Chapter 1 – Introduction to KeyContacts Software


KeyContacts Overview
The KeyContacts application consists of a desktop Folder Settings interface and a handheld
application. The Folder Settings interface is designed to let you link Outlook Contacts folders to
your handheld and to customize the synchronization settings for these folders. The handheld
application lets you carry 40 more of your important Outlook Contacts fields on your handheld
than in Address Book. You may have over 250 categories per handheld folder and assign
multiple categories to each contact.
Outlook Contacts folders directly map to KeyContacts folders on the handheld.

KeyContacts Features
KeyContacts software includes all of the following features:
ƒ Synchronize 40 more Contacts fields than you can with the Address Book.
ƒ Transfer multiple Outlook Contacts folders, including subfolders and public folders, to
KeyContacts on the handheld.
ƒ Customize synchronization settings for each handheld folder using the Folder Settings
interface.
ƒ Easily add new Outlook folders to the handheld using the Folder Settings interface.
ƒ You may choose to receive beamed contacts and business cards into either KeyContacts
or Address Book on your handheld.
ƒ You may choose the folder and category for each beamed contact you receive into
KeyContacts on your handheld.
ƒ Smart Look Up helps you quickly and easily look up contacts, using information not
necessarily displayed in the phone number list as the search criteria
ƒ A flexible File As option is available on the handheld.
ƒ Smart synchronization recognizes when new KeyContacts folders are on your handheld
and you are synchronizing with a second PC. It lets you choose which handheld folders
you want to synchronize with Microsoft® Outlook® on that PC.
ƒ KeyContacts supports an unlimited number of Outlook folders on the handheld.
ƒ Assign a contact to multiple categories.
ƒ Category names may contain up to 255 characters.
ƒ Category links established in PocketMirror® Professional can be automatically
transferred into KeyContacts.
ƒ View phone numbers in the standard or a detailed contact list view.
ƒ KeyContacts supports large notes. The maximum size allowed is 32,766 bytes.
ƒ Select a conflict resolution.

ƒ Color customization is available for the background, text, banding, and the selection on
the handheld.
ƒ You may enable any contact in KeyContacts for Outlook Journal

Chapter 2 – Installing Your KeyContacts Software


Installation Notes
The Palm Desktop 3.0 or higher software must be installed BEFORE installing KeyContacts. We
recommend synchronizing with the Palm Desktop before installing KeyContacts to insure the
HotSync Manager is functioning properly. The latest Palm Desktop software is available as a free
download on Palm's support download page (www.palm.com).

System Requirements
In order to install and use KeyContacts software, your computer system and handheld device must
meet the following minimum requirements:
ƒ Palm Desktop 3.0
ƒ Handheld device using the Palm OS 3.0
ƒ 412 KB free memory on the handheld
ƒ Microsoft Outlook
ƒ Windows 95 or NT 4.0
ƒ Windows®-compatible personal computer
ƒ 16 MB RAM (32 MB recommended)
ƒ 2 MB disk space

Installation instructions
1. Insert the KeyContacts CD-ROM into the computer’s CD-ROM drive, or click on the
download link.
2. On the Welcome screen, click Next.
3. Review the License agreement and click Yes to continue.
4. On the Choose Destination Location screen, click Next. If you wish to install
KeyContacts into a different folder, click the Browse button and select the desired folder,
and click Next.
5. On the Select Program Folder screen, click Next. To use a different program folder
name, enter the name of your choice into the space provided and click Next. The
program folder name is the name that appears in Start | Programs.
6. The next screen, Select Handheld User, lets you choose the name of the handheld device
you want to add KeyContacts to. PRC is the filename extension for the handheld
application (KeyContacts.prc). If you do not want to add the KeyContacts application to
a handheld device, select “Do NOT install the KeyContacts PRC to any handheld.”
7. Click Next.
8. Click Next again.
9. The last screen announces the installation of KeyContacts is complete and gives you the
option to view the Your First Synchronization Help topic.
10. Click Finish.
11. Synchronize to install the KeyContacts application on the selected handheld. Once
installed, you can begin to use KeyContacts on your handheld.
NOTE: See section “Your First Synchronization” in Chapter 3 - Getting Started, for more
synchronization information.

Please review the readme.txt file before using KeyContacts software for current, updated
information. It is located in your KeyContacts default directory (C:\Program
Files\Chapura\KeyContacts\Readme.txt).

Your First Synchronization


The very first synchronization you perform only installs the KeyContacts application on your
handheld. The second synchronization places your Outlook Contacts folder on your handheld.
After the second synchronization, a dialog pops up to ask you to open KeyContacts on your
handheld and verify that your desired contacts appear. If you want to synchronize Outlook
Contacts folders, click the Yes button in the dialog box and the Add Folder Wizard appears. The
Add Folder Wizard walks you through the process of linking Outlook Contacts folders to your
handheld.
If you are currently using PocketMirror Professional:
You should perform the first two synchronizations with KeyContacts, before configuring the
KeyContacts folder settings.
During the second synchronization, a message appears asking you if you wish to set up
synchronization for the folders to which PocketMirror synchronizes. Click Yes to transfer the
PocketMirror Contacts category links and contact information to KeyContacts on your handheld.
Then, another dialog pops up to ask you to open KeyContacts on your handheld and verify that
your desired contacts appear.

