THE STRUCTURE OF AIESEC INTERNATIONAL 2009-2010
AIESEC International is based in Rotterdam – The Netherlands – and for the term 2009-2010, will consist of the
following positions:
 AIESEC International Director (5 positions opened)
 AIESEC International President
 AIESEC International Vice President Communication
 AIESEC International Vice President Exchange Management
 AIESEC International Vice President External Relations
 AIESEC International Vice President Finance
 AIESEC International Vice President Information Management
 AIESEC International Vice President Operations and Strategy
 AIESEC International Vice President Talent Management.
 There will be managers positions open for the ER and IM Teams later.

The Global Plenary elects the President; and the Directors and Vice Presidents are selected during International
Presidents Meeting each year. The final positions for the AI team are selected throughout March and April 09. In
February 2009 the election/selection process will take place in Italy, the hosting country of IPM 2009.

As the central body of the global organisation many roles and initiatives are designed, planned and implemented
over a long-term basis to ensure the achievement of the AIESEC 2010 vision. Continuity across these stages is
crucial to implementing strategy globally. Consequently, applicants for positions with AIESEC International
should strongly consider the possibility of continuing their mandate for more than one term. This has shown, in
the past, to increase the effectiveness of planning and implementing strategy.

The AI managers position applications are opened after IPM and depend on the approval of the AI budget for
the term 2009 - 2010. For more details please read carefully the rest of this document.

THE APPLICATION PROCESS

legalising AI members takes approx. 3 months it is COMPULSORY to submit all necessary visa information
together with your application! Also, you will necessarily need a passport valid for at least 2 years from the
moment of submitting the application).

5. Submit your application, the endorsements and other requested material by 17:00 GMT Friday, 23 of
January 2009. (Late applications - even by a few minutes - WILL NOT be accepted, and no exceptions will be given,
including in the cases of email/computer dysfunction. Extensions will not be given. As such, we strongly
recommend you do not wait until the last minute to submit your application, as you will be risking it not being
accepted should unforeseen events occur).

SPECIALISED CHARACTERISTICS OF TEAM MEMBERS
While each team needs a broad knowledge of the above areas, each team member must also possess some
specific skills and experience in order to manage a
variety of functional tasks. Working at AI requires
the members to take on extensive functional
tasks, including fundraising, external relations,
using information systems, human resources
development, content management, conference
planning (LDS, IC, IPM, others), exchange systems
development,
communication/publications/marketing, and other
areas that are not covered by the functional
positions on the team. The AIESEC International
team must be comprised of individuals who
collectively cover these major areas of expertise.

ELECTION/SELECTION PROCESS
Nomination Procedure:
 Each candidate must present their application, answering ALL questions applicable to the position you are
applying for. The application (both general & specific questionnaire) should be maximum 10 pages in
minimum font size 10.

 You will receive confirmation of receipt of your application as soon as it has been received (only if reception
of the applications happens during AIESEC International working hours. If reception of applications occurs
out of working hours you will be notified of reception within a maximum of 24 hours).

 There are open forums in MyAIESEC.net – after 10 of December 2008, which will be used for ALL
questions and clarifications needed regarding the applications and the procedures. Before emailing

questions to Sophie, please review the forums on MyAIESEC.net (after the 10 of December) to see if your
question is already answered. Any questions on the election process that are private can also be directed to
Sophie.
 You may have to complete an assessment test prior to or at the beginning of your interview. A company
selected by AI shall conduct the test. Along with the potential test, there will be definitely a Competency
Assessment. The competency profile will only be used after the signed agreement of the candidate is
obtained (due to data privacy regulations). The assessment tests will be used by the selection committee and
current AI team members interviewing VP and AI manager candidates. The results will contain no
recommendations. This will be confirmed with candidates as soon as possible.

Special notes:
 Candidates may run for more than 1 position. If you are applying for more than 1 position, you must
present TWO different applications
 Talk with your Member Committee, they should do their best to send all AI candidates to IPM
 Remember to include the number of the question you are answering with your answer
 The PAI elect reserves the option to not select individuals for a position if suitable candidates have not been
put forward. In such a situation, the PAI elect will continue to search for an appropriate candidate
 Final details on the election/selection process will be distributed by 1st week of February 2009. If you are
interested, the relevant information can be found in the latest version of the International Compendium.
 Vice President candidates do not need to be physically present at IPM, however it is strongly recommended
that you are present, as participation in IPM may contribute to your ability to perform in a future AI role
 AI candidates will be expected to attend a pre-meeting dinner so should arrange travel to be present at

the pre-meeting site on the evening of the 16th of February 2009.
 Successful AI candidates are also expected to participate in the AI take off day at the end of IPM 09 on 27th
February 2009 – make sure you plan your travel back after the mentioned date.

