Reprographics Cheat Sheet

Presets.
The following preset settings should work for the majority of printing required: to use them press the button to the left of the screen, then on the screen press Shared. Select the appropriate preset, then Yes, enter the number of copies required and place the originals in the feeder. Originals should always be placed face up, with all pages in the same orientation the copier will deal with rotating the pages so that they are correctly oriented on double-sided copies. One sample copy will be printed: if this copy is printed correctly, press the Start Printing button on the screen. If not, press the Stop button on the screen, and adjust settings as required. 1. A4 booklet stapled on left hand edge, coloured cover, one-sided originals. The card or paper required for the covers must be placed in DRAWER ONE, which is the drawer on the upper right hand side of the copier.

2. A4 booklet stapled on left hand edge, coloured cover, two-sided originals. The card or paper required for the covers must be placed in DRAWER ONE, which is the drawer on the upper right hand side of the copier.

3. Multi-page document, portrait, stapled in corner, one-sided originals.

4. Multi-page document, portrait, stapled in corner, two-sided originals.

5. Multi-page document, landscape, stapled in corner, one-sided originals. The originals must be placed with the top of the document on the left-hand side.

6. Multi-page document, landscape, stapled in corner, two-sided originals. The originals must be placed with the top of the document on the left-hand side.

7. Single-sided A4 originals to A5 booklet, stapled with cover. Place originals face up in the correct order. The card or paper required for the covers must be placed in the MULTI-PURPOSE TRAY, which is located on the right-hand side of the copier above the main paper magazine. Fold down the tray, adjust the guides to the A5/A4R mark, and place cover paper or card in the tray using the guides. Note that on this setting the white paper will be taken from the drawer marked A4R on the front of the copier, so if more paper is required, this is the drawer you need to refill.

8. Double-sided A4 originals to A5 booklet, stapled with cover. Place originals face up in the correct order. The card or paper required for the covers must be placed in the MULTI-PURPOSE TRAY, which is located on the right-hand side of the copier above the main paper magazine. Fold down the tray, adjust the guides to the A5/A4R mark, and place cover paper or card in the tray using the guides. Fold down the tray, adjust the guides to the A4R mark, and place cover paper or card in the tray using the guides. Note that on this setting the white paper will be taken from the drawer marked A4R on the front of the copier, so if more paper is required, this is the drawer you need to refill.

Basic Settings
It is less complicated, where possible, to use the presets detailed above, but failing this here is a quick guide to manually controlling the copier. Bear in mind that the presets can also be used as a base, so it is also easier to select the most appropriate preset and then change one or two settings than to set up the copier manually from scratch. Basic options for copying and finishing are on the main screen:

Paper Selection To select the paper to be used for printing, press the Select Paper button:

And then choose from the menu which drawer to use. The drawers will be highlighted on the image of the copier when you select them so that you can ensure that you have chosen correctly. If you choose Auto the copier will use white A3 or A4 paper depending on the size of the original.

Copy Sample N.B: This option will only appear after multiple copies have been selected by keying in the required number of copies on the keypad to the right of the screen.

In order to check whether the finished copy is as you require, it is usually a good idea to print a Copy Sample:

This will print a single copy for inspection, and then ask for confirmation to Start Printing.

Finishing

To change finishing options such as stapling, collating and hole-punching, press the Finishing button. The default setting is to collate all the pages placed in the feeder together, unstapled and offset so that each copy can be easily differentiated.

Select Collate to collate a multi-page document (default without a staple or an offset):

Select Group to group together the individual pages of a multi-page document placed in the feeder (default without an offset)

To allow for easier differentiation between multiple unstapled copies, it is best to select the Offset option.

To add a staple, press the Finishing button, and then select Staple and then press Next:

You will then be asked to specify where you want the staple. Simply select where you would like the staple to be on the originals you have placed in the feeder; top left is the top left of the feeder as you look at it, bottom left is the bottom left etc.:

To create an A4 booklet, select Double, and then specify the position of the staples. Be sure to print a Copy Sample for booklets the copier will not complain if the booklet is too thick to staple, but simply print it without stapling.

2-Sided

This button offers all the options for 2-sided printing. The screen is self-explanatory:

To disable 2-sided printing, press 2-sided, and then select Cancel Settings.

Density

It is a good idea to set this to Auto if you are printing from originals in colour or on coloured paper, or on paper that is yellow with age: Press Density, select Auto by pressing the box to the left of the word, and then press OK.

Original Type

It is generally unnecessary to adjust these settings.

More Options
Adding a Cover To add a cover, first press the Options button:

Then press Add Cover, and you will be presented with the following screen:

Press Front Cover and Back Cover as required, and then select whether to Leave Blank, Print on Front Side, Print on Back Side or Print on Both Sides. Bear in mind that whether you are printing from 1- or 2-sided originals will affect this for 1-sided to 2-sided copying, you would generally select Print on Front Side, whereas for 2-sided to 2-sided copying you would generally select Print on Both Sides so that the back of the Front Cover is left blank.