Chapter 4 - KeyContacts Folder Settings


Change HotSync Action Dialog Box
To allow synchronization of KeyContacts with Microsoft Outlook, in the Change HotSync Action
window, the Enabled radio button should be selected.

Add Folder Wizard


To access the Add Folder Wizard:
1. Click the HotSync Manager icon (circular red and blue arrow next to the time in your
Windows taskbar).
2. Select Custom from the popup menu.
3. Select the KeyContacts conduit and click Change....
4. Click Settings.... The KeyContacts Folder Settings screen appears.
5. Click the Add Folder… button.
The Add Folder Wizard takes you step-by-step though the process of adding an Outlook Contacts
folder to your handheld and setting its synchronization preferences.
1. Choose the Outlook Contacts folder you want to synchronize with your handheld. You
may only select Outlook folders that are not already linked to a handheld folder. These
folders are in bold text in the folder list. Click Next.
2. Select a name for the new handheld folder. You may use the default name which is
identical to the name of the selected Outlook folder, or you may create your own. Folder
names may contain up to 27 characters. Then, click Next.
3. Set the Permanent HotSync Action for the folder synchronization and click Next.
4. If you have selected "Two-Way Synchronization", select a conflict resolution, and click
Next.
5. View the Folder Settings Summary.
6. Click Finish.
7. Click Done to close Folder Settings, then exit the HotSync® Manager.
8. Synchronize. The new handheld folder is added to your handheld after you synchronize.

HotSync Action
There are four different HotSync actions for the "Permanent Action" and three different actions for
the "One-time Action of Next HotSync".
The different HotSync action types are:
ƒ Two-Way Synchronization
ƒ Outlook Overwrites Handheld
ƒ Handheld Overwrites Outlook
ƒ Do Nothing

The "Two-Way Synchronization" action is a full two-way process that detects additions,
modifications, and deletions in the handheld and in Outlook. Changes in your handheld are added
to Outlook and changes to Outlook are added to your handheld.
The "Outlook Overwrites Handheld" action is a one-way process that deletes all items from the
handheld and then copies all items from Outlook into the handheld.
The "Handheld Overwrites Outlook" action is a one-way process that deletes all items from
Outlook and then copies all items from the handheld into Outlook. Your Outlook items will be
moved to Outlook's Deleted Items folder.
The "Do Nothing" action does not perform any synchronization action.
When you change the synchronization preferences for a handheld folder, you may have to select
both a Permanent HotSync Action and a One-Time Action of Next HotSync. The difference is the
Permanent HotSync Action occurs each time the Outlook Contacts folder and the handheld folder
are synchronized. The One-Time Action of HotSync only occurs on your next synchronization.
After that, the Permanent HotSync Action takes over.
To change the HotSync Action of a handheld folder, perform the following steps:
1. Click the HotSync Manager icon (circular red and blue arrow next to the time in your
Windows taskbar).
2. Select Custom from the popup menu.
3. Select the KeyContacts conduit and click Change....
4. Be sure the HotSync Action for KeyContacts is enabled, and click Settings.... The
KeyContacts Folder Settings screen appears.
5. Select the folder and click the Edit Folder… button.
6. The Edit Options screen appears. Click on the Change HotSync Action option.
7. Set the Permanent HotSync Action for the folder synchronization and click Next.
8. If you have selected "Two-Way Synchronization" as the Permanent HotSync Action,
select a One-Time HotSync Action and click Next.
9. View the Folder Settings Summary.
10. Click Finish.

Conflict Resolution
When the same item in Outlook and in the handheld is modified between synchronizations, a
conflict is created. KeyContacts allows you to resolve the conflict in one of three ways: Duplicate
Items, Outlook Wins, or Handheld Wins.
"Duplicate Items" – KeyContacts adds a new item to Outlook with the information contained in
the modified handheld item AND adds a new item in your handheld with the modified Outlook
information.
"Outlook Wins" – The modification in your handheld is deleted and the Outlook modification is
written to your handheld.
"Handheld Wins" - The modification made in Outlook is deleted and the handheld modification is
written to Outlook.
When you choose "Outlook Wins" or "Handheld Wins", KeyContacts creates a Conflicts subfolder
under the KeyContacts folder in Outlook. Information deleted from Outlook or the handheld is
placed in the Conflicts folder.

To change the conflict resolution of a handheld folder, perform the following steps:
1. Click the HotSync Manager icon (circular red and blue arrow next to the time in your
Windows taskbar).
2. Select Custom from the popup menu.
3. Select the KeyContacts conduit and click Change....
4. Be sure the HotSync Action for KeyContacts is enabled, and click Settings.... The
KeyContacts Folder Settings screen appears.
5. Select the folder and click the Edit Folder… button.
6. The Edit Options screen appears. Click on the Change Conflict Resolution option.
7. Select a conflict resolution and click Next.
8. View the Folder Settings Summary.
9. Click Finish.

