What's New in Lotus Notes 8.5, 8.5.1, and 8.5.2?

The following table lists features new to the IBM Lotus Notes 8.5.x codestream, and tells you how to get started using those features. In general, except for the new 8.5.2 features described in this topic, the rest of the Lotus Notes content documents Notes release 8.5.1. You can navigate Notes preference fields using the Tab key. Automatically compress images pasted into documents. Bitmap (.bmp) images that are imported into a Notes document are compressed; bitmap images that are pasted into a Notes document are converted to a .gif or .jpg format. Click File > Preferences, click Basic Notes Client Configuration, and then click the appropriate setting under Additional options. (The setting is selected by default.) Back by popular demand, you can use red text to indicate unread documents. Click File > Preferences, and then click the Fonts and Colors preference. For the field Unread mail indication, select Plain red text. Also note that this preference provides you with an easy way to enlarge the text in the data areas of Notes, such as the Inbox and messages. Mail signatures imported from preferences will now be ignored by all Spell Check operations. New Spell Check preference options let you automatically correct three common typing errors: Typical spelling errors, such as "teh" instead of "the;" starting a sentence with a lowercase letter; typing two capital letters, such as JOhn. Better HTML rende ring for tables in the Notes editor

In earlier releases of Notes, the HTML parser properly handled 'class' and 'id' attributes, but was not passing them on to the editor. Because of that, the editor would create a table, but wouldn't know it was of a certain class, such as 'BorderedTable', so the table would not get the appropriate style applied. In 8.5.2, those class and ID attributes from the HTML parser are carried along to the editor and applied appropriately.

If the server goes down during any of the following activities, it will fail over to another server automatically without interrupting your activity or showing you error messages: Creating a new entry for PIM views (Mail message, Calendar entry, or To Do) Opening a document in an application Opening a different folder or view Replying or forwarding with attachment Creating a new mail message while multiple documents are selected Deleting a single or multiple document Sending a message Switching back to Primary server when it becomes available Note: When a user opens their mail file from a server other than the primary server, either by using CTRL+O or by clicking on the workspace icon, the mail file is opened from the specified server. In other cases, like opening from bookmarks (where the server details are not displayed), the mail file will be opened from the primary server regardless of any server shown on the top of the workspace icon stack.

ODF, ODP, and ODS file types will not automatically open in embedded Lotus Symphony. The first time you click on a file (either as an attachment or in the file system), you will be prompted to associate the file with IBM Lotus Symphony; Lotus Symphony Documents, Presentations, or Spreadsheets; or OpenOffice.org (if it is installed). Note: IBM Lotus Symphony is based on OpenOffice.org. Information about OpenOffice.org can be found at www.openoffice.org.

With Lotus Protector, you can view and manage a list of company-blocked senders, add your own personally-blocked senders, or choose to allow certain blocked senders' mail. Better spam protec tion with Lotus Prote ctor To view and manage your spam settings from Notes, expand the Spam Protection section in the navigation pane of you mail. Note: Your organization may choose not to use Lotus Protector, in which case you will not see these features.

Notes Roam ing user

Your Domino administrator can set you up to log into any available Notes client and use your personal contacts, bookmarks, feeds, notebook, widgets, dictionary, workspace, and various preferences. When configured for file server roaming server, a new Roaming preference panel is available. Notes 8.5 introduced support for Notes roaming user functionality for the Notes standard configuration and overall improvements to roaming capabilities in general. Eclipse preferences, as well as Notes basic preferences participate in roaming.

Notes roaming user now supports improved plug-in deployment of roamed widgets. Notes roaming user adds file server support for Notes roaming users working on supported Linux and Mac OS platforms. Roaming user is now available for file server roaming or Domino server roaming for all supported Notes platforms. Notes roaming user now supports Notes workspace roaming.

How do I use it?

Enhancements have been made that enable an administrator or a Notes power user to disable and re-enable roaming user status using a combination of NOTES.INI settings. This enables user's working across low bandwidth or slow Internet connections to temporarily disable their roaming status. For details see Lotus Tech Note 1417701 "Disabling and re-enabling Notes roaming user status on the fly" at the Lotus Support Site.

To select an alternate email address, when you begin typing a name, select Other email Addresses from the menu that appears. The more frequently used addresses display at the top of the list.

If you specify a mail signature in your mail preferences, it is stored in your mail file so that it is available on any computer where you use Notes.

How do I use it? Visual differences between an archive and mail make it easy to tell when you are working in an archive. Easily find your recently archived messages by opening the Recently Archived folder in an archive. The subject line of archived messages say (Archived) and the header includes the date on which the message was archived. If you archive a message and leave a summary, you can open the message from its original folder. Open the summary from the original folder, and then click Open in Archive in the action bar above the message.

When you receive mail that includes attachments from an Internet address, the attachments are included at the top of the message in a collapsible section. This includes Notes mail sent through an SMTP server.

If a folder was open when you closed Notes, it will be open the next time you open Notes. If it was closed when you closed Notes, it will be closed. You can set a preference to close an email after you forward or reply to it. To set this preference, click File > Preferences, click Mail, and then select Automatically close original email when replying/forwarding on the Basics tab.