ELECTION/SELECTION PROCEDURES
President or Director positions

To stand for the position of PAI or Director, you must participate in the election and/or selection process at International
Presidents Meeting. The process is as follows:

1. Submit your application, the endorsements and other requested material by 17:00 GMT Friday, 23rd of January 2009.
2. Each candidate for PAI and Director will be required to give an opening speech accepting their nominations and participate
in a number of Question and Answer sessions as outlined in the International Compendium.
3. Unsuccessful PAI candidates are eligible for Director positions. A PAI candidate who intends to stand for Director position
must inform the Selection Committee. This information will be treated as confidential by the subcommittee. (Details can be
found under the relevant sections of International Compendium). Unsuccessful PAI candidates are also eligible for VP
positions. A PAI candidate who intends to stand for a VP position must also submit an application for the appropriate VP
position by the application deadline.
4. Once a result is achieved for the Director nomination, the Chair of the International Presidents Meeting shall call all
candidates before the general plenary, and declare who is included in the selection pool.
5. To be nominated for Director selection, candidates must have a simple majority confidence vote from the organisations
voting membership.
6. The selection pool consists of all candidates who have passed the confidence vote above.
7. A selection committee that consists of PAI, PAIe, 1 Director, 1 external representative and 1 MCP from each Growth
Network shall select the 5 Directors of the AIESEC International team 2009 2010 from the selection pool. The MCPs shall come
from countries/territories that have no candidates for PAI or Director.
8. The Director candidates that are included in the selection pool shall participate in a selection committee interview
conducted by PAI, PAIe, 1 Director and an external representative.
9. When a decision has been made, the Chair shall call all candidates in the selection pool before the general plenary and
declare who has been selected for Director.
10. Election of PAI and selection of the Directors will be held before the close of IPM, unless in a case where a position is kept
open by the PAI elect due to insufficient qualified candidates.

Vice President positions

The selection of Vice Presidents takes place during IPM. The process for applying for a VP position is as follows:
1. Submit your application, the endorsements and other requested material by 17:00 GMT Friday, 23rd of January 2009.
2. Unsuccessful director/PAI candidates are also eligible for VP positions. A candidate who intends to stand for a VP position
must also submit an application for the appropriate VP position by the application deadline (the fact that you have submitted
an application for a VP position will remain confidential).
3. The VP candidates shall participate in an interview by a selection panel (current PAI, PAI elect, one current director, one
external and the VP currently in the position being interviewed for) to be held after the announcement of the Directors.
4. Selection of the VPs will be held before the close of IPM, unless in the case where a position is kept open by the PAI elect
due to insufficient qualified candidates.
5. When a decision has been made, the Chair shall call all candidates before the general plenary and declare who has been
selected for the 5 available Vice President positions.

RESPONSIBILITIES AFTER SELECTION


AI elect meeting:

The AIESEC International elect team will meet in Rome, Italy immediately following the completion of
International Presidents Meeting. This meeting will run during February 27th 2009.

All candidates for PAI, Directors and VP positions are requested to book their flight tickets and arrange visas so
that if elected or selected, this meeting can be attended. The main purpose of the meeting is to start team
building, evaluate IPM and to plan the coming steps of transition. Please be sure not to forget this important

detail.

Transition:
Transition commences immediately after your selection. Discussions and work will be done through the use of
MyAIESEC.net, e-mail etc.

 Transition for the PAI 2009-2010 and respective VP FM and VP ER commences at the latest on 1 May 2009.
 VPIM and VPOS transition will start on the 15th of May 2009.
 The Directors, VPs, ER and IM team positions commence on June 1, 2009. (Article 3.1.3. International
Compendium)
 AI will pay salaries from these starting dates
 Your own transition (at national level, if you are on a Member Committee) has to be COMPLETELY FINISHED by
the time you come to Rotterdam.
 It is vital that all candidates are committed to being in Rotterdam no later than the above mentioned times.

VISA REQUIREMENTS FOR THE NETHERLANDS


Together with application form you have to submit:

Nationals of EU/EER countries (except new EU states Estonia, Hungary, Latvia, Lithuania, Poland, Slovenia,
Czech Republic and Slovakia):
 Copy of passport – the pages that contain your pictures and personal details.
 Have your translated birth certificate ready, because you will be asked to show it when registering
in the municipality once you come to the Netherlands.

Nationals of Australia, Canada, Japan, Monaco, New Zealand, Vatican City, the United States, Switzerland and
new EU states Estonia, Hungary, Latvia, Lithuania, Poland, Slovenia, Czech Republic and Slovakia:
 Copy of passport - the pages that contain your pictures and personal details. The passport should
be valid at least 2 years after the start of the new AI term.
 Copy of your diploma (if graduated) with academic transcripts (this is the paper that you get from
your university's registrar that outlines all the courses that you have taken in the university and the
corresponding marks for each course. The document should be translated into English or Dutch if
it’s written in another language). If you have not graduated yet you need to get latest academic
transcripts from your university.
 Have your translated birth certificate ready, because you will be asked to show it when applying for
Dutch residence once you come to the Netherlands.
Nationals of all other countries
 Copy of passport – ALL pages including the blank ones. The passport should be valid at least 2
years after the start of the new AI term.
 Copy of legalised, translated and certified birth certificate. By "legalisation" we mean that the
authorities in the country where the documents come from sign a statement saying that the
documents were issued by an official body. This statement is usually provided by the Ministry of
Foreign Affairs or Ministry of Justice in your country. Birth certificate of nationals from India,
Nigeria, Ghana, Pakistan, Dominican Republic must be verified and approved by the Dutch
diplomatic representation (embassy or consulate) in your country of origin. Verification might take a
number of months! Please note that birth certificate should not be mistaken for certificate of birth
registry - these are two separate documents, what we need is the birth certificate. (To find the

please can refer to following link: http://www.mfa.nl/en).