KeyContacts Settings Summary


The KeyContacts Settings Summary has been developed as a way to quickly display all the
synchronization settings associated with your user account. This information assists our technical
support team in the event you have questions or difficulty with your synchronizations. It also
allows you to e-mail your questions and summary information to our technical support team.
To access the KeyContacts Settings Summary screen, do the following:
1. Click the HotSync Manager icon (circular red and blue arrow next to the time in your
Windows taskbar).
2. Select Custom from the popup menu.
3. Be sure the correct handheld user name is displayed, and select the KeyContacts conduit.
4. Click the Change...button.
5. Click Settings...and the KeyContacts Folder Settings screen appears.
6. Click the Summary button.

Edit Folder Wizard


To access the Edit Folder Wizard:
1. Click the HotSync Manager icon (circular red and blue arrow next to the time in your
Windows taskbar).
2. Select Custom from the popup menu.
3. Select the KeyContacts conduit and click Change....
4. Click Settings.... The KeyContacts Folder Settings screen appears.
5. Select the folder and click the Edit Folder… button.
The Edit Folder Wizard takes you step-by-step through the process of:
ƒ Changing the HotSync Action for folder synchronization
ƒ Changing the Conflict Resolution for folder synchronization
ƒ Changing the Outlook folder to synchronize with your handheld
ƒ Changing the handheld folder name

The first screen of the Edit Folder Wizard is the Edit Options screen. Click on one of the four
options and the Edit Folder Wizard for that option appears.
The wizard guides you through each option quickly and easily. The final Edit Folder Wizard
screen is the Folder Settings Summary screen. It lists the changes to be made to the selected
handheld folder during the next synchronization.

Link Folder Wizard


If you have been synchronizing to more than one PC and then attempt to synchronize at a new PC,
a dialog appears stating there is a folder on the handheld which is not linked at this PC. You are
given the option to create a link for this folder. If you click Yes, the Folder Settings screen
appears displaying a message in red text beside the handheld folder name specifying the folder is
not linked to Outlook at this PC.
The Link Folder Wizard takes you step-by-step though the process of setting up a link between
this handheld folder and an Outlook contact folder on this PC.
To set up the link for this handheld folder, perform the following steps:
1. Select a handheld folder not linked to Outlook at this PC. Notice the Edit Folder…
button at the bottom of the Folder Settings screen changes to the Link Folder… button.
2. Click the Link Folder… button. The Link Folder Wizard appears.
3. Choose the Outlook Contacts folder you want to link to this handheld folder. You may
only select Outlook folders that are not already linked to a handheld folder. These folders
are in bold text in the folder list.
4. Click Next.
5. Choose the Permanent HotSync Action for this folder. If you have this folder set up with
a HotSync Action of "Outlook Overwrites Handheld" at another PC, then the only valid
HotSync Action at this PC is "Handheld Overwrites Outlook" or "Do Nothing".
6. Click Next.
7. If you have selected "Two-Way Synchronization", select a conflict resolution, and click
Next.
8. View the Folder Settings Summary.
9. Click Finish.
10. Click Done to close Folder Settings, then exit the HotSync® Manager.
11. Synchronize. The handheld folder is now linked to the Outlook folder you chose in step
three above.
To access the Link Folder Wizard:
1. Click the HotSync Manager icon (circular red and blue arrow next to the time in your
Windows taskbar).
2. Select Custom from the popup menu.
3. Select the KeyContacts conduit and click Change....
4. Click Settings.... The KeyContacts Folder Settings screen appears.

About KeyContacts Folder Settings


The KeyContacts Folder Settings interface helps you customize the synchronization settings for
each of your handheld folders.
The Folder Settings screen shows each handheld folder, the Outlook folder the handheld folder is
linked to, and the HotSync Action that will be performed on your next synchronization.
The Add Folder Wizard guides you through a step-by-step process of linking Outlook Contacts
folders to your handheld.
The Edit Folder Wizard takes you through the process of modifying the following folder settings:
ƒ HotSync Action
ƒ Conflict Resolution
ƒ Handheld Folder Name
ƒ Outlook Folder
If you no longer want to synchronize an Outlook Contacts folder with a particular handheld folder,
you can remove the folder from your handheld.

Accessing Your Folder Settings


To access your Folder Settings, perform the following steps:
1. Click the HotSync Manager icon (circular red and blue arrow next to the time in your
Windows taskbar).
2. Select Custom from the popup menu.
3. Select the KeyContacts conduit and click Change....
4. Click the Settings.... button. The KeyContacts Folder Settings screen appears.

