KeyContacts Features
KeyContacts software includes all of the following features:
Synchronize 40 more Contacts fields than you can with the Address Book.
Transfer multiple Outlook Contacts folders, including subfolders and public folders, to
KeyContacts on the handheld.
Customize synchronization settings for each handheld folder using the Folder Settings
interface.
Easily add new Outlook folders to the handheld using the Folder Settings interface.
You may choose to receive beamed contacts and business cards into either KeyContacts
or Address Book on your handheld.
You may choose the folder and category for each beamed contact you receive into
KeyContacts on your handheld.
Smart Look Up helps you quickly and easily look up contacts, using information not
necessarily displayed in the phone number list as the search criteria
A flexible File As option is available on the handheld.
Smart synchronization recognizes when new KeyContacts folders are on your handheld
and you are synchronizing with a second PC. It lets you choose which handheld folders
you want to synchronize with Microsoft® Outlook® on that PC.
KeyContacts supports an unlimited number of Outlook folders on the handheld.
Assign a contact to multiple categories.
Category names may contain up to 255 characters.
Category links established in PocketMirror® Professional can be automatically
transferred into KeyContacts.
View phone numbers in the standard or a detailed contact list view.
KeyContacts supports large notes. The maximum size allowed is 32,766 bytes.

Color customization is available for the background, text, banding, and the selection on
the handheld.
You may enable any contact in KeyContacts for Outlook Journal

System Requirements
In order to install and use KeyContacts software, your computer system and handheld device must
meet the following minimum requirements:
Palm Desktop 3.0
Handheld device using the Palm OS 3.0
412 KB free memory on the handheld
Microsoft Outlook
Windows 95 or NT 4.0
Windows®-compatible personal computer
16 MB RAM (32 MB recommended)
2 MB disk space
Installation instructions
1. Insert the KeyContacts CD-ROM into the computer’s CD-ROM drive, or click on the
download link.
2. On the Welcome screen, click Next.
3. Review the License agreement and click Yes to continue.
4. On the Choose Destination Location screen, click Next. If you wish to install
KeyContacts into a different folder, click the Browse button and select the desired folder,
and click Next.
5. On the Select Program Folder screen, click Next. To use a different program folder
name, enter the name of your choice into the space provided and click Next. The
program folder name is the name that appears in Start | Programs.
6. The next screen, Select Handheld User, lets you choose the name of the handheld device
you want to add KeyContacts to. PRC is the filename extension for the handheld
application (KeyContacts.prc). If you do not want to add the KeyContacts application to
a handheld device, select “Do NOT install the KeyContacts PRC to any handheld.”
7. Click Next.
8. Click Next again.
9. The last screen announces the installation of KeyContacts is complete and gives you the
option to view the Your First Synchronization Help topic.
10. Click Finish.
11. Synchronize to install the KeyContacts application on the selected handheld. Once
installed, you can begin to use KeyContacts on your handheld.

synchronization information.

HotSync Action
There are four different HotSync actions for the "Permanent Action" and three different actions for
the "One-time Action of Next HotSync".
The different HotSync action types are:
Two-Way Synchronization
Outlook Overwrites Handheld
Handheld Overwrites Outlook
Do Nothing

The "Two-Way Synchronization" action is a full two-way process that detects additions,
modifications, and deletions in the handheld and in Outlook. Changes in your handheld are added
to Outlook and changes to Outlook are added to your handheld.
The "Outlook Overwrites Handheld" action is a one-way process that deletes all items from the
handheld and then copies all items from Outlook into the handheld.
The "Handheld Overwrites Outlook" action is a one-way process that deletes all items from
Outlook and then copies all items from the handheld into Outlook. Your Outlook items will be
moved to Outlook's Deleted Items folder.
The "Do Nothing" action does not perform any synchronization action.
When you change the synchronization preferences for a handheld folder, you may have to select
both a Permanent HotSync Action and a One-Time Action of Next HotSync. The difference is the
Permanent HotSync Action occurs each time the Outlook Contacts folder and the handheld folder
are synchronized. The One-Time Action of HotSync only occurs on your next synchronization.
After that, the Permanent HotSync Action takes over.
To change the HotSync Action of a handheld folder, perform the following steps:
1. Click the HotSync Manager icon (circular red and blue arrow next to the time in your
Windows taskbar).
2. Select Custom from the popup menu.
3. Select the KeyContacts conduit and click Change....
4. Be sure the HotSync Action for KeyContacts is enabled, and click Settings.... The
KeyContacts Folder Settings screen appears.
5. Select the folder and click the Edit Folder… button.
6. The Edit Options screen appears. Click on the Change HotSync Action option.
7. Set the Permanent HotSync Action for the folder synchronization and click Next.
8. If you have selected "Two-Way Synchronization" as the Permanent HotSync Action,
select a One-Time HotSync Action and click Next.
9. View the Folder Settings Summary.
10. Click Finish.
Conflict Resolution
When the same item in Outlook and in the handheld is modified between synchronizations, a
conflict is created. KeyContacts allows you to resolve the conflict in one of three ways: Duplicate
Items, Outlook Wins, or Handheld Wins.
"Duplicate Items" – KeyContacts adds a new item to Outlook with the information contained in
the modified handheld item AND adds a new item in your handheld with the modified Outlook
information.
"Outlook Wins" – The modification in your handheld is deleted and the Outlook modification is
written to your handheld.
"Handheld Wins" - The modification made in Outlook is deleted and the handheld modification is
written to Outlook.
When you choose "Outlook Wins" or "Handheld Wins", KeyContacts creates a Conflicts subfolder
under the KeyContacts folder in Outlook. Information deleted from Outlook or the handheld is
placed in the Conflicts folder.