If you've ever wished using Mail were free of delays, but don't have the mind space for creating and maintaining a local replica, the new managed replica feature might be for you. When you create or convert an existing local replica to a managed replica in Notes, or your Domino administrator sets it for you via a policy, Notes creates a local mail replica and marks it as a managed replica. The next time you open Mail, you'll be using the managed replica, which will remain synched with the server copy without your doing anything. A managed replica differs from a local replica in the following ways: It is created in the background while the user continues to use the server copy. The managed replica can be limited to the last N days of mail/calendar entries if local space is a consideration. Initial creation of a managed replica is controlled to minimize impact to server of multiple users/clients creating managed replicas. After creation, the user is automatically switched to the managed replica. If the managed replica needs to be fixed up, the fixup will occur in the background and the user will be redirected to their server copy. If the managed replica becomes corrupt, it will be deleted and recreated. To speed up initial creation of the managed replica, documents beyond 30 days are initially truncated bringing down part of the document and omitting attachments. New mail polling and notification is performed against the server copy. In conjunction with a managed replica, there are additional settings that complete the managed replica experience: If the user opens a truncated document, the rest of the document and/or attachments can be retrieved in the background. All mail sends will route immediately through the local mail.box to avoid any delays sending mail messages and attachments. To set your Mail to be a managed replica (if your Domino administrator has not set the policy for you), do the following: 1. Make sure that you have enough disk space (the size of your mail application plus its full-text index, plus 1GB). 2. If you want the cache to have a full-text index, either create one now in your serverbased mail application (File > Application > Properties, Full Text ) or set the default settings for local replicas to create a full text index for faster searching either in the NOTES.INI file or using Domino policy. 3. Close Lotus Notes. 4. Set the following variables in the NOTES.INI file or enable using Domino desktop policy

Ensure that the location documents specify to use a server-based mail file, and that the path in the location is correct. Note: The client will automatically managed the use of the local/managed replica, as opposed to the server replica, based on the current state of the managed replica. Open Lotus Notes. After a short interval, the client will create the managed replica and begin replicating its contents. Note: If there is a problem, it will be reported in the log files.

You can work in Lotus Notes mail while Notes is building the managed replica. Once the managed replica has been built (replication completes and the views are built), it will be switched to at the next opportune time. You do not need to close Notes to switch to the managed replica. If Notes has a problem with the managed replica, you are directed to the server copy, and the managed replica is rebuilt. Initially, the cache contains full copies of the last 30 days of mail. Large document that are older than 30 days and documents with attachments may be truncated. When you open a truncated document, the full document (no attachments) is retrieved in background. To revert to using server-based Lotus Notes mail, do one of the following: Specify the NOTES.INI setting CacheMail=1 to specify an unmanaged replica. Change the Domino policy to specify creation of a local replica. An administrator can control how many managed replicas are created concurrently. By default, the client will allow at most 25 concurrent managed replica creations against any given server. For finer control, an administrator can make the following changes: 1. Enable the "Smart Upgrade Governor" on the Server configuration document. 2. Set the number of simultaneous Smart Upgrade downloads to a desired value. Note: Initial managed replica creation will not exceed 90% of this value. Note: The Smart Upgrade Governor is used to support existing servers. Enabling the governor does not require the use of Smart Upgrade, it just facilitates a mechanism for multiple clients to coordinate impact and load against a given server.

When you address an email to someone, and Notes can't figure out which address you mean, you will be presented with a window where you can choose the correct address. You must select an address before the OK button will be available.

You can now set a default font for mail you send. There are two ways to set your default mail font. Set defaul t font for mail From the Text menu 1. When composing an email, select text that is in the font you want to use as your default. 2. Click Text > Set as Mail Font.

The "HTML Size" MIME setting is no longer configurable; it retains a fixed value of "12". This ensures that the same rich text to HTML size mapping is performed as mail text is converted from one format to another, and addresses an issue where rich text font size could increase or decrease after repeated replying or forwarding. To view this setting, click Open > Contacts > Advanced > International MIME settings. Select a document and choose the "Settings By Character Set" tab. The HTML Size value, shown below, is now ignored.

To return to the previous behavior, use the Notes.INI variable: MIMEUsePointSizeCfg=1.. You can go to a different folder in mail (or a different view in an application), but keep the current message selected. To do this, go to a folder/view and select a message. Hold down the Ctrl key, and click the folder/view you would like to open. The new folder/view will open, and the message that was selected will still be selected.

You can use a mouse or a keyboard's left and right arrow keys to scroll with the bar and display the rest of the header information for calendar entries.

If you have added a Teamroom calendar to your Notes calendar, you can now view it on an iPhone or other mobile device. When adding the Teamroom calendar to your Notes calendar, select the checkbox next to View this calendar when offline or on a mobile device.

If you have added a calendar to your Notes calendar, and chose to view it offline or on a mobile device, then Notes will automatically update any changes at midnight, as long as the device is connected to the internet at that time.