Changing the Outlook Folder


To change the Outlook Contacts folder a handheld folder is synchronizing with, perform the
following steps:
1. Click the HotSync Manager icon (circular red and blue arrow next to the time in your
Windows taskbar).
2. Select Custom from the popup menu.
3. Select the KeyContacts conduit and click Change....
4. Click Settings.... The KeyContacts Folder Settings screen appears.
5. Select the folder and click the Edit Folder… button. The Edit Folder Wizard appears.
6. Click on the Change Outlook Folder option, and click Next.
7. Choose the Outlook Contacts folder you want to synchronize with your handheld. You
may only select Outlook folders that are not already linked to a handheld folder. These
folders are in bold text in the folder list. Click Next.
8. Set the Permanent HotSync Action for the folder synchronization and click Next.
9. If you have selected "Two-Way Synchronization" as the Permanent HotSync Action,
select a One-Time HotSync Action and click Next.

10. View the Folder Settings Summary.


11. Click Finish.
12. Click Done to close Folder Settings, then exit the HotSync® Manager.
13. Synchronize.

Changing the Handheld Folder Name


To change the name of a handheld folder, perform the following steps:
1. Click the HotSync Manager icon (circular red and blue arrow next to the time in your
Windows taskbar).
2. Select Custom from the popup menu.
3. Select the KeyContacts conduit and click Change....
4. Click Settings.... The KeyContacts Folder Settings screen appears.
5. Select the folder and click the Edit Folder… button. The Edit Folder Wizard appears.
6. Click on the Change Handheld Folder Name option, and click Next.
7. Select a new name for the handheld folder. You may use the default name which is
identical to the name of the selected Outlook Contacts folder, or you may create your
own. Folder names may contain up to 27 characters. Then, click Next.
8. View the Folder Settings Summary.
9. Click Finish.
10. Click Done to close Folder Settings, then exit the HotSync® Manager.
11. Synchronize.

Removing a Handheld Folder


To remove a folder from your handheld, perform the following steps:
1. Click the HotSync Manager icon (circular red and blue arrow next to the time in your
Windows taskbar).
2. Select Custom from the popup menu.
3. Select the KeyContacts conduit and click Change....
4. Click the Settings... button. The KeyContacts Folder Settings screen appears.
5. Select the folder you wish to remove. Click the Remove Folder… button. The Confirm
Remove Folder dialog box appears.
If you have already synchronized this folder and you click Yes, the folder is marked for removal
on your very next synchronization. To undo the remove, click on the folder and click the Un-
Remove Folder button.
If you have not already synchronized this folder, it is removed from the Folder Settings screen
after you click Yes in the Confirm Remove Folder dialog box. The removed folder is not added to
your handheld on your next synchronization.

Change Outlook Profile


You can change the Outlook profile KeyContacts synchronizes with from the Folder Settings
screen. Changing profiles may cause your established folder links to be erased and your handheld
contact information to be lost. You should synchronize with your current profile before changing
to the new Outlook profile.
To change your profile:
1. Click the HotSync Manager icon (circular red and blue arrow next to the time in your
Windows taskbar).
2. Select Custom from the popup menu.
3. Select the KeyContacts conduit and click Change....
4. Click Settings.... The KeyContacts Folder Settings screen appears.
5. Click the Change… button next to your Outlook profile.
6. A warning dialog appears. Click OK to continue.
7. Select a new profile name and Click OK.
When you change the Outlook profile, the handheld folders linked to the same Outlook folder in
the same exchange mail box or .PST file and those linked to handheld folders that are
synchronized with another computer are saved.
Handheld folders that do not appear in the new exchange mail box or .PST file, or are not
synchronized with another computer are NOT saved when you change your Outlook profile.

Chapter 5 - KeyContacts Handheld Application


Overview of the Handheld Application
The KeyContacts handheld application is designed so you can carry more of your important
Outlook Contacts fields on your handheld. Your contacts are organized by Outlook folder on your
handheld. Each handheld folder may contain up to 254 unique categories and each contact in the
handheld folder can be assigned to multiple categories.
You can beam contacts individually or by category. You can also beam a business card.
Receiving beamed contact information is convenient because you can choose to receive it into
either KeyContacts or Address Book. When you receive a beam into KeyContacts, you can
choose the folder and the category to which the beamed contact(s) will be assigned.
The handheld application also has a Smart Look Up feature which helps you find a contact using
information other than what is visible in the KeyContacts List View screen. You can choose to
search by first name, last name, company name, and File As fields.

Viewing Your Handheld Folders


To view the contents of a folder on your handheld, perform the following steps:
1. In the KeyContacts List View screen, tap the white arrow beside the folder name.

If you have synchronized only your Outlook Contacts folder to your handheld, the folder name
"Contacts" appears at the top of the handheld display and the white arrow will NOT be visible.
The white arrow only appears when you have more than one Outlook folder linked to your
handheld.
2. A drop-down list of your handheld folders appears.