To change the conflict resolution of a handheld folder, perform the following steps:
1. Click the HotSync Manager icon (circular red and blue arrow next to the time in your
Windows taskbar).
2. Select Custom from the popup menu.
3. Select the KeyContacts conduit and click Change....
4. Be sure the HotSync Action for KeyContacts is enabled, and click Settings.... The
KeyContacts Folder Settings screen appears.
5. Select the folder and click the Edit Folder… button.
6. The Edit Options screen appears. Click on the Change Conflict Resolution option.
7. Select a conflict resolution and click Next.
8. View the Folder Settings Summary.
9. Click Finish.

The first screen of the Edit Folder Wizard is the Edit Options screen. Click on one of the four
options and the Edit Folder Wizard for that option appears.
The wizard guides you through each option quickly and easily. The final Edit Folder Wizard
screen is the Folder Settings Summary screen. It lists the changes to be made to the selected
handheld folder during the next synchronization.

If you have synchronized only your Outlook Contacts folder to your handheld, the folder name
"Contacts" appears at the top of the handheld display and the white arrow will NOT be visible.
The white arrow only appears when you have more than one Outlook folder linked to your
handheld.

List By: Select how you want the contact information sorted
in the KeyContacts List View screen.
Enable Smart Look Up: Select this check box to perform the Smart Look
Up. This feature is selected by default. Uncheck
this check box to use the Standard Look Up. When
you uncheck it, the "Search in these fields" options
disappear.
Search in these fields: Select the fields you want the Smart Look Up
feature to search.
Contacts
Creating New Contacts in the Handheld
To create a new contact in a folder on your handheld, do the following:
1. From the KeyContacts List View screen (shown below) tap the New button.
3. Fill in all the applicable fields. Tap on the down arrow in the bottom right-hand corner of
the screen to view additional fields. Each field may contain a maximum of 255
characters.
4. Select a category.

5. Tap on the category in the upper right-hand corner of the Contact Edit screen. The Edit
Categories screen appears.
6. Select the categories you would like to assign to this contact by tapping in the
corresponding check boxes. You may add new categories if needed by tapping on the
New button.
7. Tap OK to return to the Contact Edit screen.
To add a note, tap the Note button. The note may contain up to 32,766 characters.
Tap on Details… to mark this item private, or to enable journaling in Outlook, and tap OK.

If this does not reveal the contact you are searching for, enter a second character and the contact
list displays all contacts that contain both characters together in the specified search fields.
Continue searching in this manner until you find the contact.
If the character you type is not found in the search fields you chose, the handheld beeps and the
letter you entered disappears.
Using the Standard Look Up:
To find contacts on your handheld using the Standard Look Up, perform the following steps:
1. From the KeyContacts List View screen, tap on the Menu button located in the bottom
left-hand corner of your handheld.
2. Tap Options|Preferences… in the menu bar.
3. Uncheck the "Enable Smart Look Up" check box. The Search in these Fields options will
no longer be visible.
4. Using Graffiti® or the keyboard, enter a character into the Look Up field. The first name
that begins with the letter is highlighted.

If this does not reveal the contact you are searching for, enter a second character and the first
name that contains both characters together is highlighted. Continue searching in this manner
until you find the contact.
If the character you type is not found, the handheld beeps and the letter you entered
disappears.
Categories
Creating Categories in the Handheld
To create a new category in your handheld:
1. From the KeyContacts List View screen, tap the category in the upper right-hand corner
of your handheld screen. The category drop-down list appears.
2. Tap Edit Categories… in the drop-down list. The Edit Categories screen appears.
3. Tap New.

4. Enter the new category name in the space provided and tap OK. Category names may
contain a maximum of 255 characters.
5. Tap OK again to exit the Edit Categories screen and return to the KeyContacts List View
screen.

