are required to TURN OFF
THEIR CELL PHONES during the AIMUN conference events.
CONFERENCE ATTENDANCE

All delegates/participant are required to attend the events scheduled during the AIMUN
Conference (Main lectures, workshops, plays, etc.) delegates/participant are not
permitted, under any circumstances, to leave the AIMUN Conference events without the
permission of the AIMUN Core committee.

CURFEW POLICY

Curfew will be strictly enforced by the AIMUN Core Committee and Hostel Authorities
at the times indicated in the conference schedule provided in the hand book. After
curfew, delegates must remain quietly in their assigned rooms. After curfew, students
shall not be permitted to pass through hallways/corridors or to be in rooms to which they
are not assigned. This includes departures from assigned rooms to accept food deliveries.
Staff deployed by the AIMUN core committee, will remain on the floor and will be
patrolling throughout the night. Curfew time is 10 pm every day.

FACULTY ADVISOR RESPONSIBILITY

Faculty Advisors will be required to conduct a bed-check fifteen minutes after curfew
and to report any absences immediately to the AIMUN staff. Advisors will be required to
monitor the hallways/corridors in conjunction with the AIMUN staff for thirty minutes
after curfew, and to otherwise assist in achieving delegate compliance with conference
rules and policies.

VALUABLES

AIMUN core committee is not providing any locker facility to the delegates/ participants.
The delegates/ participants have to bring valuables at their own risk and consequences.
AIMUN shall not accept responsibility for the theft, loss or breakage of personal effects,
money, or valuables.

DISPLAYS IN WINDOWS

The Amity University Hostel strictly prohibits the exhibition of any visible display in
guest rooms or other hostel windows. Continued exhibition of any such display after an
initial warning may be grounds for expulsion from the hostel and/or conference.

DRESS CODE AND CONFERENCE I-CARD

The safety of conference participants is of paramount importance to AIMUN. To


maintain and enhance delegate security, AIMUN requires all conference participants to
visibly wear the I-card provided to them at all times during the conference. Participants
who fail to adhere to these rules may be excluded from AIMUN conference proceedings
and events. Staff deployed by the AIMUN core committee reserves the right to check I-
card of any participant at any time, for any reason whatsoever.

In case any delegates/ participants looses his/her I-card during the conference, he/she
must immediately inform to the officials of the AIMUN core committee and can get the
duplicate copy of the same on payment of Rs. 100/- .

PHOTOGRAPHY AND VIDEO

That the persons appointed by the AIMUN may take photographs, videos, and interviews
that show conference participants both during and in between committee sessions, and
which may be used for promotional, educational, or other purposes by AIMUN. By
attending the conference and giving his consent to abide by these rules, the
delegates/participants consent to be photographed, videotaped and/or interviewed and
authorize AIMUN to use those photographs, videos, and/or interviews in any manner of
AIMUN’s choosing.

OTHER RULES

These rules are in addition to the Acts, Rules and regulation prevailing in the host country
and the policies of organizer school, and common sense. Serious infractions will result in
dismissal from the conference of individuals and/or delegations/schools involved.

ENTRY TO ROOMS

That during AIMUN conference, there will be AIMUN staff deployed by the AIMUN
core committee along with the Amity University Hostel staff wearing I-cards, to exercise
appropriate supervision of delegates and to enforce security rules. That the AIMUN staff
in exercise of their responsibilities, shall be entitled to enter in the rooms of the
participant/delegates.

ADDITIONAL RULES AND POLICIES

The AIMUN core committee reserves the right to issue additional rules or to alter
existing rules at any time at its discretion.

INTERPRETATION OF RULES

Decisions of the AIMUN core committee regarding interpretation of rules will be final
and binding on all participant/delegates.

EXPULSION FROM THE CONFERENCE


That the AIMUN Core Committee reserves the right to expel any delegate, delegation,
school, or group thereof from the conference at any time for violating or failing to
comply with conference regulations, or for any other reason. AIMUN has a zero-
tolerance policy concerning alcohol and controlled substances, and violations of the
alcohol and/or controlled substance policies will always result in expulsion. Expulsions
take effect immediately at the time they are issued. All conference registration materials
(i.e. conference I-card etc.) must be surrendered to AIMUN staff upon expulsion.

STUDENT/PARENT/FACULTY ADVISOR LIABILITY RELEASE FORM

That all delegates/ participants are required to sign liability release form and by signing
this liability release form, each participant agrees to abide by the rules of AIMUN and
Amity University Hostel Rules. These rules are framed for the participants’ safety, as
well as safety of the Amity Campus and Hostel. Rules will be strictly enforced by the
staff deployed by the AIMUN core committee and Amity Hostel staff.

Every delegates/ participants participating in AIMUN must sign and return a copy of this
form to AIMUN before registering at the conference. Please return a signed form for each
participant. Students must also obtain a signature from a parent or legal guardian.
Original signatures (not photocopies) are required on all forms. Students or faculty
advisors without a completed release form on file prior to AIMUN will not be permitted
to register at the conference, and will thus be unable to participate in any conference
activities.

LIABILITY RELEASE FORM

I, the undersigned participant from _____________________________ (name of school


or organization) hereby indemnify and hold harmless, to the fullest extent permitted by
law, Amity International Model United Nations (“AIMUN”) and the core committee
Amity International Model United Nations, their officers, employees, staff, volunteers,
and any agents from and against any and all claims, liabilities, losses, costs, or
obligations including, but not limited to, attorney’s fees and expenses, which may arise
out of my traveling to, participating in, or returning from Amity International United
Nations, but excluding liability for injury, death, or damage caused solely by gross
negligence of AIMUN and core committee AIMUN. I take full personal responsibility for
all charges and damages to my hostel room.

I also declare that I have read, understood, and will adhere to the conference Information
& Security Rules of Amity International Model United Nations, and will adhere to the
applicable laws of the host country, and any other pertinent laws or regulations in force at
the conference location. I declare that I will adhere to any additional rules promulgated
by AIMUN before and during the conference, including but not limited to those
published in the conference handbook, and those announced to faculty advisors.
I give my consent to be photographed, videotaped, and/or interviewed by AIMUN and
for said photographs, videos, and interviews to be used by AIMUN in any manner of
their choosing.

I understand that refunds or other consideration will not be granted for any reason except
as provided for by AIMUN policy and procedure, and agree that I may be expelled from
the conference at any time for violating this agreement with no expectation of refund.
Refunds or other consideration will not be granted to those registered participants unable
to attend the conference for any reason, including but not limited to inclement weather,
travel delays, or illness.

I agree that this agreement is enforceable to the fullest extent of the law, and that any
provisions herein found invalid as a matter of law will be deemed severable from the
balance of the agreement.