3. Tap on the folder you wish to view in the drop-down list.

Switching Folders Using the Five-Way Navigator


To switch folders using the five-way navigator, perform the following steps:
1. From the KeyContacts List View screen, tap the Menu button in the bottom left-hand
corner of your handheld.
2. Tap Options|Preferences… in the menu bar.
3. Select the Button Press Changes Folder option by tapping inside the check box and tap
OK.
To switch folders, press Left on the navigator. If a row is selected, you must navigate left two
times to begin switching folders. If you want to switch categories instead of folders, go back to
the Preferences screen as shown in steps 1-2 above and uncheck the Button Press Changes Folder
option.

Setting Preferences in the Handheld


To change your handheld preferences, perform these steps:
1. From the KeyContacts List View screen, tap the Menu button in the bottom left-hand
corner of your handheld.
2. Tap Options|Preferences… in the menu bar. The Preferences window appears with the
following options available:
Default View: Tap on this option to select the default folder and
category which will be displayed when you re-enter
KeyContacts. You may choose to have
KeyContacts remember the last folder and last
category you viewed before exiting the application.
Please note if you choose to remember the last
folder your default category options are limited to
All, Remember Last, or None.
Detailed Phone List : When selected, it displays up to four phone
numbers and one e-mail address in the KeyContacts
List View screen.
Button Press Changes Folder: If you have the Address Book button mapped to the
KeyContacts application and this feature is checked,
you may switch folders by simply pressing the
mapped button. This feature only works if you are
in the KeyContacts List View screen. If this option
is unchecked, you can change categories by
pressing the mapped button.

To switch folders or categories using the five-way


navigator, press Left on the navigator. If a row is
selected, you have to navigate left two times to
begin switching folders or categories.
Enable Tap-Dialing: On devices that support phone dialing, when this
feature is checked, tapping on a phone number in
the KeyContacts List View screen or the Contact
View screen will bring up a dialog showing all
phone numbers for the contact. It has the phone
number you tapped pre-selected. You can then dial
the selected number by simply tapping the Dial
button.

List By: Select how you want the contact information sorted
in the KeyContacts List View screen.
Enable Smart Look Up: Select this check box to perform the Smart Look
Up. This feature is selected by default. Uncheck
this check box to use the Standard Look Up. When

disappear.
Search in these fields: Select the fields you want the Smart Look Up
feature to search.

Contacts
Creating New Contacts in the Handheld
To create a new contact in a folder on your handheld, do the following:
1. From the KeyContacts List View screen (shown below) tap the New button.

2. A blank Contact Edit screen appears as shown below:

3. Fill in all the applicable fields. Tap on the down arrow in the bottom right-hand corner of
the screen to view additional fields. Each field may contain a maximum of 255
characters.

To add a note, tap the Note button. The note may contain up to 32,766 characters.

Creating New Contacts From the Same Company in the


Handheld
If you are creating a new contact from the same company as an existing contact, you can use the
New at Same Company feature.
To use the New at Same Company feature to create a contact in your handheld, perform the
following steps:
1. In the KeyContacts List View screen, tap on an existing contact to use. The Contact
View screen appears.
2. Tap the Menu button located in the lower left-hand corner of your handheld.
3. Tap Record|New at Same Company in the menu bar.
4. A Contact Edit screen appears with the company name, business phone, business fax, and
business address fields already completed.
5. Enter the rest of the information needed for this contact.
6. Tap Done.

Editing Contacts in the Handheld


To make changes to a contact, perform these steps:
1. Tap on the contact in the KeyContacts List View screen. The Contact View screen

Deleting Contacts in the Handheld


To delete a contact from a handheld folder, perform the following steps:
1. Tap on the contact in the KeyContacts List View screen. The Contact View screen
appears.

3. Tap Record|Delete Contact… in the menu bar.
4. The Delete Contact window appears to confirm your decision to delete. Tap OK to delete
the contact. If you tap Cancel, you return to the Contact View screen.

Assigning Categories to Contacts in the Handheld


You may assign a contact to one category or to many categories. To do this, perform the
following steps:
1. Tap on a contact in the KeyContacts List View screen. The Contact View screen appears.
2. Tap Edit. The Contact Edit screen appears.
3. Tap on the category in the upper right-hand corner of the Contact Edit screen.

4. The Edit Categories screen appears as shown below. Select the categories you would
like to assign to this contact by tapping in the corresponding check boxes. You may add
categories as needed by tapping on the New button in the Edit Categories screen.

Finding Contacts in the Handheld


To quickly locate contacts in the KeyContacts handheld application, use the Smart Look Up field
at the bottom of the KeyContacts List View screen. The Chapura Smart Look Up feature can
locate contacts in the currently viewed folder using first name, last name, company name, and File
As fields.
Using the Chapura Smart Look Up:
Set the Chapura Smart Look Up search criteria by doing the following:
1. From the KeyContacts List View screen, tap on the Menu button located in the bottom
left-hand corner of your handheld.
2. Tap Options|Preferences… in the menu bar.
3. Under Search in these fields:, tap on the fields (First Name, Last Name, Company, File
As) you wish KeyContacts to search.
4. Tap OK.
Using Graffiti® or the keyboard, enter a character into the Smart Look Up field. The contact
list displays all contacts that contain the character entered in the specified search fields. See
the figure below for an example.