To create your own File As, enter the name you would like the contact filed under into the File As
field.
To change how a contact is filed in the handheld, perform the following steps:
1. In the KeyContacts List View screen, tap on the contact name.
2. Tap Edit.
3. Tap on the down arrow to the right of the File As field.
4. Tap on a File As option from the drop-down menu.
5. Tap Done.
The change to a contact’s File As field is reflected in Outlook after you synchronize.
Security
To mark a contact private on your handheld:
1. In the KeyContacts List View, tap on the contact you want to mark private. The Contact
View screen appears.
2. Tap the Edit button.
3. In the Contact Edit screen, tap Details… and the Contacts Details window appears.
4. Tap the Private check box.
5. Tap OK.
6. A message appears telling you to go to the Security menu to choose to mask, show or
hide your private records. Tap OK.
7. Tap Done to return to the KeyContacts List View screen.
To set the privacy to either show records or hide records in a Palm OS® lower than 3.5:
1. Tap the Applications button (picture of house) located in the bottom left-hand corner of
your handheld.
2. Tap on the Security icon.
3. Set the privacy and assign a password if desired.
To set the privacy to either show records, mask records, or hide records in Palm OS® 3.5 and
higher:
1. In the KeyContacts List View, tap the Menu button located in the bottom left-hand corner
of your handheld display.
2. Tap Options|Security… and the Change Security window appears.
3. Select the privacy setting you want to use and tap OK.

Color
In Palm OS® 3.5 and higher, you can change the color of the background, text, banding, and
selection displayed in the KeyContacts List View screen in your handheld.
Background: The color against which the text and banding in the
KeyContacts List View screen are displayed
Text: The color of the names and phone numbers shown
on the KeyContacts List View screen
Banding: The rectangular portions of color highlighting every
other row on the KeyContacts List View screen
Selection: The color highlighting the selected text
Beaming
KeyContacts lets you beam an individual contact, a category, or a business card.
To beam a contact:
1. Position the handheld devices so their infrared ports are facing each other. They should
be between two inches and 20 inches apart.
2. Be sure the handheld receiving the contact information is powered on.
3. On the sending handheld, tap on the contact in the KeyContacts List View screen. The
Contact View screen appears.
4. Tap on the Menu button located in the lower left-hand corner of your handheld and select
Record|Beam Contact from the menu bar.
5. The Beam window appears and displays the progress of the beaming process.
6. If KeyContacts is on the receiving handheld when the beam is complete, the KeyContacts
window appears on the receiving handheld asking the user to select the application in
which to receive the contact information. Tap on KeyContacts or Address Book and tap
OK.
7. If KeyContacts is selected, the user can choose the folder, if there are multiple folders
available on the receiving handheld, and category for the contact.

To beam a category:

asking the user to select the application in which to receive the contact information. Tap
on KeyContacts or Address Book and tap OK.
7. If KeyContacts is selected, the user can choose the folder, if there are multiple folders
available on the receiving handheld, and category for the contact(s).
To beam a business card:
If you do not already have one, you must select a business card.
1. In the KeyContacts List View screen, tap on the contact you wish to use as the business
card.
2. Tap the Menu button in the lower left-hand corner of your handheld.
3. Tap Record|Select Business Card… from the menu bar.
4. Tap Yes in the Select a Business Card window.
5. Position the handheld devices so their infrared ports are facing each other. They should
be between two inches and 20 inches apart.
6. Be sure the handheld receiving the contact information is powered on.
7. From the folder’s list view screen, tap on the Menu button in the lower left-hand corner
of you handheld.
8. Tap Record|Beam Business Card from the menu bar.
9. The Beam window appears and displays the progress of the beaming process.
10. When the beam is complete, the KeyContacts window appears on the receiving handheld
asking the user to select the application in which to receive the contact information. Tap
on KeyContacts or Address Book and tap OK.
11. If KeyContacts is selected, the user can choose the folder, if there are multiple folders
available on the receiving handheld, and category for the contact.
Another way to beam your business card is to hold down the hardware Address button on your
handheld (picture of telephone receiver) for approximately two seconds. To use this method, you
must first map the Address button to KeyContacts. To do this, perform the following steps:
1. Tap on the Applications button (picture of a house) in the lower left-hand corner of your
handheld.
2. Tap the Prefs icon.

