Vehicle Administration System

Abstract
The manual process of checking the availability of vehicle in any institution is very slow. For example if a class wants to hire any vehicle for tour, manually this process is quiet slow and faces problems. First application goes to in-charge of department then head of department and at the end it will go to transport office. After this long manual process it is not sure that either the vehicle is available or not. The new system will not only reduce time wasting but it will also confirm the availability of vehicle at department level. For the confirmation of availability of vehicle department will use e-mail service. An email will be sent from department to transport office.

1. Introduction:
This project proposal is about the vehicle administration system of university. Transport office of university provides the facility of vehicles from university to hostels, departmental tours as well as study tours. This system can be used by Government College University Faisalabad, Government College University Lahore and University of Sargodha. This project will be developed for Government College University Faisalabad. Project members are Muhammad Naveed 327, Ahmad Abbas 331, Aamir Shahzad 332 and Tehseen Haider 333 from Computer Sciences under the Supervision of Mr. Salman Mansoor.

2. Objective:
This project will be developed to enhance the performance of transport office. The main objective of this project is to make the process of checking the availability of vehicles easy and fast whereas the existing manual process is quiet slow and lengthy. To check the availably of vehicle department will use the e-mail service. The proposed system will be based on oracle 10G.

3. Background:
DOT of Government College University Faisalabad use the manual system for the keeping the record of availability, maintenance and outgoing vehicles. The maintenance of record is not so good. Maintenance is a manual process. Transport officer keep the record in the registers. When any higher authority wants to check the record of a specific application or last month, they have to find it in registers, which is a difficult task. To overcome this difficulty a computerized system is the real need of university.

5. Feasibility:
Economic Feasibility:
The proposed system is economically affordable. It is more beneficial as compared to its cost. The available budget for the system is 40 thousand. Operational Feasibility:
This proposed system will just like the previous system in terms of its operations. Only minor changes will be happened in existing system, that will be easily understandable. .The main difference is that the old system is manual and the record are maintained in the papers and now the new system is the computerized, in which record is maintained on the computer, so it is very easy and more profitable. The previous users can be trained about the new system and its functionality.

The proposed system will be divided into parts. One part is concerned with the outstation tours, second is for in-station tours and third one is for route busses. This system will provide the automatic records of all vehicles of the busses and maintain all the records of the busses and vans, which can be checked any time. The record of applications will be maintained by their application number. When the will user enter the application number, all record regarding to that application number will be shown in the term of report.

Technical Feasibility:
The technology used for proposed system is very common and easily accessible. The only new things we are need are the two hardware, computer and printer and one system software windows XP. This system will replace the paper from the table and is to put the computer on the table.

6. Time and Cost Estimation:


The proposed system will be started from 02 Dec 2010 and the expected completion date is 04 Feb 2011 and the estimated cost of the proposed system is 40 thousand.

7. Expected Benefits:
Intangible Benefits:
The processing speed of the proposed system is much speedy than the previous system. The best way it saves time is that we make the record in a computerized way, so it is very easy to find any record of your choice from any where and any time. This is a major benefit of the new proposed system. The basic benefits are Time saving Money saving Reduced effort

Tangible Benefits:

1. This system will reduce the vacancy of ROV.. 2. The process of the proposed system reduces the other costs e.g. Paper consumption and less man power for the other manual work etc.