If this does not reveal the contact you are searching for, enter a second character and the contact
list displays all contacts that contain both characters together in the specified search fields.
Continue searching in this manner until you find the contact.
If the character you type is not found in the search fields you chose, the handheld beeps and the
letter you entered disappears.
Using the Standard Look Up:
To find contacts on your handheld using the Standard Look Up, perform the following steps:
1. From the KeyContacts List View screen, tap on the Menu button located in the bottom
left-hand corner of your handheld.
2. Tap Options|Preferences… in the menu bar.
3. Uncheck the "Enable Smart Look Up" check box. The Search in these Fields options will
no longer be visible.
4. Using Graffiti® or the keyboard, enter a character into the Look Up field. The first name
that begins with the letter is highlighted.

Using the Five-Way Navigator with Chapura Smart Look Up:
To use the Chapura Smart Look Up with the five-way navigator, perform the following steps:
1. Set the Chapura Smart Look Up search criteria by following steps 1-4 under the section
"Using the Chapura Smart Look Up:".
2. From the KeyContacts List View screen, press Right on the navigator to enter the look
up. Five connected boxes appear at the bottom of the screen.
3. Press Up or Down on the navigator to choose the first character.
4. When the character you want to search on appears in the first box, press Right on the
navigator to perform the search.
If this does not reveal the contact you are searching for, press Right on the navigator a second time
and choose a second character. The contact list displays all contacts that contain both characters
together in the specified search fields. Continue searching in this manner until you find the
contact, then press Select on the navigator.
If the character you type is not found in the search fields you chose, the handheld beeps and the
letter you entered disappears.
Using Palm Quick Look Up:
To use the Palm Quick Look Up, perform the following steps:
1. From the KeyContacts List View screen, press Right on the navigator to enter the look
up. Five connected boxes appear at the bottom of the screen.
2. Press Up or Down on the navigator to choose the first character.
3. When the character you want to search on appears in the first box, press Right on the
navigator to perform the search. The contact list scrolls to the first contact name that
begins with that letter.
If this does not reveal the contact you are searching for, press Right on the navigator a second time
and choose a second character. The contact list scrolls to the first contact name that begins with
these two letters. Continue searching in this manner until you find the contact.
If the character you type is not found, the handheld beeps and the letter you entered disappears.

Categories
Creating Categories in the Handheld
To create a new category in your handheld:
1. From the KeyContacts List View screen, tap the category in the upper right-hand corner
of your handheld screen. The category drop-down list appears.

3. Tap on the category name you wish to change to highlight it and tap Rename.
4. Enter the new category name in the space provided and tap OK. Category names may
contain a maximum of 255 characters.
5. Tap OK again to exit the Edit Categories screen and return to the KeyContacts List View
screen.

Deleting Categories in the Handheld


To delete a category from your handheld:
1. From the KeyContacts List View screen, tap the category in the upper right-hand corner
of your handheld screen. The category drop-down list appears.
2. Tap Edit Categories… in the drop-down list. The Edit Categories screen appears.
3. Tap on the category name and tap Delete.
4. Tap OK to exit the Edit Categories screen and return to the KeyContacts List View
screen.
If the category did not contain any contacts, the category is deleted.
If the category contains contacts, the Delete Category window appears. Tap Yes to delete the
category. If a contact was assigned only this one category, then the contact appears in (None).

KeyContacts Handheld Options


File As
KeyContacts lets you choose how Outlook Contacts are filed in the KeyContacts List View screen
of your handheld. The following choices are available:
ƒ Last, First
ƒ First Last
ƒ Company
ƒ Last, First (Company)
ƒ Company (Last, First)
First is the "First name" field of the contact.
Last is the "Last name" field of the contact.
Company is the "Company" field of the contact.

To create your own File As, enter the name you would like the contact filed under into the File As
field.
To change how a contact is filed in the handheld, perform the following steps:
1. In the KeyContacts List View screen, tap on the contact name.

4. Tap on a File As option from the drop-down menu.
5. Tap Done.
The change to a contact’s File As field is reflected in Outlook after you synchronize.

Security
To mark a contact private on your handheld:
1. In the KeyContacts List View, tap on the contact you want to mark private. The Contact
View screen appears.
2. Tap the Edit button.
3. In the Contact Edit screen, tap Details… and the Contacts Details window appears.
4. Tap the Private check box.
5. Tap OK.
6. A message appears telling you to go to the Security menu to choose to mask, show or
hide your private records. Tap OK.
7. Tap Done to return to the KeyContacts List View screen.
To set the privacy to either show records or hide records in a Palm OS® lower than 3.5:
1. Tap the Applications button (picture of house) located in the bottom left-hand corner of
your handheld.
2. Tap on the Security icon.
3. Set the privacy and assign a password if desired.
To set the privacy to either show records, mask records, or hide records in Palm OS® 3.5 and
higher:
1. In the KeyContacts List View, tap the Menu button located in the bottom left-hand corner

In Palm OS® 3.5 and higher, you can change the color of the background, text, banding, and
selection displayed in the KeyContacts List View screen in your handheld.