 Copy of your insurance valid in the Netherlands or quote for travel insurance to prove you can get
insured right after being selected. Insurance should be valid at least 4 month starting from the first
day of your transition. It will be replaced by Dutch National Health Insurance once you finalise your
registration procedures in Rotterdam.
 Copy of your diploma (if graduated) with academic transcripts (this is the paper that you get from
your university's registrar that outlines all the courses that you have taken in the university and the
corresponding marks for each course. The document should be translated into English or Dutch if
it’s written in another language.) If you have not graduated yet you need to get latest academic
transcripts from your university.
 The name of the city and country where you will pick up your Dutch visa if you get elected (you
should pick up your visa in your home country unless you have an official residence of currently
residing country that valid for at least 5 months after the new AI term). See the addresses of Dutch
Consulates/Embassies here: http://www.mfa.nl/en.
 Your home address (with a zip code) in country where you will pick up your Dutch visa.
Notice: The process of issuing the Dutch visa might take up to 6 months (!)
 You may not have a criminal record.

ALL Documents should be translated into English, Dutch, French or German. Translation should be notarized.

NOTE! Copies of ALL the above documents must be provided otherwise we CANNOT apply for work permit and
working visa. Keep original documents with you, because the Embassy may request them again in your country.
The above documents should be scanned in good quality (in resolution good enough to be able to print and read
all numbers and letters) and attached together with your application for AIESEC International. If for any reason
you were not able to obtain them on time, we at least need papers proving that you have initiated the
procedures for obtaining all the above documents, in order to consider your applications complete. Soon there
will be announcement for the person that will be able to support you in that area.

SUPPORT FOR NON-MCP CANDIDATES


The following is in place to support non-MCP AI candidates standing for PAI or Director roles to attend IPM:
 They should receive a subsidy of a maximum of 50% of the total of their travel & delegate fee costs.
 They should be charged for normal delegate fees at IPM.
N.B. This financial support, as legislated at IC 2008, is not available for VP candidates.

NOTE: To receive these advantages, every candidate has to present five (5) endorsement letters supporting
his/her application, excluding the required one from his/her own country. At least one of these letters has to be
from their own Growth Network and two from other Growth Networks. These letters have to be added to the
manifestos.

If a candidate needs this financial assistance to attend IPM, please inform Laura Johnson, LauraJ@ai.aiesec.org
by 23rd January 2009 before 17:00 GMT. If you do not inform Laura before the deadline, your request to receive
the support will not be considered.

APPENDIX I: EXTRACTS FROM THE INTERNATIONAL COMPENDIUM
1.5 AIESEC International
Art. 17 The foundation shall be administered by the Management Board of AIESEC International (AI)
consisting of a President, a maximum of 6 Directors, a maximum of 6 Vice-Presidents, and a
maximum of 10 other managers, all physical persons.
Art. 18 If AIESEC International is incomplete it still retains all of its powers
Art. 19 The President is appointed by the General Assembly of members at the annual International
Presidents Meeting (according to the procedure outlined in section 4).
Art. 20 The Directors are nominated by the General Assembly of members and appointed by the President at
the annual International Presidents Meeting (according to the procedure outlined in section 4).
Art. 21 The Vice Presidents are appointed by the President at the annual International Presidents Meeting
(according to the outline in section 4).
Art. 22 The managers are appointed by the President.
Art. 23 Individuals can serve on AI for a maximum of three years.
Art. 24 Within AI each member shall have one vote. A majority of the members of AI shall constitute quorum
for a decision-making forum of AIESEC International.
Art. 25 Decisions shall be taken by a simple majority vote of AI members present.
Art. 26 AI shall have full power of management and administration, subject to the prerogatives of the
legislative meeting.
Art. 27 AI shall delegate the day-to-day management of the foundation to the President.
Art. 28 AI may rescind its delegation of the day-to-day management of the foundation to the President
should he/she not perform in its best interest.
Art. 29 All the deeds committing the foundation shall, except for special proxies, be signed by two members
of AI.
Art. 30 The President of AIESEC International (PAI) shall be responsible for carrying out the decisions of the
legislative meetings and for co-ordinating the work of AIESEC International.
Art. 31 The President will cease to hold office:
a) By his/her death;
b) By his/her retirement;
c) Because he/she is declared bankrupt or applies for a temporary moratorium;
d) By the appointment of a guardian over him/her;
e) By removal from office by the court in the cases provided for in the law;
f) At the end of his/her term; and
g) By his removal from office by the Management Board for important reasons.
Art. 32 Any member of AIESEC International shall cease to hold office as set forth under Art. 30 and also by
dismissal by the President for important reasons.