3. Tap on the drop-down list in the upper right-hand corner of the handheld and select
Buttons.
4. Tap on the drop-down list beside the Address button image, and select KeyContacts.
5. Tap the Applications button again.
You are now ready to beam your business card simply by holding down the Address button on
your handheld.
If the receiving handheld does not have the KeyContacts handheld application loaded on it, you
can beam the KeyContacts.prc file to it from another handheld.
To beam a 21-day trial of the KeyContacts handheld application:
1. Go to the Applications screen of your handheld.
2. Tap on the Menu button located in the lower left-hand corner of your handheld display.
3. Select App|Beam... from the menu bar.
4. Tap on KeyContact, then, tap the Beam button.
5. Tap Done after the beam is complete.
This application is good for 21 days of use on the handheld. After that, the user must purchase
KeyContacts to load the conduit and handheld components for long-term use.
Journal
KeyContacts lets you turn on Outlook journaling for any handheld contact. Outlook lets you keep
journal events, like meeting requests, associated with your Outlook contacts.
To enable journaling for a contact:
1. In the KeyContacts List View screen, tap on the contact. The Contact View screen
appears.
2. Tap Edit.
3. In the Contact Edit screen, tap Details….
4. In the Contact Details screen, tap inside the Journal: check box to select it.
5. Tap OK.

To view different numbers, tap the down arrow next to one of the phone number fields and select a
new number from the drop-down list as shown below.
The checkmarks next to the phone numbers indicate those fields contain phone numbers.
Address Fields
There are three different address fields in Outlook that you can synchronize with KeyContacts in
your handheld:
Business address
Home address
Other address
There is a mailing address check box in Outlook that lets you designate your mailing address. The
mailing address appears in the Contact View screen on your handheld.
To show a different address, go to the Contact Edit screen. Tap the down arrow next to the
address field. Then, tap on the address you wish to view from the drop-down list as shown
below.
The checkmarks next to the addresses indicate these fields contain addresses.

Appendix A - Troubleshooting
Frequently Asked Questions
How Do I Synchronize My Outlook Subfolders With
KeyContacts?
To synchronize your Outlook Contacts subfolders with KeyContacts on the handheld, perform the
following steps:
1. Click the HotSync Manager icon (circular red and blue arrow next to the time in your
Windows taskbar).
2. Select Custom from the popup menu.
3. Select the KeyContacts conduit and click Change....
4. Click Settings.... The KeyContacts Folder Settings screen appears.
5. Click the Add Folder… button. The Add Folder Wizard opens.
6. Choose the Outlook Contacts subfolder you want to synchronize. You may only select
an Outlook folder that is not already linked to a handheld folder. The folders you may
select are in bold text.
7. Select a name for the handheld folder. You may use the default name or you may create
your own. Folder names may contain up to 27 characters.
8. Set the Permanent HotSync Action for the folder synchronization.
9. If you have selected "Two-Way Synchronization", select a conflict resolution, and click
Next.
10. View the Folder Settings Summary.
11. Click Finish.
12. Click Done to close Folder Settings, then exit the HotSync® Manager.
13. Synchronize.
Now, you may view the folder(s) on your handheld.

Offline Use
If you are using an Exchange Server and have a profile configured for offline use, you must enable
the KeyContacts folder and Conflicts subfolder in Outlook for use in the offline profile. You must
be online in order to enable folders for offline use.
When you synchronize with both online and offline folders, we STRONGLY recommend that you
configure Outlook to synchronize all folders when you exit. This will prevent you from
synchronizing with an out of date set of offline folders. To enable folders for offline use and then
set up the automatic synchronization when exiting Outlook, follow these steps:
Outlook 97 users:
1. Start Outlook and connect to the Exchange Server.
2. If you have not previously synchronized to this profile, do so now.
3. Display the folder list by selecting View|Folder List from the menu.
4. Right click on the KeyContacts folder and select Properties.
5. Click on the Synchronization tab and make sure the When online or offline radio button is
selected.
6. Click OK.
7. Right click on the Conflicts subfolder under the KeyContacts folder and select
Properties.
8. Click on the Synchronization tab and make sure the When online or offline radio button is
selected.
9. Click OK.
10. Click Tools|Options.
11. Click on the General tab.
12. Check the When online, synchronize all folders upon exiting box.
13. Click on the OK button.

Conflicting Edits
When using offline folders, a conflict can be created by Outlook if an item is edited in the
Exchange Server Mailbox (while you were not connected) and in the offline folders. When you
connect to Exchange, the conflicting item has a crossed swords icon.
To resolve the conflict, double-click on the item to open a special conflict resolution dialog. A
quick way to find all your conflicting items is to switch to a table view in Outlook, such as By
Category. To do this, click on View|Current View|By Category. Next, click on the folded page

Appendix B - Glossary
Synchronization Synchronization is the transfer of data between your handheld and the Cloak
Desktop on your PC.
Conduit This is the software program that links the Personal Computer to one of the
handheld applications.
PRC file This file is a standard Palm application. PRC is the actual filename
extension of this application file, for example, KeyContacts.prc.