Beaming
KeyContacts lets you beam an individual contact, a category, or a business card.
To beam a contact:
1. Position the handheld devices so their infrared ports are facing each other. They should
be between two inches and 20 inches apart.
2. Be sure the handheld receiving the contact information is powered on.
3. On the sending handheld, tap on the contact in the KeyContacts List View screen. The
Contact View screen appears.
4. Tap on the Menu button located in the lower left-hand corner of your handheld and select
Record|Beam Contact from the menu bar.
5. The Beam window appears and displays the progress of the beaming process.
6. If KeyContacts is on the receiving handheld when the beam is complete, the KeyContacts
window appears on the receiving handheld asking the user to select the application in
which to receive the contact information. Tap on KeyContacts or Address Book and tap
OK.
7. If KeyContacts is selected, the user can choose the folder, if there are multiple folders
available on the receiving handheld, and category for the contact.

Another way to beam your business card is to hold down the hardware Address button on your
handheld (picture of telephone receiver) for approximately two seconds. To use this method, you
must first map the Address button to KeyContacts. To do this, perform the following steps:
1. Tap on the Applications button (picture of a house) in the lower left-hand corner of your
handheld.
2. Tap the Prefs icon.

3. Tap on the drop-down list in the upper right-hand corner of the handheld and select
Buttons.
4. Tap on the drop-down list beside the Address button image, and select KeyContacts.
5. Tap the Applications button again.

your handheld.

If the receiving handheld does not have the KeyContacts handheld application loaded on it, you
can beam the KeyContacts.prc file to it from another handheld.
To beam a 21-day trial of the KeyContacts handheld application:
1. Go to the Applications screen of your handheld.
2. Tap on the Menu button located in the lower left-hand corner of your handheld display.
3. Select App|Beam... from the menu bar.
4. Tap on KeyContact, then, tap the Beam button.
5. Tap Done after the beam is complete.
This application is good for 21 days of use on the handheld. After that, the user must purchase
KeyContacts to load the conduit and handheld components for long-term use.

Journal
KeyContacts lets you turn on Outlook journaling for any handheld contact. Outlook lets you keep
journal events, like meeting requests, associated with your Outlook contacts.
To enable journaling for a contact:
1. In the KeyContacts List View screen, tap on the contact. The Contact View screen
appears.
2. Tap Edit.
3. In the Contact Edit screen, tap Details….
4. In the Contact Details screen, tap inside the Journal: check box to select it.
5. Tap OK.

Phone Number Fields


Outlook has an extensive number of fields dedicated to a contact’s phone numbers and e-mail
addresses. KeyContacts can store all of them in your handheld. You may view four phone
numbers and one e-mail address at a time on the handheld.

To view different numbers, tap the down arrow next to one of the phone number fields and select a
new number from the drop-down list as shown below.

The checkmarks next to the phone numbers indicate those fields contain phone numbers.

Address Fields
There are three different address fields in Outlook that you can synchronize with KeyContacts in
your handheld:

ƒ Home address
ƒ Other address
There is a mailing address check box in Outlook that lets you designate your mailing address. The
mailing address appears in the Contact View screen on your handheld.
To show a different address, go to the Contact Edit screen. Tap the down arrow next to the
address field. Then, tap on the address you wish to view from the drop-down list as shown
below.

The checkmarks next to the addresses indicate these fields contain addresses.

Windows taskbar).
2. Select Custom from the popup menu.

How Do I Upgrade from PocketMirror Professional to


KeyContacts?
If you have Contacts category links already established in PocketMirror Professional, they will
transfer into KeyContacts as folders.
To upgrade to KeyContacts from PocketMirror Professional, perform the following steps:
1. Install KeyContacts.
2. At the end of the install, a message appears stating KeyContacts has detected you are
currently synchronizing with another application, in this case PocketMirror Contacts, that
synchronizes with Address Book. It is recommended that you set the HotSync Action of
this other application to "Do Nothing". Click Yes to set the HotSync Action of
PocketMirror Contacts to "Do Nothing".
3. Synchronize. This first synchronization places the KeyContacts application on your
handheld. Contact information is NOT transferred on this first synchronization.
4. Synchronize again. A message appears asking you if you wish to set up synchronization
for the folders to which PocketMirror synchronizes. Click Yes to transfer the
PocketMirror Contacts category links and contact information to KeyContacts on your
handheld.
5. Open KeyContacts on your handheld to verify the information you desired is there.

How Does KeyContacts Determine the Phone Number Displayed


in the KeyContacts List View?
The phone number displayed for each contact in the KeyContacts List View screen is determined
by which phone number is in the first (top) phone number field for that contact in the Contact Edit
screen.
To change which phone number is displayed in the KeyContacts List View screen, perform the
following steps:
1. On the handheld, open the KeyContacts application.
2. In the KeyContacts List View screen, tap on the contact.
3. Tap the Edit button.
4. In the Contact Edit screen, there are four visible phone number fields and one visible e-
mail address field. The first phone number (under File As) is the one displayed in the
KeyContacts List View screen. To change it, tap on the down arrow next to the field and
select another phone number to display.