When you create a meeting that repeats daily, monthly by date, or yearly, you can specify what should happen if an instance of that meeting falls on a weekend (for example, you can move it, delete it, or leave the entry on the weekend). In previous versions of Notes, the weekend was always assumed to be Saturday and Sunday, however this causes problems for users whose weekend is something other than Saturday and

You can view rooms and resources on your calendar, alongside other calendar entries. With this feature, you can also reserve a room or resource directly from your calendar, and see when rooms and resources are already reserved. To add rooms and resources to your calendar, follow these steps: 1. Refresh the design of your Rooms and Resources application. Open the application, and click File > Application > Refresh design. Note: If you do not see this option in your menu, click View > Advanced menus and try again. Select the Notes server that stores the master template(s), or select Local if the master templates are on your workstation, and then click OK. If you do not know this information, ask your organization. After you have refreshed the design of your Rooms and Resources application, you can add it to your calendar. 1. From your calendar, click Add a calendar in the left pane under Show Calendars.

In the dialog box, select Notes application calendar. Click Lookup and then find your rooms and resources application.

Choose a text and background color, and then click OK. The rooms and resources will appear in your calendar. To show or hide rooms and resources, select or de-select the check box for it under Show Calendars.

To reserve a room, select a rooms and resources entry on the calendar, and then click New Reservation. To see reservations for a specific room or resource, select a rooms and resources entry on the calendar, and then click View by Room or Resource.

If you change the timezone of your operating system, the times in your Notes calendar will also change, so that meeting times will still be correct. Calen dar times chang e to match OS timez one

If you add categories to calendar entries, you can view them by category in the new Entries by Category view. To view calendar entries by category, click the plus sign (+) by Lists if is not already expanded, and then click Entries by Category in the calendar navigation pane.

To add categories to a calendar entry, follow these steps: 1. Edit or create a calendar entry. 2. Enter a category into the Category field. (If you do not see the Category field, click Display above the calendar entry, and then select Category.) For this feature to appear, you must replace the design of your mail file. Follow these steps: a. After you install Notes 8.5.2, open your mail file and selectFile > Application > Replace Design. (If you do not see this menu option, select View > Advanced menus). b. Open the local notes/data directory, and select mail85.ntf.

De-select "Inherit future design changes." This will prevent the Domino server from reverting the design back to an older version of the mail template. Click Replace.

More about the Entries by Category view This new view displays a categorized list of calendar entries on your Calendar including Appointments, Meetings, Reminders, Anniversaries, All Day Events, Event Announcements and imported iCal entries. This allows the user to group their related entries into categories for quick access. The view does not include To Dos, Notices, or calendar entries federated from other Calendars or feeds. Any entries that are not Categorized will appear under the Not Categorized section.

When a Notes 8.5.2 meeting chair changes the subject of a meeting, the meeting name in the room or resource reservation will be changed as well. This only applies if the rooms and reservations application is on a Domino 8.5.2 server, and the meeting reservation has been accepted.

On a rename of a fullname of directory record, duplicate recent contact records will not be created and original will be deleted, a new record will be created with new info. On a rename of internet address only on the directory record, duplicate will not be created in recent contacts, and the original will be updated. Use of the DPABRemoveRule ini variable to block certain addresses is improved; it will now clean up existing records in recent contacts which match the pattern set in the ini. As an example, DPABRemoveRule=xyz/exchange,abc/exchange used to block any email addresses with this pattern from getting into recent contacts. Now, it will also clean up existing entries which have this pattern, in addition to blocking future occurrences.

The Start Configuring Widgets wizard dialog now contains a new widget option -- Features and Plugins. This option initiates a new wizard sequence designed to simplify the process of creating a client plug-in deployment widget a process documented in the "Deploying client plug-ins with widgets and the widget catalog" section of Domino Administrator help. The wizard guides you through the widget definition process, prompting for the update site in which the target plug-in resides. After specifying the plug-in, entering the name, image url, and description for the widget, the wizard creates the widget's install manifest content, saves the new widget, and installs the specified plug-in. You can then export or publish the widget.

Security) and see the text This ID file has been backed up into vault <vault name> in the Security Basics tab. If your ID is in a vault and you forget your password, you or a Help desk operator can assign a new password to the ID copy in the vault. (Click Forgot your password? at Notes login to read instructions). After that, you can log in to Notes using the new password from any computer that is connected to the network; the new password is downloaded automatically to the ID file copy on that computer. If you make a change to your local ID file, for example, change the password, the change is uploaded to the ID copy in the vault. If you run Notes from a second computer, the change is downloaded from the vault to the ID file on the second computer.

Your administrator may enable you to log in to Notes using your operating system login (Notes shared login). In this case, you can start Notes without providing a Notes password. All you have to do is log in to Microsoft Windows using your Windows password. This feature is an improvement over the Client Single Logon feature available previously because no synchronization of the Windows and Notes passwords is done. Your administrator may require you to use this feature, or give you the option to use it. To enable it yourself if your administrator allows you to, click File > Security > User Security and select Login to Notes using your operating system login.