How Do I Set Up KeyContacts to Synchronize with Multiple PCs?


If you wish to synchronize KeyContacts at multiple PCs and each of the PCs are accessing the
same Exchange Server Mailbox, then install KeyContacts separately on each computer. Then,
synchronize your handheld with each PC.
If you wish to synchronize KeyContacts at multiple PCs and each of the PCs are NOT accessing
the same Exchange Server Mailbox, then perform the following steps:
1. After installing KeyContacts, synchronize your handheld a minimum of two times at the
first PC.
If you are synchronizing with more than one Contacts folder on the first PC, then you must create
the same number of additional Contacts folders on the second PC, before synchronizing with it.
2. Synchronize with the second PC. When the message, "KeyContacts has detected new
handheld folders that are not being synchronized at this PC. Would you like to set up
KeyContacts to synchronize these folders at this PC?" appears, click Yes.
3. The KeyContacts Folder Settings window appears. Highlight the first folder link titled
"Not linked to Outlook at this PC" and click the Link Folder button on the bottom of the
screen.
4. The Choose Outlook Folder window appears. Highlight the Outlook folder to be
synchronized, then click Next.
5. The Choose Permanent HotSync Action screen appears. Choose either "Two-Way

6. If the Conflict Resolution window appears, choose the desired method to resolve
conflicts when the same item has been edited on both Outlook and the handheld. Click
Next.
7. Click Finish.
8. The KeyContacts Folder Settings window opens. Use the steps above to configure any
additional folder links titled "Not Linked to Outlook at this PC".
9. After all folder links have been set up, click Done, OK, and Done.
10. Synchronize your handheld with the second PC.
If you are synchronizing to more than two PCs, then repeat these steps for those additional PCs.

Limited Public Folder Synchronization Options


If you are trying to synchronize KeyContacts to a public folder and you do not have permissions to
Create Items, Read Items, Edit All Items, and Delete All Items, you will receive a message stating
you do not have the required permissions to perform this HotSync Action with this folder.
You must have these permissions on the folder to perform a "Two-Way Synchronization" or a
"Handheld Overwrites Outlook" synchronization with this folder.

Offline Use
If you are using an Exchange Server and have a profile configured for offline use, you must enable
the KeyContacts folder and Conflicts subfolder in Outlook for use in the offline profile. You must
be online in order to enable folders for offline use.
When you synchronize with both online and offline folders, we STRONGLY recommend that you
configure Outlook to synchronize all folders when you exit. This will prevent you from
synchronizing with an out of date set of offline folders. To enable folders for offline use and then
set up the automatic synchronization when exiting Outlook, follow these steps:
Outlook 97 users:
1. Start Outlook and connect to the Exchange Server.
2. If you have not previously synchronized to this profile, do so now.
3. Display the folder list by selecting View|Folder List from the menu.
4. Right click on the KeyContacts folder and select Properties.
5. Click on the Synchronization tab and make sure the When online or offline radio button is
selected.
6. Click OK.
7. Right click on the Conflicts subfolder under the KeyContacts folder and select
Properties.
8. Click on the Synchronization tab and make sure the When online or offline radio button is
selected.
9. Click OK.
10. Click Tools|Options.
11. Click on the General tab.
12. Check the When online, synchronize all folders upon exiting box.
13. Click on the OK button.

3. On the Send/Receive Groups screen, under Setting for group..., select Perform an
automatic send/receive when exiting. This will synchronize your offline folders upon
exiting.
4. On the Send/Receive Group screen, click on a Send/Receive group containing an
Exchange Server account (i.e. All Accounts), and click the Edit button.
5. Under Accounts, select your Exchange Server account (i.e. Mailbox).
6. Checkmark the KeyContacts folder and its subfolder and any other folders you created to
synchronize with the handheld.
7. Click OK.

Conflicting Edits
When using offline folders, a conflict can be created by Outlook if an item is edited in the
Exchange Server Mailbox (while you were not connected) and in the offline folders. When you
connect to Exchange, the conflicting item has a crossed swords icon.

To resolve the conflict, double-click on the item to open a special conflict resolution dialog. A
quick way to find all your conflicting items is to switch to a table view in Outlook, such as By
Category. To do this, click on View|Current View|By Category. Next, click on the folded page
icon in the header to sort the items by icon. This shows all the crossed swords grouped together.
To minimize the creation of conflicts, you should configure Outlook to synchronize all offline
folders when exiting.

Appendix B - Glossary

Handheld The handheld is the connected organizer based on Palm OS computing


platforms.

Synchronization Synchronization is the transfer of data between your handheld and the Cloak
Desktop on your PC.

Conduit This is the software program that links the Personal Computer to one of the
handheld applications.

PRC file This file is a standard Palm application. PRC is the actual filename
extension of this application file, for example, KeyContacts.prc.
